Step 2. Gather resources

Decide if you want to record a voiceover only (leaving the record option as Audio only ), or add a floating head video with your webcam to show yourself as the speaker by clicking the Screen option. Either way, go through your script as the slides move along. 

If you created your presentation in another software like Google Slides, there may be no built-in option to record your presentation over the slides. In that case, use Descript’s screen recorder to film your screen with audio. The video file will be ready and waiting for you in the video editor when you finish recording.

Step 4. Edit and enhance

At this point, you’ve got the basic presentation down. It’s time to bring out your inner filmmaker and turn the slideshow into something special.

Step 1. Create video slides or record your screen and webcam 

To import your own presentation videos, photos, and audio, click on the import media button in the your media tab on the toolbar to browse your computer files, or connect your OneDrive.

You can also use free stock media like video clips, photos, video backgrounds, and GIFs. Click on the content library tab on the toolbar and click on the visuals drop down arrow, then videos, photos, or backgrounds. You can also use the search bar to search through the different stock categories.

If you would like to record your presentation, click on the record & create tab on the toolbar, then record using either screen and camera, camera, screen or audio options .

Step 2. Edit your video presentation

To trim the length of your video , click on the video on the timeline so it’s highlighted green. Move the handles to the left of the timeline to trim the video length. If you trim too much footage off your video, just drag the handle back to the right to recover your footage.

To crop your assets , click on the video so it’s highlighted green on the timeline, then click on the crop button on the floating toolbar. Here, you can freely crop away unwanted areas of your video using the cropping handles. Click on the done button when you’re finished.

Step 3. Add transitions, animated text and stickers

Add transitions between clips by clicking on the transitions tab on the toolbar. Drag and drop a transition onto the timeline between two videos. Repeat this process for the rest of your videos added to the timeline.

Place text and titles on your video by clicking on the text tab on the toolbar. Drag and drop a title onto the timeline above your video. Use the text tab on the property panel to customize your title.

Overlay stickers onto your video by clicking on the content library tab on the toolbar. Next, click on the visuals drop down arrow, then select stickers, shapes & annotations, frames & borders, or overlays . Search through the categories then drag and drop an asset onto the timeline above your video.

Step 4. Preview and save your video presentation

Before saving your new video, make sure to preview using full-screen mode . When you’re ready to save, click on the export button and select a video resolution. For the best quality, we recommend saving all videos in 1080p.   Paid subscribers can save in 4K video resolution.

Moving on, to the right, we have the Slides section , where you can re-arrange the slides, duplicate the slides, delete the slides, and even make edits to the slides, such as transition effects.

In the center, we have a Workspace displaying the selected slide. Here you will add fonts, and images, change the background and other properties and make all the slides customizations.

And at the top, you will find options to Share, Import, and Present the slide deck.

We shall look into each option in depth in the upcoming steps.

One way of creating an animated presentation in Animaker Deck is from scratch on a blank canvas. Here’s what we will cover:

Using the Backgrounds feature, you can easily search and apply backgrounds according to your preferences.

For instance, let’s say you want to create an intro slide for your business. First, choose a suitable background for your slide from the Library.

Once you find and select a suitable background, it will appear in the central workspace. Also, you will notice a few options pop up in the workspace. It is called an “item menu.” 

You can customize the colors, add filters, swap elements, and resize and delete the elements in the slide from these options.

Do all the presentations you have made so far lack personality? 

You can now infuse life into the slides with the help of Animated Characters.

With Animaker Deck, you can create your personalized characters or use the built-in characters from the Library section, whichever fits your scenario.

In this instance, let’s choose one from the built-in character library.

If you are not happy with the pre-built characters, you can even create and introduce your own custom characters into the slide deck.

Pick the one as per your preference. Once you select the type, you will be taken to the character customization screen. 

Here you can customize each and every aspect of your character, starting from head to toe.

Once you have finished the customizations, save your character and refresh the project. You can find the newly created character in the My Characters tab under the Character feature.

Using the Text feature, you can add text to your slides in two ways. 

One is to choose and edit from the built-in text templates designed along with animation effects, and the second is to enter the text manually with text boxes.

Select a suitable text design from the Text feature under the library section.

Once you select the text design, it will appear in the workspace; now, you can type in the required text and use the item menu options to customize the color, font style, size, and alignment and adjust the case sensitivity of the text. 

In this instance, we have used the empty text box design and entered the text manually. You can also use the built-in text design templates and edit them accordingly. 

Also, it is possible to add animation effects to the text just like we did to the properties earlier. 

You can even adjust the transparency of the text by using the transparency slider beneath the animation effects on the right side of the workspace.

This way, Animaker Deck gives a complete customization option for the users to edit and change the slides according to everyone’s preferences.

Another way of creating an animated presentation is from pre-built templates.

