What is paraphrasing?

It refers to rewriting someone else’s ideas in your own words. 

It’s important to rewrite the whole idea in your words rather than just replacing a few words with their synonyms. That way, you present an idea in a way that your audience will understand easily and also avoid plagiarism. 

It’s also important to cite your sources when paraphrasing so that the original author of the work gets due credit.

When should you paraphrase?

The main purpose of paraphrasing is often to clarify an existing passage. You should use paraphrasing when you want to show that you understand the concept, like while writing an essay about a specific topic. 

You may also use it when you’re quoting someone but can’t remember their exact words. 

Finally, paraphrasing is a very effective way to rewrite outdated content in a way that’s relevant to your current audience.

How to paraphrase effectively

Follow these steps to paraphrase any piece of text effectively:

  • Read the full text and ensure that you understand it completely. It helps to look up words you don’t fully understand in an online or offline dictionary.
  • Once you understand the text, rewrite it in your own words. Remember to rewrite it instead of just substituting words with their synonyms.
  • Edit the text to ensure it’s easy to understand for your audience.
  • Mix in your own insights while rewriting the text to make it more relevant.
  • Run the text through a plagiarism checker to ensure that it does not have any of the original content.

Example of paraphrasing

Here’s an example of paraphrasing:

  • Original:  The national park is full of trees, water bodies, and various species of flora and fauna.
  • Paraphrased:  Many animal species thrive in the verdant national park that is served by lakes and rivers flowing through it.

What is summarizing?

Summarizing is also based on someone else’s text but rather than presenting their ideas in your words, you only sum up their main ideas in a smaller piece of text.

It’s important to not use their exact words or phrases when summarizing to avoid plagiarism. It’s best to make your own notes while reading through the text and writing a summary based on your notes.

You must only summarize the most important ideas from a piece of text as summaries are essentially very short compared to the original work. And just like paraphrasing, you should cite the original text as a reference.

When should you summarize?

The main purpose of summarizing is to reduce a passage or other text to fewer words while ensuring that everything important is covered.

Summaries are useful when you want to cut to the chase and lay down the most important points from a piece of text or convey the entire message in fewer words. You should summarize when you have to write a short essay about a larger piece of text, such as writing a book review.

You can also summarize when you want to provide background information about something without taking up too much space.

How to summarize effectively

Follow these steps to summarize any prose effectively:

  • Read the text to fully understand it. It helps to read it a few times instead of just going through it once.
  • Pay attention to the larger theme of the text rather than trying to rewrite it sentence for sentence.
  • Understand how all the main ideas are linked and piece them together to form an overview.
  • Remove all the information that’s not crucial to the main ideas or theme. Remember, summaries must only include the most essential points and information.
  • Edit your overview to ensure that the information is organized logically and follows the correct chronology where applicable.
  • Review and edit the summary again to make it clearer, ensure that it’s accurate, and make it even more concise where you can.
  • Ensure that you cite the original text.

So, we’ve established that successful paraphrasing is a way of rewriting someone else’s words whilst retaining their meaning and still giving credit to the original author’s ideas. But how is this different from quoting and summarizing?

While paraphrasing, quoting, and summarizing are all ways of incorporating information from source material into your own writing, there are key differences between them:

Paraphrasing

  • Definition:  Paraphrasing involves rephrasing someone else’s ideas or information in your own words while retaining the original meaning.
  • Usage:  You use paraphrasing when you want to present the information in a way that suits your writing style or when you need to clarify complex ideas.
  • Example:  Original: “The study found a significant correlation between sleep deprivation and decreased cognitive performance.” Paraphrased: “The research indicated a notable link between lack of sleep and a decline in cognitive function.”
  • Definition:  Quoting involves directly using the exact words from a source and enclosing them in quotation marks.
  • Usage:  You use quoting when the original wording is essential, either because of its precision or uniqueness, or when you want to highlight a specific phrase or concept.
  • Example:  Original: “The author argues, ‘In the absence of clear guidelines, individual judgment becomes paramount in decision-making.'”

The use of quotation marks is vital when quoting.

Summarizing

  • Definition:  Summarizing involves condensing the main ideas of a source or original passage in your own words, focusing on the most crucial points.
  • Usage:  You use summarizing when you need to provide a concise overview of a longer piece of text or when you want to capture the key points without including all the details.
  • Example:  Original: A lengthy article discussing various factors influencing climate change. Summary: “The article outlines key factors contributing to climate change, including human activities and natural processes.”

In summary, paraphrasing is about expressing someone else’s ideas in your own words, quoting involves directly using the original words, and summarizing is about condensing the main points of a source.

In general, the difference is rooted in the scale of the source material: To share an entire source at once, you summarize; to share a specific portion of a source (without quoting directly, of course), you paraphrase.

What is Summarizing?

Summarizing is simplifying the content of a source to its main points in your own words. You literally sum up something, distill it down to its most essential parts. Summaries cover whole sources rather than a piece or pieces of a source and don’t include direct quotes or extraneous detail.

How to Summarize

  • Understand the original thoroughly. You may start by scanning the original material, paying close attention to headers and any in-text summaries, but once you’re sure that this source is something you’re going to use in your research paper , review it more thoroughly to gain appropriate understanding and comprehension.
  • Take notes of the main points. A bulleted list is appropriate here-note the main idea of each portion of the source material. Take note of key words or phrases around which you can build your summary list and deepen your understanding.
  • Build your summary. Don’t just use the list you’ve already created—this was a first draft . Craft complete sentences and logical progression from item to item. Double check the source material to ensure you’ve not left out any relevant points and trim anything extraneous. You can use a bulleted or numbered list here or write your summary as a paragraph if that’s more appropriate for your use. Make sure to follow the rules of parallelism if you choose to stay in list form.

What is Paraphrasing?

Paraphrasing is rephrasing something in your own words; the word comes from the Greek para -, meaning “beside” or “closely resembling”, 1 combined with “phrase,” which we know can mean a string of words or sentences. 2 Paraphrasing isn’t practical for entire sources—just for when you want to highlight a portion of a source.

