The Apple Keynote presentation app allows you to convert Keynote presentations to Microsoft PowerPoint formats. Here’s how.

Keynote is a popular presentation tool, offered as part of the free, Microsoft Office-competing Apple productivity suite on macOS and iOS devices. If you don’t have an Apple device, however, then you won’t be able to open any Keynote files.

The good news is that it’s possible to convert Keynote presentations to Microsoft PowerPoint format. You can then open these files on a Mac, PC, or mobile device. There are a number of methods for converting these files, which we’ll explore below.

How to Export Keynote to PowerPoint on macOS

If you are a Mac user, you can convert your Keynote presentations to PowerPoint directly from within Keynote itself.

You’ll be able to open the converted Keynote presentation file in PowerPoint once this is done.

If your Keynote presentation used any non-system fonts, you may find that these have been replaced in the converted PowerPoint file, as the conversion process is unable to keep them in place.

How to Export Keynote to PowerPoint on iPhone or iPad

In this article, I’ll give you a step by step guide on how you can convert your .KEY file into something that’s compatible with PowerPoint. Why convert Keynote to PPT if it’s already a great presentation app?

Keynote is a free presentation app that runs exclusively on Mac computers and iOS devices like the iPhone and iPad. Now, a lot of people may love using Keynote for their presentations. But the fact that the app only works on the Apple ecosystem is a bit of a downer. That said, here are some reasons why you may need to convert your Keynote file to PowerPoint:

• You’ll be collaborating with non-Mac users

For many Apple fans, MacOS is the greatest computer operating system ever. But, of course, plenty of Windows users beg to disagree. And unfortunately, in the battle for computer OS supremacy, Windows still reign supreme.

The sad truth is that there are far more people who can’t access Keynote (because it’s exclusive to Apple) than those who can. Therefore, you (as part of the minority) need to do the adjusting.

What this means for Keynote users is that if you intend to collaborate or work with non-Apple users, you’ll need to convert your Keynote file first. Otherwise, your colleagues or teammates won’t be able to open your .KEY file on their computer. It’s as simple as that.

In critical business presentations where there might be a lot at stake, it’s best to be prepared and just convert the file to PowerPoint. You want to make sure everyone on the team can access your file.

The best way to ensure this is to convert your Keynote to a more universally recognized presentation file format. This is either the .PPT or .PPTX format.

• You’ll be presenting on a non-Apple device

You’ll likely present in venues where they use a dedicated presentation computer. More often than not, these computers are Windows-based, meaning it can’t open your Keynote. You will therefore need to convert Keynote to PowerPoint first if you want to be able to do your presentation.

Likewise, if you’re the only Keynote user on your team and everyone’s on Windows, then it’s best to just do the conversion process ahead of time. This way, if your team leader decides to have everyone use just one computer during the presentation, then you won’t be caught by surprise.

• You don’t want to bother with purchasing additional accessories

If you can, in fact, use your Mac laptop for your presentation, then good for you. But you will then need to think about having the right accessories so you can connect your laptop to the projector , TV or monitor. This is because these external displays require either VGA or HDMI. Unfortunately, these ports are absent on the modern MacBook.

The most recent line of MacBook ultraportable laptops only have a couple of USB-C | Thunderbolt ports. So, you’d need to have a bunch of adaptors with you if you want to ensure your laptop can connect to a projector, TV or external monitor.

And, don’t forget, you also need the right cable to connect your adaptor to the projector. It can get quite confusing if you’re not exactly a technical kind of person, so it may be best to ask for help from someone who knows this stuff.

While you can definitely export your Keynote to PowerPoint (among other file formats), it’s not going to be like a native PowerPoint experience. Which is neither app’s fault really – they just happen to be created by two different giants in the tech industry.

The good news is exporting your Keynote to PowerPoint is generally a straightforward experience. Now, it’s not without hiccups. You’d still need to give your converted document a thorough look to make sure everything’s actually where it’s supposed to be. But for the most part, the conversion process itself is quick and easy.

