What's the difference?

A PRIMARY SOURCE is a document or physical object which was written or created during the time under study. These sources were present during an experience or time period and offer an inside view of a particular event. Some types of primary sources include:

  • ORIGINAL DOCUMENTS (excerpts or translations acceptable): Diaries, speeches, oral histories, manuscripts, letters, interviews, news film footage, autobiographies, official record, newspaper ads/stories
  • CREATIVE WORKS: Poetry, drama, novels, music, art, photographs
  • RELICS OR ARTIFACTS: Pottery, furniture, clothing, buildings

Examples of primary sources include:

  • Diary of Anne Frank - Experiences of a Jewish family during WWII
  • The Constitution of Canada - Canadian History
  • A journal article reporting NEW research or findings
  • Weavings and pottery - Native American history
  • Plato's Republic - Women in Ancient Greece

A SECONDARY SOURCE interprets and analyzes primary sources. These sources are one or more steps removed from the event. Secondary sources may have pictures, quotes or graphics of primary sources in them. Some types of secondary sources include:

  • PUBLICATIONS: Textbooks, magazine articles, histories, criticisms, commentaries, encyclopedias 

Examples of secondary sources include:

  • A journal/magazine article which interprets or reviews previous findings
  • A history textbook
  • A book about the effects of WWI

8 Preparing and Supporting a Speech

Introduction, 8.1 selecting and narrowing a topic.

Many steps go into the speech-making process. Many people do not approach speech preparation in an informed and systematic way, which results in many poorly planned or executed speeches that are not pleasant to sit through as an audience member and do not reflect well on the speaker. Good speaking skills can help you stand out from the crowd in increasingly competitive environments. While a polished delivery is important, good speaking skills must be practiced much earlier in the speech-making process (James Madison University Writing Center, 2021).

Analyze Your Audience

Audience analysis is key for a speaker to achieve his or her speech goal. One of the first questions you should ask yourself is “Who is my audience?” While there are some generalizations you can make about an audience, a competent speaker always assumes there is a diversity of opinion and background among his or her listeners. You cannot assume from looking that everyone in your audience is the same age, race, sexual orientation, religion, or many other factors. Even if you did have a homogenous audience, with only one or two people who do not match up, you should still consider those one or two people. Of course, a speaker could still unintentionally alienate certain audience members, especially in persuasive speaking situations. While this may be unavoidable, speakers can still think critically about what content they include in the speech and the effects it may have (James Madison University Communication Center, 2021).

Demographic Audience Analysis

Demographics are broad sociocultural categories, such as age, gender, race, socioeconomic status, sexual orientation, education level, religion, ethnicity, and nationality used to segment a larger population. Since you are always going to have diverse demographics among your audience members, it would be unwise to focus solely on one group over another. Being aware of audience demographics is useful because you can tailor and vary examples in order to appeal to different groups of people (James Madison University Communication Center, 2021).

Psychological Audience Analysis

Psychological audience analysis considers the audience’s psychological dispositions toward the topic, the speaker, and the occasion as well as how their attitudes, beliefs, and values inform those dispositions (Dlugan, 2012). When considering your audience’s disposition toward your topic, you want to assess your audience’s knowledge of the subject. You would not include a lesson on calculus in an introductory math course. You also would not go into the intricacies of a heart transplant to an audience with no medical training.

The audience may or may not have preconceptions about you as a speaker. One way to engage positively with your audience is to make sure you establish your credibility. In terms of credibility , you want the audience to see you as competent, trustworthy, and engaging. If the audience is already familiar with you, they may already see you as a credible speaker because they have seen you speak before, have heard other people evaluate you positively, or know that you have credentials and/or experience that make you competent. If you know you have a reputation that is not as positive, you will want to work hard to overcome those perceptions. To establish your trustworthiness, you want to incorporate good supporting material into your speech, verbally cite sources, and present information and arguments in a balanced, non-coercive, and non-manipulative way. To establish yourself as engaging, you want to have a well-delivered speech, which requires you to practice, get feedback, and practice some more. Your verbal and nonverbal delivery should be fluent and appropriate to the audience and occasion.

The circumstances that led your audience to attend your speech will affect their view of the occasion (Dlugan, 2012).  A captive audience includes people who are required to attend your presentation. Mandatory meetings are common in workplace settings. Whether you are presenting for a group of your employees, coworkers, classmates, or even residents in your dorm if you are a resident advisor, you should not let the fact that the meeting is required give you license to give a half-hearted speech. In fact, you may want to build common ground with your audience to overcome any potential resentment for the required gathering. In your speech class, your classmates are captive audience members.

View having a captive classroom audience as a challenge, and use this space as a public speaking testing laboratory. You can try new things and push your boundaries more, because this audience is very forgiving and understanding since they have to go through the same things you do. In general, you may have to work harder to maintain the attention of a captive audience. Since coworkers may expect to hear the same content they hear every time at this particular meeting (and classmates have to sit through dozens and dozens of speeches), use your speech as an opportunity to stand out from the crowd or from what has been done before.

A voluntary audience includes people who have decided to come hear your speech. To help adapt to a voluntary audience, ask yourself what the audience members expect (Dlugan, 2012). Why are they here? If they have decided to come and see you, they must be interested in your topic or you as a speaker. Perhaps you have a reputation for being humorous, being able to translate complicated information into more digestible parts, or being interactive with the audience and responding to questions. Whatever the reason or reasons, it is important to make sure you deliver on those aspects. If people are voluntarily giving up their time to hear you, you want to make sure they get what they expected.

A final aspect of psychological audience analysis involves considering the audience’s attitudes, beliefs, and values, as they will influence all the perceptions mentioned previously (Dlugan, 2012). As you can see in the figure below, think of our attitudes, beliefs, and values as layers that make up our perception and knowledge.

At the outermost level, attitudes are our likes and dislikes, and they are easier to influence than beliefs or values because they are often reactionary (Dlugan, 2012). If you have ever followed the approval rating of a politician, you know that people’s likes and dislikes change frequently and can change dramatically based on recent developments. This is also true interpersonally. For those of you who have siblings, think about how you can go from liking your sisters or brothers, maybe because they did something nice for you, to disliking them because they upset you. This seesaw of attitudes can go up and down over the course of a day or even a few minutes, but it can still be useful for a speaker to consider. If there is something going on in popular culture or current events that has captured people’s attention and favor or disfavor, then you can tap into that as a speaker to better relate to your audience.

When considering beliefs, we are dealing with what we believe “is or isn’t” or “true or false.” We come to hold our beliefs based on what we are taught, experience for ourselves, or believe (Dlugan, 2012). Our beliefs change if we encounter new information or experiences that counter previous ones. As people age and experience more, their beliefs are likely to change, which is natural.

Our values deal with what we view as right or wrong, good or bad (Dlugan, 2012). Our values do change over time but usually because of a life transition or life-changing event such as a birth, death, or trauma. For example, when many people leave their parents’ control for the first time and move away from home, they have a shift in values that occurs as they make this important and challenging life transition. In summary, audiences enter a speaking situation with various psychological dispositions, and considering what those may be can help speakers adapt their messages and better meet their speech goals.

General Purpose

Your speeches will usually fall into one of three categories. In some cases, we speak to inform, meaning we attempt to teach our audience using factual objective evidence. In other cases, we speak to persuade, as we try to influence an audience’s beliefs, attitudes, values, or behaviors. Last, we may speak to entertain or amuse our audience. In summary, the general purpose of your speech will be to inform, to persuade, or to entertain.

You can see various topics that may fit into the three general purposes for speaking in the table below “General Purposes and Speech Topics”. Some of the topics listed could fall into another general purpose category depending on how the speaker approached the topic, or they could contain elements of more than one general purpose. For example, you may have to inform your audience about your topic in one main point before you can persuade them, or you may include some entertaining elements in an informative or persuasive speech to help make the content more engaging for the audience. There should not be elements of persuasion included in an informative speech, however, since persuading is contrary to the objective approach that defines an informative general purpose. In any case, while there may be some overlap between general purposes, we place most speeches into one of the categories based on the overall content of the speech.

Choosing a Topic

Once you have determined (or been assigned) your general purpose, you can begin the process of choosing a topic (James Madison University Communication Center, 2021). In class, an instructor may give you the option of choosing any topic for your informative or persuasive speech, but in most academic, professional, and personal settings, there will be some parameters set that will help guide your topic selection. It is likely that speeches will be organized around the content covered in the class. Speeches delivered at work will usually be directed toward a specific goal, such as welcoming new employees, informing employees about changes in workplace policies, or presenting quarterly sales figures. We are also usually compelled to speak about specific things in our personal lives, like addressing a problem at our child’s school by speaking out at a school board meeting. In short, it is not often that you will be starting from scratch when you begin to choose a topic.

Whether you have received parameters that narrow your topic range or not, the first step in choosing a topic is brainstorming (James Madison University Writing Center, 2021). Brainstorming involves generating many potential topic ideas in a fast-paced and nonjudgmental manner. Brainstorming can take place multiple times, as you narrow your topic. For example, you may begin by brainstorming a list of your personal interests that you can narrow down to a speech topic. It makes sense that you will enjoy speaking about something that you care about or find interesting. The research and writing will be more interesting, and the delivery will be easier since you will not have to fake enthusiasm for your topic. Speaking about something you are familiar with and interested in can also help you manage speaking anxiety.

While it is good to start with your personal interests, some speakers may be stuck here if they do not feel like they can make their interests relevant to the audience. In that case, you can look around for ideas. If your topic is something being discussed in newspapers, on television, in the lounge of your dorm, or around your family’s dinner table, then it is likely to be of interest and be relevant, since it is current. Figure 8.3 shows how brainstorming works in stages. A list of topics that interest the speaker are on the top row. The speaker can brainstorm subtopics for each idea to see which one may work the best. In this case, the speaker could decide to focus his or her informative speech on three common ways people come to own dogs: through breeders, pet stores, or shelters.

Overall, you can follow these tips as you select and narrow your topic:

  • Brainstorm topics that you are familiar with, interest you, and/or are currently topics of discussion.
  • Choose a topic appropriate for the assignment/occasion.
  • Choose a topic that you can make relevant to your audience.
  • Choose a topic that you have the resources to research (access to information, people to interview, etc.).

Specific Purpose

Once you have brainstormed, narrowed, and chosen your topic, you can begin to draft your specific purpose statement (James Madison University Communication Center, 2021). Your specific purpose is a one-sentence statement that includes the objective you want to accomplish in your speech. You do not speak aloud your specific purpose during your speech; you use it to guide your researching, organizing, and writing. A good specific purpose statement is audience centered, agrees with the general purpose, addresses one main idea, and is realistic.

An audience-centered specific purpose statement usually contains an explicit reference to the audience—for example, “my audience” or “the audience.” Since a speaker may want to see if he or she effectively met his or her specific purpose, write the objective so that it could be measured or assessed. Moreover, since a speaker actually wants to achieve his or her speech goal, the specific purpose should also be realistic. You will not be able to teach the audience a foreign language or persuade an atheist to Christianity in a six- to nine-minute speech. The following is a good example of a good specific purpose statement for an informative speech: “By the end of my speech, the audience will be better informed about the effects the green movement has had on schools.” The statement is audience-centered and matches with the general purpose by stating, “The audience will be better informed.” The speaker could also test this specific purpose by asking the audience to write down, at the end of the speech, three effects the green movement has had on schools.

Thesis Statement

Your thesis statement is a one-sentence summary of the central idea of your speech that you either explain or defend (James Madison University Communication Center, 2021). You would explain the thesis statement for an informative speech, since these speeches are based on factual, objective material. You would defend your thesis statement for a persuasive speech, because these speeches are argumentative and your thesis should clearly indicate a stance on a particular issue. In order to make sure your thesis is argumentative and your stance clear, it is helpful to start your thesis with the words “I believe.” When starting to work on a persuasive speech, it can also be beneficial to write out a counterargument to your thesis to ensure that it is arguable.

The thesis statement is different from the specific purpose in two main ways. First, the thesis statement is content centered, while the specific purpose statement is audience centered. Second, the thesis statement is incorporated into the spoken portion of your speech, while the specific purpose serves as a guide for your research and writing and an objective that you can measure (Goodwin, 2017). A good thesis statement is declarative, agrees with the general and specific purposes, and focuses and narrows your topic. Although you will likely end up revising and refining your thesis as you research and write, it is good to draft a thesis statement soon after drafting a specific purpose to help guide your progress. As with the specific purpose statement, your thesis helps ensure that your research, organizing, and writing are focused so you don’t end up wasting time with irrelevant materials. Keep your specific purpose and thesis statement handy (drafting them at the top of your working outline is a good idea) so you can reference them often. The following examples show how a general purpose, specific purpose, and thesis statement match up with a topic area:

Topic: My Craziest Adventure

General purpose: To Entertain

Specific purpose: By the end of my speech, the audience will appreciate the lasting memories that result from an eighteen-year-old visiting New Orleans for the first time.

Thesis statement: New Orleans offers young tourists many opportunities for fun and excitement.

Topic: Renewable Energy

General purpose: To Inform

Specific purpose: By the end of my speech, the audience will be able to explain the basics of using biomass as fuel.

Thesis statement: Biomass is a renewable resource that releases gases that can be used for fuel.

Topic: Privacy Rights

General purpose: To Persuade

Specific purpose : By the end of my speech, my audience will believe that parents should not be able to use tracking devices to monitor their teenage child’s activities.

Thesis statement: I believe that it is a violation of a child’s privacy to be electronically monitored by his or her parents.

8.2 Researching and Supporting Your Speech

We live in an age where access to information is more convenient than ever before. The days of photocopying journal articles in the stacks of the library or looking up newspaper articles on microfilm are over for most. Yet, even though we have all this information readily available, research skills are more important than ever. Our challenge now is not accessing information but discerning what information is credible and relevant. Even though it may sound inconvenient to have to go physically to the library, students who did research before the digital revolution did not have to worry as much about discerning. If you found a source in the library, you could be assured of its credibility because a librarian had subscribed to or purchased that content. When you use Internet resources like Google or Wikipedia, you have no guarantees about some of the content that comes up.

Finding Supporting Material

As was noted earlier, it is good to speak about something with which you are already familiar. So existing knowledge forms the first step of your research process. Depending on how familiar you are with a topic, you will need to do more or less background research before you actually start incorporating sources to support your speech. Background research is just a review of summaries available for your topic that helps refresh or create your knowledge about the subject. It is not the more focused and academic research that you will actually use to support and verbally cite in your speech.

Your first step for research in college should be library resources, not Google, Bing, or other general search engines. In most cases, you can still do your library research from the comfort of a computer, which makes it as accessible as Google but gives you much better results. Excellent and underutilized resources at college and university libraries are reference librarians. Reference librarians are not like the people who likely staffed your high school library. They are information-retrieval experts. At most colleges and universities, you can find a reference librarian who has at least a master’s degree in library and information sciences, and at some larger or specialized schools, reference librarians have doctoral degrees. Research can seem like a maze, and reference librarians can help you navigate the maze. There may be dead ends, but there is always another way around to reach the end goal.

Unfortunately, many students hit their first dead end and give up or assume that there is not enough research out there to support their speech. If you have thought of a topic to do your speech on, someone else has thought of it, too, and people have written and published about it. Reference librarians can help you find that information (Matook, 2020). Meet with a reference librarian face-to-face and take your assignment sheet and topic idea with you. In most cases, students report that they came away with more information than they needed, which is good because you can then narrow that down to the best information. If you cannot meet with a reference librarian face-to-face, many schools now offer the option to do a live chat with a reference librarian, and you can contact them by e-mail or phone.

Aside from the human resources available in the library, you can also use electronic resources such as library databases . Library databases help you access more credible and scholarly information than what you will find using general Internet searches. These databases are quite expensive, and you cannot access them as a regular citizen without paying for them. Luckily, some of your student fee dollars go to pay for subscriptions to these databases so that you can access them as a student. Through these databases, you can access newspapers, magazines, journals, and books from around the world. Of course, libraries also house stores of physical resources like DVDs, books, academic journals, newspapers, and popular magazines (James Madison University Libraries, 2021). You can usually browse your library’s physical collection through an online catalog search. A trip to the library to browse is especially useful for books. Since most university libraries use the Library of Congress classification system, books are organized by topic. That means if you find a good book using the online catalog and go to the library to get it, you should take a moment to look around that book, because the other books in that area will be topically related. On many occasions, I have used this tip and gone to the library for one book but left with several.

Although Google is not usually the best first stop for conducting college-level research, Google Scholar is a separate search engine that narrows results down to scholarly materials. This version of Google has improved much over the past few years and has served as a good resource for my research, even for this book. A strength of Google Scholar is that you can easily search for and find articles not confined to a particular library database. The pool of resources you are searching in is much larger than what you would find by using a library database. The challenge is that you have no way of knowing if the articles that come up are available to you in full-text format. As noted earlier, you will find most academic journal articles in databases that require users to pay subscription fees. Therefore, you are often only able to access the abstracts of articles or excerpts from books that come up in a Google Scholar search. You can use that information to check your library to see if the article is available in full-text format, but if it is not, you have to go back to the search results. When you access Google Scholar on a campus network that subscribes to academic databases, however, you can sometimes click through directly to full-text articles. Although this resource is still being improved, it may be a useful alternative or backup when other search strategies are leading to dead end.

Types of Sources

Periodicals.

Periodicals include magazines and journals that are published periodically. Many library databases can access periodicals from around the world and from years past. A common database is Academic Search Premiere (a similar version is Academic Search Complete). Many databases, like this one, allow you to narrow your search terms, which can be very helpful as you try to find good sources that are relevant to your topic. You may start by typing a key word into the first box and searching. Sometimes a general search like this can yield thousands of results, which you obviously would not have time to look through. In this case, you may limit your search to results that have your keyword in the abstract , which is the author-supplied summary of the source. If there are still too many results, you may limit your search to results that have your keyword in the title. At this point, you may have reduced those ten thousand results down to a handful, which is much more manageable.

Within your search results, you will need to distinguish between magazines and academic journals. In general, academic journals are considered more scholarly and credible than magazines because most of the content in them is peer reviewed. The peer-review process is the most rigorous form of review, which takes several months to years and ensures that the information that is published has been vetted and approved by numerous experts on the subject. Academic journals are often affiliated with professional organizations rather than for-profit corporations, and neither authors nor editors are paid for their contributions.

Newspapers and Books

Newspapers and books can be excellent sources but must still be evaluated for relevance and credibility. Newspapers are good for topics that are developing quickly, as they are updated daily. While there are well-known newspapers of record like the New York Times , smaller local papers can also be credible and relevant if your speech topic does not have national or international reach. You can access local, national, and international newspapers through electronic databases like LexisNexis.

To evaluate the credibility of a book, you will want to know some things about the author. You can usually find this information at the front or back of the book. If an author is a credentialed and recognized expert in his or her area, the book will be more credible. However, just because someone wrote a book on a subject does not mean he or she is the most credible source. The publisher of a book can also be an indicator of credibility. Books published by university/academic presses (University of Chicago Press, Duke University Press) are considered more credible than books published by trade presses (Penguin, Random House), because they are often peer reviewed and they are not primarily profit driven.

Reference Tools

The transition to college-level research means turning more toward primary sources and away from general reference materials. Primary sources are written by people with firsthand experiences or by researchers/scholars who conducted original research (National WW II Museum, n.d.). Unfortunately, many college students are reluctant to give up their reliance on reference tools like dictionaries and encyclopedias. While reference tools like dictionaries and encyclopedias are excellent for providing a speaker with a background on a topic, they should not be the foundation of your research unless they are academic and/or specialized.

Dictionaries are handy tools when we are not familiar with a particular word. However, citing a dictionary like Merriam-Webster ’s as a source in your speech is often unnecessary. A dictionary is useful when you need to challenge a Scrabble word, but it is not the best source for college-level research.

Many students have relied on encyclopedias for research in high school, but most encyclopedias, like World Book , Encarta , or Britannica , are not primary sources. Instead, they are examples of secondary sources that aggregate, or compile, research done by others in a condensed summary (James Madison University Libraries, 2019). Reference sources like encyclopedias are excellent resources to get you informed about the basics of a topic, but at the college level, primary sources are expected. Many encyclopedias are internet-based, which makes them convenient, but they are still not primary sources, and their credibility should be even more scrutinized.

Wikipedia revolutionized how many people retrieve information and pioneered an open-publishing format that allowed a community of people to post, edit, and debate content. While this is an important contribution to society, Wikipedia is not considered a scholarly or credible source. Like other encyclopedias, Wikipedia should not be used in college-level research, because it is not a primary source. In addition, since its content can be posted and edited by anyone, we cannot be sure of the credibility of the content. Even though there are self-appointed “experts” who monitor and edit some of the information on Wikipedia, we cannot verify their credentials or the review process that information goes through before it is posted.

When conducting an interview for a speech, you should access a person who has expertise in or direct experience with your speech topic. If you follow the suggestions for choosing a topic that mentioned earlier, you may already know something about your speech topic and may have connections to people who would be good interview subjects. Previous employers, internship supervisors, teachers, community leaders, or even relatives may be appropriate interviewees, given your topic. If you do not have a connection to someone you can interview, you can often find someone via the Internet who would be willing to answer some questions. Many informative and persuasive speech topics relate to current issues, and most current issues have organizations that represent their needs.