16. Make Sure All Objects Are Aligned

A simple way to create a well-designed presentation is to make sure all items on a slide are intentionally aligned. To do this, hold down Shift and select all the objects you want to include. Then choose Arrange in the options bar and apply Alignment Type .

17. Limit Punctuation

This isn’t the place for exclamation points. Emphasize your points (while speaking). Don’t enlist punctuation to do this for you. (Leave these at home!!!)

18. Avoid Over-Formatting Your Points

This PowerPoint presentation tip is simple. There’s no need to have every word of every bullet point capitalized, or to have all your bullet points in title case. If possible, drop bullets altogether. Again, the simpler, the better!

20. I’ll Say It Again, Rehearse!

Just do it. Again and again. Experiment with pauses, gestures, and body language. Practice around one hour for every minute of your speech.

21. Practice With a Timer

Consistency is key to an effective PowerPoint presentation. The timing should be similar (ideally the same) each time you rehearse. This one will especially pay off when it’s time to present in front of your audience.

22. Slow It Down

Many of the best speakers today intentionally speak slowly. You’ll have the chance to emphasize, appear more thoughtful, and make your information easier to digest.

23. Pause More Often

Like the prior tip, pausing more often allows your main points to be emphasized and gives time for information to sink in. You need to let key points breathe a little before rushing into the next section.

24. Record Yourself

Use your phone’s voice recorder. Assess and critique yourself. Consider:

  • Are your pauses too short or too long?
  • Are you speaking slowly enough? Too slow?
  • When you’re nervous, does your voice get high like the mice in Cinderella?

It’s always weird to hear your own voice recorded; don’t stress it. Use this as a time to adjust.

25. Choose Three Focal Points in the Room

If you stare at the same spot (or even creepier, the same person) the entire time, your presentation will be ineffective (and awkward.) People will be distracted by you, wondering what you’re staring at.

Try this: pick three points in the room (typically: left, center, right). Take time to direct your delivery toward each physical focal point in the room. Also, focus on the center when making your primary points.

26. Vary Your Sentence Length

This makes you sound more interesting, and it’s easier for your audience to follow. Think short and punchy. Or go long and complex for dramatic effect.

27. Modulate!

Don’t speak in monotone for your whole presentation. Be conscious of raising and lowering your voice tone. Otherwise, people will tune you out, and you’ll come across like the teacher in Charlie Brown.

28. Practice in Front of a Mirror

What you look like is as important as how you sound. Pretend you’re having a normal conversation, and allow your hands to move with your speech to emphasize your points. Just don’t get carried away! (I’m thinking Brene Brown or President Obama , not your Aunt Jamie after a few gin and tonics.)

29. Use “Present Mode” When Rehearsing

When you finally are ready to hit the Present button in PowerPoint, make sure you use the Present Mode option. This allows you (and only you) to view extra notes about each slide—just in case you forget something!

Add audio or music to your presentation to inject interest or highlight an important point, but it’s something to take extra care with. Again, this is distracting and outdated. Use transitions and subtle animations in your PowerPoint presentation. But you need to take care and do it right .

Microsoft’s PowerPoint is extremely popular in schools, universities, and the corporate world, but it has never been as popular with home users. Not surprising since it’s all about creating presentations, something a private person doesn’t have to do very often.

So, if you suddenly find yourself needing to make a PowerPoint presentation and have no idea how to make it good, rest assured that you aren’t alone and there’s hope for you.

These days, PowerPoint is more than just a basic slideshow—it can be used to create video presentations with voice-over narration, and it even has an AI-based helper called Designer that gives suggestions on how to make your presentation better.

Here are several smart tips and tricks you can use to improve your PowerPoint presentations and come off as a pro.

1. Customize Quick Access

Have you noticed that PowerPoint—and the other apps in Microsoft 365 for that matter—have a small, narrow toolbar at the very top of the application window? By default, you’ll find shortcut buttons for toggling Auto Save and basic actions like Save, Undo, Repeat, etc.

This nifty toolbar also comes with some app-specific actions that you may or may not use frequently. In PowerPoint, for example, there’s a shortcut to start slideshows from the beginning.

This toolbar is called Quick Access and you can actually customize what actions show up here. You can add frequently used actions while removing the ones you never use.

This can make it easier to find important functions that you would otherwise have to rummage around the ribbon to find.

A theme is a collection of settings for typography, colors, and effects that make it easy to maintain a consistent style across presentations. A template is a theme plus ready-made content that makes it easier to make a particular type of presentation again in the future.

For example, a company may have a theme that defines the colors and fonts employees should use in presentations, plus a number of templates for product presentations and quarterly reports.

A template may have a number of ready-made slides with images, charts, and everything else already laid out. When you create a new presentation from a template, you will find these individual page templates in New slide in either Start or Insert .