Step-by-step guide to convert Keynote to PowerPoint

I’ll be dividing this section into two – how to convert on both MacOS and iOS. For this tutorial, I downloaded a free corporate Keynote template from Louis Twelve which I found on Behance .

Let’s dive into the first part:

How to convert Keynote to PowerPoint (MacOS)

First, you’ll need to open up your Keynote file. Then go to File > Export To . From the dropdown list, click on PowerPoint .

You’ll then see this ‘Export Your Presentation’ dialog box on your screen. Make sure you’re on the PowerPoint tab.

As you can see, the menu is quite straightforward. You can choose to lock your file with a password or not by ticking the box that says ‘Require password to open.’

By default, Keynote will convert the file to the more recent .PPTX format. But if you’re going to be presenting on an older PowerPoint version, then click on the Advanced Options button. And you’ll see this on your screen:

Select .PPT if you want your file to be compatible with PowerPoint 1997-2003. Otherwise, leave it at .PPTX. Once you’ve made your choice, click on the blue ‘Next’ button.

On the next screen, you’ll be asked to give your file a name and where you want to save your new PowerPoint file. Type the file name in the ‘Save As’ field. Then navigate to the folder where you want to save your file. Hit the blue ‘Export’ button when you’re ready to export.

The conversion process is generally very fast. For small files, it will only take a couple of seconds. For more media-intensive files, it may take longer. To check out your new PowerPoint file, navigate over to where you chose to save it.

Double click the file and you’ll notice that instead of Keynote popping up, it will now be PowerPoint. Of course, this will only work if you have PowerPoint installed on your computer ! If you don’t have PowerPoint on your Mac, then Keynote will open up the newly converted file (yes, Keynote can open PowerPoint files).

How to convert Keynote to PowerPoint (iOS)

This is the process you need to follow if you want to convert your Keynote to PowerPoint on an iPhone or iPad.

First, open up Keynote on your device. Then select the folder where you’ve saved your Keynote file. For instance, it could be on iCloud Drive, Google Drive, or any other cloud service connected to your device. Alternatively, you can also search for Keynote files by choosing from your Favorites list or even from your color-coded Tags.

In my case, I save all my Keynote files to iCloud because I find it more convenient especially in terms of accessing the same files on my Mac. So, here’s the file I want to convert to PowerPoint (same file I used in previous example):

The next thing we need to do is to tap on the file and open it. Then, tap on the ellipsis icon (…) on the top-right corner to open up more menu settings.

You’ll then see the screen below. Tap the Export option.

In the Export screen, you’ll see there are a number of options for you to choose from: PDF, PowerPoint, Movie, Animated GIF, Images, Keynote Theme. Since this tutorial is all about converting Keynote to PowerPoint, make sure you tap on PowerPoint.

Note that unlike the conversion process on MacOS where you can choose between .PPTX and .PPT, on iOS devices you’ve got no say in the matter. All converted presentations files will be in .PPTX format. So, keep this in mind if you know you’re going to be using an older computer.

That said, once you tap on PowerPoint, you’ll briefly see this window on your screen. It’s basically letting you know that Keynote is converting or creating your new PowerPoint presentation for you:

Now, during the export process, Keynote may find some issues. It will give you a list of things you may want to look over. So you can decide if you’re going to proceed with the export process or not. Here are some issues encountered for the Keynote template I used:

As you can see, Keynote gave me a list of 5 fonts which may or may not cause my exported PowerPoint file to look different from the original Keynote file. Basically, it’s telling me that Calibri and Open Sans are missing and text on the exported file may look different.

If you think you can live with these issues and continue the export process, tap on Continue .

Once the file is exported, iOS will then ask you what you want to do with your new PowerPoint file. You can share the file via AirDrop or send it via SMS or social media. Alternatively, you can save it to your iPhone (or iPad) by tapping on ‘Save to Files.’