How to Paraphrase

  • Read actively . Take notes, highlight or underline passages, or both if you please-whatever makes it easiest for you to organize the sections of the source you want to include in your work.
  • Rewrite and revise. For each area you’d like to paraphrase, take the time to rewrite it in your own words. Retain the meaning of the original text, but don’t copy it too closely; take advantage of a thesaurus to ensure you’re not relying too heavily on the source material.
  • Check your work and revise again as needed . Did you retain the meaning of the source material? Did you simplify the language of the source material? Did you differentiate your version enough? If not, try again.

Summarizing and paraphrasing are often used in tandem; you’ll likely find it appropriate to summarize an entire source and then paraphrase specific portions to support your summary. Using either approach for including sources requires appropriate citing, though, so ensure that you follow the correct style guide for your project and cite correctly.

This handout is intended to help you become more comfortable with the uses of and distinctions among quotations, paraphrases, and summaries. This handout compares and contrasts the three terms, gives some pointers, and includes a short excerpt that you can use to practice these skills.

What are the differences among quoting, paraphrasing, and summarizing?

These three ways of incorporating other writers' work into your own writing differ according to the closeness of your writing to the source writing.

Quotations must be identical to the original, using a narrow segment of the source. They must match the source document word for word and must be attributed to the original author.

Paraphrasing involves putting a passage from source material into your own words. A paraphrase must also be attributed to the original source. Paraphrased material is usually shorter than the original passage, taking a somewhat broader segment of the source and condensing it slightly.

Summarizing involves putting the main idea(s) into your own words, including only the main point(s). Once again, it is necessary to attribute summarized ideas to the original source. Summaries are significantly shorter than the original and take a broad overview of the source material.

Why use quotations, paraphrases, and summaries?

Quotations, paraphrases, and summaries serve many purposes. You might use them to:

  • Provide support for claims or add credibility to your writing

Writers frequently intertwine summaries, paraphrases, and quotations. As part of a summary of an article, a chapter, or a book, a writer might include paraphrases of various key points blended with quotations of striking or suggestive phrases as in the following example:

In his famous and influential work The Interpretation of Dreams , Sigmund Freud argues that dreams are the "royal road to the unconscious" (page #), expressing in coded imagery the dreamer's unfulfilled wishes through a process known as the "dream-work" (page #). According to Freud, actual but unacceptable desires are censored internally and subjected to coding through layers of condensation and displacement before emerging in a kind of rebus puzzle in the dream itself (page #).

How to use quotations, paraphrases, and summaries

  • Read the entire text, noting the key points and main ideas.
  • Summarize in your own words what the single main idea of the essay is.
  • Paraphrase important supporting points that come up in the essay.

There are several ways to integrate quotations into your text. Often, a short quotation works well when integrated into a sentence. Longer quotations can stand alone. Paraphrase and Summary

Paraphrase and summary are different writing strategies that ask you to put another author’s argument in your own words. This can help you better understand what the writer of the source is saying, so that you can communicate that message to your own reader without relying only on direct quotes. Paraphrases are used for short passages and specific claims in an argument, while summaries are used for entire pieces and focus on capturing the big picture of an argument. When you paraphrase, you are using your own words to explain one of the claims of your source's argument, following its line of reasoning and its sequence of ideas. The purpose of a paraphrase is to convey the meaning of the original message and, in doing so, to prove that you understand the passage well enough to restate it. The paraphrase should give the reader an accurate understanding of the author's position on the topic. Your job is to uncover and explain all the facts and arguments involved in your subject. A paraphrase tends to be about the same length or a little shorter than the thing being paraphrased.

To paraphrase:

  • Alter the wording of the passage without changing its meaning. Key words, such as names and field terminology, may stay the same (i.e. you do not need to rename Milwaukee or osteoporosis), but all other words must be rephrased. 
  • Retain the basic logic of the argument, sequence of ideas, and examples used in the passage. 
  • Accurately convey the author's meaning and opinion. 
  • Keep the length approximately the same as the original passage. 
  • Do not forget to cite where the information came from. Even though it is in your own words, the idea belongs to someone else, and that source must be acknowledged. 

A summary covers the main points of the writer’s argument in your own words. Summaries are generally much shorter than the original source, since they do not contain any specific examples or pieces of evidence. The goal of a summary is to give the reader a clear idea of what the source is arguing, without going into any specifics about what they are using to argue their point.

To summarize:  

  • Identify what reading or speech is being summarized. 
  • State the author’s thesis and main claims of their argument in your own words. Just like paraphrasing, make sure everything but key terms is reworded. 
  • Avoid specific details or examples. 
  • Avoid your personal opinions about the topic. 
  • Include the conclusion of the original material. 
  • Cite summarized information as well. 

In both the paraphrase and summary, the author's meaning and opinion are retained. However, in the case of the summary, examples and illustrations are omitted. Summaries can be tremendously helpful because they can be used to encapsulate everything from a long narrative passage of an essay, to a chapter in a book, to an entire book.

Have you ever heard, “the best way to learn something is to teach it to someone else”?

Writing a summary of a source is a very similar process to teaching someone the content—but in this case, the student you’re teaching is yourself.

Summarizing , or condensing someone else’s ideas and putting it into your own shortened form, allows you to be sure that you’ve accurately captured the main idea of the text you’re reading. When reading, summarizing is helpful for checking your understanding of a longer text and remembering the author’s main ideas. When writing, summarizing is critical when reviewing, writing an abstract, preparing notes for a study guide, creating an annotated bibliography, answering essay questions, recording results of an experiment, describing the plot of a fictional work or film, or writing a research paper.

How to Write Summary Statements

Use these processes to help you write summary statements:

  • Underline important information and write keywords in the margin.
  • Record ideas using a two-column note-taking system. Record questions you have about the text concepts in the left column and answers you find in the reading in the right column.
  • Identify how concepts relate to what you already know.
  • Add examples and details

For retaining key ideas as you read, write a summary statement at the end of each paragraph or section. For capturing the major ideas of the entire work, write a summary paragraph (or more) that describes the entire text.

Tips for Summary

For longer, overall summary projects that capture an entire reading, consider these guidelines for writing a summary:

  • A summary should contain the main thesis or standpoint of the text, restated in your own words. (To do this, first find the thesis statement in the original text.)
  • A summary is written in your own words. It contains few or no quotes.
  • A summary is always shorter than the original text, often about 1/3 as long as the original. It is the ultimate fat-free writing. An article or paper may be summarized in a few sentences or a couple of paragraphs. A book may be summarized in an article or a short paper. A very large book may be summarized in a smaller book.
  • A summary should contain all the major points of the original text , and should ignore most of the fine details, examples, illustrations or explanations.
  • The backbone of any summary is formed by crucial details (key names, dates, events, words and numbers). A summary must never rely on vague generalities.
  • If you quote anything from the original text, even an unusual word or a catchy phrase, you need to put whatever you quote in quotation marks (” “).
  • A summary must contain only the ideas of the original text. Do not insert any of your own opinions, interpretations, deductions or comments into a summary.