Open-ended questions cannot be answered with a “yes” or “no” but they can provide descriptions and details that will add to your speech. Quotes and paraphrases from your interview can add a personal side to a topic or at least convey potentially complicated information in a more conversational and interpersonal way. Closed questions can be answered with one or two words and can provide a starting point to get to information that is more detailed. However, the interviewer must have prepared follow-up questions. Unless the guidelines or occasion for your speech suggest otherwise, you should balance your interview data with the other sources in your speech. Do not let your references to the interview take over your speech.

We already know that utilizing library resources can help you automatically filter out content that may not be scholarly or credible, since the content in research databases is selected and restricted. However, some information may be better retrieved from websites. Even though research databases and websites are electronic sources, two key differences between them may affect their credibility (Brigham Young University Library, 2021).

First, most of the content in research databases is or was printed but was converted to digital formats for easier and broader access. In contrast, most of the content on websites has not been printed. Second, most of the content on research databases has gone through editorial review, which means a professional editor or a peer editor has reviewed the material to make sure it is credible and worthy of publication. Most content on websites is not subjected to the same review process, as just about anyone with internet access can self-publish information on a personal website, blog, wiki, or social media page. Therefore, what sort of information may be better retrieved from websites, and how can we evaluate the credibility of a website?

A key way to evaluate the credibility of a website is to determine the site’s accountability (Brigham Young University Library, 2021). Accountability means determining who is ultimately responsible for the content put out and whose interests the content meets. The more information that is included on a website, the better able you will be to determine its accountability. Ideally all or most of the following information would be included: organization/agency name, author’s name and contact information, date the information was posted or published, name and contact information for person in charge of web content (i.e., web editor or webmaster), and a link to information about the organization/agency/ business mission. While not all this information has to be present to warrant the use of the material, the less accountability information is available, the more you should scrutinize the information.

You can also begin to judge the credibility of a website by its domain name. Some common domain names are .com , .net , .org , .edu , .mil , and .gov . For each type of domain, there are questions you may ask that will help you evaluate the site’s credibility. You can see a summary of these questions in table 8.2.

Types of Supporting Material  

There are several types of supporting material you can add to your speech. They include examples, explanations, statistics, analogies, testimony, and visual aids. You will want to have a balance of information, and you will want to include the material that is most relevant to your audience and is most likely to engage them.

An example is a cited case that is representative of a larger whole. Examples are especially beneficial when presenting information that may be unfamiliar to an audience. They are also useful for repackaging or reviewing information that has been presented previously. Examples are used in many different ways, so you should let your audience, purpose and thesis, and research materials guide your use. You may pull examples directly from your research materials, making sure to cite the source. The following is an example used in a speech about the negative effects of standardized testing: “Standardized testing makes many students anxious, and even ill. On March 14, 2002, the Sacramento Bee reported that some standardized tests now come with instructions indicating what teachers should do with a test booklet if a student throws up on it.” You may also cite examples from your personal experience, if appropriate: “I remember being sick to my stomach while waiting for my SAT to begin.”

You may also use hypothetical examples, which can be useful when you need to provide an example that is extraordinary or goes beyond most people’s direct experience (Beare, 2020). Capitalize on this opportunity by incorporating vivid description into the example that appeals to the audience’s senses. Always make sure to indicate when you are using a hypothetical example, as it would be unethical to present an example as real when it is not. Including the word imagine or something similar in the first sentence of the example can easily do this.

Explanations

Explanations clarify ideas by providing information about what something is, why something is the way it is, or how something works or came to be. One of the most common types of explanation is a definition. Definitions do not have to come from the dictionary. Many times, authors will define concepts as they use them in their writing, which is a good alternative to a dictionary definition. As you do your research, think about how much your audience likely knows about a given subject. You do not need to provide definitions when information is common knowledge. Anticipate audience confusion and define legal, medical, or other forms of jargon as well as slang and foreign words.

Statistics are numerical representations of information (Barnard, 2017). They are very credible in our society, as evidenced by their frequent use by news agencies, government offices, politicians, and academics. As a speaker, you can capitalize on the power of statistics if you use them appropriately. Unfortunately, speakers often intentionally or unintentionally misuse statistics and misconstrue the numbers to support their argument. They do so without examining the context from which the statistic emerged. All statistics are contextual, so plucking a number out of a news article or a research study and including it in your speech without taking the time to understand the statistic is unethical.

Although statistics are popular as supporting evidence, they can also be boring. There will inevitably be people in your audience who are not good at processing numbers. Even people who are good with numbers have difficulty processing through a series of statistics presented orally. Remember that we have to adapt our information to listeners who do not have the luxury of pressing a pause or rewind button. For these reasons, it is a good idea to avoid using too many statistics and to use startling examples when you do use them (Barnard, 2017). Startling statistics should defy our expectations. When you give the audience a large number that they would expect to be smaller, or vice versa, you will be more likely to engage them, as the following example shows: “Did you know that 1.3 billion people in the world do not have access to electricity? That’s about 20 percent of the world’s population according to a 2009 study on the International Energy Agency’s official website.”

Analogies involve a comparison of ideas, items, or circumstances (Segar, 2016). When you compare two things that actually exist, you are using a literal analogy—for example, “Germany and Sweden are both European countries that have had nationalized health care for decades.” Another type of literal comparison is a historical analogy. In Mary Fisher’s now famous 1992 speech to the Republican National Convention, she compared the silence of many U.S. political leaders regarding the HIV/AIDS crisis to that of many European leaders in the years before the Holocaust.

A figurative analogy compares things not normally related, often relying on metaphor, simile, or other figurative language devices. In the following example, wind and revolution are compared: “Just as the wind brings changes in the weather, so does revolution bring change to countries.”

When you compare differences, you are highlighting contrast—for example, “Although the United States is often thought of as the most medically advanced country in the world, other Western countries with nationalized health care have lower infant mortality rates and higher life expectancies.” To use analogies effectively and ethically, you must choose ideas, items, or circumstances to compare that are similar enough to warrant the analogy.

Testimonies

Testimonies are quoted information from people with direct knowledge about a subject or situation. Expert testimony is from people who are credentialed or recognized experts in a given subject (Davis, 2020). Lay testimony is often a recounting of a person’s experiences, which is more subjective. Both types of testimony are valuable as supporting material. We can see this in the testimonies of people in courtrooms and other types of hearings. Lawyers know that juries want to hear testimony from experts, eyewitnesses, and friends and family. Congressional hearings are similar.

When using testimony, make sure you indicate whether it is expert or lay by sharing with the audience the context of the quote. Share the credentials of experts (education background, job title, years of experience, etc.) to add to your credibility or give some personal context for the lay testimony (eyewitness, personal knowledge, etc.).

Visual Aids

Visual aids help a speaker reinforce speech content visually, which helps amplify the speaker’s message (Beqiri, 2018). They can be used to present any of the types of supporting materials discussed previously. Speakers rely heavily on an audience’s ability to learn by listening, which may not always be successful if audience members are visual or experiential learners. Even if audience members are good listeners, information overload or external or internal noise can be barriers to a speaker achieving his or her speech goals. Therefore, skillfully incorporating visual aids into a speech has many potential benefits.

Three-dimensional objects that represent an idea can be useful as a visual aid for a speech (Beqiri, 2018). They offer the audience a direct, concrete way to understand what you are saying. I often have my students do an introductory speech where they bring in three objects that represent their past, present, and future. Students have brought in a drawer from a chest that they were small enough to sleep in as a baby, a package of Ramen noodles to represent their life as a college student, and a stethoscope or other object to represent their career goals, among other things. Models also fall into this category, as they are scaled versions of objects that may be too big (the International Space Station) or too small (a molecule) to actually show to your audience.

Chalkboards, Whiteboards, and Flip Charts

Chalkboards, whiteboards, and flip charts can be useful for interactive speeches (Beqiri, 2018). If you are polling the audience or brainstorming, you can write down audience responses easily for everyone to see and for later reference. They can also be helpful for unexpected clarification. You can also have audience members write things on boards or flip charts themselves, which helps get them engaged and takes some of the pressure off you as a speaker.

Posters and Handouts

Posters generally include text and graphics and often summarize an entire presentation or select main points (Beqiri, 2018). We frequently use posters to present original research, as they can be broken down into the various steps to show how a process worked. Posters can be useful if you are going to have audience members circulating around the room before or after your presentation, so they can take the time to review the poster and ask questions. Posters are not often good visual aids during a speech, because it is difficult to make the text and graphics large enough for a room full of people to see adequately. The best posters are those created using computer software and professionally printed on large laminated paper.

These professional posters come at a price. If you opt to make your own poster, take care to make it look professional. Use a computer and printer to print out your text; do not handwrite on a poster. Make sure anything you cut by hand has neat, uniform edges. You can then affix the text, photos, and any accent backing to the poster board. Double-sided tape works well for this, as it does not leave humps like those left by rolled tape or the bubbles, smearing, or sticky mess left by glue.

Handouts can be a useful alternative to posters. Think of them as mini-posters that audience members can reference and take with them. Audience members will likely appreciate a neatly laid out, one-page handout that includes the speaker’s contact information. It can be appropriate to give handouts to an audience before a long presentation where note taking is expected, complicated information is presented, or the audience will be tested on or have to respond to the information presented. In most regular speeches less than fifteen minutes long, it would not be wise to distribute handouts ahead of time, as they will distract the audience from the speaker. It is better to distribute the handouts after your speech or at the end of the program, if others speaking after you.

Photographs, paintings, drawings, and sketches fall into the pictures category of visual aids. Pictures can be useful when you need to show an exact replication about which you are speaking. Pictures can also connect to your audience on a personal level, especially if they evoke audience emotions (Beqiri, 2018). Think about the use of pictures in television commercials asking for donations or sponsorships. Organizations like Save the Children and the American Society for the Prevention of Cruelty to Animals successfully use pictures of malnourished children or abused animals to pull at the heartstrings of viewers. A series of well-chosen and themed pictures can have a meaningful impact on an audience.

Diagrams and Drawings

Diagrams are good for showing the inner workings of an object or pointing out the most important or relevant parts of something (Neal, 2016). Think about diagrams as blueprints that show the inside of something—for example, key bones in the human body in a speech about common skateboarding injuries. Diagrams are good alternatives to pictures when you only need to point out certain things that may be difficult to see in a photograph.

Charts and Tables

Charts and tables are useful for compiling and cross-referencing larger amounts of information (Presentation Magazine, 2011). The combination of rows and columns allows you to create headers and then divide them up into units, categories, dates, and so on. Medical information is put into charts so that periods of recorded information, such as vital signs, can be updated and scanned by doctors and nurses. Charts and tables are also good for combining text and numbers, and they are easy to make with word processing software like Microsoft Word or spreadsheet software like Excel.

Think of presenting your department’s budget and spending at the end of a business quarter. You could have headers in the columns with the various categories and itemized deductions in the rows ending with a final total for each column.

A pie chart is an alternative representation of textual and numerical data that offers audience members a visual representation of the relative proportions of a whole. In a pie chart, each piece of the pie corresponds to a percentage of the whole, and the size of the pie varies with the size of the percentage. As with other charts and tables, most office software programs can now make pie charts.

Graphs are representations that point out numerical relationships or trends and include line graphs and bar graphs (Presentation Magazine, 2011). Line graphs are useful for showing trends over time. For example, you could track the rising cost of tuition for colleges and universities in a persuasive speech about the need for more merit-based financial aid.

Bar graphs are good for comparing amounts. In the same speech, you could compare the tuition of two-year institutions to that of four-year institutions. Graphs help make numerical data more digestible for your audience and allow you to convey an important numerical trend visually and quickly without having to go into lengthy explanations. Remember to label clearly your x -axis and y -axis and to explain the basics of your graph to your audience before you go into the specific data. If you use a graph created by someone else, make sure it is large and clear enough for the audience to read and that you cite the original source.

Video clips as visual aids can be powerful and engaging for an audience, but they can also be troublesome for speakers (Gallo, 2017). Whether embedded in a PowerPoint presentation, accessed through YouTube, or played from a laptop or DVD player, video clips are notorious for tripping up speakers. They require more than one piece of electronics when they are hooked to a projector and speaker. They may also require an Internet connection. The more electronic connection points, the more chances for something to go wrong. Therefore it is very important to test your technology before your speech, have a backup method of delivery if possible, and be prepared to go on without the video if all else fails.

Although sometimes tempting, you should not let the video take over your speech (Gallo, 2017). Make sure your video is relevant and cued to where it needs to be. One useful strategy for incorporating video is to play a video without audio and speak along with the video, acting as a narrator. This allows the speaker to have more control over the visual aid and to adapt it and make it more relevant to a specific topic and audience. Additionally, video editing software like iMovie is readily available to college students and relatively easy to use. Some simple editing to cut together various clips that are meaningful or adding an introductory title or transitions can go a long way toward making your video look professional.

Presentation Software

The prevalence of computers and projectors in most schools, offices, and other presentation facilities has made using computer-generated visual aids more convenient. PowerPoint is the most commonly used presentation software and has functionality ranging from the simplest text-based slide to complicated transitions, timing features, video/sound imbedding, and even functionality with audience response systems like Turning Point that allow data to be collected live from audience members and incorporated quickly into the slideshow. Despite the fact that most college students have viewed and created numerous PowerPoint presentations, we have all seen many poorly executed slideshows that detracted from the speaker’s message. PowerPoint should be viewed as a speech amplifier. Like an amplifier for a guitar, it does not do much without a musician there to play the instrument. The speaker is the musician, the speech is the instrument, and PowerPoint is the amplifier. Just as the amplifier does not dictate what the guitar player does, neither should PowerPoint take over the speaker (Rielly, 2020).

Presentations are generally longer than speeches, at least fifteen minutes long, and are content heavy. College lectures and many professional conference presentations fall into this category. In these cases, PowerPoint generally runs along with the speaker throughout the presentation, reviewing key points and presenting visual aids such as pictures and graphs. The constant running of the slideshow also facilitates audience note taking, which is also common during presentations.

Speeches, on the other hand, are usually fifteen minutes or less, have repetition and redundancy built in (as they are adapted to a listening audience), and carry less expectation that the audience will take detailed notes. In this case, PowerPoint should be used more as a visual aid, meaning that it should be simpler and amplify particular components of the speech rather than run along with the speaker throughout the speech (Rielly, 2020).

8.3 Organizing

When organizing your speech, you want to start with the body. Even though most students want to start with the introduction, it is difficult to introduce and preview something that you have not yet developed. A well-structured speech includes an introduction, a body, and a conclusion. Think of this structure as a human body. This type of comparison dates back to Plato, who noted, “every speech ought to be put together like a living creature” (Winans, 1917). The introduction is the head, the body is the torso and legs, and the conclusion is the feet. The information you add to this structure from your research and personal experience is the organs and muscle. The transitions you add are the connecting tissues that hold the parts together, and a well-practiced delivery is the skin and clothing that makes everything presentable.

Organizing the Body of Your Speech

Writing the body of your speech takes the most time in the speech-writing process. Your specific purpose and thesis statement should guide the initial development of the body, which will then be more informed by your research process (LibreTexts, 2021). You will determine main points that help achieve your purpose and match your thesis. You will then fill information into your main points by incorporating the various types of supporting material discussed previously. Before you move on to your introduction and conclusion, you will connect the main points together with transitions and other signposts.

Determining Your Main Points

Think of each main point as a miniature speech within your larger speech. Each main point will have a central idea, meet some part of your specific purpose, and include supporting material from your research that relates to your thesis. Reviewing the draft of your thesis and specific purpose statements can lead you to research materials.

As you review your research, take notes on and/or highlight key ideas that stick out to you as useful, effective, relevant, and interesting. It is likely that these key ideas will become the central ideas of your main points, or at least sub-points. Once you have researched your speech enough to achieve your specific purpose, support your thesis, and meet the research guidelines set forth by your instructor, boss, or project guidelines, you can distill the research down to a series of central ideas. As you draft these central ideas, use parallel wording , which is similar wording among key organizing signposts and main points that helps structure a speech. Using parallel wording in your central idea statement for each main point will also help you write parallel key signposts like the preview statement in the introduction, transitions between main points, and the review statement in the conclusion.

While writing each central idea using parallel wording is useful for organizing information at this stage in the speech-making process, you should feel free to vary the wording a little more in your actual speech delivery. You will still want some parallel key words woven throughout the speech, but sticking too close to parallel wording can make your content sound forced or artificial.

After distilling your research materials down, you may have several central idea statements. You will likely have two to five main points (depending on what your instructor prefers), time constraints, or the organizational pattern you choose. Not all of the central idea may be converted into main points; some may end up becoming sub-points and some may be discarded. Once you get your series of central ideas drafted, you will then want to consider how you might organize them, which will help you narrow your list down to what may actually end up becoming the body of your speech.

Organizing Your Main Points

There are several ways you can organize your main points. Some patterns correspond well to a particular subject area or speech type. Determining which pattern you will use helps filter through your list of central ideas generated from your research and allows you to move on to the next step of inserting supporting material into your speech. Here are some common organizational patterns.

Topical Pattern

When you use the topical pattern , you are breaking a large idea or category into smaller ideas or subcategories (Davis, 2021). In short, you are finding logical divisions to a whole. While you may break something down into smaller topics that will make two, three, or more main points, people tend to like groups of three. In a speech about the Woodstock Music and Art Fair, for example, you could break the main points down to (1) the musicians who performed, (2) the musicians who declined to perform, and (3) the audience. You could also break it down into three specific performances—(1) Santana, (2) The Grateful Dead, and (3) Creedence Clearwater Revival—or three genres of music—(1) folk, (2) funk, and (3) rock.

The topical pattern breaks a topic down into logical divisions but does not necessarily offer any guidance in ordering them. To help determine the order of topical main points, you may consider the primacy or recency effect (Morrison, Conway, & Chein, 2014). You prime an engine before you attempt to start it and prime a surface before you paint it. The primacy effect is similar in that you present your best information first in order to make a positive impression and engage your audience early in your speech. The recency effect is based on the idea that an audience will best remember the information they heard most recently. Therefore, you would include your best information last in your speech to leave a strong final impression. Both primacy and recency can be effective. Consider your topic and your audience to help determine which would work best for your speech.

Chronological Pattern

A chronological pattern helps structure your speech based on time or sequence. If you order a speech based on time, you may trace the development of an idea, product, or event (LibreTexts, 2020). A speech on Woodstock could cover the following: (1) preparing for the event, (2) what happened during the event, and (3) the aftermath of the event. Ordering a speech based on sequence is also chronological and can be useful when providing directions on how to do something or how a process works. This could work well for a speech on baking bread at home, refinishing furniture, or harvesting corn. The chronological pattern is often a good choice for speeches related to history or demonstration speeches.

Spatial Pattern

The spatial pattern arranges main points based on their layout or proximity to each other. A speech on Woodstock could focus on the layout of the venue, including (1) the camping area, (2) the stage area, and (3) the musician/crew area. A speech could also focus on the components of a typical theater stage or the layout of the new 9/11 memorial at the World Trade Center site.

Problem–Solution Pattern

The problem-solution pattern entails presenting a problem and offering a solution (LibreTexts, 2020). This pattern can be useful for persuasive speaking—specifically, persuasive speeches focused on a current societal issue. This can also be coupled with a call to action, asking an audience to take specific steps to implement a solution you offered. This organizational pattern can be applied to a wide range of topics and can be organized easily into two or three main points. You can offer evidence to support your claim that a problem exists in one main point and then offer a specific solution in the second main point. To be more comprehensive, you could set up the problem, review multiple solutions that have been proposed, and then add a third main point that argues for a specific solution out of the ones reviewed in the second main point. Using this pattern, you could offer solutions to the problem of rising textbook costs or offer your audience guidance on how to solve conflicts with roommates or coworkers.

Cause–Effect Pattern

The cause-effect pattern sets up a relationship between ideas that shows a progression from origin to result (LibreTexts, 2020). You could also start with the current situation and trace back to the root causes. You can use this pattern for informative or persuasive speeches. When used for informing, the speaker is explaining an established relationship and citing evidence to support the claim—for example, accessing unsecured, untrusted websites or e-mails leads to computer viruses. When used for persuading, the speaker is arguing for a link that is not as well established and/or is controversial—for example, violent video games lead to violent thoughts and actions. In a persuasive speech, a cause-effect argument is often paired with a proposed solution or call to action, such as advocating for stricter age restrictions on who can play violent video games. When organizing an informative speech using the cause-effect pattern, be careful not to advocate for a particular course of action.

Monroe’s Motivated Sequence

Monroe’s Motivated Sequence is a five-step organization pattern that attempts to persuade an audience by making a topic relevant, using positive and/or negative motivation, and including a call to action. The five steps are (1) attention, (2) need, (3) satisfaction, (4) visualization, and (5) action (Monroe & Ehninger, 1964).

You accomplish the attention step in the introduction to your speech. Whether your entire speech is organized using this pattern or not, any good speaker begins by getting the attention of the audience. We will discuss several strategies in Section 9 “Getting Your Audience’s Attention” for getting an audience’s attention. The next two steps set up a problem and solution.