The conversion process from Keynote to PowerPoint is easy and straightforward on both MacOS and iOS. However, you may find that your new PowerPoint file isn’t as picture-perfect as it seems.

Two common issues that can arise from the conversion process

In this section, I’ll list down the most common issues and problems that arise when converting Keynote to PowerPoint. Even the most basic Keynote file (that is, there’s not a ton of fancy texts and animations on it) will likely run into some issues.

• The missing fonts problem

This is probably the most common problem. If you checked out the step-by-step iOS Keynote to PPT conversion process I shared above, then you’ll notice that I got a message about fonts. Specifically, it said Calibri and Open Sans are missing and may cause the exported file to look different from the original file.

Aside from looking different, the new font may also cause the text to be displaced . This is because the replacement font may be of a different size. That is, it may be a few pixels wider, narrower, taller, or shorter. This will, of course, result to its neighboring elements being moved around. So, you’ll find some text overlapping on other elements or being totally moved to the side.

Also, the replacement font may not convey the same emotion that the original font was meant to do. For instance, some fonts are perfect for business presentations because they look more formal and elegant. Others are perceived to be ‘fun’ and as such, are great for team-building types of presentations.

If you want your audience to be excited about something, you’d use a font that can help build up their excitement as well. But all these will be for nothing if the replacement font on your newly-converted PPT file fails to bring out the same emotion in the audience.

So, the best course of action for this problem is to look for a similar font that will not only look the same. But will also evoke the same emotion in your audience. Easier said than done, I know, when there are so many fonts to choose from.

In the next section, I will be covering some tips on how to make sure there are no font issues in the converted file.

• Animations and transitions are not converting correctly

There are two types of animations in Keynote – object animation and slide transition.

Object animation basically refers to the animation effects applied to a specific object. If there are 5 different elements on a slide, you can add animation effects to each one.

Slide transition , on the other hand, refers to the animation when moving or transitioning from one slide to the next.

That said, there are 3 different types of object animations on both Keynote and PowerPoint:

On Keynote, these are (1) build in, (2) action, and (3) build out.

On PowerPoint, these are equivalent to (1) entrance, (2) emphasis, and (3) exit effects.

They work basically the same way. The only difference is that not all animations on Keynote are present on PowerPoint, and vice versa.

So, it’s really not surprising at all that your Keynote animations and transitions aren’t going to convert perfectly into PowerPoint. The best way to go about avoiding this issue is to stick to animations that are present on both apps. For instance, you may want to use either the appear or fade animations. These are available on both apps and are also relatively simple animations.

While fancy animations are available on either app, I highly recommend keeping things simple. You don’t want to give your audience a headache when viewing your presentation!

Now, I’m sure there are other issues that can arise especially when dealing with complex presentations with lots of elements on it. Don’t take your slides at face value – always go through each slide and make sure it’s what you’re expecting.

Solutions to preserve your Keynote slides’ look

I’ve got 3 solutions here that you can follow if you care about how your Keynote slides’ look and want to preserve it for your presentation.

• Convert your Keynote to PDF

While this may not be the ideal solution, you should give this method a try if all you care about is making sure your slides’ appearance remain intact. Each slide will have its own page in the PDF document.

When converting to PDF, all your fonts, images and graphics will be preserved. However, if you have video and/or audio added to your slides, you’re going to lose them. You will also lose all your animations and transitions.

Another good thing about PDF files is that they are highly portable. That is, you can save your PDF presentation on a flash drive, and you can open it on literally any computer!

To convert your Keynote into a PDF file, go to File > Export To > PDF . These are the export options for you to consider:

You can choose to include your presenter notes, print each stage of builds, include skipped files, select the image quality, and add a password to the PDF.

• Convert to video or export Keynote as movie file

There’s a great advantage to exporting your Keynote as a movie file. You not only get to keep the static elements on your slides, you also get to retain all animations and transitions! This is actually the best method you can use if you want to make sure your fancy Keynote animations remain intact!