How to Paraphrase and Summarize Work

Imagine you're preparing a presentation for your CEO. You asked everyone in your team to contribute, and they all had plenty to say!

But now you have a dozen reports, all in different styles, and your CEO says that she can spare only 10 minutes to read the final version. What do you do?

The solution is to paraphrase and summarize the reports, so your boss gets only the key information that she needs, in a form that she can process quickly.

In this article, we explain how to paraphrase and how to summarize, and how to apply these techniques to text and the spoken word. We also explore the differences between the two skills, and point out the pitfalls to avoid.

What Is Paraphrasing?

When you paraphrase, you use your own words to express something that was written or said by another person.

Putting it into your own words can clarify the message, make it more relevant to your audience , or give it greater impact.

You might use paraphrased material to support your own argument or viewpoint. Or, if you're putting together a report , presentation or speech , you can use paraphrasing to maintain a consistent style, and to avoid lengthy quotations from the original text or conversation.

Paraphrased material should keep its original meaning and (approximate) length, but you can use it to pick out a single point from a longer discussion.

What Is Summarizing?

In contrast, a summary is a brief overview of an entire discussion or argument. You might summarize a whole research paper or conversation in a single paragraph, for example, or with a series of bullet points, using your own words and style.

People often summarize when the original material is long, or to emphasize key facts or points. Summaries leave out detail or examples that may distract the reader from the most important information, and they simplify complex arguments, grammar and vocabulary.

Used correctly, summarizing and paraphrasing can save time, increase understanding, and give authority and credibility to your work. Both tools are useful when the precise wording of the original communication is less important than its overall meaning.

How to Paraphrase Text

To paraphrase text, follow these four steps:

1. Read and Make Notes

Carefully read the text that you want to paraphrase. Highlight, underline or note down important terms and phrases that you need to remember.

2. Find Different Terms

Find equivalent words or phrases (synonyms) to use in place of the ones that you've picked out. A dictionary, thesaurus or online search can be useful here, but take care to preserve the meaning of the original text, particularly if you're dealing with technical or scientific terms.

3. Put the Text into Your Own Words

Rewrite the original text, line by line. Simplify the grammar and vocabulary, adjust the order of the words and sentences, and replace "passive" expressions with "active" ones (for example, you could change "The new supplier was contacted by Nusrat" to "Nusrat contacted the new supplier").

Remove complex clauses, and break longer sentences into shorter ones. All of this will make your new version easier to understand .

4. Check Your Work

Check your work by comparing it to the original. Your paraphrase should be clear and simple, and written in your own words. It may be shorter, but it should include all of the necessary detail.

Paraphrasing: an Example

Despite the undoubted fact that everyone's vision of what constitutes success is different, one should spend one's time establishing and finalizing one's personal vision of it. Otherwise, how can you possibly understand what your final destination might be, or whether or not your decisions are assisting you in moving in the direction of the goals which you've set yourself?

The two kinds of statement – mission and vision – can be invaluable to your approach, aiding you, as they do, in focusing on your primary goal, and quickly identifying possibilities that you might wish to exploit and explore.

We all have different ideas about success. What's important is that you spend time defining your version of success. That way, you'll understand what you should be working toward. You'll also know if your decisions are helping you to move toward your goals.

Used as part of your personal approach to goal-setting, mission and vision statements are useful for bringing sharp focus to your most important goal, and for helping you to quickly identify which opportunities you should pursue.

How to Paraphrase Speech

In a conversation – a meeting or coaching session, for example – paraphrasing is a good way to make sure that you have correctly understood what the other person has said.

This requires two additional skills: active listening and asking the right questions .

Useful questions include:

  • If I hear you correctly, you're saying that…?
  • So you mean that…? Is that right?
  • Did I understand you when you said that…?

You can use questions like these to repeat the speaker's words back to them. For instance, if the person says, "We just don't have the funds available for these projects," you could reply: "If I understand you correctly, you're saying that our organization can't afford to pay for my team's projects?"

This may seem repetitive, but it gives the speaker the opportunity to highlight any misunderstandings, or to clarify their position.

When you're paraphrasing conversations in this way, take care not to introduce new ideas or information, and not to make judgments on what the other person has said, or to "spin" their words toward what you want to hear. Instead, simply restate their position as you understand it.

Sometimes, you may need to paraphrase a speech or a presentation. Perhaps you want to report back to your team, or write about it in a company blog, for example.

In these cases it's a good idea to make summary notes as you listen, and to work them up into a paraphrase later. (See How to Summarize Text or Speech, below.)

How to Summarize Text or Speech

Follow steps 1-5 below to summarize text. To summarize spoken material – a speech, a meeting, or a presentation, for example – start at step three.

1. Get a General Idea of the Original

First, speed read the text that you're summarizing to get a general impression of its content. Pay particular attention to the title, introduction, conclusion, and the headings and subheadings.

2. Check Your Understanding

Build your comprehension of the text by reading it again more carefully. Check that your initial interpretation of the content was correct.

3. Make Notes

Take notes on what you're reading or listening to. Use bullet points, and introduce each bullet with a key word or idea. Write down only one point or idea for each bullet.

If you're summarizing spoken material, you may not have much time on each point before the speaker moves on. If you can, obtain a meeting agenda, a copy of the presentation, or a transcript of the speech in advance, so you know what's coming.

Make sure your notes are concise, well-ordered, and include only the points that really matter.

4. Write Your Summary

Bullet points or numbered lists are often an acceptable format for summaries – for example, on presentation slides, in the minutes of a meeting, or in Key Points sections like the one at the end of this article.

However, don't just use the bulleted notes that you took in step 3. They'll likely need editing or "polishing" if you want other people to understand them.

Some summaries, such as research paper abstracts, press releases, and marketing copy, require continuous prose. If this is the case, write your summary as a paragraph, turning each bullet point into a full sentence.

