How to Send Files in Facebook Messenger (2024 Updated Guide)

We teach you how to send files like pdf and word documents via messenger.

how to send powerpoint presentation in messenger using cellphone

Many of us use the Facebook Messenger app to chat with our friends from far away. But some people also use Messenger for various other reasons, such as business or employment. For example, you’re applying for a job and you want to send your resume. The problem is, it’s not easy to send files in Messenger because it’s limited to mostly images and videos.

So how do you send or attach files in Facebook Messenger without breaking a sweat? At the moment, the Messenger app does not allow you to directly send Microsoft Word documents, PowerPoint presentations, Excel spreadsheets, PDF files and other documents. The app only allows you to send pictures and videos straight from your smartphone.

This presents a big problem for many smartphone users who want to send documents and files using Messenger. You can use other alternatives for sharing documents like sending an email or using a file hosting service like Dropbox or Google Drive. But if Facebook Messenger is the only possible or convenient option, there are several ways to send files using the app.

Table of Contents

Method 1: Use the Web Version of Messenger on Your Computer

Method 2: use dropbox to send files in messenger, method 3: use google drive to send files in messenger, method 4: use rar to send files in messenger, final words.

Since the Messenger app does not allow you to send files (other than images and videos) directly, you can use the web version of Messenger instead.

Using a desktop computer or laptop, log in to your Facebook account on Google Chrome, Mozilla Firefox or any web browser, and go to Messenger .

Take note that this method doesn’t work with a mobile browser (like Safari or Opera Mini) in Android or iOS. There’s no option to send files and documents when using Messenger on your mobile browser, even if you request for the desktop version of the website. You will have to use a computer or laptop.

In the chat window of your intended recipient, click the “Attach a file” button as indicated by the red arrow in the screenshot below.

How to send files in Messenger

The Open dialog box will appear. Select the file or document that you want to send. After selecting it, click “Open.”

You can send multiple files at once by pressing the Ctrl key while selecting each file one by one.

Selecting a file to send in Messenger

You will see that the document or file is already shown in the chat window. But it’s not sent yet. To send it, press Enter on your keyboard or click the arrow button on the right.

If you don’t want to send the file, simply move your cursor over it and click the “x” button to remove the attachment.

Sending a file on Messenger

Congratulations, your file or document has been sent via Messenger. Your recipient can download the file by simply clicking on it. The file can be downloaded both in the Facebook Messenger app or on your web browser.

Want to send the file to multiple recipients? Just move your cursor over the file and click the “More” kebab button. Select “Forward” and then choose or type the name of the recipient. If you’re on the Messenger app, just tap the “Share” button on the left and choose the recipients.

Send a file in Facebook Messenger

As you can see, it’s easy to send a file in Messenger using your computer or laptop. But what if you don’t have access to a computer? Worry no more because there are ways to send a file in Messenger using your Android phone or iPhone.

Another method to send files in Messenger is to use Dropbox. It’s a free file hosting service where you can store and share your files across multiple devices, along with syncing capabilities. You can download the Dropbox app from Google Play and the App Store . Sign up for a free Dropbox account and get 2GB of storage space.

The nice thing about Dropbox is that you can upload more than the 100MB file size limit set by Facebook Messenger. The maximum file size that you can upload in Dropbox is 50GB, but it’s limited by your storage space. If your storage space is only 2GB, then the maximum file size is also 2GB.

First, open the Dropbox app in your smartphone. Upload the file to Dropbox by tapping the blue round button at the lower right portion of the screen and then selecting “Create or upload file.”

Dropbox

Tap “Upload files” and then choose the file or document that you want to send. The file will immediately be uploaded to your Dropbox account.

Upload files in Dropbox

Next, tap the kebab button (three vertical dots) at the right side of the file or document, as indicated by the red arrow in the screenshot below. A list of options will appear.

Tap “Share” to generate a link. Wait for the message that says, “The link is ready to be pasted.”

How to send files in Messenger using Dropbox

Now go to back to Facebook Messenger and paste the Dropbox link to the chat window of your intended recipient. You can do this by long pressing inside the message field and selecting “Paste.”

Once the link is pasted to the message field, tap the “Enter” button at the right.

Creating link

Your recipient can now download the file in Messenger. He or she doesn’t need to be Dropbox user to download the file.

You can also send the file to multiple recipients by tapping the “Share” button on the left side of the message, and then choosing the people that you want to send the file to.

Make sure that you don’t delete the file in Dropbox if you still want it to be available for downloading. If you delete the file in Dropbox, the link will no longer work.

This method will also work with other file hosting services like Google Drive, Microsoft OneDrive, Box and Mediafire. The key is to generate a link for downloading the file, which you can then copy and paste in Facebook Messenger.