The downside to converting your slides to video is that you don’t get to control when the slides move on to the next slide. Technically, you can, but you have to do it all in advance when you record your slideshow. You have to time everything perfectly if you want your video and your speech to sync perfectly. In your actual presentation, you can either leave the slides to just play automatically or you can pause the movie from time to time.

To export your Keynote to movie format, go to File > Export To > Movie . Here’s a screenshot of the export screen:

For playback, you can choose between self-playing and slideshow recording. You can also choose which slides you want to convert into a movie, plus you can also control the timings. For resolution, the default is 720p. If you want higher or even custom resolution, click on the Resolution dropdown. You can also select the compression type you want to use for your Keynote movie.

• Convert to images then copy to a new Keynote file

If you’re not looking to convert your slides into PDF or movie format, you should try this third method. This technique works great for preserving the appearance of your slides and you can even add simple slide transitions, but that’s about it. The good thing is all your hard work in Keynote isn’t going to go to waste (except if you add videos to your slides but I’ll give a workaround for that later).

So, here’s how this process works. Once you’ve finished your Keynote presentation, click on File > Export To > Images . You’ll see this Export menu box on your screen:

Choose the slides you want to convert to images. Then select the image format you want to use. You can also opt to create an image for each stage of builds, but for this method, you can just leave this box unticked.

Once the slides have been converted to images, you can create a new Keynote file and you can then insert all your new images to the new Keynote. One image goes into one slide.

As you can probably tell, it’s going to look like a duplicate of the original Keynote file. The only difference is the second Keynote is comprised of ‘flattened’ elements. That is, the original elements have been converted to an image. This method will preserve the look of your slides when you do the export process again – this time it will be from Keynote to PowerPoint.

What about if you’ve added a video to the original Keynote? Well, since this isn’t going to get converted to image file, you can just insert the video in the converted PowerPoint file!

Of course, for this to work, you need to have access to PowerPoint. If you don’t have Microsoft Office installed on your computer, you can sign up for a free Office account. Then, you’d be able to access PowerPoint Online for free!

While you can, in fact, insert videos to PowerPoint Online, you’re limited to using only online videos. So, if you absolutely need to insert that video, consider uploading that to YouTube or Vimeo first.

Or vise-verse, you need to work with a Powerpoint presentation on your Mac or iPad using Keynote?  Maybe you just received a Keynote presentation from a colleague or visiting Presenter/Lecturer and need to convert that into Powerpoint. Well, the good news is that to open a Keynote (.key) file in Powerpoint is easier than you think!

Apple’s presentation software Keynote is designed to create beautiful presentations on your Mac & iPad that stand out from its more famous Microsoft counterpart, Powerpoint. Keynote presentation documents are saved as Keynote format files with “.key” file extensions.

Keynote is an Apple program and therefore only available for Apple Mac and iDevices only, there is no Windows version. Since Keynote must be installed on the computer you are using to play Keynote files, windows can not playback any Keynote files. Export a file from Keynote to Powerpoint Using Your iPad

• From the presentation manager, tap the Share button
• Tap “ Send a Copy “
• Select the document you want to send
• Choose Microsoft PowerPoint (.pptx) format
• Select how you want to send the file (via Mail, DropBox, etc.)
• Complete the sending process
• When you export to PowerPoint, it replaces any unrecognized fonts with its system recognized fonts. Also, Microsoft replaces your animations and transitions with comparable Office animations and transitions.

Open a Keynote (.key) file in Powerpoint: iCloud, Your Other Option

There’s something wonderful about iCloud–it allows your Windows PC to use iWork too! When you use iWork for iCloud, you access all your presentations on any Mac or Windows PC web browser . Keynote for iCloud lets you open, work on, and share your files from any Windows PC or any computer connected to the internet with a supported browser installed.

Just sign in to iCloud.com, open Keynote, and start editing. To work in Keynote for iCloud, you must upgrade your iCloud account to use iCloud Drive or the Files App. Additionally, Keynote for iCloud can only download .pptx files, not .ppt.

