If you’re confused about the differences between a CV and a resume , we solve that mystery here. Cutting to the punch, we’ll unpack these key differences between a resume and a CV:

  • Length:  A resume is usually one page while a CV can range from three to five pages or more [1] .
  • Layout:  Work experience is first and foremost in a resume, but in a CV, education is paramount.
  • Focus:  Whereas a resume focuses on your skills and contributions, the CV focuses on what makes you an expert in your field.
  • Scope:  A resume includes the past 10 years of experience, skills, and accomplishments that focus on each job for which you apply. With a CV, you add information as you go since quantity is considered to be equally as important as quality.
  • Purpose:  Most employers will ask for a resume. However, if you’re applying for a job in academia, for a research position, or a Ph.D. program, you’ll want a CV.

Confusion stems from the fact that CV has different meanings internationally. We’ll clear this up, too, but for now, let’s take a closer look at a CV used in the US.

CV is short for  curriculum vitae , Latin for “course of life.” There’s no limit on the number of pages you can use. Initially, your CV may be two or three pages. As you gain experience and qualifications, your document will grow [2] . It’s not unheard of for a CV to surpass 10 pages [3] .

When should you use a CV?

There are some circumstances where you’ll want to use a traditional CV instead of a resume.

  • Academia:  If you’re applying for a teaching, professor, or assistant position within higher education, the hiring team wants to know you will be a well-rounded and accomplished addition to the faculty. A prestigious instructor provides more validation to the school and may increase student enrollment.
  • Research:  Whether in academia, science, or another field, your CV should show you already have extensive accomplishments in the area of preference. Recruiters don’t want to choose someone without a relevant background; they want someone with enough experience to advance their research without having to backtrack and start from scratch.
  • Ph.D. program:  When applying for a doctorate program, many universities will require you to submit a CV along with your application. What you include in your document can set you apart from other candidates.

What information should you include in your CV?

When creating your CV, use reverse-chronological order in each section. After education, you can list other sections in an order that highlights your expertise with your most important information on the first page [4] .

Include the following in your CV:

  • Contact information:  Include your full name and contact info. You can use your contact from your current university or your personal information, including email, city/state, and links to any professional profiles.
  • Summary:  You can use your research interests or a personal statement.
  • Core competencies:  List keywords from the job ad that highlight skills you possess. 
  • Education:  List the names of the schools and years of graduation. If applicable, you may include information about your thesis or dissertation. Don’t forget to include fellowships.
  • Research:  For both paid and unpaid positions, include the organization, department, name of the director, and your position and title.
  • Teaching and relevant experience:  Include the course name and all relevant information on your development and implementation of the coursework.
  • Publications:  List these as you would in a typical bibliography.
  • Presentations:  Include any presentations for conferences or seminars where you were invited to be a key speaker or presenter.
  • Memberships:  If you are or were part of any scholarly societies or committees related to your discipline, add them here. You may also list any affiliations.
  • Achievements:  Any awards, honors, grants, certificates, or patents should be included.
  • References:  This may be optional, but check the job description carefully to ensure employers won’t be asking for your references. If you do include references, ask permission before including someone’s name, title, and department followed by the institution, address, phone number, and email.

Resume is based on a French word that means “to sum up.” Using clear and concise wording, you’ll create a document that  sums up  your work history, emphasizing achievements and  skills relevant to the job  for which you’re applying. A resume should be limited to a single page as recruiters don’t have time to riffle through multiple pages, and they’ll generally only give you a few seconds of their time.

When should you use a resume?

Use a resume to apply for any position  neither  in academia nor heavy in research. Because your document is likely to pass through an applicant tracking system, this single page is highly preferred over multiple pages that don’t have the sections this software is programmed to look for. Additionally, over half of recruiters are looking for industry-specific experience, and this information needs to be readily accessible [5] .

Since employers are looking for someone who will be a good fit for the job, your work experience should take precedence near the top of your document with education toward the bottom. For most positions, employers don’t have the time to look through research, publications, memberships, or anything else that doesn’t directly pertain to your ability to perform the required job duties.

What information should you include in your resume?

When  writing your resume , place the most important information in the top half of your document, and use reverse-chronological order in sections with multiple listings.