Do you know that you can use Google Drive to send files in Messenger using your phone? Google Drive is a file storage application similar to Dropbox, but the main difference is that the former is totally free to use. Google Drive gives you 15GB of free space for your files, but you can increase your storage up to 2TB (2,000GB) by upgrading your Google One plan .

If you don’t have the Google Drive app on your phone yet, you may download it from Google Play (for Android) or the App Store (for iPhone and iPad).

The first thing you need to do is to upload the file to Google Drive, so open the app and tap the + button at the lower right part of the screen as indicated by the screenshot below.

Next, tap the “Upload” button.

Google Drive app

Navigate to the location or folder where your file or document is located, and select the file to upload it to Google Drive.

Once the file is uploaded, tap the kebab button (three vertical dots) at the right side of the file name.

Select files in Google Drive

You’re presented with several options, one of which is to copy the link. Select “Copy link.”

Go back to Messenger and paste the copied link to the chat window of your recipient (just long press and select “Paste” ). Tap the “Enter” button to send the Google Drive link to your recipient.

How to send files in Messenger with Google Drive

Your recipient can now open and download the file using your link, and he or she doesn’t need to have a Google Drive account in order to access the file.

Don’t remove or delete the file from your Google Drive account, since deleting it will render the link useless and the file will no longer be available for downloading.

RAR is an application for creating, managing and unpacking RAR, ZIP, TAR, GZ and other compressed files. Aside from that, it also works as a basic file explorer. It’s only about 6MB in size so it doesn’t take up much space in your phone.

One neat trick we’ve learned is to use the RAR app to send files in Facebook Messenger. You don’t need to upload the files first unlike in the Dropbox method.

Download and install the RAR mobile app from Google Play here . At the moment, it’s available only for Android smartphone users.

Launch the RAR app and navigate to the folder where your files and documents are stored. Select the file you want to send by checking the box next to it, and then tap the kebab button (three vertical dots) at the upper right part of the screen.

RAR app

On the dropdown menu, tap “Send.”

From the list of available apps, choose Messenger. If Facebook Messenger is not shown, you may have to swipe left to see it.

How to send files in Messenger using RAR

Choose the Facebook user that you want to send the file to and then tap the SEND button next to his or her name. You can also search for them using the Search box at the top. You can send the file to as many recipients as you want.

When the button text turns into “SENT” , then the file has been successfully sent to the recipient.

Your recipient can now access and download the file. You can also forward the file to multiple recipients if you want.

Notice that the name of the file has changed, so you might want to tell the recipient what it’s all about.

Note: RAR has disabled the sharing of PDF files, but other files such as Word documents (.docx) are still allowed.

Sending files and documents may be a bit tricky as Facebook has made it difficult for users to share PDF files, Word documents, Excel spreadsheets and other files aside from images and videos. But as the saying goes, if there’s a will, there’s a way.

If you know if any other method to easily send files in Messenger using your phone, just let us know and we will consider it. Don’t forget to share this article with your friends who might need it.

Once you’ve seen SENT beside your recipient’s name, that means the file has been successfully sent. Note that your friend will receive the file with a different name (e.g., orca_share_media..). Nothing to be worried about because they can rename it once they have downloaded the file.

The methods we’ve just discussed so far only work if you’ll be sending files with a maximum size of 25 MB. If the size of your files exceeds this file size limit, then it is advisable to use Dropbox.

Dropbox is a popular file hosting service that allows you to store files and share them with different devices. Upon signing up, you will gain 2 GB of free storage space which you can use to store various file types. Upgrading your account gives you more storage space of about 2 terabytes (TB).

What’s great about Dropbox is it enables users to mark several files and access them even without the internet. Furthermore, this app doesn’t take up too much space with a file size of only/ 44 MB.

Note that your recipient can still download the file/s you’ll send even if they are not a Dropbox user. However, you must not delete your file in Dropbox right away; otherwise, your recipient won’t be able to access and download the file/s.

To send files in Messenger using Dropbox, follow these steps:

1. Install Dropbox from the Google Playstore.

2. Upon installation, sign up to create an account. Note that you must have an active Google account to sign up with Dropbox.

3. Upload your files to Dropbox.

4. Once the file has been uploaded, click the three vertical dots next to it and tap Copy link . You will then get notified that “The link is ready to be pasted” .

5. Open your Facebook Messenger and select your recipient. Afterward, paste the Dropbox link to the chat field. Finally, hit the Send button to proceed.

  • Aside from the usual files (i.e., Word Docx, Excel XLS, PDF), you can also send PSD files (i.e., editable file format for Adobe Photoshop) in Messenger provided that the file size is at most 25 MB.
  • You may also use Google Drive to send files in Messenger . To do this, upload the file in your Google Drive, copy the drive link, and send it to your recipient via Messenger. Make sure to change the “Share” setting of the file so your recipient can access the file.