• Visit icloud.com

• Go to Settings Menu and upload your Keynote presentation

• Double click the presentation you just uploaded
• Select “ Download a Copy… ” then select Powerpoint
• After this, just open your Powerpoint file the usual way on your Windows PC

Present Using iCloud, no Download or Export Required!

Presenting your Keynote presentation through any up to date browser is easy! Just open a browser window (including Internet Explorer/Chrome/Firefox/Safari on Windows) type in iCloud.com and sign in, once there select Keynote for iCloud . Open your presentation and click the play button–done! iCloud’s Keynote also allows editing online without any need to download.

With iCloud, your Mac’s local fonts don’t carry over to iCloud , so make sure you use system fonts that both your computer and iCloud share. If you do use local fonts, iCloud substitutes those with a  system font. Also on iCloud’s Keynote, some transitions and animation may not play back smoothly, depending on your current internet connection.

Concerned about fonts and transition/animation quality? Then consider saving the file as a QuickTime movie. Quicktime keeps all the same fonts and same effects. Of course, your presentation is only viewable–no changes or edits possible. If you go this route, check that Quicktime is installed on the Windows computer you use.

An iPad is a great way to present your Keynote slides at business meetings, larger presentations, and even in the classroom. If using a projector or large display, you (or the tech) need to switch the projector’s input from a computer (or another device) to the iPad.

Another option is to use file opener program, like File Viewer Lite, that opens a variety of formats. On many of these programs, you open the Keynote presentations to review or present–but no editing or changes allowed.

Or choose a file converter, like Zamzar or CloudConvert, to converts your keynote files either PPT (Powerpoint) or PDF formats.

Going the Other Way? Powerpoint to Keynote?

It’s never been easier to take your Microsoft Powerpoint presentation from your Windows PC (or Powerpoint for Mac) and import it into Keynote. And Keynote now supports more Powerpoint features like commenting, conditional formatting, and even bubble charts. Keynote makes opening Powerpoint presentations super easy. Just open Keynote on your Mac, select import an existing file, and chose your PowerPoint presentation . That’s it!

Keynote supports uploads of both Microsoft PowerPoint (.pptx) and Office 97 or later (.ppt)

• Log into your iCloud account
• Click Keynote
• Drag the file you want to upload into presentation manager then choose Upload Presentation…
• Locate and select the file on your Windows PC or Mac
• Your file appears in Keynote for iCloud

• Send the Powerpoint presentation by email or uploads to iCloud Drive, DropBox, Google Drive, or another Cloud storage service
• Go to that storage cloud’s app and select the attachment. When it opens, tap the file and then tap the Share button . Tap Copy to Keynote

One of the most important links on the materials module is checking availability for every item in the project. At a basic, releasing such news towards the wrong audience through intranets – normally too broad an individual base – devalues the intranet communications through clutter.

More over issues such as the driver program storage device like CD or DVDs may get misplaced or perhaps the storage file inside computer gets corrupted.

The more accurate title should be “How to Export/Save Keynote for PowerPoint.” For somebody without access to any Apple products and doesn’t have or use iCloud (hard to believe, but we’re out there,) there’s no way to actually open the Keynote file on PC without somebody else exporting and saving it for PowerPoint.

Let's face it: PowerPoint is still the go-to presentation software. PowerPoint doesn't play nice with other formats. So, when collaborating, you'll need to convert your Keynote to PowerPoint.

Why Convert Keynote to PowerPoint?

Because Keynote works so well, you might be wondering why it's essential to change the file format.

Simply put, there are far more PowerPoint users than Keynote users. Even though I love Keynote's ease-of-use and interface, much of the corporate world is going to use in the Microsoft ecosystem for the foreseeable future. 

You've got to find a way to ensure that the person on the other end of your email can open the file and work with it. In this tutorial, you'll see how to convert Keynote to PowerPoint along with other general-purpose file formats that anyone can open. Read on to find out how.