Include the following in your resume:

  • Contact information:  Use your full name, phone number, email address, and any links to relevant social or job sites.
  • Job title:  Place the title of the position you’re applying for beneath your name.
  • Summary or objective:  You can either summarize your past success with the desired job or state how your previous work has given you the ability to perform the required duties. Alternatively, skip this altogether if you don’t have the time to tailor it to the job.
  • Work experience:  Quantify your achievements from your previous positions, and demonstrate impact rather than just stating job duties.
  • Education:  List degrees or coursework applicable to the specific role.
  • Skills:  Include both hard and soft skills that show your competency for the job title.
  • Additional sections:  If you have space and the information is relevant, include foreign languages, certifications, projects, or  hobbies that relate to the job .

First, determine whether you need a resume or a CV (neither to be confused with making a cover letter ). If in doubt, contact HR for clarification. No matter which document you submit, you’ll want to place yourself and your document in the best light possible.

Consider the following:

  • Formatting:  Leave adequate white space for ease of reading, use clear, simple fonts, limit color, avoid images, and make sure your sections are clearly identifiable.
  • Finding a template:  Save yourself the headache of starting from scratch by selecting one of our  free preformatted templates . Your document will pass through the ATS and allow recruiters to find what they’re looking for with ease.
  • Including the right sections and details:  Use the information we’ve provided to choose pertinent sections and the correct ordering within your document. Don’t simply list job duties, but leverage action verbs and quantifiable details to prove your value.
  • Tailoring your document to the job:  Each company has different requirements for similar positions, so create a resume or CV for each specific job. It demonstrates you truly want that specific position rather than just any ‘ol job.
  • Editing and proofreading:  Employers assume you’re showing your best in this document, so mistakes make you appear apathetic and incompetent. Edit and proofread multiple times, allowing some time to pass between each examination. Have a friend or coworker take a look with fresh eyes. Edit unclear or wordy phrases to ensure you convey information concisely and accurately.

International CVs : Clearing up the Confusion

Since CVs and resumes are distinctly different in North America, it can be brain-boggling if you’re applying for a job in another country. If an international company asks for a CV, does this mean the longer document, or can you send a resume? 

In Europe and New Zealand, CV refers to a document similar to a US resume. Go ahead and use your resume, but save your document title as CV since these areas of the world don’t use the term “resume.”

However, in India, South Africa, and Australia, CV and resume are used interchangeably. South Asian job markets may ask for either, much like in the US, or they may require an entirely different document called a biodata. When submitting your document to other international employers, use your resume with the title they request in the job posting.

CVs and resumes differ in length, layout, focus, scope, and purpose. Whereas a resume gives a concise overview of your ability to perform the job based on your work history, a CV provides a lengthier, more-detailed version focusing on education and professional achievements within academia and research. 

In most of the world, a CV and a resume are considered the same, though in Europe and New Zealand, what we consider a resume is actually called a CV. When applying in the Asian market, terms are the same as in North America.

What is a CV? [+ Real-Life Example]

The term CV is an abbreviation of the Latin word Curriculum Vitae , which is literally translated to “the course of your life”. 

A CV is a very in-depth document that describes your career journey step-by-step, including all sorts of personal information. You can look at the CV as a comprehensive description of everything you have ever done, all the achievements you are proud of, and all the publications that bear your name.

You need to update your CV every time you accomplish something new academically or professionally. Meaning, whenever you get a new job, publish something new, obtain a new certificate, and so on.

There is no rule of thumb on how long a CV should be - depending on the amount of experience, it can range from 2 to 8 pages.

In Elizabeth’s CV, you can see a summarized snapshot of her life: everything she has studied, all the conferences she has been to, the skills she obtained, and a list of her publications.

Since she’s applying for a job in a university, Elizabeth mentions her academic achievements and interests first, and professional experiences later.

What is a Resume? [+ Real-Life Example]

A resume is a short, straight-to-the-point, document created for the purpose of applying to a specific job. 

Unlike the CV, you should try to keep a resume as short as possible . In 99% of the cases, you’d want to keep your resume to 1-page max . If you have 15+ years of experience, or really believe that the extra information you can mention can add value to your application, you can make it 2 pages tops.

In a resume, you only mention the aspects of your work experience and skills that are relevant to the job you’re applying for. A good resume highlights specific contributions you have made in your previous work and showcases how your different skills can be useful for the position you are applying to. 

The resume is usually accompanied by the submission of a cover letter which states your intent for applying to the job. The cover letter builds upon the skills and experience you have touched upon in your resume, explaining how they’re going to help you excel at the job you’re applying for. 

  • Your job title , or the name of the position you’re applying for
  • Resume summary or objective
  • Relevant skills
  • Languages and proficiency
  • Relevant certifications and interests (if any)

Real-Life Resume Example

To get a better idea of what a resume looks like, check out the example below. 

In this case, Elizabeth Smith is applying for a job as a marketing specialist, not a professor.