Creating your own custom theme

New themes can be added at any time as long as you have a presentation open—even if it’s a blank presentation.

Select the Design tab and click on the small down arrow with a dash over it on the right side of the Variants section. This shows the four categories of settings you can designate for a theme.

Select Colors > Customize Colors… and the Create new theme colors dialog box will open. A complete set of theme colors includes two pairs of text and background colors (dark/light, to be used either for dark text on a light background or vice versa), six spot colors used for graphic elements, and two colors for hyperlinks. Enter a name at the bottom and click Save when you are done.

If you also want to change the font, select Fonts > Customize Fonts… and you’ll be able to designate a Heading font and a Body font . I recommend a neutral, easy-to-read font for both.

Under Effects , you can choose the style of effects but there’s no way to customize or create a completely new effect. Under Background Styles , you can select Format Background… to tweak backgrounds.

When you’re done, go to the Themes section of the Design tab and click the down arrow with a line above it, then select Save Current Theme… to save your new theme. Give it a name and save and your new theme will appear among the available themes in the Design tab of all presentations.

Create your own custom templates

To create a new PowerPoint template, you can start from either a blank presentation or an existing template. Don’t add any content of your own yet. Instead, go to the View tab and click on Slide Master .

Start by changing the theme of your new template, under the Themes button. If you created your own theme as described above, it will normally be at the top of the list of available themes.

PowerPoint uses the term layouts for slide templates. Click on the Insert Layout button to create a new slide template.

New layouts are automatically given a header and a footer, but you can remove them if you wish (either by selecting and deleting the elements manually or via checkboxes in the Slide Background tab).

To delete an existing layout, right-click on it in the list and select Delete Layout or select it in the list and press Backspace.

To add new design elements to a layout, click the Insert Placeholder button in the ribbon and select the element type you want. You can then position and resize it, and change the placeholder text for it.

If you want to make per-layout changes, make sure to select that layout in the list before tweaking. For example, you can change a layout’s color theme or switch between the four background formats.

When you’re happy, save the template by selecting File > Save As and changing the format to Powerpoint Template (*.potx) . Templates can be stored either locally on your computer or in OneDrive—and since the theme is included, you can freely share the template with others.

To do this, start by copying a chart in Excel, then switching over to PowerPoint and navigating to the Home tab in the ribbon. Select Paste > Paste Special… , then choose the Paste Link option, select Microsoft Excel Chart Object and finish by clicking OK .

  • Transparency makes the image more or less transparent

One thing you’ll notice when you add an image is that PowerPoint automatically generates alternative text—that is, descriptive text that gets read aloud for users with visual impairments. You can set this text to whatever you want, and it’s nice that Microsoft has thought about accessibility in this way.

5. Fill a shape with an image

PowerPoint makes it easy to fill a vector graphic shape with an image instead of just a solid color or gradient.

Create the shape as you want it, then make sure it’s selected before navigating to either the Home or Figure Format tabs in the ribbon. Select Shape Fill > Picture… , then select From a File to pick an image that’s saved on your computer.

If you aren’t satisfied with the positioning of the image in the shape, you can open the Picture Format tab and select Crop > Crop to resize and move the image in relation to the shape, allowing you to center it at a different point and even zoom in or out.

6. Incorporate audio and video

These days, PowerPoint isn’t just for presentations on screen or with a projector—it’s increasingly common to export finished presentations as videos to be sent to recipients, uploaded to the web, embedded in mobile apps, and more.

7. Get AI help with Designer

Designer is the new name for Design Ideas, a feature that has been around since PowerPoint 2016 and uses machine learning to analyze the content of presentations and suggest improvements.

You can find it as a button in the Home and Design tabs, with Designer itself appearing in a column on the right.

This feature continuously analyzes your presentation and displays a list of suggested changes for the current slide. If you don’t like any of the suggestions, you can click on See More Design Ideas at the bottom and it will generate additional suggestions.

How attractive and useful are the suggestions? Well, it varies. When I tested it myself, they’ve rarely been results that I could use straight away—but the suggestions were helpful in that they gave me several great ideas that I hadn’t thought of myself.

For example, in the image above, you can see a suggestion for a color filter on a photo that looks like it could work really well with bright text and maybe a little blur.

Regardless of whether you’re using a template or not, these design tips will help. Each section has a link to more helpful reading about design. Open them in a new tab to read later.