How to Convert Keynote to PowerPoint

In this section, we'll tackle how to convert your Keynote to PowerPoint. While this process is simple, there are a few essential settings that improve your results.

1. Prepare to Export Your Keynote Presentation

Let's learn how to export Keynote to a PowerPoint format. First of all, start by working in Keynote with your presentation open.

Now, find the File  menu, and then choose  Export To > PowerPoint. On the pop-up window, there is a key option that warrant considerations before you convert the Keynote file:

• Require password . You might have seen this option in PowerPoint before, but I was impressed that you can add it to a file on conversion. Consider adding a password if your document is sensitive and you don't want it falling into the wrong hands.

Believe it or not, that's it! Just finish saving your file by setting a filename and destination. You've now converted the presentation to PowerPoint format.

2. Test Your Presentation

Now, let's jump over to PowerPoint and test out the presentation. Although this conversion generally works very well, it's important that you preview the PPTX version to make sure it appears the way you expected.

If  you  don't have PowerPoint, don't forget that you can edit the presentation for free in PowerPoint Online. This can serve as an excellent way to test the presentation's appearance in PowerPoint.

Make sure to play back the presentation in its entirety in PowerPoint so that there are no missing graphics or issues.

While the conversion makes most aspects of the presentation work, there's no guarantee that everything will translate one for one. Check features like advanced animations and graphics to ensure they're working.

These details make a difference when you convert a presentation, so check them out before sharing the PPTX. You can always return to Keynote and remove animations or other specifics so that there are no issues converting.

How to Convert Keynote to PDF 

Maybe you don't want the recipient to be able to open and edit the presentation. In this case, I think it makes perfect sense to export the Keynote presentation to a format like a PDF. While the PDF format doesn't support animations and many of the advanced PowerPoint features, it's "good enough" for many use cases.

To export your presentation to a PDF format, jump to the  File > Export To > PDF. 

Notice on this export dialogue that there are a few options you can adjust to tweak the finished PDF:

• Include presenter notes . If you've added notes that help cue you add this to the PDF.
• Include each stage of builds . Did you build the slide in many stages using animations? Tick this box if you want each PDF slide to be a single step in the build-up.
• Include skipped slides . If you've skipped slides in Keynote, you can tick this box to add them back to the exported PDF.
• Include comments . If you included comments with Keynote's built-in option, these will be added to the finished PDF.
• Image quality . Do you want to save some space? Set the image quality to a lower level for smaller finished PDF files.
• Require password . Much like the PPTX conversion, you can add a password that protects your presentation from prying eyes.

Now, save your presentation and preview it in your favorite PDF app. Make sure that there are no conversion errors or issues before you attach and share it.

Convert to Other File Formats

These aren't the only formats that you can export a presentation to. Let's learn two more file formats that might be useful for a finished presentation.

1. Convert Keynote to Google Slides

Google's browser-based presentation app has rapidly risen to popularity for its ease-of-use and cost (free!)

The nice thing about Google Slides is that it supports PPTX as a format. So, you can drag and drop the PPTX file we created earlier in this tutorial to work with it in Slides.

Just drag and drop your presentation to Google Drive, and that's it! You'll see the presentation, and make sure that you check it to ensure it appears correctly. 

2. Convert to Flat Images

Have you ever seen a big digital display in a restaurant or shopping mall for example? Believe it or not, it's not uncommon that the software that powers these boards requires flat images, like JPEG files for example. 

If you need to save your presentation to a simple and flat image format, go to the  File > Export To > Images,  and choose an image format for your finished slides.

Another Option: iCloud and Keynote

If you can't convert your presentation to another format, there's another option: the browser-based version of Keynote. All that the recipient needs is an iCloud account (which is free), and they can edit and work with a presentation in a web browser.

Even if your recipient doesn't have a Mac, they might have an Apple device and therefore an iCloud account. You can use Keynote inside a web browser to review, edit, and work with a presentation.