After getting the audience’s attention you will want to establish the need step and that there is a need for your topic to be addressed. You will want to cite credible research that points out the seriousness or prevalence of an issue. In the attention and need steps, it is helpful to use supporting material that is relevant and proxemic to the audience.

Once you have set up the need for the problem to be addressed, you move on to the satisfaction step , where you present a solution to the problem. You may propose your own solution if it is informed by your research and reasonable. You may also propose a solution that you found in your research.

The visualization step is next and incorporates positive and/or negative motivation as a way to support the relationship you have set up between the need and your proposal to satisfy the need. You may ask your audience to visualize a world where things are better because they took your advice and addressed this problem. This capitalizes on positive motivation. You may also ask your audience to visualize a world where things are worse because they did not address the issue, which is a use of negative motivation. Now that you have hopefully persuaded your audience to believe the problem is worthy of addressing, proposed a solution, and asked them to visualize potential positive or negative consequences, you move to the action step.

The action step includes a call to action where you are saying, “Now that you see the seriousness of this problem, here’s what you can do about it.” The call to action should include concrete and specific steps an audience can take. Your goal should be to facilitate the call to action, making it easy for the audience to complete. Instead of asking them to contact their elected officials, you could start an online petition and make the link available to everyone. You could also bring the contact information for officials that represent that region so the audience does not have to look them up on their own. Although this organizing pattern is more complicated than the others are, it offers a proven structure that can help you organize your supporting materials and achieve your speech goals.

Incorporating Supporting Material

So far, you have learned several key steps in the speech creation process. Now you will begin to incorporate more specific information from your supporting materials into the body of your speech. You can place the central ideas that fit your organizational pattern at the beginning of each main point and then plug supporting material in as sub-points.

This information will also make up the content of your formal and speaking outlines. Remember that you want to include a variety of supporting material (examples, analogies, statistics, explanations, etc.) within your speech. The information that you include as sub-points helps back up the central idea that started the main point. Depending on the length of your speech and the depth of your research, you may also have sub-sub-points that back up the claim you are making in the sub-point. Each piece of supporting material you include eventually links back to the specific purpose and thesis statement. This approach to supporting your speech is systematic and organized and helps ensure that your content fits together logically and that your main points are clearly supported and balanced.

One of the key elements of academic and professional public speaking is verbally citing your supporting materials so your audience can evaluate your credibility and the credibility of your sources (James Madison University Communication Center, 2010). You should include citation information in three places: verbally in your speech, on any paper or electronic information (outline, PowerPoint), and on a separate reference sheet. Since much of the supporting material you incorporate into your speech comes directly from your research, it is important that you include relevant citation information as you plug this information into your main points. Do not wait to include citation information once you have drafted the body of your speech. At that point, it may be difficult to retrace your steps to locate the source of a specific sentence or statistic. As you paraphrase or quote your supporting material, work the citation information into the sentences; do not clump the information together at the end of a sentence, or try to cite more than one source at the end of a paragraph or main point. It is important that the audience hear the citations as you use the respective information so it is clear which supporting material matches up with which source.

Writing key bibliographic information into your speech will help ensure that you remember to verbally cite your sources and that your citations will be more natural and flowing and less likely to result in fluency hiccups. At minimum, you should include the author, date, and source in a verbal citation (James Madison University Communication Center, 2010). Sometimes more information is necessary. When citing a magazine, newspaper, or journal article, it is more important to include the source name than the title of the article, since the source name—for example, Newsweek —is what the audience needs to evaluate the speaker’s credibility. For a book, make sure to cite the title and indicate that the source is a book. When verbally citing information retrieved from a website, you do not want to try to recite a long and cumbersome URL in your speech. Most people do not even make it past the “www.” before they mess up. It is more relevant to audiences for speakers to report the sponsor/author of the site and the title of the web page, or section of the website, where they obtained their information.

When getting information from a website, it is best to use “official” organization websites or government websites. When you get information from an official site, make sure you state that in your citation to add to your credibility. For an interview, state when it took place, the name of the interviewee, their credentials. Advice for verbally citing sources and examples from specific types of sources follow:

Signposts on highways help drivers and passengers navigate places they are not familiar with and give us reminders and warnings about what to expect down the road (Amadeba, 2021). Signposts in speeches are statements that help audience members navigate the turns of your speech. There are several key signposts in your speech. In the order you will likely use them, they are preview statement, transition between introduction and body, transitions between main points, transition from body to conclusion, and review statement (see the table below for a review of the key signposts with examples). While the preview and review statements are in the introduction and conclusion, respectively, the other signposts are all transitions that help move between sections of your speech.

There are also signposts that can be useful within sections of your speech. Words and phrases like Aside from and While are good ways to transition between thoughts within a main point or sub-point. Organizing signposts like First , Second , and Third can be used within a main point to help speaker and audience move through information (Amadeba, 2021). The preview in the introduction and review in the conclusion need not be the only such signposts in your speech. You can also include internal previews and internal reviews in your main points to help make the content more digestible or memorable.

In addition to well-written signposts, you want to have well-delivered signposts. Nonverbal signposts include pauses and changes in rate, pitch, or volume that help emphasize transitions within a speech. Here are some ways you can use nonverbal signposting: pause before and after your preview and review statements so they stand out, pause before and after your transitions between main points so they stand out, and slow your rate and lower your pitch on the closing line of your speech to provide closure.

We all know that first impressions matter. Research shows that students’ impressions of instructors on the first day of class persist throughout the semester (Laws, Apperson, Buchert, & Bregman, 2010). First impressions are quickly formed, sometimes spontaneous, and involve little to no cognitive effort. Despite the fact that first impressions are not formed with much conscious effort, they form the basis of inferences and judgments about a person’s personality (Lass-Hennemann, Kuehl, Schulz, Oitzl, & Schachinger, 2011). For example, the student who approaches the front of the class before their speech wearing sweatpants and a t-shirt, looks around blankly, and lets out a sigh before starting has not made a very good first impression. Even if the student is prepared for the speech and delivers it well, the audience has likely already associated what they observed with personality traits of the student (i.e., lazy, indifferent), and those associations now have staying power in the face of contrary evidence that comes later.

Your introduction is only a fraction of your speech, but in that first minute or so, your audience decides whether they are interested in listening to the rest of the speech. You should accomplish four objectives in your introduction. They include getting your audience’s attention, introducing your topic, establishing credibility and relevance, and previewing your main points.

Getting Your Audience’s Attention

Several strategies can get the attention of your audience. Although each can be effective on its own, combining these strategies is also an option. A speaker can get their audience’s attention negatively, so think carefully about your choice. The student who began his speech on Habitat for Humanity by banging on the table with a hammer definitely got his audience’s attention during his 8:00 a.m. class, but he also lost credibility in that moment because many in the audience probably saw him as a joker rather than a serious speaker. The student who started her persuasive speech against animal testing with a little tap dance number ended up stumbling through the first half of her speech when she was thrown off by the confused looks the audience gave her when she finished her “attention getter.” These cautionary tales point out the importance of choosing an attention getter that is appropriate, meaning that it’s unusual enough to get people interested—but not over the top—and relevant to your speech topic.

In one of my favorite episodes of the television show The Office , titled “Dwight’s Speech,” the boss, Michael Scott, takes the stage at a regional sales meeting for a very nervous Dwight, who has been called up to accept an award. In typical Michael Scott style, he attempts to win the crowd over with humor and fails miserably.

In general, when a speech is supposed to be professional or formal, as many in-class speeches are, humor is more likely to be seen as incongruous with the occasion. However, there are other situations where a humorous opening might fit perfectly (Ginger Leadership Communications, 2019). For example, a farewell speech to a longtime colleague could start with an inside joke. When considering humor, it is good to get feedback on your idea from a trusted source.

Cite a Startling Fact or Statistic

As you research your topic, take note of any information that defies your expectations or surprises you. If you have a strong reaction to something you learn, your audience may, too. When using a startling fact or statistic as an attention getter, it is important to get the most bang for your buck. You can do this by sharing more than one fact or statistic that builds up the audience’s interest (Ginger Leadership Communications, 2019).

When using numbers, it is also good to repeat and/or repackage the statistics so they stick in the audience’s mind, which you can see in the following example: “In 1994, sixteen states reported that 15–19 percent of their population was considered obese. Every other state reported obesity rates less than that. In 2010, no states reported obesity rates in that same category of 15–19 percent, because every single state had at least a 20 percent obesity rate. In just six years, we went rom no states with an obesity rate higher than 19 percent, to fifty. Currently, the national obesity rate for adults is nearly 34 percent. This dramatic rise in obesity is charted on the Center for Disease Control and Prevention’s website, and these rates are expected to continue to rise.”

The speaker could have just started by stating that nearly 34 percent of the US adult population was obese in 2011. However, statistics are not meaningful without context. So sharing how that number rose dramatically over six years helps the audience members see the trend and understand what the current number means. The fourth sentence repackages and summarizes the statistics mentioned in the first three sentences, which again sets up an interesting and informative contrast. Last, the speaker provides a verbal citation for the source of the statistic.

Use a Quotation

Some quotations are attention getting and some are boring. Some quotations are relevant and moving and some are abstract and stale. If you choose to open your speech with a quotation, choose one that is attention getting, relevant, and moving.

Just because a quote seems relevant to you does not mean the audience will also notice that relevance, so it is best to make that explicit right after you use and cite the quote. Also, evaluate the credibility of the source on which you found the quote. Many websites that make quotations available care more about selling pop-up ads than the accuracy of their information. Students who do not double-check the accuracy of the quote may end up attributing the quote to the wrong person or citing a made-up quote.

Ask a Question

Starting a speech with a question is a common attention getter, but in reality many of the questions that I have heard start a speech are not very attention getting. It is important to note that just because you use one of these strategies that does not make it automatically appealing to an audience. A question can be mundane and boring just like a statistic, quotation, or story can (Ginger Leadership Communications, 2019).

A rhetorical question is different from a direct question. When a speaker asks a direct question, they actually want a response from their audience. A rhetorical question will elicit a mental response from the audience, not a verbal or nonverbal one. In short, a rhetorical question makes an audience think. Asking a direct question of your audience is warranted only if the speaker plans to do something with the information they get from the audience.

A safer bet is to ask a rhetorical question that elicits only a mental response. A good rhetorical question can get the audience primed to think about the content of the speech. When asked as a series of questions (and combined with startling statistics or facts), this strategy can create suspense and hook an audience.

Tell a Story

When you tell a story, whether in the introduction to your speech or not, you should aim to paint word pictures in the minds of your audience members (Ginger Leadership Communications, 2019). You might tell a story from your own life or recount a story you found in your research. You may also use a hypothetical story, which has the advantage of allowing you to use your creativity and help place your audience in unusual situations that neither you nor they have actually experienced. When using a hypothetical story, you should let your audience know it is not real, and you should present a story to which the audience can relate. Speakers often let the audience know a story is not real by starting with the word imagine .

Introducing the Topic

Introducing the topic of your speech is the most obvious objective of an introduction, but speakers sometimes forget to do this or do not do it clearly. As the author of your speech, you may think that what you are talking about is obvious. Sometimes a speech topic does not become obvious until the middle of a speech. By that time, however, it is easy to lose an audience that was not clearly told the topic of the speech in the introduction. Introducing the topic is done before the preview of main points and serves as an introduction to the overall topic. The following are two ways a speaker could introduce the topic of childhood obesity: “Childhood obesity is a serious problem facing our country,” or “Today I’ll persuade you that childhood obesity is a problem that can no longer be ignored.”

Establishing Credibility and Relevance

The way you write and deliver your introduction makes an important first impression on your audience. However, you can also take a moment in your introduction to set up your credibility in relation to your speech topic. If you have training, expertise, or credentials (e.g., a degree, certificate, etc.) relevant to your topic, you can share that with your audience. It may also be appropriate to mention firsthand experience, previous classes you have taken, or even a personal interest related to your topic. For example, a student delivers a speech persuading the audience that the penalties for texting and driving should be stricter. In his introduction, he mentioned that his brother’s girlfriend was killed when a car driven by someone who was texting hit her. His personal story shared in the introduction added credibility to the overall speech.

Previewing Your Main Points

The preview of main points is usually the last sentence of your introduction and serves as a map of what is to come in the speech (Davis, 2021). The preview narrows your introduction of the topic down to the main ideas you will focus on in the speech. Your preview should be one sentence, should include wording that is parallel to the key wording of your main points in the body of your speech, and should preview your main points in the same order you discuss them in your speech. Make sure your wording is concise so your audience does not think there will be four points when there are only three. The following example previews the main points for a speech on childhood obesity: “Today I’ll convey the seriousness of the obesity epidemic among children by reviewing some of the causes of obesity, common health problems associated with it, and steps we can take to help ensure our children maintain a healthy weight.”

How you conclude a speech leaves an impression on your audience (Barnard, 2017). There are three important objectives to accomplish in your conclusion. They include summarizing the importance of your topic, reviewing your main points, and closing your speech.

Summarizing the Importance of Your Topic

After you transition from the body of your speech to the conclusion, you will summarize the importance of your topic (Abhishek, 2020). This is the “take-away” message, or another place where you can answer the “so what?” question. This can often be a rewording of your thesis statement. You could summarize the speech about childhood obesity by saying, “Whether you have children or not, childhood obesity is a national problem that needs to be addressed.”

Reviewing Your Main Points

Once you have summarized the overall importance of your speech, you review the main points (Abhishek, 2020). The review statement in the conclusion is very similar to the preview statement in your introduction. You do not have to use the exact same wording, but you still want to have recognizable parallelism that connects the key idea of each main point to the preview, review, and transitions. The review statement for the childhood obesity speech could be “In an effort to convince you of this, I cited statistics showing the rise of obesity, explained common health problems associated with obesity, and proposed steps that parents should take to ensure their children maintain a healthy weight.”

Closing Your Speech

Like the attention getter, your closing statement is an opportunity for you to exercise your creativity as a speaker (Abhishek, 2020). Many students have difficulty wrapping up the speech with a sense of closure and completeness. In terms of closure, a well-written and well-delivered closing line signals to your audience that your speech is over, which cues their applause. You should not have to put an artificial end to your speech by saying “thank you”, that is it, or that is all I have In terms of completeness, the closing line should relate to the overall speech and should provide some “take-away” message that may leave an audience thinking or propel them to action. A sample closing line could be “For your health, for our children’s health, and for our country’s health, we must take steps to address childhood obesity today.” You can also create what I call the “ribbon and bow” for your speech by referring back to the introduction in the closing of your speech. For example, you may finish an illustration or answer a rhetorical question you started in the introduction.

Although the conclusion is likely the shortest part of the speech, students should practice it often. Even a well-written conclusion can be ineffective if the delivery is not good. Conclusions often turn out bad because they are not practiced enough. If you only practice your speech starting from the beginning, you may not get to your conclusion very often because you stop to fix something in one of the main points, get interrupted, or run out of time. Once you have started your speech, anxiety may increase as you near the end and your brain becomes filled with thoughts of returning to your seat, so even a well-practiced conclusion can fall short. Practicing your conclusion by itself several times can help prevent this.

Think of your outline as a living document that grows and takes form throughout your speech-making process.  When you first draft your general purpose, specific purpose, and thesis statement, you could create a new document on your computer and plug those in, essentially starting your outline. As you review your research and distill the information down into separate central ideas that support your specific purpose and thesis, type those statements into the document. After choosing your organizational pattern and are ready to incorporate supporting material, you can quote and paraphrase your supporting material along with the bibliographic information needed for your verbal citations into the document. By this point, you have a good working outline, and you can easily cut and paste information to move it around and see how it fits into the main points, sub-points, and sub-sub-points (James Madison University Communication Center, n. d.). As your outline continues to take shape, you will want to follow established principles of outlining to ensure a quality speech.

The Formal Outline

The formal outline is a full-sentence outline that helps you prepare for your speech. It includes the introduction and conclusion, the main content of the body, key supporting materials, citation information written into the sentences in the outline, and a references page for your speech (Dlugan, 2008). The formal outline also includes a title, the general purpose, specific purpose, and thesis statement. It is important to note that an outline is different from a script. While a script contains everything that will be said, an outline includes the main content. Therefore, you should not include every word you are going to say on your outline. This allows you more freedom as a speaker to adapt to your audience during your speech. Students sometimes complain about having to outline speeches or papers, but it is  a skill that will help in other contexts. Being able to break a topic down into logical divisions and then connect the information together will help ensure that you can prepare for complicated tasks or that you are prepared for meetings or interviews.

Principles of Outlining

There are principles of outlining you can follow to make your outlining process more efficient and effective. Four principles of outlining are consistency, unity, coherence, and emphasis (DuBois, 1929). In terms of consistency, you should follow standard outlining format. In standard outlining format, you indicate main points by capital roman numerals, sub-points by capital letters, and sub-sub-points by Arabic numerals. You indicate further divisions by either lowercase letters or lowercase roman numerals.

The principle of unity means that each letter or number represents one idea. One concrete way to help reduce the amount of ideas you include per item is to limit each letter or number to one complete sentence. If you find that one sub-point has more than one idea, you can divide it into two sub-points. Limiting each component of your outline to one idea makes it easier to plug in supporting material and helps ensure that your speech is coherent.

Following the principle of unity should help your outline adhere to the principle of coherence, which states that there should be a logical and natural flow of ideas, with main points, sub-points, and sub-sub-points connecting to each other (Winans, 1917). Shorter phrases and keywords can make up the speaking outline, but you should write complete sentences throughout your formal outline to ensure coherence.

The principle of coherence can also be met by making sure that when dividing a main point or sub-point, you include at least two subdivisions. After all, it defies logic that you could divide anything into just one part. Therefore, if you have an A , you must have a B , and if you have a 1 , you must have a 2 . If you can easily think of one sub-point but are having difficulty identifying another one, that sub-point may not be robust enough to stand on its own.

The principle of emphasis states that the material included in your outline should be engaging and balanced. As you place supporting material into your outline, choose the information that will have the most impact on your audience. Choose information that is proxemic and relevant, meaning that it can be easily related to the audience’s lives because it matches their interests or ties into current events or the local area.

Remember primacy and recency discussed earlier and place the most engaging information first or last in a main point depending on what kind of effect you want to have (Morrison, Conway, & Chein, 2014). Also, make sure your information is balanced. The outline serves as a useful visual representation of the proportions of your speech. You can tell by the amount of space a main point, sub-point, or sub-sub-point takes up in relation to other points of the same level whether your speech is balanced. If one sub-point is a half a page, but a main point is only a quarter of a page, then you may want to consider making the sub-point a main point. Each part of your speech does not have to be equal. The first or last point may be more substantial than a middle point if you are following primacy or recency, but overall the speech should be relatively balanced.

The Speaking Outline

The formal outline is a full-sentence outline that helps as you prepare for your speech, and the speaking outline is a keyword and phrase outline that helps you deliver your speech. While the formal outline is important to ensure that your content is coherent and your ideas are balanced and expressed clearly, the speaking outline helps you get that information out to the audience. Make sure you budget time in your speech preparation to work on the speaking outline. Skimping on the speaking outline will show in your delivery.

You may convert your formal outline into a speaking outline using a computer program. You may also choose, or be asked to, create a speaking outline on note cards. Note cards are a good option when you want to have more freedom to gesture or know you will not have a lectern on which to place notes printed on full sheets of paper. In either case, this entails converting the full-sentence outline to a keyword or key-phrase outline. Speakers will need to find a balance between having too much or too little content on their speaking outlines. You want to have enough information to prevent fluency hiccups as you stop to retrieve information, but you do not want to have so much information that you read your speech, which lessens your eye contact and engagement with the audience.

Budgeting sufficient time to work on your speaking outline will allow you to practice your speech with different amounts of notes to find what works best for you. Since the introduction and conclusion are so important, it may be useful to include notes to ensure that you remember to accomplish all the objectives of each.

Aside from including important content on your speaking outline, you may want to include speaking cues. Speaking cues are reminders designed to help your delivery. You may write “(PAUSE)” before and after your preview statement to help you remember that important nonverbal signpost. You might also write “(MAKE EYE CONTACT)” as a reminder not to read unnecessarily from your cards. Overall, my advice is to make your speaking outline work for you. It is your last line of defense when you are in front of an audience, so you want it to help you, not hurt you.

Chapter 10: Sources and Research

10.1 Types of Sources: Primary, Secondary, Tertiary

This chapter will help you learn about the difference between those types of sources, here is a quick and useful reference:

The determination of a text as “popular” or “scholarly/academic” is one way to classify it and to understand what type of information you are engaging with.  Another way to classify sources is by considering whether they are primary, secondary or tertiary. Popular sources can be primary, secondary, or tertiary. Scholarly sources, also, can be primary, secondary, or tertiary.

What is a Primary Source?

Primary sources are texts that arise directly from a particular event or time period. They may be letters, speeches, works of art, works of literature, diaries, direct personal observations, newspaper articles that offer direct observations of current events, survey responses, tweets, other social media posts, original scholarly research  (meaning research that the author or authors conduct themselves) or any other content that comes out of direct involvement with an event or a research study.

Primary research is information that has not yet been critiqued, interpreted or analyzed by a second (or third, etc) party.

Primary sources can be popular (if published in newspapers, magazines or websites for the general public) or academic (if written by scholars and published in scholarly journals).