Aim to use only your own notes, and refer to original documents or recordings only if you really need to. This helps to ensure that you use your own words.

If you're summarizing speech, do so as soon as possible after the event, while it's still fresh in your mind.

5. Check Your Work

Your summary should be a brief but informative outline of the original. Check that you've expressed all of the most important points in your own words, and that you've left out any unnecessary detail.

Summarizing: an Example

So how do you go about identifying your strengths and weaknesses, and analyzing the opportunities and threats that flow from them? SWOT Analysis is a useful technique that helps you to do this.

What makes SWOT especially powerful is that, with a little thought, it can help you to uncover opportunities that you would not otherwise have spotted. And by understanding your weaknesses, you can manage and eliminate threats that might otherwise hurt your ability to move forward in your role.

If you look at yourself using the SWOT framework, you can start to separate yourself from your peers, and further develop the specialized talents and abilities that you need in order to advance your career and to help you achieve your personal goals.

SWOT Analysis is a technique that helps you identify strengths, weakness, opportunities, and threats. Understanding and managing these factors helps you to develop the abilities you need to achieve your goals and progress in your career.

Permission and Citations

If you intend to publish or circulate your document, it's important to seek permission from the copyright holder of the material that you've paraphrased or summarized. Failure to do so can leave you open to allegations of plagiarism, or even legal action.

It's good practice to cite your sources with a footnote, or with a reference in the text to a list of sources at the end of your document. There are several standard citation styles – choose one and apply it consistently, or follow your organization's house style guidelines.

As well as acknowledging the original author, citations tell you, the reader, that you're reading paraphrased or summarized material. This enables you to check the original source if you think that someone else's words may have been misused or misinterpreted.

Some writers might use others' ideas to prop up their own, but include only what suits them, for instance. Others may have misunderstood the original arguments, or "twisted" them by adding their own material.

If you're wary, or you find problems with the work, you may prefer to seek more reliable sources of information. (See our article, How to Spot Real and Fake News , for more on this.)

Paraphrasing means rephrasing text or speech in your own words, without changing its meaning. Summarizing means cutting it down to its bare essentials. You can use both techniques to clarify and simplify complex information or ideas.

To paraphrase text:

  • Read and make notes.
  • Find different terms.
  • Put the text into your own words.
  • Check your work.

You can also use paraphrasing in a meeting or conversation, by listening carefully to what's being said and repeating it back to the speaker to check that you have understood it correctly.

To summarize text or speech:

  • Get a general idea of the original.
  • Check your understanding.
  • Make notes.
  • Write your summary.

Seek permission for any copyrighted material that you use, and cite it appropriately.

29 Quoting, Paraphrasing, and Summarizing

Integrating evidence is a vital step to take when composing effective essays, presentations, and productions. How smoothly you integrate evidence impacts your credibility as a researcher and writer. There are three primary ways to integrate evidence: quoting, paraphrasing, and summarizing. For all of these, particularly quoting, there is a “formula” to follow: 1) introduce, 2) insert, and 3) explain. The introduce step entails preparing the reader for the new information that’s to come. You can do this by mentioning the source, author, or using signal phrases, such as “according to” or “statistics show that” before bringing in a quotation, paraphrase or summary. The insert step happens when you enter in a quotation, paraphrasing of a fact, or summarize a point made by another source. Lastly, the explain step is oftentimes the most important step to be taken. When explaining your evidence, you’ll demonstrate why the evidence or the source of the evidence is important and how it connects to your overall argument, specific claims, or other important information. By doing so, you’re providing in-depth insight and analysis that keeps your readers engaged and invested in what you have to say.

Quoting is when one uses the exact wording of the source material. Direct quotations should be used sparingly, and should be used to strengthen your own arguments and ideas.

When should one use a quotation? Ideally, you want a balance of quotations, paraphrased or summarized content in your writing. Some reasons to use a quotation instead of paraphrasing or summarizing might include:

  • When not using the author’s exact wording would change the original meaning
  • To lend authority to the point you are trying to make
  • When the language of the quote is significant

Quotations should always be introduced and incorporated into your argument, rather than dropped into your paper without context. Consider this first example of how not to incorporate a quotation:

There are many positive effects for advertising prescription drugs on television. “African-American physicians regard direct-to-consumer advertising of prescription medicines as one way to educate minority patients about needed treatment and healthcare options” (Wechsler).

This is a potentially good piece of information to support a research writer’s claim, but the researcher hasn’t done any of the necessary work to explain where this quotation comes from nor explain why it is important for supporting her point. Rather, she has simply “dropped in” the quotation, leaving the interpretation of its significance up to the reader. Now consider this revised example of how this quotation might be better introduced into the essay:

In her Pharmaceutical Executive article available through the Wilson Select Internet database, Jill Wechsler writes about one of the positive effects of advertising prescription drugs on television. “African-American physicians regard direct-to-consumer advertising of prescription medicines as one way to educate minority patients about needed treatment and healthcare options.”

In this revision, it’s much clearer what point the writer is trying to make with this evidence and where this evidence comes from.

Paraphrasing

While there are numerous skills you will develop as writers and communicators throughout your composition experience, one that builds the foundation to effective source usage and understanding is paraphrasing. Paraphrasing is a restatement of the information or point of the original source in your own words. You’ve probably heard of paraphrasing before and may have even attempted to paraphrase (or had trouble paraphrasing because it seemed as though no one could say it better than the author already did). However, you may not always have enough space or time to integrate a specific quotation, especially if it’s a lengthy one and covers multiple concepts or conveys complex details.

Further, we want to make sure, as effective writers, that we’re not distracting readers from our own perspectives or sources of information by including lengthy quotations from other sources. To put it another way, we don’t want to make our readers work for the point and information because they could lose interest or get lost and miss the important points we’re presenting to them by using the source(s). So, paraphrasing helps us avoid these mishaps and helps our organization and “flow” better.

Two Paraphrasing Tips:

If you’re trying to paraphrase but unsure as to where to begin, try:

a) explaining the author’s point to your peer who’s not familiar with that text or maybe even the concept being addressed there, or

b) writing down the specific thing(s) you want to emphasize from the other author’s point.