How to Share PPT Files [Email, Facebook, Google Drive & More]

How to Share PPT Files [Email, Facebook, Google Drive & More]

In this guide, I'll cover the how to share PPT files (also known as Microsoft PowerPoint Presentation (Legacy) files). I'll show you a few methods and their pros and cons. Then you can decide which way is the best for your situation.

The best way how to share PPT files will depend on:

  • If you need to send large PPT files (the size of your file)
  • If your PPT files contain sensitive information that needs to be encrypted
  • If you need to allow others to send PPT files to you

Also, PPT files can get pretty large. If any of your PPT files are over 25MB , you'll want to consider uploading your files to cloud storage (like Google Drive or Foyer ) first and then sharing a link (or using a secure file sharing service like Foyer ). Most email providers (like Outlook) won't even let you send attachments over 25MB .

Do You Need to Encrypt PPT Files?

Before sharing PPT files, you should always consider what kind of data they contain. Is there any sensitive or personally identifiable information (PII) in them like social security numbers or credit card numbers?

If they contain any sensitive data, you should really be using a secure file sharing service to share your files. Secure file sharing services protect your data using bank-grade encryption, while also giving you a platform to easily send PPT files.

If you're wondering what exactly "encryption" is, you're not alone! Encryption is simply a way to protect your files from unauthorized access. It's what keeps criminals and hackers away from sensitive information like credit card numbers, and social security numbers.

Unsure whether or not your PPT file has sensitive information in it? Your best bet is to just use secure file sharing service to be sure. It's much easier to use a low-cost secure file sharing portal (like Foyer ), rather than risking data leaks. The penalties for mishandling sensitive data can be devastating to individuals and businesses alike (especially when it comes to HIPAA protected medical data).

How to Share PPT Files (Of Any Size On Any Platform)

Wondering how to share PPT files? Well, there are 2 common ways that have their own pros and cons. Let's first go over a quick summary of them, then we will dig deeper into each method.

  • Low cost (Google Drive gives you a 15GB of storage at no cost).
  • Shareable on any platform (e.g. email, Facebook , Instagram , WhatsApp , iMessage ) via a link
  • Requires third party account (Google account, Box account, etc...)
  • You must have the email of every recipient (instead of recipients registering themselves)
  • Missing security features like audit logging
  • Recipients can register themselves (you don't need to know emails before sharing)
  • Extensive security features (e.g. audit logging, multi-factor authentication, end-to-end encryption, etc...)
  • Includes productivity features like e-signatures, secure email, encrypted messaging, and more
  • Higher cost (whereas Foyer starts at $10 per month for 100GB )

The most popular choice is to upload to a cloud storage platform, but if your PPT contains any sensitive data, I strongly suggest you use a secure file sharing portal like Foyer .

Share PPT Files Using Google Drive (Send PPT Files Anywhere)

To send PPT files, you'll want a cloud storage platform. I'll show you how to send PPT files using Google Drive, but other services like Box or Dropbox would work great too. To follow along, you'll need to create a Google account . If you already have one, then you already have Google Drive at no cost!

If you're using a free Google Drive account, you'll have 15GB to use. That should be good enough for basic use, but if you need more storage, check out their pricing page for more information.

To get started, visit Google Drive , and navigate to any folder.

To share just one PPT file, you can start by just dragging-and-dropping it into Google Drive.

Uploading a file into Google Drive

If you're sharing multiple PPT files, you should start by making a new folder, and then adding all your files to that folder.

You can add a new folder in Google Drive by clicking the "Add" button on the top left, then clicking the "Add Folder" option in the menu. From there, a dialog will ask for a folder name, and after clicking "Done" you'll navigate into your new folder.

Below you can see a screenshot of how to add a new folder in Google Drive:

Creating a new folder in Google Drive

Google Drive lets you share both folders and files with anyone. I'll show you the steps for sharing folders, but the process will be the same if you're sharing a file too.

Start by clicking on the 3 dots on the file or folder you want to share. Then click the "Share" option, then again click the "Share" option.

Sharing a folder in Google Drive

After clicking "Share", a dialog will appear that lets you choose who you want to share the file with. Click on "Add people and groups", and type in any emails who want to share your PPT files with.

You can either "invite" people, which will send them a link via email to access their files, or you can copy the link and send it yourself.

Google Drive lets you choose between giving people read access or also modify access. You should always use the least amount of permissions required to accomplish what you need (i.e. don't allow people to edit if they don't need to).

Selecting who to share a folder with in Google Drive

When you are done sharing your file, you can send the link anywhere, and only those who you've added can access.