Examples of primary sources:

  • journals, diaries
  • data from surveys or polls
  • scholarly journal articles in which the author(s) discuss the methods and results from their own original research/experiments
  • photos, videos, sound recordings
  • interviews or transcripts
  • poems, paintings, sculptures, songs or other works of art
  • government documents (such as reports of legislative sessions, laws or court decisions, financial or economic reports, and more)
  • Newspaper and Magazine articles that report directly on current events (although these can also be considered Secondary)
  • Investigative journalism (sometimes considered Secondary as well)

What is a Secondary Source?

Secondary sources summarize, interpret, critique, analyze, or offer commentary on primary sources.

In a secondary source, an author’s subject is not necessarily something that he or she directly experienced. The author of a secondary source may be summarizing, interpreting or analyzing data or information from someone else’s research   or offering an interpretation or opinion on current events. Thus, the secondary source is one step away from that original, primary topic/subject/research study.

Secondary sources can be popular (if published in newspapers, magazines or websites for the general public) or academic (if written by scholars and published in scholarly journals).

Examples of secondary sources:

  • book, movie or art reviews
  • summaries of the findings from other people’s research
  • interpretations or analyses of primary source materials or other people’s research
  • histories or biographies
  • political commentary
  • Newspaper and Magazine articles that mainly synthesize others’ research or primary materials (remember, newspaper and magazine articles can also be considered primary, depending on the content)

What is a Tertiary Source?

Tertiary sources are syntheses of primary and secondary sources. The person/people who compose a tertiary text are summarizing, compiling, and/or paraphrasing others’ work. These sources sometimes do not even list an author. Often you would want to use a tertiary source to find both Primary and Secondary sources. Keep in mind that, too, that it may sometimes be difficult to categorize something as strictly tertiary, and that it may depend on how you decide to use the item in your research and writing. Your instructors will often not accept the sole use of tertiary sources for your papers. Instead, you should strive to only use tertiary sources to find more academic sources, as they often have titles of other works and links (f they are web-based) to more academic primary and secondary sources that you can use instead.

Tertiary sources can be popular or academic depending on the content and publisher.

Examples of tertiary sources include:

  • encyclopedias
  • dictionaries

Now that you know what kinds of sources exist, it is important to remember that various disciplines find certain types of evidence to be more acceptable and appropriate than others. For instance, while the Humanities may consider anything from passages of text to art appropriate evidence, certain sciences may prefer data and statistics. What is most important to remember, no matter the discipline for which you are writing and pulling evidence, is that the evidence is never enough by itself. You must always be sure to explain why, and how, that evidence supports your claims or ideas. 10.3: Types of Sources

Once you have your research question, you’ll need information sources to answer it. In today’s complex information landscape, just about anything that contains information can be considered a source.

Here are a few examples:

  • books and encyclopedias
  • websites, web pages, and blogs
  • magazine, journal, and newspaper articles
  • research reports and conference papers
  • interviews and surveys
  • photographs, paintings, cartoons, and other art works
  • TV and radio programs, podcasts, movies, and videos
  • illuminated manuscripts and artifacts
  • bones, minerals, and fossils
  • pamphlets and government documents

With so many sources available, the question usually is not whether sources exist for your project but which ones will best meet your information needs. Being able to categorize a source helps you understand the kind of information it contains, which is a big clue to (1) whether it might meet one or more of your information needs and (2) where to look for it and similar sources.

As you may already be able to tell, sources can be in more than one category at the same time because the categories are not mutually exclusive.

The Purpose of the Source

When you encounter a source, you should ask yourself, “Why does this source exist?” Thinking about the reason an author produced a source can be helpful to you because that reason was what dictated the kind of information included. Depending on that purpose, the author may have chosen to include factual and/or analytical information — or, instead, information that was meant to be entertaining. The author’s reason for producing the source also determined whether more perspectives were included or just the author’s own.

Authors typically want to achieve one or more of the following:

  • Inform and educate
  • Sell services or products

Sometimes authors have a combination of purposes, as when marketers decide they can sell more smart phones with an informative sales video that also entertains us.

Why Intent Matters

Authors’ intent matters because their goal will impact what information they include and how they present that information. For instance, when you’re looking for sources that will help you find the best answer to your research question or evidence for your answer that you will share with your audience, you will want the author’s main purpose to have been to inform or educate their audience. That’s because, with that intent, authors are likely to have used the following:

  • Facts where possible
  • Multiple perspectives instead of just their own
  • Little subjective information
  • Unbiased, objective language that cites other sources of information

Those characteristics will lend credibility to the argument you are making in your project. Both you and your audience will simply find it easier to believe—will have more confidence in the argument being made—when you include those types of sources.

Sources whose authors intend only to persuade others won’t meet your information need for an answer to your research question or evidence with which to convince your audience. That’s because they don’t always confine themselves to facts. Instead, they often tell us their opinions without backing them up with evidence.

It’s especially important to verify the purpose in the case of online sources . Let’s say that you find a social media infographic about the health benefits of elderberry syrup. An individual user or an organization took the time to create the post. Why did they do that work? Are they trying to sell you elderberry syrup or are they from a government health organization trying to combat misinformation about health supplements? The difference will tell you whether you can trust the source.

How Will You Use the Source?

Another way to categorize information is by the type of information it offers and, implicitly, the role it will play in your argument.

Primary research is a research approach that involves gathering data directly while secondary research is a research approach that involves relying on already existing data when carrying out a systematic investigation

Primary Sources present data collected by their authors (who performed  primary research ). Some examples are:

  • Survey data
  • Breaking news
  • An advertisement
  • An eyewitness account
  • An interview

When you work with primary sources, you are expected to provide the interpretation/ analysis of the data provided in the source.

Secondary Sources interpret/ analyze information from primary sources. Use secondary sources when you’re interested in the analysis of others. Here are some examples:

  • A book about marketing.
  • A scholarly journal article that uses data from several primary sources to present a complex argument about a certain economic trend
  • An article that critiques a new piece of software.
  • An article/ blog post that summarizes and synthesizes several eyewitness accounts for a new understanding of an event.
  • An informational podcast on a topic of public interest
  • A magazine article that reviews a film

Tertiary Sources consist of indexes or other types of texts that condense, summarize, organize, compile, or digest information:

  • Guide books
  • Survey articles
  • User guides
  • Encyclopedias

The difference between primary, secondary and tertiary sources can be a little confusing. Think of a primary source as raw materials that you will use to build an argument. You’re the one doing the analysis. For example, let’s say that your company wants to know how to increase the open rates of its email marketing campaign. The data of all of the email open rates from the past year are a primary source. You’ll use this data to look for trends about which emails are most and least popular. If you read a blog post by an expert in email marketing, however, you’re examining secondary research. You’ve chosen the blog posts because you want someone else’s expert opinion. A tertiary source is a source that you use to find other sources. For example, you might examine a survey article to identify several useful and reliable sources.

What type of research will you most likely produce/ perform at work? If you conduct interviews, surveys, etc., you’d be doing primary research. Most often, however, you’ll probably have to write shorter or longer analytical/ recommendation reports, which can be best described as secondary research (even is you use primary research you yourself have previously performed in order to be able to write them).

Who Is the Intended Audience?

We can also categorize information by the expertise of its intended audience. Considering the intended audience—how much expertise one has to have to understand the information—can indicate whether the source has sufficient credibility and thoroughness to meet your needs. When you are writing papers for a university course, academic articles (peer-reviewed) are usually the best source. In the workplace, however, you may be researching something that doesn’t have many peer-reviewed articles about it yet or you may only need a basic understanding of the topic. The reports and other assignments you prepare for courses in your graduate certificate here at Fanshawe will typically require you to use a combination of peer-reviewed and non-peer-reviewed sources, depending on the context/ scenario.

There are varying degrees of expertise:

Popular – Popular newspaper and magazine articles (such as The National Post, Maclean’s Magazine, and Rolling Stone) are meant for a large general audience, generally affordable, easy to purchase or available free of charge. They are written by staff writers or reporters for the general public.

Professional – Professional magazine articles (such as Plastic Surgical Nursing and Music Teacher) are meant for people in a particular profession, often accessible through a professional organization. Staff writers or other professionals in the targeted field write these articles at a level and with the language to be understood by everyone in the profession. Here are some general characteristics of these articles:

  • About trends and news from the targeted field, book reviews, and case studies.
  • Often less than 10 pages, some of which may contain footnotes and references.
  • Usually published by professional associations and commercial publishers
  • Published after approval from an editor

Scholarly – Scholarly journal articles (such as Plant Science and Education and Child Psychology) are meant for scholars, students, or the general public who want a deep understanding of a problem or issue. Researchers and scholars write these articles to present new knowledge and further understanding of their field of study. Main characteristics of such sources:

  • This is where research project findings, data and analytics, and case studies usually appear first.
  • Often long (usually over 10 pages) and always include footnotes and references.
  • Usually published by universities, professional associations, and commercial publishers.
  • Published after approval by peer review or from the journal’s editor.

The most respected scholarly journals are peer-reviewed, which means that other experts in their field check out each article before it can be published. It’s their responsibility to help guarantee that new material is presented in the context of what is already known, that the methods the researcher used are the right ones, and that the articles contribute to the field.

Peer-reviewed articles are more likely to be credible. Peer-reviewed journal articles are the official scholarly record, which means that if there is an important development in research, it will appear in a journal article eventually.

This guide will introduce students to three types of resources or sources of information: primary, secondary, and tertiary.

Definition of a Primary Source: 

Primary sources are firsthand documents that provide direct evidence on your topic.   The Library of Congress refers to them as the "raw materials of history — original documents and objects which were created at the time under study. They are different from secondary sources, accounts or interpretations of events created by someone without firsthand experience."

A primary source is most often created during the time the events you are studying occurred, such as newspaper articles from the period, correspondence, diplomatic records, original research reports and notes, diaries etc. They may also include items created after the events occurred, but that recount them such as autobiographies and oral histories.

Definition of a Secondary Source: 

Secondary Sources are accounts written after the fact with the benefit of hindsight. They are interpretations and evaluations of primary sources. Secondary sources are not evidence, but rather commentary on and discussion of evidence. ¹

Definition of a Tertiary Source

A tertiary source presents summaries or condensed versions of materials, usually with references back to the primary and/or secondary sources. 

Primary Source in Law: 

A statement of the law itself from a governmental entity, such as a court, legislature, executive agency, President or Governor.  

Secondary Source in Law: 

Materials that discuss, explain, interpret, and analyze what the law is or what it should be.

7.4 Outlining Your Speech

Most speakers and audience members would agree that an organized speech is both easier to present as well as more persuasive. Public speaking teachers especially believe in the power of organizing your speech, which is why they encourage (and often require) that you create an outline for your speech. Outlines, or textual arrangements of all the various elements of a speech, are a very common way of organizing a speech before it is delivered. Most extemporaneous speakers keep their outlines with them during the speech as a way to ensure that they do not leave out any important elements and to keep them on track. Writing an outline is also important to the speechwriting process since doing so forces the speakers to think about the main ideas, known as main points, and subpoints, the examples they wish to include, and the ways in which these elements correspond to one another. In short, the outline functions both as an organization tool and as a reference for delivering a speech.

Outline Types

There are two types of outlines, the preparation outline and the speaking outline.

Preparation Outline

The first outline you will write is called the preparation outline . Also called a skeletal, working, practice, or rough outline, the preparation outline is used to work through the various components of your speech in an organized format. Stephen E. Lucas (2004) put it simply: “The preparation outline is just what its name implies—an outline that helps you prepare the speech.” When writing the preparation outline, you should focus on  finalizing the specific purpose and thesis statement, logically ordering your main points, deciding where supporting material should be included, and refining the overall organizational pattern of your speech. As you write the preparation outline, you may find it necessary to rearrange your points or to add or subtract supporting material. You may also realize that some of your main points are sufficiently supported while others are lacking. The final draft of your preparation outline should include full sentences. In most cases, however, the preparation outline is reserved for planning purposes only and is translated into a speaking outline before you deliver the speech. Keep in mind though, even a full sentence outline is not an essay.

Speaking Outline

A speaking outline is the outline you will prepare for use when delivering the speech. The speaking outline is much more succinct than the preparation outline and includes brief phrases or words that remind the speakers of the points they need to make, plus supporting material and signposts (Beebe & Beebe, 2003). The words or phrases used on the speaking outline should briefly encapsulate all of the information needed to prompt the speaker to accurately deliver the speech. Although some cases call for reading a speech verbatim from the full-sentence outline, in most cases speakers will simply refer to their speaking outline for quick reminders and to ensure that they do not omit any important information. Because it uses just words or short phrases, and not full sentences, the speaking outline can easily be transferred to index cards that can be referenced during a speech. However, check with your instructor regarding what you will be allowed to use for your speech.

Components of Outlines

The main components of the outlines are the main points, subordination and coordination, parallelism, division, and the connection of main points.

Main Points

Main points are the main ideas in the speech. In other words, the main points are what your audience should remember from your talk, and they are phrased as single, declarative sentences. These are never phrased as a question, nor can they be a quote or form of citation. Any supporting material you have will be put in your outline as a subpoint. Since this is a public speaking class, your instructor will decide how long your speeches will be, but in general, you can assume that no speech will be longer than 10 minutes in length. Given that alone, we can make one assumption. All speeches will fall between 2 to 5 main points based simply on length. If you are working on an outline and you have ten main points, something is wrong, and you need to revisit your ideas to see how you need to reorganize your points.

All main points are preceded by Roman numerals (I, II, III, etc.). Subpoints are preceded by capital letters (A, B, C, etc.), then Arabic numerals (1, 2, 3, etc.), lowercase letters (a, b, c, etc.). You can subordinate further than this. Speak with your instructor regarding his or her specific instructions. Each level of subordination is also differentiated from its predecessor by indenting a few spaces. Indenting makes it easy to find your main points, subpoints, and the supporting points and examples below them.

Let’s work on understanding how to take main points and break them into smaller ideas by subordinating them further and further as we go by using the following outline example:

Topic : Dog

Specific Purpose : To inform my audience about characteristics of dogs

Thesis : There are many types of dogs that individuals can select from before deciding which would make the best family pet.

Preview : First, I will describe the characteristics of large breed dogs, and then I will discuss characteristics of small breed dogs.

I.     First, let’s look at the characteristics of large breed dogs      A.     Some large breed dogs need daily activity.      B.     Some large breed dogs are dog friendly.      C.     Some large breed dogs drool.           1.     If you are particularly neat, you may not want one of these.               a.     Bloodhounds drool the most.                   1)     After eating is one of the times drooling is bad.                   2)     The drooling is horrible after they drink, so beware!               b.    English bloodhounds drool a lot as well.           2.     If you live in an apartment, these breeds could pose a problem. II.    Next, let’s look at the characteristics of small breed dogs.      A.     Some small breed dogs need daily activity.      B.     Some small breed dogs are dog friendly.      C.     Some small breed dogs are friendly to strangers.           1.    Welsh Terriers love strangers.               a.     They will jump on people.               b.     They will wag their tails and nuzzle.           2.    Beagles love strangers.           3.    Cockapoos also love strangers.

Subordination and Coordination

You should have noticed that as ideas were broken down, or subordinated, there was a hierarchy to the order. To check your outline for coherence, think of the outline as a staircase. All of the points that are beneath and on a diagonal to the points above them are subordinate points. So using the above example, points A, B, and C dealt with characteristics of large breed dogs, and those points are all subordinate to main point I. Similarly, points 1 and 2 under point C both dealt with drool, so those are subordinate. This is the subordination of points. If we had discussed food under point C, you would know that something didn’t make sense. You will also see that there is coordination of points. As part of the hierarchy, coordination simply means that all of the numbers or letters should represent the same idea. In this example, A, B, and C were all characteristics, so those are all coordinate to each other. Had C been “German Shepherd,” then the outline would have been incorrect because that is a type of dog, not a characteristic.

Parallelism

Another important rule in outlining is known as parallelism . This means that when possible, you begin your sentences in a similar way, using a similar grammatical structure. For example, in the previous example on dogs, some of the sentences began “some large breed dogs.” This type of structure adds clarity to your speaking. Students often worry that parallelism will sound boring. It’s actually the opposite! It adds clarity. However, if you had ten sentences in a row, we would never recommend you begin them all the same way. That is where transitions come into the picture and break up any monotony that could occur.

The principle of division is an important part of outlining. When you have a main point, you will be explaining it. You should have enough meaningful information that you can divide it into two subpoints A and B. If subpoint A has enough information that you can explain it, then it, too, should be able to be divided into two subpoints. So, division means this: If you have an A, then you need a B; if you have a 1, then you need a 2, and so on. What if you cannot divided the point? In a case like that you would simply incorporate the information in the point above.

Connecting Your Main Points

One way to connect points is to include transitional statements . Transitional statements are phrases or sentences that lead from one distinct- but-connected idea to another. They are used to alert the audience to the fact that you are getting ready to discuss something else. When moving from one point to another, your transition may just be a word or short phrase, known as a sign post. For instance, you might say “next,” “also,” or “moreover.” You can also enumerate your speech points and signal transitions by starting each point with “First,” “Second,” “Third,” et cetera. You might also incorporate non-verbal transitions, such as brief pauses or a movement across the stage. Pausing to look at your audience, stepping out from behind a podium, or even raising or lowering the rate of your voice can signal to audience members that you are transitioning.

Another way to incorporate transitions into your speech is by offering internal summaries and internal previews within your speech. Summaries provide a recap of what has already been said, making it more likely that audiences will remember the points that they hear again. For example, an internal summary may sound like this:

So far, we have seen that the pencil has a long and interesting history. We also looked at the many uses the pencil has that you may not have known about previously.

Like the name implies, internal previews lay out what will occur next in your speech. They are longer than transitional words or signposts .

Next, let us explore what types of pencils there are to pick from that will be best for your specific project.

Additionally, summaries can be combined with internal previews to alert audience members that the next point builds on those that they have already heard.

Now that I have told you about the history of the pencil, as well as its many uses, let’s look at what types of pencils you can pick from that might be best for your project.

It is important to understand that if you use an internal summary and internal preview between main points, you need to state a clear main point following the internal preview. Here’s an example integrating all of the points on the pencil:

I. First, let me tell you about the history of the pencil.

So far we have seen that the pencil has a long and interesting history. Now, we can look at how the pencil can be used (internal summary, signpost, and internal preview).

II. The pencil has many different uses, ranging from writing to many types of drawing.

Now that I have told you about the history of the pencil, as well as its many uses, let’s look at what types of pencils you can pick from that might be best for your project (Signpost, internal summary and preview).

III. There are over fifteen different types of pencils to choose from ranging in hardness and color.

Had Meg, the student mentioned in the opening anecdote, taken some time to work through the organizational process, it is likely her speech would have gone much more smoothly when she finished her introduction. It is very common for beginning speakers to spend a great deal of their time preparing catchy introductions, fancy PowerPoint presentations, and nice conclusions, which are all very important. However, the body of any speech is where the speaker must make effective arguments, provide helpful information, entertain, and the like, so it makes sense that speakers should devote a proportionate amount of time to these areas as well. By following this chapter, as well as studying the other chapters in this text, you should be prepared to craft interesting, compelling, and organized speeches.

16.2 Types of Informative Speeches

Learning objectives.

For some speakers, deciding on a topic is one of the most difficult parts of informative speaking. The following subsections begin by discussing several categories of topics that you might use for an informative presentation. Then we discuss how you might structure your speech to address potential audience difficulties in understanding your topic or information.

The term “objects” encompasses many topics we might not ordinarily consider to be “things.” It’s a category that includes people, institutions, places, substances, and inanimate things. The following are some of these topics:

  • Mitochondria
  • Dream catchers
  • Hubble telescope
  • Seattle’s Space Needle
  • Silicon chip
  • Spruce Goose
  • Medieval armor
  • DDT insecticide

You will find it necessary to narrow your topic about an object because, like any topic, you can’t say everything about it in a single speech. In most cases, there are choices about how to narrow the topic. Here are some specific purpose statements that reflect ways of narrowing a few of those topics:

  • To inform the audience about the role of soy inks in reducing toxic pollution
  • To inform the audience about the current uses of the banned insecticide DDT
  • To inform the audience about what we’ve learned from the Hubble telescope
  • To inform the audience about the role of the NAACP in the passage of the Civil Rights Act of 1964
  • To describe the significance of the gigantic Spruce Goose, the wooden airplane that launched an airline

These specific purposes reflect a narrow, but interesting, approach to each topic. These purposes are precise, and they should help you maintain your focus on a narrow but deep slice of knowledge.

This category applies both to specific individuals and also to roles. The following are some of these topics:

  • Dalai Lamas
  • Tsar Nicholas II
  • Modern midwives
  • Catherine the Great
  • Navajo code talkers
  • Mahatma Gandhi
  • Justice Thurgood Marshall
  • Madame Curie
  • Leopold Mozart
  • The Hemlock Society
  • Sonia Sotomayor
  • Jack the Ripper

There is a great deal of information about each one of these examples. In order to narrow the topic or write a thesis statement, it’s important to recognize that your speech should not be a biography, or time line, of someone’s life. If you attempt to deliver a comprehensive report of every important event and accomplishment related to your subject, then nothing will seem any more important than anything else. To capture and hold your audience’s interest, you must narrow to a focus on a feature, event, achievement, or secret about your human topic.