Summarizing

Summarizing is a skill similar to paraphrasing. However, it serves a different purpose, especially when writing. Summarizing usually comes into play when there are multiple steps or details to be conveyed. One of the ways summarizing differs from paraphrasing is in the language associated with them. Typically, you summarize a process, an event, or a story but you paraphrase a theory, concept, or claim. In the next paragraphs, author Stephen D. Krause offers us some helpful guidance on how to summarize and why it’s important.

Summaries of different lengths are useful in research writing because you often need to provide your readers with an explanation of the text you are discussing. This is especially true when you are going to quote or paraphrase from a source.

Of course, the first step in writing a good summary is to do a thorough reading of the text you are going to summarize in the first place. Beyond that important start, there are a few basic guidelines you should follow when you write summary material:

  • Stay “neutral” in your summarizing .  Summaries provide “just the facts” and are not the place where you offer your opinions about the text you are summarizing. Save your opinions and evaluation of the evidence you are summarizing for other parts of your writing.
  • Don’t quote from what you are summarizing .  Summaries will be more useful to you and your colleagues if you write them in your own words.
  • Don’t “cut and paste” from database abstracts .  Many of the periodical indexes that are available as part of your library’s computer system include abstracts of articles. Do not “cut” this abstract material and then “paste” it into your own annotated bibliography. For one thing, this is plagiarism. Second, “cutting and pasting” from the abstract defeats one of the purposes of writing summaries and creating an annotated bibliography in the first place, which is to help you understand and explain your research.

It’s important to learn how to create quotations, to paraphrase, and to summarize properly because we don’t want to plagiarize. But beyond our goal of not plagiarizing, we want to give proper attribution to those who’ve worked hard on their research and studies to share this information with the rest of the world. Learning to quote, paraphrase, and summarize properly will help you avoid plagiarism, especially accidental plagiarism, add more dynamism to your writing, and build your credibility and skills as an ethical writer and researcher.

Summarising, Paraphrasing and Quotations

Academic writing requires that you use literature sources in your work to demonstrate the extent of your reading (breadth and depth), your knowledge, understanding and critical thinking. Literature can be used to provide evidence to support arguments and can demonstrate your awareness of the research-base that underpins your subject specialism.

There are three ways to introduce the work of others into your assignments: summarising, paraphrasing and quotations.

  • Summarising
  • Paraphrasing

Definition: Using your own words to provide a statement (‘summary’) of the main themes, key points, or overarching ideas of a complete text, such as a book, chapter from a book, or academic article.

When to use:

  • Useful for providing an overview or background to a topic
  • Useful for describing your knowledge and understanding from a single source
  • Useful for expressing your combined knowledge and understanding from several sources (synthesis of sources)

Why to use:

  • Demonstrates your understanding of your reading
  • Demonstrates your ability to identify the main points from a larger body of text or to draw together the main points from several sources

How to use:

  • Should offer a balanced representation of the main points
  • Should be expressed in your own words (except for technical terminology or conventional terms that appear in the original)
  • Should not include detailed discussion or examples
  • Should not include information that is not in the original text
  • Should avoid using the same sentence structures as the original text
  • Read the original text (more than once if necessary) to make sure you fully understand it
  • Note the main points in your own words
  • Recheck the original text to ensure you have covered the key content and meaning
  • Rewrite using formal, grammatically correct academic writing
  • Requires in-text citation and referencing
  • No page numbers in in-text citation

Example (using Harvard referencing style, from CiteThemRight online, Cite Them Right - Summarising (Harvard) (citethemrightonline.com) :

'Nevertheless, one important study (Harrison, 2007) looks closely at the historical and linguistic links between European races and cultures over the past five hundred years.'

Definition: Using your own words to express an author’s specific point from a short section of text (one or two sentences, or a paragraph), retaining the original meaning.

  • Used where the meaning of the text is more important than the exact words
  • Useful for expressing the author’s specific point more concisely and in a way that clarifies its relationship to your work
  • Useful for stating factual information such as data and statistics from a source
  • Demonstrates that you have understood the content and can express it independently, rather than relying on the author’s words
  • Allows you to use your own style of writing and your own ‘voice’ in your work
  • Allows you to integrate the ideas to fit more readily with your own work and to improve the flow of the writing
  • Must not change the original meaning
  • Must go further than just changing a few words or changing the word order as this could amount to plagiarism (you would not be fully expressing the idea in your own words)
  • Use different sentence structures from the original source
  • Use different vocabulary from the original source to convey the meaning
  • Read the original text several times, and identify the key content which is important and relevant to your work to distinguish this from content which is less important
  • Identify any specialist terminology or key words which are essential
  • Think about your reason for paraphrasing and how it relates to your own work
  • Roughly note down your understanding of the relevant content in your own words (don’t copy) without looking at the original text
  • Reread the original text and refine your notes to ensure that you are not misrepresenting the author, to determine whether you have captured the important aspects of the piece and to make sure your paraphrasing is not too similar to the original
  • Rewrite this in formal, grammatically correct academic writing
  • Requires page number/s in the in-text citation to precisely locate the original content on which the paraphrasing is based within the source

Example (using Harvard referencing style, from CiteThemRight online, Cite Them Right - Paraphrasing (Harvard) (citethemrightonline.com) :

'Harrison (2007, p. 48) clearly distinguishes between the historical growth of the larger European nation states and the roots of their languages and linguistic development, particularly during the fifteenth and sixteenth centuries. At this time, imperial goals and outward expansion were paramount for many of the countries, and the effects of spending on these activities often led to internal conflict.'

Definition: Using the author’s exact words to retain the author’s specific form of expression, clearly identifying the quotation as distinct from your own words (for example using quotation marks or indentation).