For example, you could send this link in gmail, to send your PPT files, or even places like Facebook Messenger , WhatsApp , iMessage , Instragram, and more.

Selecting who to share a folder with in Google Drive

Your receipients will need a Google account, but most people have Google accounts anyway!

There's even another option where you can make a file "public" then share a link. That way, you don't have to add people or groups, all you do is share the link. To set a file or folder to "public", just click "Share" on it, then in the dialog under "General Access" change from "Restricted" to "Public". Copy the link, and send it anywhere.

Files and folders that are "public" in Google Drive don't require your recipients to have a Google account to access, but beware, they are truely public! Anyone with the link can download your files.

How to Send Large PPT Files

Most services like email, Facebook Messenger , WhatsApp , and iMessage all have restrictions on the size of files you can share. This can make it hard to share large PPT files.

But, you still can send large PPT files by uploading them to a cloud storage service (like Google Drive , Box , or Dropbox ), and sending a link to anyone you want to share with.

From there, all the recipients have to do is visit the link, and click "Download".

If you're looking for instructions, just scroll up and use the Google Drive guide above! It works great for large files.

How to Share PPT Files with Gmail

The best way to share PPT files on Gmail (or any email provider) is to upload your PPT files to Google Drive, share the files within Google Drive, then include a link in an email.

This is an effective solution, because it mitigates the two most common issues when sending PPT files via email: the 25MB attachment limit, and security screenings.

Sending a PPT file over gmail (email)

For complete instructions on how to do this, scroll up to our section on sharing PPT files on Google Drive.

How to Share PPT Files On Facebook

Just like sharing PPT files using email, the best way to send PPT files on Facebook (Messenger) is to upload your PPT files to Google Drive, share the files within Google Drive, then include a link in a message.

Facebook only lets you share PPT files that are a maximum of 25MB . To get around that, sending a Google Drive link is a the perfect option.

Sharing a PPT file on Facebook

Can you Send PPT Files Through Email?

The best way to share PPT files through email is to upload your PPT files to a cloud storage service like Google Drive , share the file within your cloud storage provider, then include a link to it in an email. If your PPT files are under 25MB , you can attach them directly as an email attachment. But, to be sure your files aren't lost due during security scanning, your best bet is sharing a link instead of using direct attachments.

Allow Others to Upload PPT Files to You (Using a Client Portal)

Most businesses have some kind of online portal for clients to login to send files and messages securely. These services are called "client portals". Whether you're an individual or a business, if you'll be sharing a lot of PPT files, this is a great option.

I'll show you how to accept PPT files from anyone using a Foyer client portal . With Foyer, you can share PPT files, but also files of any type and size As a bonus, you'll get access to other useful features: encrypted messaging, an integration with DocuSign for e-signatures, secure email, and more.

To get started, head to the onboarding wizard , enter your name, email, and business name, and your client portal will be created within 1 minute (there's no payment or commitment to use the trial).

Your portal will be accessible as a "subdomain" of Foyer, like this: example.usefoyer.com. You can choose which "subdomain" you want in the onboarding wizard.

Creating a Foyer organization via the onboarding wizard

After making your client portal, you'll be automatically logged in. Feel free to check out all the features you have access to using the left drawer. In this guide, we are just going to cover how you can share files, but there's a lot more you can do too (e-signatures, secure email, internal knowledge base, and more)!

A new Foyer organization home page

The easiest way to accept PPT files, is by allowing client's to register their own accounts and send you files using Foyer SafeDrop.

Every organization has a Foyer SafeDrop link included. To access yours you just use "example.usefoyer.com/upload" (replacing "example" with your organization's subdomain name). There's also a link to your SafeDrop page on your home page.

The SafeDrop page allows anyone to send you PPT files, and they don't even need to create any account! They just fill in their name, email address, and upload any number of PPT files, and you'll get secure access to them. Anyone who has sent you files can login to see the files they uploaded, and they can also download any PPT files you've uploaded to them via Foyer.

Foyer SafeDrop works on desktop and mobile, so you can just send the link on any platform (e.g. email, Facebook , Instagram , WhatsApp , iMessage ), and anyone can upload PPT files to you. Here's what the Foyer SafeDrop page looks like:

A Foyer SafeDrop page

Any files uploaded this way will show up on your Spaces page (click "Spaces" on the left drawer to navigate to it), and have a name like "SafeDrop from ...". You and your clients will receive a notification for any files that are uploaded.

If you just need others to download files, sharing a file using Google Drive could be the best way to share files. But, if you also need others to upload files to you, you should look into a client portal like Foyer .

I hope this guide helped you find the best way how to share PPT files. If you have any feedback, or have any questions about Foyer let us know by sending us an email at [email protected] . Thanks for reading!
