Holding a press conference when you are unprepared can feel like standing in front of a firing squad, where all the journalists are armed so no one will carry the guilt of the winning shot. It can make you nervous, scared, and reluctant to speak at all. It can take your fear of a misquote, or a stumble, or a misstatement replayed across the Internet thousands of times in the next twenty-four hours and make you wish for a blindfold and a cigarette, but that won’t help. The way to calm your nerves is to be confident in your material. This section discusses the press conference, from preparation to execution (pun intended).

A press conference is a presentation of information to the media. It normally involves a written statement that is read exactly as written and is followed by questions and answers. The press conference normally requires a seasoned representative of the company or business with established credibility and integrity. It also requires a sense of calm in the confidence that you know your material, know how to tactfully say you don’t know or don’t wish to comment, and a sense of humor to handle the “gotcha” questions.

Press conferences can be held for positive news like the announcement of a new hospital wing that will increase the health care services available to the community. It can also be held to clarify information regarding the CEO’s trip to Chile with an alleged mistress, the recent law enforcement sting operation on the illegal sale of controlled substances from the hospital, or to announce the layoff of employees as part of a reduction in force.

Positive or negative, your role as a speaker at a press conference is to deliver the prepared message and to represent the business or organization in a professional manner. You understand that there may be moments of tension, but you also know you have a choice in how to respond. First we’ll examine preparation, then discuss the actual press conference.

You should have a good reason for holding a press conference. Wasting the media’s time on a frivolous issue will only set you up for challenges later on. You should also have a brief prepared statement that you will read and restate if necessary. Today’s press conference messages are often drafted by someone in public relations or media, and reviewed by legal counsel when warranted. If the task falls to you, keep it short and simple, addressing the following:

As a follow-up to why the press conference needs to occur in the first place, you need to consider the location. If it is a ribbon-cutting ceremony, the choice is obvious. If the announcement is less than positive, and you’ve been instructed by your supervisors or counsel to not offer additional remarks, you’ll want a podium strategically located next to a stage exit. A moderator can serve to influence the process and redirect if questions go off topic or if a transition is needed. A moderator can also call a formal close the press conference and thank everyone for attending.

Finally, visual aids are an excellent way to reinforce and communicate your message. They need to be big, they need to be relevant (not just decorative), and (from a technical standpoint) they need to work. If they will be projected onto a screen, make sure the screen is available (not stuck), the laptop has power (as well as battery backup), the presentation or visual aid is on the laptop, and that the projector can and does project what you want it to. Don’t forget sound equipment if necessary, and make sure everything works the day of the presentation.

Someone should be designated as the greeter for the media. Be ready at least fifteen minutes before the scheduled time of the event. Provide each member of the media with a print copy of the actual statement that will be read before or after the event. If there is an element of surprise, you may want to hold the copies of the statement back until after the press conference has been concluded, but otherwise distributing them beforehand is standard.

The moderator opens the press conference with a welcome, indicates the purpose of the press conference and reminds everyone that there will (or will not) be an opportunity for questions following the press conference. The moderator introduces the spokesperson who will read the statement and welcomes him or her to the podium. The moderator may need to assist with sound equipment but otherwise stands back but near the speaker.

The speaker will read the statement. If there are to be no questions, the moderator will retake the podium and indicate that press kits, containing background material, fact sheets, the news release, sample photos, or related materials will be available; or simply indicate that copies of the press release are available at the back of the room. If there are questions, the moderator may still take the podium and outline ground rules for questions such as: they should pertain to the subject, be brief, and may or may not include follow-up questions. Members of the media will often ask a question and state that they have a follow-up question as a way of reserving two turns.

The moderator may indicate which member of the media is to ask a question, and typically they will stand and address the speaker directly. The speaker can take notes, but this isn’t common. Instead, they should be aware that every movement is being recorded and that by maintaining eye contact, they are demonstrating that they are listening. They may reiterate the statement from the press release or refer to the background material, but should limit the scope of their response. Your team may have anticipated several questions and the speaker may have several sound bites ready to deliver. Visual media will want it visual, audio will want clarity, and print will want descriptive quotes. Meet the needs of your audience as you deliver your message.

Invariably the “gotcha” question, or the question that attempts to catch the speaker off guard, will be asked. “We’re not ready to discuss the matter at this time,” “When more information becomes available we will let you know,” “Our company has no position on that issue,” or “We’re not prepared to speculate on that issue at this time” are all common response phrases. Don’t use “I think,” “I believe,” or “I don’t know” comments as they invite speculation, and refrain from “no comment” if at all possible as it is increasingly perceived as if the company or representative is “hiding something.”

You want to appear professional, knowledgeable, and credible—not as if you are sneaking or hiding something. Don’t display a nonverbal gesture or make a face at a question, as this can also be misinterpreted. Keep your poise and balance at all times, and if you are the speaker and the question puts you off, establish eye contact with the moderator. Their role is to step in and they may move to the conclusion.