Here are some purpose statements that reflect a process of narrowing:

  • To inform the audience about the training program undergone by the first US astronauts to land on the moon
  • To inform the audience about how a young Dalai Lama is identified
  • To inform the audience about why Gandhi was regarded as a mahatma, or “great heart”
  • To inform the audience about the extensive scientific qualifications of modern midwives

Without a limited purpose, you will find, with any of these topics, that there’s simply too much to say. Your purpose statement will be a strong decision-making tool about what to include in your speech.

An event can be something that occurred only once, or an event that is repeated:

  • The murder of Emmett Till
  • The Iditarod Dogsled Race
  • The Industrial Revolution
  • The discovery of the smallpox vaccine
  • The Bikini Atoll atomic bomb tests
  • The Bay of Pigs
  • The Super Bowl
  • The Academy Awards

Again, we find that any of these topics must be carefully narrowed in order to build a coherent speech. Failure to do so will result in a shallow speech. Here are a few ways to narrow the purpose:

  • To explain how the murder of Emmett Till helped energize the civil rights movement
  • To describe how the Industrial Revolution affected the lives of ordinary people
  • To inform the audience about the purpose of the Iditarod dogsled race

There are many ways to approach any of these and other topics, but again, you must emphasize an important dimension of the event. Otherwise, you run the risk of producing a time line in which the main point gets lost. In a speech about an event, you may use a chronological order , but if you choose to do so, you can’t include every detail. The following is an example:

Specific Purpose: To inform the audience about the purpose of the Iditarod dogsled race.

Central Idea: The annual Iditarod commemorates the heroism of Balto, the sled dog that led a dog team carrying medicine 1150 miles to save Nome from an outbreak of diphtheria.

Main Points:

  • Diphtheria broke out in a remote Alaskan town.
  • Dogsleds were the only transportation for getting medicine.
  • The Iditarod Trail was long, rugged, and under siege of severe weather.
  • Balto the dog knew where he was going, even when the musher did not.
  • The annual race commemorates Balto’s heroism in saving the lives of the people of Nome.

In this example, you must explain the event. However, another way to approach the same event would describe it. The following is an example:

Specific Purpose: To describe the annual Iditarod Trail Sled Dog Race.

Central Idea: It’s a long and dangerous race.

  • The 1150-mile, ten- to seventeen-day race goes through wilderness with widely spaced checkpoints for rest, first aid, and getting fresh dogs.
  • A musher, or dogsled driver, must be at least fourteen years old to endure the rigors of severe weather, exhaustion, and loneliness.
  • A musher is responsible for his or her own food, food for twelve to sixteen dogs, and for making sure they don’t get lost.
  • Reaching the end of the race without getting lost, even in last place, is considered honorable and heroic.
  • The expense of participation is greater than the prize awarded to the winner.

By now you can see that there are various ways to approach a topic while avoiding an uninspiring time line. In the example of the Iditarod race, you could alternatively frame it as an Alaskan tourism topic, or you could emphasize the enormous staff involved in first aid, search and rescue, dog care, trail maintenance, event coordination, financial management, and registration.

Concepts are abstract ideas that exist independent of whether they are observed or practiced, such as the example of social equality that follows. Concepts can include hypotheses and theories.

  • The glass ceiling
  • Ethnocentrism
  • Honor codes
  • Fairness theory
  • The American Dream
  • Social equality

Here are a few examples of specific purposes developed from the examples:

  • To explain why people in all cultures are ethnocentric
  • To describe the Hindu concept of karma
  • To distinguish the differences between the concepts of wellness and health
  • To show the resources available in our local school system for children with autism
  • To explain three of Dr. Stephen Suranovic’s seven categories of fairness

Here is one possible example of a way to develop one of these topics:

Specific Purpose: To explain why people in all cultures are ethnocentric.

Central Idea: There are benefits to being ethnocentric.

  • Ethnocentrism is the idea that one’s own culture is superior to others.
  • Ethnocentrism strongly contributes to positive group identity.
  • Ethnocentrism facilitates the coordination of social activity.
  • Ethnocentrism contributes to a sense of safety within a group.
  • Ethnocentrism becomes harmful when it creates barriers.

In an example of a concept about which people disagree, you must represent multiple and conflicting views as fully and fairly as possible. For instance:

Specific Purpose: To expose the audience to three different views of the American Dream.

Central Idea: The American Dream is a shared dream, an impossible dream, or a dangerous dream, depending on the perspective of the individual.

  • The concept of the American Dream describes a state of abundant well-being in which an honest and productive American can own a home; bring up a family; work at a permanent, well-paying job with benefits; and retire in security and leisure.
  • Many capitalists support the social pattern of working hard to deserve and acquire the material comforts and security of a comfortable life.
  • Many sociologists argue that the American Dream is far out of reach for the 40 percent of Americans at the bottom of the economic scale.
  • Many environmentalists argue that the consumption patterns that accompany the American Dream have resulted in the depletion of resources and the pollution of air, water, and soil.

If your speech topic is a process, your goal should be to help your audience understand it, or be able to perform it. In either instance, processes involve a predictable series of changes, phases, or steps.

  • Soil erosion
  • Cell division
  • Physical therapy
  • Volcanic eruption
  • Paper recycling
  • Consumer credit evaluations
  • Scholarship money searches
  • Navy Seal training
  • Portfolio building
  • The development of Alzheimer’s disease

For some topics, you will need presentation aids in order to make your meaning clear to your listeners. Even in cases where you don’t absolutely need a presentation aid, one might be useful. For instance, if your topic is evaluating consumer credit, instead of just describing a comparison between two different interest rates applied to the same original amount of debt, it would be helpful to show a graph of the difference. This might also be the sort of topic that would strongly serve the needs of your audience before they find themselves in trouble. Since this will be an informative speech, you must resist the impulse to tell your listeners that one form of borrowing is good and another is bad; you must simply show them the difference in numbers. They can reach their own conclusions.

Organizing your facts is crucially important when discussing a process. Every stage of a process must be clear and understandable. When two or more things occur at the same time, as they might in the development of Alzheimer’s disease, it is important to make it clear that several things are occurring at once. For example, as plaque is accumulating in the brain, the patient is likely to begin exhibiting various symptoms.

Here’s an example of the initial steps of a speech about a process:

Specific Purpose: To inform the audience about how to build an academic portfolio.

Central Idea: A portfolio represents you and emphasizes your best skills.

  • A portfolio is an organized selection containing the best examples of the skills you can offer an employer.
  • A portfolio should contain samples of a substantial body of written work, print and electronically published pieces, photography, and DVDs of your media productions.
  • A portfolio should be customized for each prospective employer.
  • The material in your portfolio should be consistent with the skills and experience in your résumé.

In a speech about the process of building a portfolio, there will be many smaller steps to include within each of the main points. For instance, creating separate sections of the portfolio for different types of creative activities, writing a table of contents, labeling and dating your samples, making your samples look attractive and professional, and other steps should be inserted where it makes the most sense, in the most organized places, in order to give your audience the most coherent understanding possible.

You’ve probably noticed that there are topics that could be appropriate in more than one category. For instance, the 1980 eruption of Mt. St. Helen’s could be legitimately handled as an event or as a process. If you approach the eruption as an event, most of the information you include will focus on human responses and the consequences on humans and the landscape. If you approach the eruption as a process, you will be using visual aids and explanations to describe geological changes before and during the eruption. You might also approach this topic from the viewpoint of a person whose life was affected by the eruption. This should remind you that there are many ways to approach most topics, and because of that, your narrowing choices and your purpose will be the important foundation determining the structure of your informative speech.

Developing Your Topic for the Audience

One issue to consider when preparing an informative speech is how best to present the information to enhance audience learning. Katherine Rowan suggests focusing on areas where your audience may experience confusion and using the likely sources of confusion as a guide for developing the content of your speech. Rowan identifies three sources of audience confusion: difficult concepts or language, difficult-to-envision structures or processes, and ideas that are difficult to understand because they are hard to believe (Rowan, 1995). The following subsections will discuss each of these and will provide strategies for dealing with each of these sources of confusion.

Difficult Concepts or Language

Sometimes audiences may have difficulty understanding information because of the concepts or language used. For example, they may not understand what the term “organic food” means or how it differs from “all-natural” foods. If an audience is likely to experience confusion over a basic concept or term, Rowan suggests using an elucidating explanation composed of four parts. The purpose of such an explanation is to clarify the meaning and use of the concept by focusing on essential features of the concept.

The first part of an elucidating explanation is to provide a typical exemplar, or example that includes all the central features of the concept. If you are talking about what is fruit, an apple or orange would be a typical exemplar.

The second step Rowan suggests is to follow up the typical exemplar with a definition. Fruits might be defined as edible plant structures that contain the seeds of the plant.

After providing a definition, you can move on to the third part of the elucidating explanation: providing a variety of examples and nonexamples. Here is where you might include less typical examples of fruit, such as avocados, squash, or tomatoes, and foods, such as rhubarb, which is often treated as a fruit but is not by definition.

Fourth, Rowan suggests concluding by having the audience practice distinguishing examples from nonexamples. In this way, the audience leaves the speech with a clear understanding of the concept.

Difficult-to-Envision Processes or Structures

A second source of audience difficulty in understanding, according to Rowan, is a process or structure that is complex and difficult to envision. The blood circulation system in the body might be an example of a difficult-to-envision process. To address this type of audience confusion, Rowan suggests a quasi-scientific explanation, which starts by giving a big-picture perspective on the process. Presentation aids or analogies might be helpful in giving an overview of the process. For the circulatory system, you could show a video or diagram of the entire system or make an analogy to a pump. Then you can move to explaining relationships among the components of the process. Be sure when you explain relationships among components that you include transition and linking words like “leads to” and “because” so that your audience understands relationships between concepts. You may remember the childhood song describing the bones in the body with lines such as, “the hip bone’s connected to the thigh bone; the thigh bone’s connected to the knee bone.” Making the connections between components helps the audience to remember and better understand the process.

Difficult to Understand because It’s Hard to Believe

A third source of audience confusion, and perhaps the most difficult to address as a speaker, is an idea that’s difficult to understand because it’s hard to believe. This often happens when people have implicit, but erroneous, theories about how the world works. For example, the idea that science tries to disprove theories is difficult for some people to understand; after all, shouldn’t the purpose of science be to prove things? In such a case, Rowan suggests using a transformative explanation. A transformative explanation begins by discussing the audience’s implicit theory and showing why it is plausible. Then you move to showing how the implicit theory is limited and conclude by presenting the accepted explanation and why that explanation is better. In the case of scientists disproving theories, you might start by talking about what science has proven (e.g., the causes of malaria, the usefulness of penicillin in treating infection) and why focusing on science as proof is a plausible way of thinking. Then you might show how the science as proof theory is limited by providing examples of ideas that were accepted as “proven” but were later found to be false, such as the belief that diseases are caused by miasma, or “bad air”; or that bloodletting cures diseases by purging the body of “bad humors.” You can then conclude by showing how science is an enterprise designed to disprove theories and that all theories are accepted as tentative in light of existing knowledge.

Rowan’s framework is helpful because it keeps our focus on the most important element of an informative speech: increasing audience understanding about a topic.

Honesty and credibility must undergird your presentation; otherwise, they betray the trust of your listeners. Therefore, if you choose a topic that turns out to be too difficult, you must decide what will serve the needs and interests of the audience. Shortcuts and oversimplifications are not the answer.

Being ethical often involves a surprising amount of work. In the case of choosing too ambitious a topic, you have some choices:

  • Narrow your topic further.
  • Narrow your topic in a different way.
  • Reconsider your specific purpose.
  • Start over with a new topic.

Your goal is to serve the interests and needs of your audience, whoever they are and whether you believe they already know something about your topic.

Chapter Eleven – Outlining the Speech

Why outline.

Most speakers and audience members would agree that an organized speech is both easier to present as well as more effective. Public speaking teachers especially believe in the power of organizing your speech, which is why they encourage (and often require) that you create an outline for your speech. Outlines , or textual arrangements of all the various elements of a speech, are a very common way of organizing a speech before it is delivered. Most extemporaneous speakers keep a brief outline with them during the speech as a way to ensure that they do not leave out any important elements and to keep them on track. Writing an outline is also important to the speechwriting process since doing so forces speakers to think about the main points and sub-points, the examples they wish to include, and the ways in which these elements correspond to one another. In short, the outline functions both as an organization tool and as a reference for delivering a speech.

A full-sentence outline lays a strong foundation for your message. It will call on you to have one clear and specific purpose for your message. As we have seen in other chapters of this book, writing your specific purpose in clear language serves you well:

It helps you frame a clear, concrete thesis statement. It helps you exclude irrelevant information. It helps you focus only on information that directly bears on your thesis. It reduces the amount of research you must do. It helps both you and your audience remember the central message of your speech. It suggests what kind of supporting evidence is needed, so less effort is expended in trying to figure out what to do next.

Finally, a solid full-sentence outline helps your audience understand your message because they will be able to follow your reasoning. Remember that live audiences for oral communications lack the ability to “rewind” your message to figure out what you said, so it is critically important to help the audience follow your reasoning as it reaches their ears.

Your authors have noted among their past and present students a reluctance to write full-sentence outlines. It’s a task too often perceived as busywork, unnecessary, time consuming, and restricted. On one hand, we understand that reluctance. But on the other hand, we find that students who carefully write a full-sentence outline show a stronger tendency to give powerful presentations of excellent messages.

Outlines Test the Scope of Content

When you begin with a clear, concrete thesis statement, it acts as kind of compass for your outline. Each of the main points should directly explicate. The test of the scope will be a comparison of each main point to the thesis statement. If you find a poor match, you will know you’ve wandered outside the scope of the thesis.

Let’s say the general purpose of your speech is to inform, and your broad topic area is wind-generated energy. Now you must narrow this to a specific purpose. You have many choices, but let’s say your specific purpose is to inform a group of property owners about the economics of wind farms where electrical energy is generated.

Your first main point could be that modern windmills require a very small land base, making the cost of real estate low. This is directly related to economics. All you need is information to support your claim that only a small land base is needed.

In your second main point, you might be tempted to claim that windmills don’t pollute in the ways other sources do. However, you will quickly note that this claim is unrelated to the thesis. You must resist the temptation to add it. Perhaps in another speech, your thesis will address environmental impact, but in this speech, you must stay within the economic scope. Perhaps you will say that once windmills are in place, they require virtually no maintenance. This claim is related to the thesis. Now all you need is supporting information to support this second claim.

Your third point, the point some audience members will want to hear, is the cost for generating electrical energy with windmills compared with other sources. This is clearly within the scope of energy economics. You should have no difficulty finding authoritative sources of information to support that claim.

When you write in outline form, it is much easier to test the scope of your content because you can visually locate specific information very easily and then check it against your thesis statement.

Outlines Test the Logical Relation of Parts

You have many choices for your topic, and therefore, there are many ways your content can be logically organized. In the example above, we simply listed three main points that were important economic considerations about wind farms. Often the main points of a speech can be arranged into a logical pattern; let’s review some of these patterns:

A chronological pattern arranges main ideas in the order events occur. In some instances, reverse order might make sense. For instance, if your topic is archaeology, you might use the reverse order, describing the newest artifacts first.

A cause-and-effect pattern calls on you to describe a specific situation and explain what the effect is. However, most effects have more than one cause. Even dental cavities have multiple causes: genetics, poor nutrition, teeth too tightly spaced, sugar, ineffective brushing, and so on. If you choose a cause-and-effect pattern, make sure you have enough reliable support to do the topic justice.

A biographical pattern is usually chronological. In describing the events of an individual’s life, you will want to choose the three most significant events. Otherwise, the speech will end up as a very lengthy and often pointless timeline or bullet point list. For example, Mark Twain had several clear phases in his life. They include his life as a Mississippi riverboat captain, his success as a world-renowned writer and speaker, and his family life. A simple timeline would present great difficulty in highlighting the relationships between important events. An outline, however, would help you emphasize the key events that contributed to Mark Twain’s extraordinary life.

Although a comparison-contrast pattern appears to dictate just two main points, McCroskey, Wrench, and Richmond explain how a comparison-and-contrast can be structured as a speech with three main points. They say that “you can easily create a third point by giving basic information about what is being compared and what is being contrasted. For example, if you are giving a speech about two different medications, you could start by discussing what the medications’ basic purposes are. Then you could talk about the similarities, and then the differences, between the two medications” [1] .

Whatever logical pattern you use, if you examine your thesis statement and then look at the three main points in your outline, you should easily be able to see the logical way in which they relate.

Outlines Test the Relevance of Supporting Ideas

When you create an outline, you can clearly see that you need supporting evidence for each of your main points. For instance, using the example above, your first main point claims that less land is needed for windmills than for other utilities. Your supporting evidence should be about the amount of acreage required for a windmill and the amount of acreage required for other energy generation sites, such as nuclear power plants or hydroelectric generators. Your sources should come from experts in economics, economic development, or engineering. The evidence might even be expert opinion but not the opinions of ordinary people. The expert opinion will provide stronger support for your point.

Similarly, your second point claims that once a wind turbine is in place, there is virtually no maintenance cost. Your supporting evidence should show how much annual maintenance for a windmill costs, and what the costs are for other energy plants. If you used a comparison with nuclear plants to support your first main point, you should do so again for the sake of consistency. It becomes very clear, then, that the third main point about the amount of electricity and its profitability needs authoritative references to compare it to the profit from energy generated at a nuclear power plant. In this third main point, you should make use of just a few well-selected statistics from authoritative sources to show the effectiveness of wind farms compared to the other energy sources you’ve cited.

Where do you find the kind of information you would need to support these main points? A reference librarian can quickly guide you to authoritative statistics and help you make use of them.

An important step you will notice is that the full-sentence outline includes its authoritative sources within the text. This is a major departure from the way you’ve learned to write a research paper. In a research paper, you can add that information to the end of a sentence, leaving the reader to turn to the last page for a fuller citation. In a speech, however, your listeners can’t do that. From the beginning of the supporting point, you need to fully cite your source so your audience can assess its importance.

Because this is such a profound change from the academic habits that you’re probably used to, you will have to make a concerted effort to overcome the habits of the past and provide the information your listeners need when they need it.

Outlines Test the Balance and Proportion of the Speech

Part of the value of writing a full-sentence outline is the visual space you use for each of your main points. Is each main point of approximately the same importance? Does each main point have the same number of supporting points? If you find that one of your main points has eight supporting points while the others only have three each, you have two choices: either choose the best three from the eight supporting points or strengthen the authoritative support for your other two main points.

Remember that you should use the best supporting evidence you can find even if it means investing more time in your search for knowledge.

As you write the preparation outline, you may find it necessary to rearrange your points or to add or subtract supporting material. You may also realize that some of your main points are sufficiently supported while others are lacking. The final draft of your preparation outline should include full sentences, making up a complete script of your entire speech. In most cases, however, the preparation outline is reserved for planning purposes only and is translated into a speaking outline before you deliver the speech.

Outlines Serve as Notes during the Speech

Although we recommend writing a full-sentence outline during the speech preparation phase, you should also create a shortened outline that you can use as notes, a speaking outline, which allows for strong delivery. If you were to use the full-sentence outline when delivering your speech, you would do a great deal of reading, which would limit your ability to give eye contact and use gestures, hurting your connection with your audience.

Although some cases call for reading a speech verbatim from the full-sentence outline (manuscript delivery), in most cases speakers will simply refer to their speaking outline for quick reminders and to ensure that they do not omit any important information. For this reason, we recommend writing a short phrase speaking outline on 5×7 notecards to use when you deliver your speech.

In the next section, we will explore more fully how to create preparation and speaking outlines.

Outline Structure

Because an outline is used to arrange all of the elements of your speech, it makes sense that the outline itself has an organizational hierarchy and a common format. Although there are a variety of outline styles, generally they follow the same pattern. Main ideas are preceded by Roman numerals (I, II, III, etc.). Sub-points are preceded by capital letters (A, B, C, etc.), then Arabic numerals (1, 2, 3, etc.), and finally lowercase letters (a, b, c, etc.). Each level of subordination is also differentiated from its predecessor by indenting a few spaces. Indenting makes it easy to find your main points, sub-points, and the supporting points and examples below them. Since there are three sections to your speech— introduction, body, and conclusion— your outline needs to include all of them. Each of these sections is titled and the main points start with Roman numeral I.

OUTLINE FORMATTING GUIDE

Title:  Organizing Your Public Speech

Topic:  Organizing public speeches

Specific Purpose Statement: To inform my audience about the various ways in which they can organize their public speeches.

Thesis Statement:  A variety of organizational styles can used to organize public speeches.

Bibliography

In addition to these formatting suggestions, there are some additional elements that should be included at the beginning of your outline: the title, topic, specific purpose statement, and thesis statement. These elements are helpful to you, the speechwriter, since they remind you what, specifically, you are trying to accomplish in your speech. They are also helpful to anyone reading and assessing your outline since knowing what you want to accomplish will determine how they perceive the elements included in your outline. Additionally, you should write out the transitional statements that you will use to alert audiences that you are moving from one point to another. These are included in parentheses between main points. At the end of the outlines, you should include bibliographic information for any outside resources you mention during the speech. These should be cited using whatever citations style your professor requires. The textbox entitled “Outline Formatting Guide” above provides an example of the appropriate outline format.