  • Used where the author’s own exact words are important, rather than just the meaning
  • Useful where the author’s original choice of words conveys subjective experience, uses persuasive language, or carries emotional force
  • Useful where the precise wording is significant, for example in legal texts
  • Useful for definitions
  • Useful if the author’s own words carry the weight of power and authority that supports your argument
  • Useful if you want to critique an author’s point, to ensure you do not misrepresent their meaning
  • Useful if you want to disagree with the author as their own words may express their opposition to your argument enabling you to engage with and resist their point of view
  • Useful if the author has expressed themselves so concisely, distinctively, and eloquently that paraphrasing would diminish the quality of the statement
  • Demonstrates your ability to identify relevant and significant content from a larger body of work
  • Demonstrates that you have read and understood the wider context of the quotation and can integrate it into your own work appropriately
  • Should be used selectively (over-use of quotations does not demonstrate your own understanding)
  • Should not be used just to avoid expressing the meaning in your own words or because you are not confident you have understood the content
  • Make sure that the quotation is reproduced accurately, including spelling and punctuation
  • Comment on the quotation and its relationship to your point, for example explain its interest and relevance, show how it applies to a particular situation, or discuss its limitations
  • Short quotations of no more than three lines should be contained within quotation marks (you can use double or single quotations marks, but be consistent and note that Turnitin only recognises double quotation marks)
  • Longer quotations (used sparingly) should be included as a separate paragraph indented from the main text, without quotation marks
  • Don’t use quotation marks for technical terminology which is accepted within your specialism, and which is part of the common language of your academic discipline
  • Requires page number/s in the in-text citation to precisely locate the quote within the source

Examples (from CiteThemRight online, Cite Them Right - Setting out quotations (Harvard) (citethemrightonline.com) ):

Short quotation (using Harvard referencing style):

'If you need to illustrate the idea of nineteenth-century America as a land of opportunity, you could hardly improve on the life of Albert Michelson’ (Bryson, 2004, p. 156).

Long quotation (using Harvard referencing style):

King describes the intertwining of the fate and memory in many evocative passages, such as:

So the three of them rode towards their end of the Great Road, while summer lay all about them, breathless as a gasp. Roland looked up and saw something that made him forget all about the Wizard’s Rainbow. It was his mother, leaning out of her apartment’s bedroom window: the oval of her face surrounded by the timeless gray stone of the castle’s west wing! (King, 1997, pp. 553-554)

Altering quotations:

You can omit part of a quotation by using three dots (ellipses). Only do this to omit unnecessary words which do not alter the meaning.

Example (from CiteThemRight online, Cite Them Right - Making changes to quotations (citethemrightonline.com) ).

'Drug prevention ... efforts backed this up' (Gardner, 2007, p. 49).

You can insert your own or different words into a quotation by placing them in square brackets. Only do this to add clarity to the quotation where it does not alter the meaning.

'In this field [crime prevention], community support officers ...' (Higgins, 2008, p. 17).

Summarising and paraphrasing

One of the main ways to incorporate evidence in your work is to explain it in your own words, by either summarising or paraphrasing.

Writing in your own words is strongly encouraged because it helps you to learn and demonstrate your understanding of the relevant information. Summarising and paraphrasing are used much more than quoting because they show your ability to articulate your understanding of the material. There are more strategies and examples of how to summarise and paraphrase on the Turnitin practice site . 

The following sections use examples from Woolworths' 2016 annual report to demonstrate how to summarise, paraphrase and quote. Note that we are using the Harvard referencing style for this case study, because it is an example from Business.

How do I summarise?

A summary should capture the 'essence' of a source. It is high-level and broad. There is no need to capture all of the detail in a summary. This is a common skill used when you are writing about important topics and debates in your field. The fewer words used to summarise, the better. Sometimes you may reduce the ideas an author expresses in a paragraph down to one or two sentences, or even a phrase. Other times you may reduce an author's line of reasoning in a journal article down to a couple of sentences. 

On pages 8 and 9 of the Woolworths annual report, they present a visual overview of the company's performance in 2016. This sort of high-level information is ideal for a summary. For example, you could write:

In 2016, Woolworths Limited (2016) reported a sharp drop in ordinary earnings and dividend payout, compared to the previous year. Earnings also dropped sharply in the face of a dip in sales, alongside a slight increase in operating capital expenditure.

The summary covers large parts of the report without going into too much detail about the actual dollar figures and percentages.

How do I paraphrase?

Paraphrasing requires a detailed understanding of the source. Paraphrasing is a skill that takes time and practice to develop.

A paraphrase is always in your own words. This means describing an idea without referring to the original non-technical vocabulary or sentence structure. You may use the same or similar technical terms, but it is best to reword as much of the idea as possible. It is not a simple description of the source; it is a description of your understanding of the source.

Follow the steps below to help you paraphrase:

  • Read the passage in the original source you have chosen to paraphrase. It may be necessary to read the text several times in order to comprehend it properly.
  • Take notes and make sure you fully understand its ideas. You cannot skip this part. If you do not understand, read it again, break the information down into smaller parts, and ask yourself how it fits into the source's main idea.  
  • Put the source text away, or cover it so you cannot see the original words.
  • Imagine describing the main idea to a friend or colleague, and write down what you imagined saying.
  • Think about your description. Does it fully capture the main idea? You may need to edit it for clarity.

You can then use your paraphrase in your assignment, followed by a citation, including the page number.

The following text comes from the Director's Statutory Report in Woolworths' annual report (Woolworths Limited 2016, p. 33):

A paraphrase aims to capture more detail than a simple summary. A paraphrase of this section may look like the following:

Note how the paraphrase captures the ideas expressed in the original text, but uses different wording and sentence structure. Note also that the second sentence does not require a citation because it is clear that the information is from the same source.

A word of warning

You may have seen online paraphrasing generators that take an excerpt of text and replace some of the words. These do not work because they do not produce genuine paraphrases. If you use them, it could be seen as misconduct or plagiarism. There really is no shortcut to actually understanding the source and paraphrasing it accurately.

Paraphrasing and summarising

Writing at university involves integrating ideas from other authors into your own writing.

Paraphrasing and summarising allows you to acknowledge these authors by expressing the information in your own words. Effective paraphrasing also demonstrates your understanding of the information.

How to paraphrase

To paraphrase, you need to:

  • change the structure of the sentence
  • change the words in the sentence

Changing the structure of a sentence

  • Read the original text a number of times and make sure you understand the main ideas.
  • Write down the main ideas from memory.
  • Check what you have written against the original text – make sure you have retained the original ideas and that your version is different.

Changing the words

It can be easy to spot when someone has copied directly from a textbook. We all have different styles of writing and yours will be different to the authors you are reading.

  • Once you understand the main ideas of the original text look for specialised words – these words may be retained in the paraphrased version, as they are key to the meaning of the sentence.
  • Look for words or phrases that can be changed.
  • Use a thesaurus or dictionary to find substitutes.

Paraphrase Rephrasing or restating information from another source in your own words without changing the meaning. Maybe shorter than the original passage.