Unlike Elizabeth’s CV, her resume is significantly shorter and more to-the-point. She only mentions relevant work experiences, skills, certifications, and education. After all, the hiring manager cares about her skills as a marketer, not her academic achievements.

The ordering of information is also a bit different. In Jane’s CV, she mentions her academic experiences first and then moves on to work. Here, it’s the other way around, with minimal emphasis on Jane’s academic successes.

CV vs. Resume - What’s the Difference

Now that you have a clear idea about what’s a CV and what’s a resume, here’s a complete list of the differences between the curriculum vitae (CV) and resume:

  • Length - The first and most notable difference between a CV and a Resume is how long each one of them is. A resume is kept short and brief (usually 1 page), whereas the CV is more comprehensive (it can go up to 2-3 pages depending on your experience).
  • Function - The CV is mainly used for academical purposes, such as applying for a research program, a Ph.D., or joining the staff of a university. The resume, on the other hand, is written for a regular job in a company.
  • Type of information you include - The CV is an academic diary where you include all your academic qualifications, achievements, and certifications. It is universal in nature as it can be updated as you go. Whereas, a resume has to be created (or at least customized) for each job you’re applying for, and has a bigger focus on your professional achievements, rather than academic.

By now you should have a clear idea about the differences between the CV and the Resume. Here’s where it gets a tiny bit trickier: these differences generally only apply in the United States . 

In all of Europe, the word CV is essentially just a synonym for the resume. So, if you’re applying for a position in the EU, and the job asks for a CV, you should know that it actually means a resume.

Now, let’s sum up everything we learned in this post:

  • A resume is a one page summary of your work experience and background relevant to the job you are applying to.
  • A CV is a longer academic diary that includes all your experience, certificates, and publications.
  • The differences are: (1) A resume is one page (max. two) whereas the CV can be longer, (2) A resume is used for job hunting in all industries, the CV is used for jobs and admissions in Academia, (3) The resume is tailored to the specific job you are applying to, whereas the CV is a comprehensive overview.
  • In the EU, both terms mean the same thing.

What is a CV or Résumé?

In simple terms, your CV or resume sets out your skills and experience.

Your CV should demonstrate to any potential employer why they should hire you above any of the other skilled candidates who have presented themselves for employment.

In practice, plenty of CVs do anything but that!

Technically a CV (Curriculum Vitae) is a detailed document outlining all of your life achievements, qualifications, associations, awards and skills. Curriculum Vitae means ‘course of life’ in Latin.

A resume (spelt résumé, with accents, in its technical form), is a more concise document; an abbreviated version of your CV that focuses on specific skills and achievements, usually in relation and relevant to an employment opportunity.

However, for the sake of this page the terms CV and résumé are interchangeable. 

In the UK and Ireland, job applicants are usually required to produce a CV whereas in the US and Canada the word resume is more frequently used. 

In India, Australia and other English speaking counties either term may be used – for the purpose of applying for a job CVs and resumes are the same thing, it just depends on where the job is!

This page sets out some of the ‘dos’ and ‘don’ts’ of CV writing to help you avoid some of the worst pitfalls and prepare a resume that will stand out from the crowd for all the right reasons.

Things You Should Do When Writing a CV

Include your contact details at the top

Start with your name, address, phone number and email address. If your CV runs to more than one page, then make sure you include an identifier on every page, probably as a header or footer, and page numbers.

Decide whether you want to start with a personal statement

This is optional, although many CV-writing companies recommend it. If you decide to include one, it needs to say something real about you, and not just be an anodyne statement that could apply to anyone. Try to avoid jargon such as ‘forward-thinking’ or ‘strategic’ and use this to showcase your strengths, if possible focused on action.

Include sections on Key Skills, Knowledge and Achievements, Work Experience, and Education

Precisely how much to include in each section depends on the sector to which you are applying. Try to get some advice from someone in the sector if you don’t already work there. Start with the most recent achievement, experience or training, and work backwards in each section.

When discussing achievements, focus on what you’ve actually done and the end result achieved

Your statements should be in the form “ In situation x, I did this, and the end result was that ”.

For example:

In an unexpected funding crisis, I organised and carried out a cross-departmental review with colleagues, and managed to find savings which addressed all our funding concerns and gave us £x to put towards contingencies.
As president of the climbing club at university, I sought out a commercial sponsor from contacts made during work experience and successfully obtained funding for new equipment.
As chair of the college fundraising committee, I successfully organised an event which more than 200 people attend, and which raised £x. It has gone on to be a regular part of the social calendar.