Preparation Outline Examples

This book contains the preparation outline for an informative speech the author gave about making guacamole (see third section). In this example, the title, specific purpose, and thesis precedes the speech. Depending on your instructor’s requirements, you may need to include these details plus additional information (like visual aids). It is also a good idea to keep these details at the top of your document as you write the speech since they will help keep you on track to developing an organized speech that is in line with your specific purpose and helps prove your thesis. At the end of this text, in Part 3, you will find full-length examples of Preparation (Full Sentence) Outlines, written by students just like you!

Using the Speaking Outline

A  speaking outline  is the outline you will prepare for use when delivering the speech. The speaking outline is much more succinct than the preparation outline and includes brief phrases or words that remind the speakers of the points they need to make, plus supporting material and signposts. [2]  The words or phrases used on the speaking outline should briefly encapsulate all of the information needed to prompt the speaker to accurately deliver the speech. Although some cases call for reading a speech verbatim from the full-sentence outline, in most cases speakers will simply refer to their speaking outline for quick reminders and to ensure that they do not omit any important information. Because it uses just words or short phrases, and not full sentences, the speaking outline can easily be transferred to index cards that can be referenced during a speech.

Speaking instructors often have requirements for how you should format the speaking outline. When formatting your speaking outline, here are a few tips:

First, write large enough so that you do not have to bring the cards close to your eyes to read them. Second, make sure you have the cards in the correct order and bound together in some way so that they do not get out of order. Third, just in case your cards do get out of order (this happens too often!), be sure that you number each in the top right corner so you can quickly and easily get things organized. Fourth, try not to fiddle with the cards when you are speaking. It is best to lay them down if you have a podium or table in front of you. If not, practice reading from them in front of a mirror. You should be able to look down quickly, read the text, and then return to your gaze to the audience.

Module 2: Informative Speaking

Types of informative speeches.

In the last section we examined how informative speakers need to be objective, credible, knowledgeable, and how they need to make the topic relevant to their audience. This section discusses the four primary types of informative speeches. These include definitional speeches, descriptive speeches, explanatory speeches, and demonstration speeches.

Definitional Speeches

In definitional speeches the speaker attempts to set forth the meaning of concepts, theories, philosophies, or issues that may be unfamiliar to the audience. In these types of speeches, speakers may begin by giving the historical derivation, classification, or synonyms of terms or the background of the subject. In a speech on “How to identify a sociopath,” the speaker may answer these questions: Where did the word ‘sociopath’ come from? What is a sociopath? How many sociopaths are there in the population? What are the symptoms? Carefully define your terminology to give shape to things the audience cannot directly sense. Describing the essential attributes of one concept compared to another (as through use of analogies) can increase understanding as well. For a speech on “Elderly Abuse,” the speaker may compare this type of abuse to child or spousal abuse for contrast.

Regardless of the listeners’ level of knowledge about the subject, it is very important in these types of speeches to show the relevance of the topic to their lives. Often the topics discussed in definitional speeches are abstract—distanced from reality. So provide explicit, real-life examples and applications of the subject matter. If you were going to give a speech about civil rights, you would need to go beyond commonly held meanings and show the topic in a new light. In this type of speech, the speaker points out the unique and distinguishing properties or boundaries of a concept in a particular context (Rinehart, 2002). The meaning of “civil rights” has changed significantly over time. What does it mean today compared to the 1960s? How will knowing this distinction help audience members? What are some specific incidents involving civil rights issues in current news? What changes in civil rights legislation might listeners see in their lifetimes?

Sample Definitional Speech Outline

Title: “Life is suffering,” and Other Buddhist Teachings (Thompson, 1999)

Specific Purpose: At the end of my speech, my audience will understand the Four Noble Truths and the Eightfold Path in Buddhism

Central Idea: Regardless of your religious beliefs, Buddhist philosophy teaches a number of useful lessons you can apply to your own life.

  • All life involves dukkha (suffering)
  • Suffering is caused by tanha (longing for things to be other than they are)
  • If this longing stops ( nirodha ), suffering will cease
  • The way to eliminate longing is to follow the Eightfold Path
  • Right intention
  • Right speech
  • Right action
  • Right livelihood
  • Right effort
  • Right mindfulness
  • Right contemplation

Descriptive Speeches

To gaze in wonder at that magnificent dome and elegant gardens will be a moment that you remember for the rest of your life. The Taj Mahal just takes your breath away. What is immediately striking is its graceful symmetry—geometric lines run through formal gardens ending in a white marble platform. Atop this platform is great white bulbous dome complemented by four towering minarets in each corner. The whole image shimmers in a reflecting pool flanked by beautiful gardens—the effect is magical. The first stretch by the reflecting pool is where most people pose for their photos. But we were impressed by the fresh, green gardens. As you approach through the gardens two mosques come into view flanking the Taj—both exquisitely carved and built of red sandstone.

In the descriptive speech, determine the characteristics, features, functions, or fine points of the topic. What makes the person unique? How did the person make you feel? What adjectives apply to the subject? What kind of material is the object made from? What shape is it? What color is it? What does it smell like? Is it part of a larger system? Can it be seen by the naked eye? What is its geography or location in space? How has it changed or evolved over time? How does it compare to a similar object? When preparing for the speech, try to think of ways to appeal to as many of the senses as possible. As an example, in a speech about different types of curried dishes, you could probably verbally describe the difference between yellow, red, and green curry, but the speech will have more impact if the audience can see, smell, and taste samples.

Sample Descriptive Speech Outline

Central Idea: Easter Island hosts a number of ancient, mysterious, and beautiful attractions that make it an ideal vacation destination.

Explanatory Speeches

An explanatory speech (also known as a briefing) is similar to the descriptive speech in that they both share the function of clarifying the topic. But explanatory speeches focus on reports of current and historical events, customs, transformations, inventions, policies, outcomes, and options. Whereas descriptive speeches attempt to paint a picture with words so that audiences can vicariously experience it, explanatory speeches focus on the how or why of a subject and its consequences. Thus, a speaker might give a descriptive speech on the daily life of Marie Antoinette, or an explanatory speech on how she came to her death. Recall that definitional speeches focus on delineating concepts or issues. In this case, a speaker might give a definitional speech about the Emergency Economic Stabilization Act of 2008, or an explanatory speech on why the financial bailout was necessary for U.S. financial stability.

If a manager wanted to inform employees about a new workplace internet use policy, s/he might cover questions like: Why was a policy implemented? How will it help? What happens if people do not follow established policies? Explanatory speeches are less concerned with appealing to the senses than connecting the topic to a series of related other subjects to enhance a deep understanding (McKerrow, Gronbeck, Ehninger, & Monroe, 2000). For example, to explain the custom of the Thai wai greeting (hands pressed together as in prayer), you also need to explain how it originated to show one had no weapons, and the ways it is tied to religion, gender, age, and status.

Sample Explanatory Speech Outline

Title: Giant Waves, Death, and Devastation: The 2004 Indian Ocean Tsunami (National Geographic, 2006)

Specific Purpose: At the end of my speech, my audience will be aware of the nature of the 2004 Tsunami and the destruction it caused.

Central Idea: The 2004 Asian Tsunami was one of the worst natural disasters in human history in terms of magnitude, loss of human life, and enduring impact.

  • Earthquake epicenter and magnitude
  • Tsunami forms (waves reach up to 100 feet)
  • Tsunami strikes land of various countries with no warning
  • The countries and people involved
  • Loss of food, water, hospitals, housing, electricity, and plumbing

Demonstration Speeches

The most practical of all informative speeches, a demonstration speech shows listeners how some process is accomplished or how to perform it themselves. The focus is on a chronological explanation of some process (how potato chips are made), procedure (how to fight fires on a submarine), application (how to use the calendar function in Outlook), or course of action (how court cases proceed to Supreme Court status). Speakers might focus on processes that have a series of steps with a specific beginning and end (how to sell a home by yourself) or the process may be continuous (how to maintain the hard drive on your computer to prevent crashes). Demonstration speeches can be challenging to write due to the fact that the process may involve several objects, a set of tools, materials, or a number of related relationships or events (Rinehart, 2002). Nevertheless, these types of speeches provide the greatest opportunity for audience members to get involved or apply the information later.

When preparing this speech, remember first to keep the safety of the audience in mind. One speaker severely burned his professor when he accidently spilled hot oil from a wok on her. Another student nearly took the heads off listeners when he was demonstrating how to swing a baseball bat. Keep in mind also that you may need to bring in examples or pictures of completed steps in order to make efficient use of your time. Just think of the way that cooking demonstrations are done on TV—the ingredients are premeasured, the food is premixed, and the mixture magically goes from uncooked to cooked in a matter of seconds. Finally, if you are having your audience participate during your presentation (making an origami sculpture), know what their knowledge level is so that you don’t make them feel unintelligent if they are not successful. Practice your speech with friends who know nothing about the topic to gauge if listeners can do what you are asking them to do in the time allotted.

Sample Demonstration Speech Outline

Title: How to Survive if You Get Stranded in the Wilderness (U.S. Department of Defense, 2006).

Specific Purpose: At the end of my speech my audience will understand what to do if they unexpectedly become stranded in the wilderness.

Central Idea: You can greatly improve your ability to stay alive and safe in the wilderness by learning a few simple survival techniques.

4 Common Types of Team Conflict — and How to Resolve Them

Advice backed by three decades of research into thousands of team conflicts around the world.

Managers spend 20% of their time on average managing team conflict. Over the past three decades, the authors have studied thousands of team conflicts around the world and have identified four common patterns of team conflict. The first occurs when conflict revolves around a single member of a team (20-25% of team conflicts). The second is when two members of a team disagree (the most common team conflict at 35%). The third is when two subgroups in a team are at odds (20-25%). The fourth is when all members of a team are disagreeing in a whole-team conflict (less than 15%). The authors suggest strategies to tailor a conflict resolution approach for each type, so that managers can address conflict as close to its origin as possible.

If you have ever managed a team or worked on one, you know that conflict within a team is as inevitable as it is distracting. Many managers avoid dealing with conflict in their team where possible, hoping reasonable people can work it out. Despite this, research shows that managers spend upwards of 20% of their time on average managing conflict.

We live in an age where access to information is more convenient than ever before. The days of photocopying journal articles in the stacks of the library or looking up newspaper articles on microfilm are over for most. Yet, even though we have all this information at our fingertips, research skills are more important than ever. Our challenge now is not accessing information but discerning what information is credible and relevant. Even though it may sound inconvenient to have to physically go to the library, students who did research before the digital revolution did not have to worry as much about discerning. If you found a source in the library, you could be assured of its credibility because a librarian had subscribed to or purchased that content. When you use Internet resources like Google or Wikipedia, you have no guarantees about some of the content that comes up.

Finding Supporting Material

As was noted in Section 9.1, it’s good to speak about something you are already familiar with. So existing knowledge forms the first step of your research process. Depending on how familiar you are with a topic, you will need to do more or less background research before you actually start incorporating sources to support your speech. Background research is just a review of summaries available for your topic that helps refresh or create your knowledge about the subject. It is not the more focused and academic research that you will actually use to support and verbally cite in your speech. Figure 9.3 illustrates the research process. Note that you may go through some of these steps more than once.

I will reiterate several times in this chapter that your first step for research in college should be library resources, not Google or Bing or other general search engines. In most cases, you can still do your library research from the comfort of a computer, which makes it as accessible as Google but gives you much better results. Excellent and underutilized resources at college and university libraries are reference librarians. Reference librarians are not like the people who likely staffed your high school library. They are information-retrieval experts. At most colleges and universities, you can find a reference librarian who has at least a master’s degree in library and information sciences, and at some larger or specialized schools, reference librarians have doctoral degrees. I liken research to a maze, and reference librarians can help you navigate the maze. There may be dead ends, but there’s always another way around to reach the end goal. Unfortunately, many students hit their first dead end and give up or assume that there’s not enough research out there to support their speech. Trust me, if you’ve thought of a topic to do your speech on, someone else has thought of it, too, and people have written and published about it. Reference librarians can help you find that information. I recommend that you meet with a reference librarian face-to-face and take your assignment sheet and topic idea with you. In most cases, students report that they came away with more information than they needed, which is good because you can then narrow that down to the best information. If you can’t meet with a reference librarian face-to-face, many schools now offer the option to do a live chat with a reference librarian, and you can also contact them by e-mail or phone.

A library

Aside from the human resources available in the library, you can also use electronic resources such as library databases. Library databases help you access more credible and scholarly information than what you will find using general Internet searches. These databases are quite expensive, and you can’t access them as a regular citizen without paying for them. Luckily, some of your tuition dollars go to pay for subscriptions to these databases that you can then access as a student. Through these databases, you can access newspapers, magazines, journals, and books from around the world. Of course, libraries also house stores of physical resources like DVDs, books, academic journals, newspapers, and popular magazines. You can usually browse your library’s physical collection through an online catalog search. A trip to the library to browse is especially useful for books. Since most university libraries use the Library of Congress classification system, books are organized by topic. That means if you find a good book using the online catalog and go to the library to get it, you should take a moment to look around that book, because the other books in that area will be topically related. On many occasions, I have used this tip and gone to the library for one book but left with several.

Although Google is not usually the best first stop for conducting college-level research, Google Scholar is a separate search engine that narrows results down to scholarly materials. This version of Google has improved much over the past few years and has served as a good resource for my research, even for this book. A strength of Google Scholar is that you can easily search for and find articles that aren’t confined to a particular library database. Basically, the pool of resources you are searching is much larger than what you would have using a library database. The challenge is that you have no way of knowing if the articles that come up are available to you in full-text format. As noted earlier, most academic journal articles are found in databases that require users to pay subscription fees. So you are often only able to access the abstracts of articles or excerpts from books that come up in a Google Scholar search. You can use that information to check your library to see if the article is available in full-text format, but if it isn’t, you have to go back to the search results. When you access Google Scholar on a campus network that subscribes to academic databases, however, you can sometimes click through directly to full-text articles. Although this resource is still being improved, it may be a useful alternative or backup when other search strategies are leading to dead ends.

Types of Sources

There are several different types of sources that may be relevant for your speech topic. Those include periodicals, newspapers, books, reference tools, interviews, and websites. It is important that you know how to evaluate the credibility of each type of source material.

Periodicals

Periodicals include magazines and journals, as they are published periodically. There are many library databases that can access periodicals from around the world and from years past. A common database is Academic Search Premiere (a similar version is Academic Search Complete). Many databases, like this one, allow you to narrow your search terms, which can be very helpful as you try to find good sources that are relevant to your topic. You may start by typing a key word into the first box and searching. Sometimes a general search like this can yield thousands of results, which you obviously wouldn’t have time to look through. In this case you may limit your search to results that have your keyword in the abstract, which is the author-supplied summary of the source. If there are still too many results, you may limit your search to results that have your keyword in the title. At this point, you may have reduced those ten thousand results down to a handful, which is much more manageable.

Within your search results, you will need to distinguish between magazines and academic journals. In general, academic journals are considered more scholarly and credible than magazines because most of the content in them is peer reviewed. The peer-review process is the most rigorous form of review, which takes several months to years and ensures that the information that is published has been vetted and approved by numerous experts on the subject. Academic journals are usually affiliated with professional organizations rather than for-profit corporations, and neither authors nor editors are paid for their contributions. For example, the Quarterly Journal of Speech is one of the oldest journals in communication studies and is published by the National Communication Association.

If your instructor wants you to have sources from academic journals, you can often click a box to limit your search results to those that are “peer reviewed.” There are also subject-specific databases you can use to find periodicals. For example, Communication and Mass Media Complete is a database that includes articles from hundreds of journals related to communication studies. It may be acceptable for you to include magazine sources in your speech, but you should still consider the credibility of the source. Magazines like Scientific American and Time are generally more credible and reliable than sources like People or Entertainment Weekly .

Newspapers and Books

Newspapers and books can be excellent sources but must still be evaluated for relevance and credibility. Newspapers are good for topics that are developing quickly, as they are updated daily. While there are well-known newspapers of record like the New York Times , smaller local papers can also be credible and relevant if your speech topic doesn’t have national or international reach. You can access local, national, and international newspapers through electronic databases like LexisNexis. If a search result comes up that doesn’t have a byline with an author’s name or an organization like the Associated Press or Reuters cited, then it might be an editorial. Editorials may also have bylines, which make them look like traditional newspaper articles even though they are opinion based. It is important to distinguish between news articles and editorials because editorials are usually not objective and do not go through the same review process that a news story does before it’s published. It’s also important to know the background of your paper. Some newspapers are more tabloid focused or may be published by a specific interest group that has an agenda and biases. So it’s usually better to go with a newspaper that is recognized as the newspaper of record for a particular area.

Books are good for a variety of subjects and are useful for in-depth research that you can’t get as regularly from newspapers or magazines. Edited books with multiple chapters by different authors can be especially good to get a variety of perspectives on a topic.

Old books

Don’t assume that you can’t find a book relevant to a topic that is fairly recent, since books may be published within a year of a major event. Wikimedia Commons – CC BY 2.0.

To evaluate the credibility of a book, you’ll want to know some things about the author. You can usually find this information at the front or back of the book. If an author is a credentialed and recognized expert in his or her area, the book will be more credible. But just because someone wrote a book on a subject doesn’t mean he or she is the most credible source. For example, a quick search online brings up many books related to public speaking that are written by people who have no formal training in communication or speech. While they may have public speaking experience that can help them get a book deal with a certain publisher, that alone wouldn’t qualify them to write a textbook, as textbook authors are expected to be credentialed experts—that is, people with experience and advanced training/degrees in their area. The publisher of a book can also be an indicator of credibility. Books published by university/academic presses (University of Chicago Press, Duke University Press) are considered more credible than books published by trade presses (Penguin, Random House), because they are often peer reviewed and they are not primarily profit driven.

Reference Tools

The transition to college-level research means turning more toward primary sources and away from general reference materials. Primary sources are written by people with firsthand experiences with an event or researchers/scholars who conducted original research. Unfortunately, many college students are reluctant to give up their reliance on reference tools like dictionaries and encyclopedias. While reference tools like dictionaries and encyclopedias are excellent for providing a speaker with a background on a topic, they should not be the foundation of your research unless they are academic and/or specialized.

Dictionaries are handy tools when we aren’t familiar with a particular word. However, citing a dictionary like Webster’s as a source in your speech is often unnecessary. I tell my students that Webster’s Dictionary is useful when you need to challenge a Scrabble word, but it isn’t the best source for college-level research. You will inevitably come upon a word that you don’t know while doing research. Most good authors define the terms they use within the content of their writing. In that case, it’s better to use the author’s definition than a dictionary definition. Also, citing a dictionary doesn’t show deep research skills; it only shows an understanding of alphabetical order. So ideally you would quote or paraphrase the author’s definition rather than turning to a general dictionary like Webster’s . If you must turn to a dictionary, I recommend an academic dictionary like The Oxford English Dictionary (OED) , which is the most comprehensive dictionary in the English language, with more than twenty volumes. You can’t access the OED for free online, but most libraries pay for a subscription that you can access as a student or patron. While the OED is an academic dictionary, it is not specialized, and you may need a specialized dictionary when dealing with very specific or technical terms. The Dictionary of Business and Economics is an example of an academic and specialized dictionary.

Many students have relied on encyclopedias for research in high school, but most encyclopedias, like World Book , Encarta , or Britannica , are not primary sources. Instead, they are examples of secondary sources that aggregate, or compile, research done by others in a condensed summary. As I noted earlier, reference sources like encyclopedias are excellent resources to get you informed about the basics of a topic, but at the college level, primary sources are expected. Many encyclopedias are Internet based, which makes them convenient, but they are still not primary sources, and their credibility should be even more scrutinized.

Wikipedia revolutionized how many people retrieve information and pioneered an open-publishing format that allowed a community of people to post, edit, and debate content. While this is an important contribution to society, Wikipedia is not considered a scholarly or credible source. Like other encyclopedias, Wikipedia should not be used in college-level research, because it is not a primary source. In addition, since its content can be posted and edited by anyone, we cannot be sure of the credibility of the content. Even though there are self-appointed “experts” who monitor and edit some of the information on Wikipedia, we cannot verify their credentials or the review process that information goes through before it’s posted. I’m not one of the college professors who completely dismisses Wikipedia, however. Wikipedia can be a great source for personal research, developing news stories, or trivia. Sometimes you can access primary sources through Wikipedia if you review the footnote citations included in an entry. Moving beyond Wikipedia, as with dictionaries, there are some encyclopedias that are better suited for college research. The Encyclopedia of Black America and the Encyclopedia of Disaster Relief are examples of specialized academic reference sources that will often include, in each entry, an author’s name and credentials and more primary source information.

When conducting an interview for a speech, you should access a person who has expertise in or direct experience with your speech topic. If you follow the suggestions for choosing a topic that were mentioned earlier, you may already know something about your speech topic and may have connections to people who would be good interview subjects. Previous employers, internship supervisors, teachers, community leaders, or even relatives may be appropriate interviewees, given your topic. If you do not have a connection to someone you can interview, you can often find someone via the Internet who would be willing to answer some questions. Many informative and persuasive speech topics relate to current issues, and most current issues have organizations that represent their needs. For an informative speech on ageism or a persuasive speech on lowering the voting age, a quick Internet search for “youth rights” leads you to the webpage for the National Youth Rights Association. Like most organization web pages, you can click on the “Contact Us” link to get information for leaders in the organization. You could also connect to members of the group through Facebook and interview young people who are active in the organization.