Summary A summary includes only the main ideas of someone else’s writing, restated in your own words. Much shorter than the original text.

Always acknowledge the original author when using a paraphrase or summary.

A bad paraphrase

In the last few years, a collection of research has shown another, more nuanced advantage of workplace diversity: diverse teams are simply better . Working with people who are unlike you may encourage your brain to lose its old ways of thinking and improve its performance.

Note this paraphrase has only replaced some words with synonyms and has kept the structure almost identical to the original sentence.

A good paraphrase

Recent research has revealed that working in diverse teams can stimulate your creativity and efficiency, advocating the benefits of workplace diversity (Rock & Grant, 2016).

Note: This paraphrase shows a change in sentence structure and words

Striving to increase workplace diversity is not an empty slogan — it is a good business decision. A 2015 McKinsey report on 366 public companies found that those in the top quartile for ethnic and racial diversity in management were 35% more likely to have financial returns above their industry mean, and those in the top quartile for gender diversity were 15% more likely to have returns above the industry mean.

In a global analysis of 2,400 companies conducted by Credit Suisse, organizations with at least one female board member yielded higher return on equity and higher net income growth than those that did not have any women on the board.

The benefits of workplace diversity has been illustrated in recent studies like the McKinsey report and the Credit Suisse analysis. These studies indicate that diversity in management resulted in higher profits for companies (Rock & Grant, 2016).

Word thesaurus

You are probably already familiar with spellchecker and grammar checker in Microsoft Word. Another beneficial tool is the thesaurus, which can aid your writing to find the best word to meet your needs.

Using the thesaurus, you can look up synonyms (different words with the same meaning) and antonyms (words with the opposite meaning).

Paraphrasing techniques

Steps to effective paraphrasing and summarising:

  • Read your text/paragraph and ensure that you understand it.
  • Write down your ideas without looking at the original.
  • Use synonyms or change the word order of your sentence.
  • Compare with the original to see whether you are conveying the same meaning.
  • Record the source details so you can easily cite it later.

3 key techniques for paraphrasing

Change vocabulary by using synonyms

  • asserts – claims, argues, maintains
  • twentieth century – 1900s
  • illustrates – explains, emphasises, clarifies

Change word class

  • analyse – analysis, analysing
  • create – creating, creation
  • assume – assumption, assuming, assumed

Change the sentence structure

  • …the best explanation for the British location of the industrial revolution is found by studying demand factors.
  • A focus on demand may help explain the UK origin of the industrial revolution.

The Science and Art of Reflecting, Summarising and Paraphrasing

Reflecting, summarising and paraphrasing in a coaching conversation is an important skill that a coach needs to learn. It’s not just the skill itself that is important, it can often be more about when to do it, and indeed ‘if’ to do it (the art) than what and how to do ‘it’ (the science). What I notice in early day coaches is that this skill is often overused in terms of what is reflected, summarised or paraphrased and is perhaps not always truly in service of the client, as it being used as a learned behaviour to demonstrate ‘hearing’.

In this blog I will look at all three of these coaching interventions and explore when the times are that they might be most useful for our clients. In addition, the main competency these three are found in, is CC6 Listens Actively. The definition of which is that the coach: ‘ Focuses on what the client is and is not saying to fully understand what is being communicated in the context of the client systems and to support client self-expression.’

Let’s take each in turn…

Reflecting in coaching, as the word implies, is the equivalent of holding up a mirror to the client. This allows the client to hear back what they said, and sometimes how they said it. ‘Reflecting back’, could be a whole sentence, some of the words used or even a single word.

What therefore might the purpose of reflecting? It could be simply to ensure clarity and understanding of what is being said, it could also be used as a form of challenge– again to check for understanding, rather than use a question.

For example, suppose the client says:

“My teammate and manager are fighting. I’m really angry with him”.

’ For the coach to be in their client’s frame of reference, they may need to know whether ‘him’ refers to the manager or the teammate.  The coach might simply reflect back the word  ‘ him ’  with an expression of inquiry.

The client might then respond:

“Yeah, my colleague. It puts me in an awkward position that I don’t know how to handle.”

It might also be that a coach reflects words they have heard that seem to have more of an important meaning for the client. The client may repeat a certain word a number of times or place emphasis and it may be useful to enquire, simply by restating the words as a reflection.

The coach gets clarity and remains in the client’s context and frame of reference without getting too much into, possibly irrelevant, data. The client also gets to hear what they are saying and even how they are saying it, which may give rise to a new insight.

Summarising

Summarising is the art of playing back to the client what you have specifically heard, in the clients’ words but in a shortened form.

It’s important to summarise only what you’ve heard, without interpretation, addition or judgement which is why using the client words becomes vital. At the end of a summary, it can be helpful to ask the client if you have heard them correctly. This provides the coach with clarity and the client to be sure they have said what they intended.

Summarising can be very useful when working with clients to discover and uncover what the work is that needs to be explored in the coaching session. We know clients have sometimes not yet synthesised what they want to work on and playing back in a summary can be helpful, especially when it seems there might be several pieces to look at. Having gained that clarity, it then is helpful to ask a forward-thinking question to initiate the exploration.

Summarising, using the client’s own words, may also support them to gain an insight which is why a forward-thinking question to follow can be really helpful at this point.

What I notice with newer coaches, is that they may play back a summary every time the client pauses and start with ‘what I am hearing is…”. The question that comes to me here is: ‘who is this summary in service of?’ Sometimes, summarising like this is used as a way for the coach to create a pause to think about what to ask next. With clients who are very talkative, this can just mean the client will tell even more of the story, unless a forward-thinking question follows the summary. It is not always necessary to use words like: ‘what I am hearing’. It can simply be a summary.

While summarising is a useful skill, when overused it can mean that the coach is doing the work for the client, as opposed to the client doing the work. I would offer that, as the coaching session moves nearer the action points, then it is the client who needs to provide the summaries and not the coach. This enables the coach to also understand what is important to the client and what they are taking from the session. If the coach summarises, for example the action points, it could focus on what the coach thinks the client ‘should’ do rather than hearing what the client actually is going to do or take away. (See CC 8.6 ‘partners with the client to summarise learning and insight…..)