  • Font choice: Use no more than two fonts (or two styles of the same font) in your ebook—one for the headings and the others for body text. Great fonts for body text are; Lato, Garamond and Verdana. Choose the one that best matches your brand voice and tone.
  • Color palette: Choose a color palette that won’t tire the reader. Avoid using color for the main body text and stick to black or a very dark gray. For the visuals, stick to the same balanced color palette for illustrations, data visualizations and even for photography .
  • Visual hierarchy: Follow the rules of visual hierarchy on every page of your ebook. Also, apply flow hierarchy from page to page. Every section starts with a large title, maybe a smaller subtitle and then the body content in a regular size. Further down in the hierarchy could be footnotes and image captions.
  • Margins and spacing: One of the biggest mistakes made by non-designs is to forget about the margins . Give your ebook page margins big enough to make the content feel like it's floating in the center of the page. Maintain the same margin for every single page. The only exceptions are full-width images.
  • Page numb​​ers: Remember to number the pages in your ebook, but do so at the very end. You don’t need to put a page number on the cover, info page, or table of contents. Most document creators can number the pages automatically , look for that before trying to number the pages manually.

5. Create an Eye-Catching Ebook Cover Design

Create a clever and exciting ebook cover design with the target reader/user persona in mind. Use visuals that will be attractive or relatable to them. Remember that the cover design will not only be part of the ebook itself; you’ll also use it in a mockup to promote the ebook.

The cover design should include the following elements:

  • Ebook Title
  • Company Name/Logo
  • Brand Colors and Imagery

Even though people say to “not judge a book by its cover,” you can bet that people will do just that, regardless. Make sure the cover is inviting and makes sense with the topic of the book.

Use visual hierarchy to organize the content. For example, the title has the largest font, then the subtitle and finally the author name. You can see this in the example below.

6. Download & Publish Your Ebook

When you’re confident that your book is ready to publish, you’ll have to get it ready to sell. Refer back to the section above, where we list the different types of ebook file types. Choose the one that’s right for you. Here are a few more tips regarding your options.

If you choose to download it as a PDF (static or with active links), you’ll need some way to send the ebook to your clients. Here are some ways to do that:

  • Upload the PDF to your website to generate a link.
  • Add the PDF file to a Dropbox folder, generate the link and when sending it to the client, change the last digit from 0 to 1, so it downloads as soon as someone clicks on it.
  • Publish the ebook to the web with Visme and share the live link with customers. They’ll be able to read in Visme (without needing an account) and can download from there if they wish to do so. This option also allows for password-protected access.

When I was a freshman at New York University, the manual for the requisite speech course was titled, “Handbook of Objective Speaking.” At the beginning of the course, I assumed that “objective” was a noun, which meant the focus of a speech should be on its endgame or goal. It was not until the professor enlightened me that “objective” was an adjective to differentiate it from “subjective,” that the focus of a speech must be meaningful to the audience and not simply a soliloquy about the presenter’s point of view.

After college, I moved into journalism and had that concept reinforced by both The Associated Press (AP) Stylebook and The New York Times Manual of Style and Usage . Each of those guides recommends that journalists should avoid using the first person—the “I”—in news writing so as to provide an objective point of view that reports facts rather than opinion.

The difference between objective and subjective communication can be measured as the difference between the frequency of the word “you” and “I” in an exchange. A simple example of how that applies is in common social situations such as a dinner party. Think of the times you have been trapped sitting next to a bore who goes on and on about themselves and never asks you a question. The likelihood is that the ratio of that person’s pronouns was heavily skewed to “I.”

The solution, of course, is for communication to be effective, it must factor in the intended recipient, the audience, the reader, and the listener. It must be about the “you”—about “them.” After all, the “co-“ in “communication” dictates that it must be about “you” as well as “I.”

John McWhorter, an associate professor of linguistics at Columbia University and a regular contributor to the New York Times , wrote in his column last week that “psychologists even encourage us to try thinking of ourselves as ‘you’ or ‘he/she/they’ in order to imagine how others see us. It’s another way of reminding yourself, ‘It’s not all about me.’” McWhorter references a workaround linguistic practice called “illeism” or referring to oneself in the third person. As examples, he cites basketball superstar LeBron James and former President Trump. But McWhorter goes on to call the practice “a Tarzanian linguistic tendency,” (as in, “Me Tarzan, you Jane”) and is still self-referential.

In support of the importance of the correct point of view, McWhorter also references James Pennebaker, the author of The Secret Life of Pronouns , who “demonstrated that Anglophones say (and write) ‘I’ or ‘me’ with starkly different frequencies depending on the speakers’ intentions and mental states, so much so that one can use the pronouns’ frequency to deduce a person’s truthfulness, contentment and certainty. Specifically, using ‘I’ and ‘me.’” In this previous Forbes blog , you can see how Pennebaker applies his observations about pronouns to the most common form of communication: conversations.

And yet in the world of business communications, it is standard operating procedure to be subjective, e.g. , to present the speaker’s point of view with a laundry list recitation of the bells and whistles of a product and/or service. It’s fine to do that, but to be persuasive, the speaker must tell the audience what those bells and whistles mean to them. The benefits that the features provide. The “you” versus the “I.”

To be persuasive, be direct. Say “you” more than you say “I.”