Concentrate on your personal actions, the precise outcome, and how you knew the action was a success.

Include everything relevant in ‘Work Experience’ and ‘Education’

Once you’ve got plenty of work experience, it’s OK not to include the paper round you had when you were 16 and the summer jobs you had as a student, but you don’t want any gaps once you’ve started work.

If you’ve taken a career break for some reason, or had a period out of work after redundancy, say so. Otherwise you’ll be asked about it, if they don’t just assume you were in prison and bin your CV.

Don’t include every last course you’ve ever done, but do include everything that’s relevant to the job. If you’re going for a job as a forklift driver, they won’t want to know about your catering qualification, but your Health and Safety certificate might be relevant.

Check the essential requirements for the job, and make sure you’ve included anything that’s mentioned.

Make sure that your spelling and grammar are all correct

Many employers bin any CVs with spelling or grammatical errors.

Look at our pages on Grammar and Spelling , use your computer’s spell-check function, proof-read it yourself, and get someone else with good spelling and grammar to have another look before you send it.

Work on your presentation

Use a standard and professional-looking font such as Arial or Calibri, which is easy to read, and generally no smaller than 10 point for body text, larger for headings. Do not, under any circumstances, be tempted to use Comic Sans Serif.

Lay your CV out nicely on the page so that it’s easy to read and looks professional. Remember that it will probably be printed in black and white. If you’re not sure where to start with design, there are plenty of free CV templates available online.

CV Mistakes and Pitfalls to Avoid

Do not be tempted to lie

You will be found out sooner or later and, if a lie has got you a job, it will lose you one too.

Avoid leaving gaps in your career history

You may be ashamed that you had to spend time flipping burgers at McDonald's, and perhaps you don’t think it fits with your planned career as an astrophysicist. But, especially if you don’t have much work experience, every bit is useful and you should show what you learned from it: teamwork or time-keeping, perhaps.

Large gaps in your CV look like you’ve sat around doing nothing instead of having the initiative to go out and get a temporary job.

Do not start your CV with the dull bits

Many people make the mistake of starting with their education and qualifications. That’s really dull.

Start with your key skills, and what you’ve actually achieved in life. If potential employers like your key skills then they’ll read on to your qualifications.

Do not include your hobbies and interests

Unless of course they have developed skills that are relevant to the job.

Nobody really wants or needs to know that you do karate, or like going to the cinema. If you do include something relevant, don’t be tempted to show off by including something that sounds impressive, but isn’t really.

Murphy’s Law says that the person reading your CV will be an expert in that subject.

Be sure your sins (or exaggerations) will find you out…

As a very junior trainee in her first graduate job, Liz was astonished to pick up her telephone one day and find the company CEO on the other end of the line.

“ Hello, ” he said. “ You know about canoeing, don’t you? ”

“ Yes, absolutely, ” she replied. She had relied heavily on the experience gained from running a university canoe club on her CV. It was one of the few subjects she still felt certain about six weeks into the job.

“ Good, ” he said. “ I’ve got a CV here from someone who says he’s got a One Star award in canoeing. What does that mean? ”

“ It’s the most basic canoeing qualification available. You can get it after a day’s course. ”

“ Hmm. Not very impressive then, ” grunted the CEO. “ Have you got one? ”

“ Oh yes. I’m qualified to teach it. ”

The candidate in question did not receive an interview. He probably never knew quite why.

Don't make your CV too long

Two pages of A4 is plenty. Nobody wants to read more. By all means make the font smaller, widen the margins and shorten the gaps between paragraphs, but no more than two pages.

Do not use an unprofessional email address

Get a professional-looking email address with your name, not a nickname. A jokey email address is fine for your friends, but it’s not OK for potential employers, and may even cause your CV to be rejected.

You may consider buying your own domain name; they are inexpensive and allow you to have a much more professional sounding email address. So rather than [email protected] you could have [email protected] or [email protected] – depending on the availability of the domain name you want.

If you are applying for a job in a computer or internet related field then having your own domain name is particularly important for your image.

Be careful if you use the email address that is linked to your Facebook page or other social media accounts. It is very easy for potential employers to search social media sites for email addresses, which could mean they find out a lot more about you than you would like. You may however want potential employers to find your LinkedIn account.

The Golden Rule of CV Writing

Put yourself in the recruiter’s shoes and think about what they need to know about you. The job description should give you a reasonable idea.

Use your CV to tell them what they need to know upfront and clearly, in a way that looks professional and believable.

Your CV will not get you the job but, if done well, should give you at least a foot in the door.