Paraphrasing

Paraphrasing is the art of reflecting ‘the essence’ of what is being said and is said using the coaches own words and without changing the original source or intention of the clients’ words. Paraphrasing really helps the client know that they have been truly heard.  Summarising is playing their own words back; paraphrasing is playing back what the coach believes he hears is the meaning of the client’s words in the context of the conversation. It enables the client to potentially know they have been heard and understood. When done well, it enhances empathy and trust. It doesn’t matter if the coach has drawn a different meaning, as the client may realise they haven’t conveyed their thinking sufficiently and can evoke new thoughts, additions or nuances to what they wish to share.

The science and art of Reflection, Summarising and Paraphrasing is largely found in the competency of Listens Actively (CC6).  Sub-competency 6.2 explicitly talks about ‘ Reflects or summarises what the client communicated to ensure clarity and understanding’ .  However, when you look deeper into that Core Competency, 6.3: ‘Recognises and inquires when there is more to what the client is communicating’ (using paraphrasing perhaps) and 6.5: ‘Integrates the client’s words, tone of voice and body language to determine the full meaning of what is communicated’ (summarising and reflecting perhaps) you will also see these skills reflected.

These skills can also be found in the other core competencies, and I would offer that it is a skill which, done well, really emphasises the partnership between coach and client that is so vital to support and facilitate the client’s development and growth.

Encouragers, Paraphrasing and Summarising

A counsellor can encourage a client to continue to talk, open up more freely and explore issues in greater depth by providing accurate responses through encouraging, paraphrasing and summarising. Responding in this way informs the client that the counsellor has accurately heard what they have been saying. Encouragers, paraphrases and summaries are basic to helping a client feel understood.

Encouragers, also known as intentional listening , involve fully attending to the client, thus allowing them to explore their feelings and thoughts more completely. Paraphrasing and summarising are more active ways of communicating to the client that they have been listened to. Summarising is particularly useful to help clients organise their thinking.

The diagram below shows how encouragers, paraphrases and summaries are on different points of a continuum, each building on more of the information provided by the client to accurately assess issues and events.

Encouragers – Encouragers are a variety of verbal and non-verbal ways of prompting clients to continue talking.

Types of encouragers include:

  • Non-verbal minimal responses such as a nod of the head or positive facial expressions
  • Verbal minimal responses such as “Uh-huh” and “I hear what you’re saying”
  • Brief invitations to continue such as “Tell me more”

Encouragers simply encourage the client to keep talking. For a counsellor to have more influence on the direction of client progress they would need to make use of other techniques.

Paraphrases – To paraphrase, the counsellor chooses the most important details of what the client has just said and reflects them back to the client. Paraphrases can be just a few words or one or two brief sentences.

Paraphrasing is not a matter of simply repeating or parroting what the client has stated. Rather it is capturing the essence of what the client is saying, through rephrasing. When the counsellor has captured what the client is saying, often the client will say, “That’s right” or offer some other form of confirmation.

Example: I have just broken up with Jason. The way he was treating me was just too much to bear. Every time I tried to touch on the subject with him he would just clam up. I feel so much better now. Paraphrase: You feel much better after breaking up with Jason.

Summaries – Summaries are brief statements of longer excerpts from the counselling session. In summarising, the counsellor attends to verbal and non-verbal comments from the client over a period of time, and then pulls together key parts of the extended communication, restating them for the client as accurately as possible.

A check-out, phrased at the end of the summary, is an important component of the statement, enabling a check of the accuracy of the counsellor’s response. Summaries are similar to paraphrasing, except they are used less frequently and encompass more information.

In recent years, I have witnessed an increased attraction by customers and new markets to products and businesses that focus on higher-level purposes, such as helping the needy, improving society, and fostering environmental sustainability. Many are using it successfully to increase their brand recognition, grow faster, and achieve long-term success.

For example, consider TOMS Shoes and founder Blake Mycoskie, whose passion for helping the needy by donating a pair to the underserved for every pair purchased, became a huge success. Or Patagonia with Yvon Chouinard, the renowned outdoor apparel brand, who built a great brand reputation based on a passion for a sustainable environment.

As a business consultant, I often get asked about the differences in managing the business in this new environment and I certainly have some insights. I recently saw these outlined well in a new book with a humorous title, “ You Can’t Market Manure at Lunchtime ,” by Maisie Ganzler, the current Chief Strategy and Brand Officer, Bon Appétit Management Company.

Maisie relates her own experience of creating a more sustainable company, Bon Appétit, in the food industry, detailing the challenges and business complexities encountered. I was particularly impressed with her suggested five steps to success, which I will paraphrase here with my own insights added:

1. Find a higher purpose that fits your passion. To assure your commitment is ongoing and satisfying to you, be sure to pick a focus that energizes your passion. Make sure your team, as well as your customers, see this purpose in every communication and marketing initiative. This incentive may have very little connection to your actual product offering.

2. Decide on a leverage point to begin transformation. This is the visible action you take to convince the market that you are actually walking the talk. It may mean switching to a critical new supplier, implementing a new policy, or highlighting your commitment in key marketing strategies. In all cases, it pays to take a long-term view, to balance initial costs.

3. Define the real-world parameters of success. The challenge here is to balance business health against the positive impact of your higher purpose on the environment and culture. A business that espouses a noble cause but does not survive in the face of competitors is not a success. Business sustainability and brand image are key parameters.

4. Set targets and metrics to measure progress. It’s always tempting to measure against absolutes like “all products will meet X” or “100 percent of suppliers will be Y,” but I advise against it because real change takes time and perfection is impossible. It’s important to measure variance from any targets and be prepared to pivot as required.

5. Align all your systems to support your goal. Adding a higher purpose to your business goals usually requires some changes to administrative systems beyond traditional financials and product tracking. Make sure none of your systems is working against your goal, and all highlight the leadership and brand definition you desire.

In cases where systems cause initiatives to collide, you need to be prepared to weigh several factors, including which speaks best to the heart of your brand, what external groups are applying pressure, potential government regulations involved, and what possible workarounds are available.

In summary, to successfully make meaningful change in the market, or build a brand based on a higher-level purpose, you must go beyond what’s already practiced in the marketplace and business operations. Think it through thoroughly early from the standpoint of all the different stakeholders, how they are going to respond, and what information they’re going to need.

Only then will you get the commitment from your team to spread the word and make it happen. Make it a source of pride for you and all constituents, and you too can change the world.