Once you have identified a good interviewee, you will want to begin researching and preparing your questions. Open-ended questions cannot be answered with a “yes” or “no” and can provide descriptions and details that will add to your speech. Quotes and paraphrases from your interview can add a personal side to a topic or at least convey potentially complicated information in a more conversational and interpersonal way.

Closed questions can be answered with one or two words and can provide a starting point to get to more detailed information if the interviewer has prepared follow-up questions. Unless the guidelines or occasion for your speech suggest otherwise, you should balance your interview data with the other sources in your speech. Don’t let your references to the interview take over your speech.

Tips for Conducting Interviews

  • Do preliminary research to answer basic questions. Many people and organizations have information available publicly. Don’t waste interview time asking questions like “What year did your organization start?” when you can find that on the website.
  • Plan questions ahead of time. Even if you know the person, treat it as a formal interview so you can be efficient.
  • Ask open-ended questions that can’t be answered with only a yes or no. Questions that begin with how and why are generally more open-ended than do and did questions. Make sure you have follow-up questions ready.
  • Use the interview to ask for the personal side of an issue that you may not be able to find in other resources. Personal narratives about experiences can resonate with an audience.
  • Make sure you are prepared. If interviewing in person, have paper, pens, and a recording device if you’re using one. Test your recording device ahead of time. If interviewing over the phone, make sure you have good service so you don’t drop the call and that you have enough battery power on your phone. When interviewing on the phone or via video chat, make sure distractions (e.g., barking dogs) are minimized.
  • Whether the interview is conducted face-to-face, over the phone, or via video (e.g., Skype), you must get permission to record. Recording can be useful, as it increases accuracy and the level of detail taken away from the interview. Most smartphones have free apps now that allow you to record face-to-face or phone conversations.
  • Whether you record or not, take written notes during the interview. Aside from writing the interviewee’s responses, you can also take note of follow-up questions that come to mind or notes on the nonverbal communication of the interviewee.
  • Mention ahead of time if you think you’ll have follow-up questions, so the interviewee can expect further contact.
  • Reflect and expand on your notes soon after the interview. It’s impossible to transcribe everything during the interview, but you will remember much of what you didn’t have time to write down and can add it in.
  • Follow up with a thank-you note. People are busy, and thanking them for their time and the information they provided will be appreciated.

We already know that utilizing library resources can help you automatically filter out content that may not be scholarly or credible, since the content in research databases is selected and restricted. However, some information may be better retrieved from websites. Even though both research databases and websites are electronic sources, there are two key differences between them that may impact their credibility. First, most of the content in research databases is or was printed but has been converted to digital formats for easier and broader access. In contrast, most of the content on websites has not been printed. Although not always the case, an exception to this is documents in PDF form found on web pages. You may want to do additional research or consult with your instructor to determine if that can count as a printed source. Second, most of the content on research databases has gone through editorial review, which means a professional editor or a peer editor has reviewed the material to make sure it is credible and worthy of publication. Most content on websites is not subjected to the same review process, as just about anyone with Internet access can self-publish information on a personal website, blog, wiki, or social media page. So what sort of information may be better retrieved from websites, and how can we evaluate the credibility of a website?

Most well-known organizations have official websites where they publish information related to their mission. If you know there is an organization related to your topic, you may want to see if they have an official website. It is almost always better to get information from an official website, because it is then more likely to be considered primary source information. Keep in mind, though, that organizations may have a bias or a political agenda that affects the information they put out. If you do get information from an official website, make sure to include that in your verbal citation to help establish your credibility. Official reports are also often best found on websites, as they rarely appear in their full form in periodicals, books, or newspapers. Government agencies, nonprofits, and other public service organizations often compose detailed and credible reports on a wide variety of topics.

A key way to evaluate the credibility of a website is to determine the site’s accountability. By accountability, I mean determining who is ultimately responsible for the content put out and whose interests the content meets. The more information that is included on a website, the better able you will be to determine its accountability. Ideally all or most of the following information would be included: organization/agency name, author’s name and contact information, date the information was posted or published, name and contact information for person in charge of web content (i.e., web editor or webmaster), and a link to information about the organization/agency/business mission. While all this information doesn’t have to be present to warrant the use of the material, the less accountability information is available, the more you should scrutinize the information. You can also begin to judge the credibility of a website by its domain name. Some common domain names are .com , .net , .org , .edu , .mil , and .gov . For each type of domain, there are questions you may ask that will help you evaluate the site’s credibility. You can see a summary of these questions in Table 9.2 “Website Domain Names and Credibility”. Note that some domain names are marked as “restricted” and others aren’t. When a domain is restricted, .mil for example, a person or group wanting to register that domain name has to prove that their content is appropriate for the guidelines of the domain name. Essentially, this limits access to the information published on those domain names, which increases the overall credibility.

Types of Supporting Material

There are several types of supporting material that you can pull from the sources you find during the research process to add to your speech. They include examples, explanations, statistics, analogies, testimony, and visual aids. You will want to have a balance of information, and you will want to include the material that is most relevant to your audience and is most likely to engage them. When determining relevance, utilize some of the strategies mentioned in Section 9.1 “Selecting and Narrowing a Topic”. Thinking about who your audience is and what they know and would like to know will help you tailor your information. Also try to incorporate proxemic information, meaning information that is geographically relevant to your audience. For example, if delivering a speech about prison reform to an audience made up of Californians, citing statistics from North Carolina prisons would not be as proxemic as citing information from California prisons. The closer you can get the information to the audience, the better. I tell my students to make the information so relevant and proxemic that it is in our backyards, in the car with us on the way to school or work, and in the bed with us while we sleep.

An example is a cited case that is representative of a larger whole. Examples are especially beneficial when presenting information that an audience may not be familiar with. They are also useful for repackaging or reviewing information that has already been presented. Examples can be used in many different ways, so you should let your audience, purpose and thesis, and research materials guide your use. You may pull examples directly from your research materials, making sure to cite the source. The following is an example used in a speech about the negative effects of standardized testing: “Standardized testing makes many students anxious, and even ill. On March 14, 2002, the Sacramento Bee reported that some standardized tests now come with instructions indicating what teachers should do with a test booklet if a student throws up on it.” You may also cite examples from your personal experience, if appropriate: “I remember being sick to my stomach while waiting for my SAT to begin.”

You may also use hypothetical examples, which can be useful when you need to provide an example that is extraordinary or goes beyond most people’s direct experience. Capitalize on this opportunity by incorporating vivid description into the example that appeals to the audience’s senses. Always make sure to indicate when you are using a hypothetical example, as it would be unethical to present an example as real when it is not. Including the word imagine or something similar in the first sentence of the example can easily do this.

Whether real or hypothetical, examples used as supporting material can be brief or extended. Brief examples are usually one or two sentences, as you can see in the following hypothetical example: “Imagine that your child, little sister, or nephew has earned good grades for the past few years of elementary school, loves art class, and also plays on the soccer team. You hear the unmistakable sounds of crying when he or she comes home from school and you find out that art and soccer have been eliminated because students did not meet the federal guidelines for performance on standardized tests.” Brief examples are useful when the audience is already familiar with a concept or during a review. Extended examples, sometimes called illustrations, are several sentences long and can be effective in introductions or conclusions to get the audience’s attention or leave a lasting impression. It is important to think about relevance and time limits when considering using an extended illustration. Since most speeches are given within time constraints, you want to make sure the extended illustration is relevant to your speech purpose and thesis and that it doesn’t take up a disproportionate amount of the speech. If a brief example or series of brief examples would convey the same content and create the same tone as the extended example, I suggest you go with brevity.

Explanations

Explanations clarify ideas by providing information about what something is, why something is the way it is, or how something works or came to be. One of the most common types of explanation is a definition. Definitions do not have to come from the dictionary. Many times, authors will define concepts as they use them in their writing, which is a good alternative to a dictionary definition.

As you do your research, think about how much your audience likely knows about a given subject. You do not need to provide definitions when information is common knowledge. Anticipate audience confusion and define legal, medical, or other forms of jargon as well as slang and foreign words. Definitions like the following are also useful for words that we are familiar with but may not know specifics: “According to the 2011 book Prohibition: 13 Years That Changed America , what we now know as Prohibition started in 1920 with the passage of the Volstead Act and the ratification of the Eighteenth Amendment.” Keep in mind that repeating a definition verbatim from a dictionary often leads to fluency hiccups, because definitions are not written to be read aloud. It’s a good idea to put the definition into your own words (still remembering to cite the original source) to make it easier for you to deliver.

Other explanations focus on the “why” and “how” of a concept. Continuing to inform about Prohibition, a speaker could explain why the movement toward Prohibition began: “The Eighteenth Amendment to the Constitution gained support because of the strong political influence of the Anti-Saloon League.” The speaker could go on to explain how the Constitution is amended: “According to the same book, a proposed amendment to the Constitution needs three-fourths of all the states to approve it in order to be ratified.” We use explanations as verbal clarifications to support our claims in daily conversations, perhaps without even noticing it. Consciously incorporating clear explanations into your speech can help you achieve your speech goals.

Statistics are numerical representations of information. They are very credible in our society, as evidenced by their frequent use by news agencies, government offices, politicians, and academics. As a speaker, you can capitalize on the power of statistics if you use them appropriately. Unfortunately, statistics are often misused by speakers who intentionally or unintentionally misconstrue the numbers to support their argument without examining the context from which the statistic emerged. All statistics are contextual, so plucking a number out of a news article or a research study and including it in your speech without taking the time to understand the statistic is unethical.

Although statistics are popular as supporting evidence, they can also be boring. There will inevitably be people in your audience who are not good at processing numbers. Even people who are good with numbers have difficulty processing through a series of statistics presented orally. Remember that we have to adapt our information to listeners who don’t have the luxury of pressing a pause or rewind button. For these reasons, it’s a good idea to avoid using too many statistics and to use startling examples when you do use them. Startling statistics should defy our expectations. When you give the audience a large number that they would expect to be smaller, or vice versa, you will be more likely to engage them, as the following example shows: “Did you know that 1.3 billion people in the world do not have access to electricity? That’s about 20 percent of the world’s population according to a 2009 study on the International Energy Agency’s official website.”

You should also repeat key statistics at least once for emphasis. In the previous example, the first time we hear the statistic 1.3 billion, we don’t have any context for the number. Translating that number into a percentage in the next sentence repeats the key statistic, which the audience now has context for, and repackages the information into a percentage, which some people may better understand. You should also round long numbers up or down to make them easier to speak. Make sure that rounding the number doesn’t distort its significance. Rounding 1,298,791,943 to 1.3 billion, for example, makes the statistic more manageable and doesn’t alter the basic meaning. It is also beneficial to translate numbers into something more concrete for visual or experiential learners by saying, for example, “That’s equal to the population of four Unites States of Americas.” While it may seem easy to throw some numbers in your speech to add to your credibility, it takes more work to make them impactful, memorable, and effective.

Tips for Using Statistics

  • Make sure you understand the context from which a statistic emerges.
  • Don’t overuse statistics.
  • Use startling statistics that defy the audience’s expectations.
  • Repeat key statistics at least once for emphasis.
  • Use a variety of numerical representations (whole numbers, percentages, ratios) to convey information.
  • Round long numbers to make them easier to speak.
  • Translate numbers into concrete ideas for more impact.

Analogies involve a comparison of ideas, items, or circumstances. When you compare two things that actually exist, you are using a literal analogy—for example, “Germany and Sweden are both European countries that have had nationalized health care for decades.” Another type of literal comparison is a historical analogy. In Mary Fisher’s now famous 1992 speech to the Republican National Convention, she compared the silence of many US political leaders regarding the HIV/AIDS crisis to that of many European leaders in the years before the Holocaust.

My father has devoted much of his lifetime to guarding against another holocaust. He is part of the generation who heard Pastor Niemöller come out of the Nazi death camps to say, “They came after the Jews and I was not a Jew, so I did not protest. They came after the Trade Unionists, and I was not a Trade Unionist, so I did not protest. They came after the Roman Catholics, and I was not a Roman Catholic, so I did not protest. Then they came after me, and there was no one left to protest.” The lesson history teaches is this: If you believe you are safe, you are at risk.

A figurative analogy compares things that are not normally related, often relying on metaphor, simile, or other figurative language devices. In the following example, wind and revolution are compared: “Just as the wind brings changes in the weather, so does revolution bring change to countries.”

When you compare differences, you are highlighting contrast—for example, “Although the United States is often thought of as the most medically advanced country in the world, other Western countries with nationalized health care have lower infant mortality rates and higher life expectancies.” To use analogies effectively and ethically, you must choose ideas, items, or circumstances to compare that are similar enough to warrant the analogy. The more similar the two things you’re comparing, the stronger your support. If an entire speech on nationalized health care was based on comparing the United States and Sweden, then the analogy isn’t too strong, since Sweden has approximately the same population as the state of North Carolina. Using the analogy without noting this large difference would be misrepresenting your supporting material. You could disclose the discrepancy and use other forms of supporting evidence to show that despite the population difference the two countries are similar in other areas to strengthen your speech.

Testimony is quoted information from people with direct knowledge about a subject or situation. Expert testimony is from people who are credentialed or recognized experts in a given subject. Lay testimony is often a recounting of a person’s experiences, which is more subjective. Both types of testimony are valuable as supporting material. We can see this in the testimonies of people in courtrooms and other types of hearings. Lawyers know that juries want to hear testimony from experts, eyewitnesses, and friends and family. Congressional hearings are similar.

When Toyota cars were malfunctioning and being recalled in 2010, mechanics and engineers were called to testify about the technical specifications of the car (expert testimony), and car drivers like the soccer mom who recounted the brakes on her Prius suddenly failing while she was driving her kids to practice were also called (lay testimony). When using testimony, make sure you indicate whether it is expert or lay by sharing with the audience the context of the quote. Share the credentials of experts (education background, job title, years of experience, etc.) to add to your credibility or give some personal context for the lay testimony (eyewitness, personal knowledge, etc.).

“Getting Competent”: Choosing the Right Supporting Material

As you sift through your research materials to find supporting material to incorporate into your speech, you will want to include a variety of information types. Choosing supporting material that is relevant to your audience will help make your speech more engaging. As was noted earlier, a speaker should consider the audience throughout the speech-making process. Imagine you were asked to deliver a speech about your college or university. To get some practice adapting supporting material to various audiences, provide an example of each type of supporting material that is tailored to the following specific audiences. Include an example, an explanation, a statistic, an analogy, some testimony, and a visual aid.

  • Incoming first-year students
  • Parents of incoming first-year students
  • Alumni of the college or university
  • Community members that live close to the school

Visual Aids

Visual aids help a speaker reinforce speech content visually, which helps amplify the speaker’s message. They can be used to present any of the types of supporting materials discussed previously. Speakers rely heavily on an audience’s ability to learn by listening, which may not always be successful if audience members are visual or experiential learners. Even if audience members are good listeners, information overload or external or internal noise can be barriers to a speaker achieving his or her speech goals. Therefore skillfully incorporating visual aids into a speech has many potential benefits:

  • Helping your audience remember information because it is presented orally and visually
  • Helping your audience understand information because it is made more digestible through diagrams, charts, and so on
  • Helping your audience see something in action by demonstrating with an object, showing a video, and so on
  • Engaging your audience by making your delivery more dynamic through demonstration, gesturing, and so on

There are several types of visual aids, and each has its strengths in terms of the type of information it lends itself to presenting. The types of visual aids we will discuss are objects; chalkboards, whiteboards, and flip charts; posters and handouts; pictures; diagrams; charts; graphs; videos; and presentation software. It’s important to remember that supporting materials presented on visual aids should be properly cited. We will discuss proper incorporation of supporting materials into a speech in Section 9.3 “Organizing”. While visual aids can help bring your supporting material to life, they can also add more opportunities for things to go wrong during your speech. Therefore we’ll discuss some tips for effective creation and delivery as we discuss the various types of visual aids.

Three-dimensional objects that represent an idea can be useful as a visual aid for a speech. They offer the audience a direct, concrete way to understand what you are saying. I often have my students do an introductory speech where they bring in three objects that represent their past, present, and future. Students have brought in a drawer from a chest that they were small enough to sleep in as a baby, a package of Ramen noodles to represent their life as a college student, and a stethoscope or other object to represent their career goals, among other things. Models also fall into this category, as they are scaled versions of objects that may be too big (the International Space Station) or too small (a molecule) to actually show to your audience.

Tips for Using Objects Effectively

  • Make sure your objects are large enough for the audience to see.
  • Do not pass objects around, as it will be distracting.
  • Hold your objects up long enough for the audience to see them.
  • Do not talk to your object, wiggle or wave it around, tap on it, or obstruct the audience’s view of your face with it.
  • Practice with your objects so your delivery will be fluent and there won’t be any surprises.

Chalkboards, Whiteboards, and Flip Charts

Chalkboards, whiteboards, and flip charts can be useful for interactive speeches. If you are polling the audience or brainstorming you can write down audience responses easily for everyone to see and for later reference. They can also be helpful for unexpected clarification. If audience members look confused, you can take a moment to expand on a point or concept using the board or flip chart. Since many people are uncomfortable writing on these things due to handwriting or spelling issues, it’s good to anticipate things that you may have to expand on and have prepared extra visual aids or slides that you can include if needed. You can also have audience members write things on boards or flip charts themselves, which helps get them engaged and takes some of the pressure off you as a speaker.

Posters and Handouts

Posters generally include text and graphics and often summarize an entire presentation or select main points. Posters are frequently used to present original research, as they can be broken down into the various steps to show how a process worked. Posters can be useful if you are going to have audience members circulating around the room before or after your presentation, so they can take the time to review the poster and ask questions. Posters are not often good visual aids during a speech, because it’s difficult to make the text and graphics large enough for a room full of people to adequately see. The best posters are those created using computer software and professionally printed on large laminated paper.

These professional posters come at a price, often costing between forty and sixty dollars. If you opt to make your own poster, take care to make it look professional. Use a computer and printer to print out your text; do not handwrite on a poster. Make sure anything you cut by hand has neat, uniform edges. You can then affix the text, photos, and any accent backing to the poster board. Double-sided tape works well for this, as it doesn’t leave humps like those left by rolled tape or the bubbles, smearing, or sticky mess left by glue.

Handouts can be a useful alternative to posters. Think of them as miniposters that audience members can reference and take with them. Audience members will likely appreciate a handout that is limited to one page, is neatly laid out, and includes the speaker’s contact information. It can be appropriate to give handouts to an audience before a long presentation where note taking is expected, complicated information is presented, or the audience will be tested on or have to respond to the information presented. In most regular speeches less than fifteen minutes long, it would not be wise to distribute handouts ahead of time, as they will distract the audience from the speaker. It’s better to distribute the handouts after your speech or at the end of the program if there are others speaking after you.

Photographs, paintings, drawings, and sketches fall into the pictures category of visual aids. Pictures can be useful when you need to show an exact replication of what you’re speaking about. Pictures can also connect to your audience on a personal level, especially if they evoke audience emotions. Think about the use of pictures in television commercials asking for donations or sponsorships. Organizations like Save the Children and the American Society for the Prevention of Cruelty to Animals successfully use pictures of malnourished children or abused animals to pull at the heartstrings of viewers. A series of well-chosen and themed pictures can have a meaningful impact on an audience. Although some pictures can be effectively presented when printed out on standard 8 1/2″ x 11″ printer paper using a black and white printer, others will need to be enlarged and/or printed in color, which will cost some money. You can often avoid this by incorporating a picture into a PowerPoint presentation, as the picture will be projected large enough for people to see. We will discuss PowerPoint in more detail later.

Diagrams and Drawings

Diagrams are good for showing the inner workings of an object or pointing out the most important or relevant parts of something. Think about diagrams as blueprints that show the inside of something—for example, key bones in the human body in a speech about common skateboarding injuries. Diagrams are good alternatives to pictures when you only need to point out certain things that may be difficult to see in a photograph.

You may even be able to draw a simple diagram yourself if you find it would be useful during your speech. Although not all maps are simple enough to be created by the speaker, many maps can be hand drawn during a speech or ahead of time to indicate different locations or patterns. While I would recommend that you anticipate this ahead of time so you can incorporate a more professional version of the diagram created with computer software or more precise drawing, drawing a diagram on an overhead projector, whiteboard, or smart board can be useful.

Charts and Tables

Charts and tables are useful for compiling and cross-referencing larger amounts of information. The combination of rows and columns allows you to create headers and then divide them up into units, categories, dates, and so on. Medical information is put into charts so that periods of recorded information, such as vital signs, can be updated and scanned by doctors and nurses. Charts and tables are also good for combining text and numbers, and they are easy to make with word processing software like Microsoft Word or spreadsheet software like Excel. Think of presenting your department’s budget and spending at the end of a business quarter. You could have headers in the columns with the various categories and itemized deductions in the rows ending with a final total for each column.

A pie chart is an alternative representation of textual and numerical data that offers audience members a visual representation of the relative proportions of a whole. In a pie chart, each piece of the pie corresponds to a percentage of the whole, and the size of the pie varies with the size of the percentage. As with other charts and tables, most office software programs now easily make pie charts.