Never say anything you wouldn’t want the world to hear, as microphones are increasingly powerful, video captures lips movement, and there will be a communication professional available to analyze your nonverbal gestures on the evening news. 6. June—ABC Engineering, Inc.

A 4.2-million-dollar, two-lane bridge recently completed collapsed into the local Blue River, taking with it three vehicles. The loss of life included four men, three women, and one unborn baby. Local media has interviewed workers who indicated they were rushed to complete the bridge to get a bonus for the construction firm. The construction firm indicates that their internal investigation points to a faulty design, but the architects, engineers, and government inspectors deny the charge. You represent ABC Engineering.

The Bolivian government issued a statement that while they cannot confirm the legitimacy of his claim, the father of the child did not present himself at court during the announced hearing, nor did he present himself in the six months preceding the adoption. A customer reported finding a severed human fingertip in soup purchased from Fast Food Restaurants, Inc. The soup and sandwich package was purchased at a Fast Food Restaurant as a take-out order. The customer has taken pictures and posted them all over the Web, and made both libelous and slanderous comments against your company in media interviews and blogs. The honorable Congressman from the State of Denial was apprehended in Ecuador for solicitation of a minor. She says the congressman offered her money for time alone with her daughter. The congressman stated to local law enforcement, according to a conversation with his spouse from jail, that all he did was compliment her on her daughter, something like “what a fine daughter you have,” in his best Spanish. When you turn on the news, you likely see an event with a prominent person answering a group of journalists or reporters. If you read the dailies, you find similar stories of a meeting of well-known personalities with press representatives.

The event taking place here is a press conference.

Press conferences are the PR version of a party. Here, the attendees represent the public’s voice – the press. Like any event, press conferences require prior preparation, time, and effort . The success of a press conference is based not only on the immense preparation but also on quality attendance and coverage.

It’s a common misconception that press conferences are reserved for politicians or A-list celebrities. Instead, they’re an incredible public relations tool companies can use to increase their reach and brand awareness.

Effective presentation skills help you get your point across and connect with the people you’re communicating with, which is why nearly every employer requires them.

Become familiar with the layout of the room.

Arriving early also gives you time to assess the room and figure out where you want to stand. Experiment with the acoustics to determine how loudly you need to project your voice, and test your equipment to make sure everything connects and appears properly with the available setup. Listen to presenters ahead of you.

Use note cards.

A press conference is a perfect venue for anyone looking to leverage their brand. Since you’ll be addressing the media, you have the opportunity to reach an audience far wider than before. If you want to drum up anticipation over a new product or encourage people to attend an event you’re organizing, a press conference is the best way to promote your plans.

To get the best mileage, your press conference should be led by a speaker who knows their material well and remains unfazed by a difficult question. As public speaking expert Lisa B. Marshall puts it, “if you get it wrong, you’ll end up with negative coverage or no coverage at all.” Follow these tips to make sure your talking points are clear, effective, and memorable:

1. Figure out your core message

What do you want people to remember? What message do you ultimately want to be covered and delivered by the press? As you would in any presentation, prepare your talking points by identifying your goals first. Figure out the core message you want publicized and promoted, then use it as a guide to outline the rest of your speech. Marshall suggests that you stick with something that’s “newsworthy and consistent with your brand.”

For a press conference announcing an upcoming lecture, your goal may be to introduce the topic of the lecture and the recognized speakers who will participate. For a company announcement, stick to one topic that will grab your target audience’s attention. If you’re announcing a new product or web application, focus on what’s new and why your audience will want it rather than re-hashing old products or past mistakes.

Everything you bring up during the press conference should contribute to the core message you’re trying to deliver. If that’s “we have an exciting new product coming out in the market soon,” make sure everything you say will allow the audience to see why that’s true and important for them. Following our example, you could give them an overview of the product, including a short discussion of its features.

2. Turn your message into a story

With your points laid out, it’s time to turn your speech into an engaging narrative . You won’t go far it all you have planned is to read out a list of, say, the technology used in your web app. No matter how innovative your new product is, you’ll have to create a connection using a technique known to work for any type of audience. As Marshall puts it,

Create the story you want to tell. It may be a customer story that explains the need for the product or service you offer. It may be a story of someone whose life has changed as a result of your work. Make it personal and relatable.

3. Integrate brand identity

To take your story further, it’s also important to include elements of your brand identity. Particularly, Marshall suggests making use of adjectives that you often use to describe your brand.

For an example, she cites how Apple commonly uses words like “innovative” and “next generation” whenever they announce or launch a new product. As you work on your talking points, think back to your brand story and make it a prominent point throughout the press conference.

4. Anticipate questions that might be asked

After you’ve perfected your speech, there’s one more thing you have to prepare for—answering the questions thrown at you by the press. Think of the questions they’ll likely ask and start practicing how to answer them. As always, make sure all your answers drive home your main message.

Keep referring back to your main point and your brand identity. If you can, try to have someone else from your team come up with their own set of questions. This will give you an opportunity to expound on points you might not have thought were particularly relevant.

5. Brace yourself for difficult questions

Regardless of all your preparation, there are things you won’t be able to control or predict. It won’t be unlikely that you’ll get a few questions that are difficult to handle. They could simply be about a topic you weren’t prepared to discuss, or they might even be hostile. Regardless of the situation, you have to maintain your composure throughout. Marshall suggests learning “ bridging ”:

You never want to evade questions, but you do have the flexibility to rephrase or modify questions and to answer them in a positive, confident manner. Your responses may, or may not, briefly address the question asked before bridging to your prepared message.

A press conference can easily be a success after some preparation. Craft your talking points carefully to ensure your message is delivered to the audience you want to reach.

#7 Stay consistent with fonts and color styles

You want your presentation to look visually appealing and highlight essential information. To make that happen, stay consistent with font styles and color schemes throughout your presentation.

The formal presentation of information is divided into two broad categories: Presentation Skills and Personal Presentation .

These two aspects are interwoven and can be described as the preparation, presentation and practice of verbal and non-verbal communication. 

This article describes what a presentation is and defines some of the key terms associated with presentation skills.

Many people feel terrified when asked to make their first public talk.  Some of these initial fears can be reduced by good preparation that also lays the groundwork for making an effective presentation.

A Presentation Is...

A presentation is a means of communication that can be adapted to various speaking situations, such as talking to a group, addressing a meeting or briefing a team.

A presentation can also be used as a broad term that encompasses other ‘speaking engagements’ such as making a speech at a wedding, or getting a point across in a video conference.

To be effective, step-by-step preparation and the method and means of presenting the information should be carefully considered. 

A presentation requires you to get a message across to the listeners and will often contain a ' persuasive ' element. It may, for example, be a talk about the positive work of your organisation, what you could offer an employer, or why you should receive additional funding for a project.

The Key Elements of a Presentation

Making a presentation is a way of communicating your thoughts and ideas to an audience and many of our articles on communication are also relevant here, see: What is Communication? for more.

Consider the following key components of a presentation:

Ask yourself the following questions to develop a full understanding of the context of the presentation.

When and where will you deliver your presentation?

There is a world of difference between a small room with natural light and an informal setting, and a huge lecture room, lit with stage lights. The two require quite different presentations, and different techniques.

Will it be in a setting you are familiar with, or somewhere new?

If somewhere new, it would be worth trying to visit it in advance, or at least arriving early, to familiarise yourself with the room.

Will the presentation be within a formal or less formal setting?

A work setting will, more or less by definition, be more formal, but there are also various degrees of formality within that.

Will the presentation be to a small group or a large crowd?

Are you already familiar with the audience?

With a new audience, you will have to build rapport quickly and effectively, to get them on your side.

What equipment and technology will be available to you, and what will you be expected to use?

In particular, you will need to ask about microphones and whether you will be expected to stand in one place, or move around.

What is the audience expecting to learn from you and your presentation?

Check how you will be ‘billed’ to give you clues as to what information needs to be included in your presentation.

The role of the presenter is to communicate with the audience and control the presentation.

Remember, though, that this may also include handing over the control to your audience, especially if you want some kind of interaction.

The audience receives the presenter’s message(s).

However, this reception will be filtered through and affected by such things as the listener’s own experience, knowledge and personal sense of values.

The message or messages are delivered by the presenter to the audience.

The message is delivered not just by the spoken word ( verbal communication ) but can be augmented by techniques such as voice projection, body language, gestures, eye contact ( non-verbal communication ), and visual aids.

The message will also be affected by the audience’s expectations. For example, if you have been billed as speaking on one particular topic, and you choose to speak on another, the audience is unlikely to take your message on board even if you present very well . They will judge your presentation a failure, because you have not met their expectations.

The audience’s reaction and therefore the success of the presentation will largely depend upon whether you, as presenter, effectively communicated your message, and whether it met their expectations.

As a presenter, you don’t control the audience’s expectations. What you can do is find out what they have been told about you by the conference organisers, and what they are expecting to hear. Only if you know that can you be confident of delivering something that will meet expectations.

How will the presentation be delivered?

Presentations are usually delivered direct to an audience.  However, there may be occasions where they are delivered from a distance over the Internet using video conferencing systems, such as Skype.

It is also important to remember that if your talk is recorded and posted on the internet, then people may be able to access it for several years. This will mean that your contemporaneous references should be kept to a minimum.

Impediments

Many factors can influence the effectiveness of how your message is communicated to the audience.

For example background noise or other distractions, an overly warm or cool room, or the time of day and state of audience alertness can all influence your audience’s level of concentration.

As presenter, you have to be prepared to cope with any such problems and try to keep your audience focussed on your message.