Graphs are representations that point out numerical relationships or trends and include line graphs and bar graphs. Line graphs are useful for showing trends over time. For example, you could track the rising cost of tuition for colleges and universities in a persuasive speech about the need for more merit-based financial aid.

Bar graphs are good for comparing amounts. In the same speech, you could compare the tuition of two-year institutions to that of four-year institutions. Graphs help make numerical data more digestible for your audience and allow you to convey an important numerical trend visually and quickly without having to go into lengthy explanations. Remember to always clearly label your x -axis and y -axis and to explain the basics of your graph to your audience before you go into the specific data. If you use a graph that was created by someone else, make sure it is large and clear enough for the audience to read and that you cite the original source.

Video clips as visual aids can be powerful and engaging for an audience, but they can also be troublesome for speakers. Whether embedded in a PowerPoint presentation, accessed through YouTube, or played from a laptop or DVD player, video clips are notorious for tripping up speakers. They require more than one piece of electronics when they are hooked to a projector and speaker and sometimes also require an Internet connection. The more electronic connection points, the more chances for something to go wrong. Therefore it is very important to test your technology before your speech, have a backup method of delivery if possible, and be prepared to go on without the video if all else fails. Although sometimes tempting, you should not let the video take over your speech. I recommend that my students not have more than 10 percent of their speech be filled with video, meaning there should be no more than one minute of video in a ten-minute speech. Make sure your video is relevant and that it is cued to where it needs to be. One useful strategy for incorporating video is to play a video without audio and speak along with the video, acting as a narrator. This allows the speaker to have more control over the visual aid and to adapt it and make it more relevant to a specific topic and audience. Additionally, video editing software like Final Cut and iMovie are readily available to college students and relatively easy to use. Some simple editing to cut together various clips that are meaningful or adding an introductory title or transitions can go a long way toward making your video look professional.

Presentation Software

The prevalence of computers and projectors in most schools, offices, and other presentation facilities has made using computer-generated visual aids more convenient. PowerPoint is the most commonly used presentation software and has functionality ranging from the most simple text-based slide to complicated transitions, timing features, video/sound imbedding, and even functionality with audience response systems like Turning Point that allow data to be collected live from audience members and incorporated quickly into the slideshow. Despite the fact that most college students have viewed and created numerous PowerPoint presentations, I have still seen many poorly executed slideshows that detracted from the speaker’s message. PowerPoint should be viewed as a speech amplifier. Like an amplifier for a guitar, it doesn’t do much without a musician there to play the instrument. The speaker is the musician, the speech is the instrument, and PowerPoint is the amplifier. Just as the amplifier doesn’t dictate what the guitar player does, neither should PowerPoint take over the speaker.

I like to distinguish between using PowerPoint as a presentation aid and as a visual aid. PowerPoint, with all its bells and whistles, is designed as a presentation aid. Presentations are generally longer than speeches, at least fifteen minutes long, and are content heavy. College lectures and many professional conference presentations fall into this category. In these cases, PowerPoint generally runs along with the speaker throughout the presentation, reviewing key points and presenting visual aids such as pictures and graphs. The constant running of the slideshow also facilitates audience note taking, which is also common during presentations.

Speeches, on the other hand, are usually fifteen minutes or less, have repetition and redundancy built in (as they are adapted to a listening audience), and carry less expectation that the audience will take detailed notes. In this case, I believe PowerPoint should be used more as a visual aid, meaning that it should be simpler and amplify particular components of the speech rather than run along with the speaker throughout the speech.

Tips for Using PowerPoint as a Visual Aid

  • Do not have more than two slides per main point.
  • Use a consistent theme with limited variation in font style and font size.
  • Incorporate text and relevant graphics into each slide.
  • Limit content to no more than six lines of text or six bullet points per slide.
  • Do not use complete sentences; be concise.
  • Avoid unnecessary animation or distracting slide transitions.
  • Only have a slide displayed when it is relevant to what you’re discussing. Insert completely black slides to display when you are not explicitly referencing content in the speech so the audience doesn’t get distracted.

Alternatives to PowerPoint

Although PowerPoint is the most frequently used presentation software, there are alternatives that can also be engaging and effective if the speaker is willing to invest the time in learning something new. Keynote is Apple’s alternative to Microsoft’s PowerPoint and offers some themes and style choices that can set your presentation apart from the familiar look of PowerPoint. Keep in mind that you will need to make sure you have access to Mac-compatible presentation tools, since Keynote won’t run or open on most PCs. Prezi is a new web-based presentation tool that uses Flash animation, zooming, and motion to make a very different-looking computer-generated visual aid. The only story to be written about this event is that a huge crowd gathered to see and hear the presumptive presidential candidate have some sort of episode in public. That is a major news story. Half the electorate has turned into a banana farm. The following, from The New York Times, is not the way to do this.

But if Mr. Trump’s speech largely consisted of what has become his standard fare, the setting stood out. Though New Jersey has voted for Democratic presidential candidates in every election since 1992, and Mr. Trump lost the state by double-digit margins in both 2016 and 2020, he insisted that he could win there in November. “We’re expanding the electoral map, because we are going to officially play in the state of New Jersey,” Mr. Trump said to a packed crowd on the beach. “We’re going to win the state of New Jersey.”

Neither is this.

Mr. Trump, who once owned casinos in Atlantic City, N.J., and who often spends summers at his golf club in Bedminster, N.J., has been publicly bullish on his chances in New Jersey for months. Political experts, and even some of his advisers, are skeptical. Still, parts of the state are deeply conservative, including the area around Wildwood, a boardwalk town on the southern end of the Jersey Shore and a beach destination popular with working-class families. Many visitors come from Pennsylvania, a battleground state that backed Mr. Trump in 2016 but swung to Mr. Biden in 2020.

And, finally, this isn’t, either.

Against the backdrop of classic Americana, Mr. Trump repeated his typical criticism that Mr. Biden’s economic policies were hurting the middle class. With an amusement park operating rides in the background, he insisted that only he could preserve the summer shore tradition. “The choice for New Jersey and Pennsylvania is simple,” Mr. Trump said, telling supporters to vote for him if they wanted “lower costs, higher income and more weekends down at the shore.” (The area’s locals usually say “down the shore,” but judging by the cheers of the crowd, the point was well received.) The rally was a stark contrast to the scene at the Manhattan courthouse, where proceedings are more sober and Mr. Trump’s comments are limited to remarks to reporters before he enters and leaves the courtroom.

This is normalization that ought to be taught in journalism schools as an example of what never to do. And the comparisons drawn between Trump in Court and Trump on the Stump are dangerously facile. His criminal trial isn’t just another bump on the campaign trail, like a freak snowstorm in Iowa or a washed-out bridge in New Hampshire. The odds are better than 50–50 that the presumptive Republican presidential candidate will be a convicted criminal going into his party’s convention. That’s a black-swan event in American history, and it ought to be covered like one every day.

Chiefs' Harrison Butker strikes against Pride Month, lauds wife's role as 'homemaker'

Kansas City Chiefs placekicker Harrison Butker used his platform as a commencement speaker at Benedictine College last weekend to attack Pride Month and transgender people, the coronavirus pandemic, while also telling women to get back in the kitchen.

Benedictine College is a Catholic private liberal arts school in Atchison, Kansas, and Butker used his 20 minutes on stage to opine his thoughts, starting with Pride Month and, what he called "dangerous gender ideologies."

"Not the deadly sins sort of Pride that has an entire month dedicated to it," Butker said, "but the true God-centered pride that is cooperating with the holy ghost to glorify him."

Pride Month has been celebrated in June since 1969.

Butker also shared his thoughts on COVID-19, which has killed nearly 1.2 million people in the United States, according to the Centers for Disease Control and Prevention :

"While COVID might have played a large role throughout your formative years, it is not unique," Butker said. "The bad policies and poor leadership have negatively impacted major life issues. Things like abortion, IVF, surrogacy, euthanasia, as well as a growing support for the degenerate cultural values and media all stem from pervasiveness of disorder."

Women were also under scrutiny by Butker.

"I can tell you that my beautiful wife, Isabelle, would be the first to say that her life truly started when she began living her vocation as a wife and a mother. I’m on this stage, and able to be the man I am, because I have a wife who leans into her vocation," Butker said.

"I’m beyond blessed with the many talents God has given me, but it cannot be overstated that all of my success is made possible because a girl I met in band class back in middle school would convert to the faith, become my wife, and embrace one of the most important titles of all: homemaker."

Those who didn't fit in that category, Butker had more words for them.

"I think it is you, the women, who have had the most diabolic lies told to you," he said. "Some of you may go on to lead successful careers in the world but I would venture to guess that the majority of you are most excited about your marriage and the children you will bring into this world."

Butker has been with the Chiefs since 2017 and has won three Super Bowl championships. He holds records for the longest field goal in a Super Bowl and career field goals in the Super Bowl with nine.

What to know about the inflation report.

A closely watched measure of inflation eased last month, an encouraging sign for the economy after three straight months of uncomfortably rapid price increases.

The Consumer Price Index climbed 3.4 percent in April, down from 3.5 percent in March, the Labor Department said Wednesday. The “core” index — which strips out volatile food and fuel prices in order to give a sense of the underlying trend — rose 3.6 percent last month, down from 3.8 percent a month earlier. It was the lowest annual increase in core inflation since early 2021.

The slowdown will likely come as welcome news to consumers, and as a relief to policymakers at the Federal Reserve, who have been concerned that they were losing ground in their fight against inflation. But economists cautioned that one month of encouraging data was far from enough to set those worries to rest.

“I would characterize it as a small step in the right direction,” said Stephen Stanley, chief U.S. economist at Santander.

Both overall and core prices rose 0.3 percent from the previous month, down from 0.4 percent in February and March.

Inflation fell rapidly last year, giving rise to hopes that the Fed was on the verge of succeeding in its effort to rein in price increases without causing a recession, and that the central bank could soon begin cutting interest rates. But progress has since stalled, and investors have all but given up hope of rate cuts before September.

The encouraging inflation report on Wednesday is unlikely to change those expectations. But it could be a step toward giving policymakers confidence that inflation is returning to normal, which they have said they need before they begin cutting rates, which are currently set at about 5.3 percent.

“I think there will be something of a sigh of relief from the Fed, but at the same time there’s still work to be done,” said Sarah House, senior economist at Wells Fargo. She noted that services prices, in particular, continued to rise quickly in April, albeit more slowly than they had in recent months.

The report is also likely to be met with relief at the White House after what has been a rough recent run of inflation data for President Biden. Grocery prices fell outright in April, and are up just 1.1 percent over the past year, encouraging signs of progress in what has been one of the most painful categories of inflation for families.

But the report also provided fodder for Republicans. Gasoline prices rose a seasonally adjusted 2.8 percent in April from March.

Still, while Wednesday’s report contained some mixed signals, it did at least stop the bleeding after several months of bad news.

Had the data come in hotter than anticipated yet again, it could have led policymakers to conclude that high rates needed more time to bring inflation to heel. Speaking at an event in Amsterdam on Tuesday , Jerome H. Powell, the Fed chair, reiterated that recent inflation readings had made him more cautious about cutting rates.

“We did not expect this to be a smooth road, but these were higher than I think anybody expected,” he said. “What that has told us is that we will need to be patient and let restrictive policy do its work.”

Any further delay would be bad news for investors, who have been eagerly anticipating lower rates, and for low- and moderate-income Americans, who are increasingly struggling to manage the burden of higher borrowing costs. Data from the Federal Reserve Bank of New York on Tuesday showed that a rising share of borrowers are falling behind on their credit card bills as rates on those debts have skyrocketed.

Wednesday’s report showed improvement in some of the categories that had driven the recent uptick in inflation. Health insurance costs, which jumped in March, rose more slowly in April. Car insurance rates, too, rose more slowly, although still at an uncomfortably rapid clip.

But prices in one key part of the economy remained stubborn: housing. For more than a year, forecasters have been predicting that the government’s measure of housing inflation would ease, citing private-sector data showing rent increases slowing.

Instead, housing costs in the Consumer Price Index have continued to rise more quickly than before the pandemic, a pattern that continued in April.

“The initial reaction from the market to this data is that this is a relief, and it’s good news, because we’re not re-accelerating,” said Blerina Uruci, chief U.S. economist at T. Rowe Price. “But when I look at the details, it seems to suggest a degree of stickiness in inflation,” in part because of housing.

Still, the latest data could restore some confidence that policymakers will be able to keep bringing down inflation without causing a recession. The Fed had seemed on track to do that last year, defying predictions that high interest rates would inevitably cause a large increase in unemployment.

But as the fight has dragged on, some economists have become more concerned that the Fed will prove unable to control inflation fully without slowing the economy so much that people lose their jobs. Job growth slowed more than expected in April, and the unemployment rate has gradually crept up.

“The labor market has held up so well,” Ms. House said. “But the longer we keep interest rates where they are, the more I get worried about the labor market side.”

No boasting over the inflation numbers from President Biden today. “Fighting inflation and lowering costs is my top economic priority,” he said in a statement. “I know many families are struggling, and that even though we’ve made progress we have a lot more to do.”

Biden has been trying for months to find the right balance between claiming credit for economic gains and expressing solidarity with voters struggling with high prices . Here, he’s leaning into the “feel your pain” side of the equation .

Former President Donald J. Trump’s campaign is, not surprisingly, hitting Biden on today’s report. “Joe Biden’s poll numbers continue to sink as prices for the American people continue to rise,” Karoline Leavitt, the campaign press secretary, said in a statement.

Food price gains moderated in April.

Food inflation eased in April, providing some relief to grocery shoppers struggling to deal with higher costs.

Overall, food prices were flat compared with the prior month, a slowdown from March, when prices rose 0.1 percent. Grocery prices fell 0.2 percent in April after remaining flat for two straight months. The cost of dining out rose 0.3 percent for the second month.

Compared to a year earlier, food inflation climbed 2.2 percent in April, the same rate it rose in March . Still, that is a faster rate than prices were rising before the pandemic.

Prices for fruits and vegetables declined 0.8 percent over the month after increasing 0.1 percent in March. Meats, poultry and fish prices fell 0.1 percent, down from an increase of 0.6 percent the month before. Some products saw more rapid price gains. Costs for cereal and cereal products increased 2.2 percent over the month, and prices for ice cream and related products rose 3.3 percent in April.

Egg prices declined 7.3 percent over the month. That was a reversal from the two months prior, when they rose 4.6 percent in March and 5.8 percent in February. Economists have mostly attributed the recent rise in egg prices to bird flu outbreaks hitting commercial farms.

Although egg prices declined in April, David Ortega, a food economist at Michigan State University, said there was still a lot of uncertainty surrounding bird flu outbreaks, and he expected prices to rise in the coming months if outbreaks continue to worsen.

Overall food inflation has cooled over the past several months as transportation and raw material costs have moderated. Economists have said they expect overall food inflation to continue easing in the coming months.

Still, the high cost of food has posed a political problem for President Biden ahead of the election. Although food prices have been rising at a slower rate in recent months, economists have said consumers might not be taking much comfort with that fact because prices are still significantly higher than they were a few years ago.

Meanwhile, retail sales came in weaker than expected, in a potential sign that high prices are continuing to depress purchases. The flat number came after a strong February and March, however, so it may not add up to real evidence of a downturn.

Blerina Uruci, chief U.S. economist at T. Rowe Price, said that she thought that the Fed still hasn’t “seen a sufficient deceleration to feel confident,” and said that she is forecasting a rate cut in December — but predicating that on cool inflation readings over the summer.

“I don’t think there is any benefit right now to signaling too strongly in either direction for the Fed,” she said.

Renewed signs of cooler inflation have bolstered hopes of rate cuts this year. Investors have tilted their bets toward September for when the Fed will first cut interest rates, based on prices in interest rate futures markets, with another cut expected by the end of December.

“This is the first good C.P.I. report in four months and the market likes it,” said Gary Pzegeo, head of fixed income at CIBC Private Wealth US.

Paul Ashworth, chief North America economist for Capital Economics, said, “all things considered, this is consistent with the Fed cutting interest rates in September,” in a note he wrote to clients.

Of interest to parents of young children, the cost of daycare and preschool rose 0.4 percent over the month. It has been rising slightly faster in the pandemic era than it had been in the years before, though it is less volatile than other categories.

One reason why: According to a report out today from Child Care Aware of America, the supply of new daycares hasn’t kept up with demand as parents go back to work in person.

This report ends what has been a rough run of inflation data for President Biden. White House officials would love to see even more cooling in price growth, but they will welcome this reading as a start.

I would expect Biden and his team to highlight falling grocery prices — progress on an issue that consumers are paying an enormous amount of attention to.

Airfares appear to have resumed their downward slide, after having risen sharply in the second half of last year. They have declined 1.2 percent over the past two months.

Housing inflation held steady in April, as a more marked slowdown remains elusive.

Housing inflation remained unchanged in April, offering little comfort for Federal Reserve policymakers as they look for further evidence that inflation more broadly is slowing down in a sustainable way.

Economists have been closely watching housing inflation, which makes up about a third of Consumer Price Index inflation. They have expected it to cool meaningfully, but so far it has moderated only slowly.

Forecasters have been looking for a slowdown because market-based rents on new leases have cooled notably, and economists have expected that to slowly feed into official inflation data. But the government’s inflation figures capture more than just new rents: They try to represent what is happening to all rental units, including those with existing leases, and also estimate how much it would cost to rent owner-occupied housing.

It is taking an unexpectedly long time for the slowdown in real-time rents to move into those measures, though it is slowly happening. The Bureau of Labor Statistics’ rent of primary residence index picked up 0.4 percent in April from the previous month, in line with its March gain. And a measure that tracks how much it would cost someone who owns their house or apartment to rent it climbed by 0.4 percent, also unchanged.

That pace of increase is slower than last year, but it is also a reminder that it is taking time to turn the tide on housing inflation.

Economists broadly still expect official housing inflation measures to moderate this year. Rent growth on existing leases must eventually slow down to look more like the rent growth on new leases, the logic goes, because otherwise people who are facing big rent jumps will simply move.

But there is uncertainty around both when that moderation will happen and how extensive it will be. And some economists have been eyeing a recent tick up in at least one measure of new leases — a nervousness that is likely to linger in light of the new data.

One component pushing up the headline inflation index was energy, which has been bouncing around a lot since peaking in 2022. It rose 1.1 percent over the month and is up 2.6 percent since last year.

The two-year Treasury yield, which is sensitive to changes in interest rate expectations, fell sharply after the numbers were released, as investors appear to have dialed back how long they expect interest rates to stay elevated for.

The dollar is also sharply weaker, a welcome sign for many countries around the world.

Stocks are rallying, as investors welcome a return to the trend of cooling inflation data. Futures on the S&P 500, which allow investors to trade before the official start of trading, rose 0.5 percent in premarket trading, on course to push the index to a fresh record high.

This inflation report shows that car insurance prices are still rising, but at a slower rate than last month. The index for motor vehicle insurance rose 1.8 percent in April, after a 2.6 percent rise in March.

Even though it’s slowing, the rise in car insurance is still staggering compared with other inflation components. Car insurance prices haves risen by 22.6 percent over the last year. Insurers have just recently gotten permission to adjust their prices to conditions that have since faded, and now they’re hoping to start turning a profit again.

One of the biggest drags on inflation came from cars — prices for used vehicles were down 1.4 percent over the month, and the cost of new vehicles declined 0.4 percent.

The combined used and new vehicles index is now down about three percent from its peak in May of last year.

Food prices were flat in April compared with the previous month, a slowdown from March, when prices rose 0.1 percent. Grocery prices also fell 0.2 percent, providing some relief to consumers.

We are all watching closely to see what happens with rent and a measure of rent that applies to homeowners this morning. Economists have been waiting for months (and months) for it to come down.

Stocks are mixed as investors await the inflation data. The S&P 500 is flat in premarket trading. The tech-heavy Nasdaq Composite is down slightly, after some lukewarm news from big tech companies like Apple and Amazon.

A positive report could be enough to push the S&P 500 back up to another record high, after a brief blip in this year’s rally.

The Fed chair’s confidence in cooling inflation is ‘not as high’ as before.

Jerome H. Powell, the Federal Reserve chair, reiterated Tuesday that policymakers were poised to hold interest rates steady at a high level as they waited for evidence that inflation is slowing further.

Fed officials entered 2024 expecting to make interest rate cuts, having lifted borrowing costs sharply to a more than two-decade high of 5.3 percent between 2022 and the middle of last year. But stubbornly rapid inflation in recent months has upended that plan.

Central bankers have been clear that rate cuts this year are still possible, but they have also signaled that they are planning to leave interest rates on hold for now as they wait to make sure that inflation is genuinely coming under control.

Speaking during a panel discussion in Amsterdam, Mr. Powell said officials had been surprised by recent inflation readings.

“We did not expect this to be a smooth road, but these were higher than I think anybody expected,” Mr. Powell said on Tuesday of recent inflation readings. “What that has told us is that we will need to be patient and let restrictive policy do its work.”

Mr. Powell said that he expected continued growth and a strong labor market in the months ahead, and that he believed inflation would begin to slow again.

But, he said, “my confidence in that is not as high as it was, having seen these readings in the first three months of the year.”