To work with your presentation in iCloud Drive, start by uploading it your iCloud account. You can do this by choosing File > Move to  in Keynote, or just copying it to your iCloud account.

Now, click on  Collaborate.  I recommend choosing  Copy Link  to create a URL that you can share with others. Choose Who can access to Anyone with the link if you want to make this public. Send that URL to others, and they can then work with the presentation in a browser.

While this isn't technically converting the presentation to another format, the outcome is the same. You've taken a Keynote file and made it available to work with. Regardless of platform, the recipient can now open it in a browser and review the presentation.

How to Customize Keynote Templates in 5 Steps

So far, you've seen a few options for how to work with your Keynote template across a variety of apps. This section reviews some of those steps and teaches you pointers to make this a smooth conversion.

We'll continue to work with the Rockefeller Creative Keynote Presentation from Elements. It's smooth and minimal and easy to customize. Read on to see those steps in action.

1. Open the Keynote Template

After you download a template, it's important to take stock of the template files. Every presentation is packaged a bit differently, but there are common elements in most designs. Most templates include multiple files.

As we learn how to turn a Keynote into a PDF, let's navigate the Rockefeller file structure. In my case, I'll find the folder that includes .keynote files, and choose the  16x9  screen dimension. This is what fits the screen I plan to present on.

Notice that this download already includes a PDF format template. But, it's not the best choice for my design. That's because it's already converted Keynote to PDF and is no longer editable.

If you use a different template, also consider other options such as the color scheme and design. Many Keynote templates include multiple options. It helps to briefly open the file and choose the one that matches your preference.

2. Correct Any Warnings

Let's face it: every process hits speed bumps. And when that happens, it's important to know how to address common Keynote to PowerPoint problems.

In my example, the warning I get is about missing fonts. Many templates include free fonts that you can use, but you might need to download them. 

You can handle this issue in two ways:

• You can either search and find the missing fonts, (often included in the documentation).
• You can replace them.

In my case, I'll choose replacement fonts from the drop-down menus.

With these steps, you've already dealt with most of the Keynote to PowerPoint problems that users face. As always, check for any other warnings related to linked images or objects, but these were not an issue in my testing with Rockefeller.

3. Fill In Slide Placeholders

Slide customization is easy when you work with templates from Elements. I'm going to customize slide 10, which is ready made for easy edits in Keynote.

For my example, I'll update a few key details:

• Featured image . You can add an image to the grey gradient area on the left of this slide. Simply drag-and-drop an image from your computer to this area, and it automatically fills.
• Updated headline . I'll replace the "From the CEO" placeholder by simply typing over the placeholder text.
• Update font size . The paragraph font is a bit small for readability. With it selected, I use the Format  toolbar and the font size dropdown to increase it.

As you can see, placeholders set the stage for a great design. It's as simple as filling them in with your details.

There's nothing special about customizing a slide when you prep to convert Keynote to PDF or PowerPoint. Follow these ordinary steps, and you're well on your way.

4. Export to PowerPoint Format

Let's tackle one of our export options: Keynote to PowerPoint.

While still in Keynote, use the  File > Export To > PowerPoint  option. In this case, I'll leave the settings as default. Consider adding a password if you need to protect your data.

Choose a destination to save your finished PPTX file. These are the only steps you. need for your Keynote to PowerPoint conversation.

As always, it's a good idea to open the finished template in PowerPoint. It helps assure you that you've added no extra Keynote to PowerPoint problems. After a quick review, you're ready to share.

5. Convert Keynote to PDF Format

Last up, let's convert Keynote to PDF. Let's use the  File > Export To > PDF  menu option to do just that.

On the pop-up menu, there are a couple of important decisions to make. Remember that you should use  Include each stage of builds  if your presentation includes animation. (Otherwise, your slide output will only appear as the finished animation stage instead of the steps.)

Also, it's a great idea to check the size of your finished PDF. If the finished file is larger than around 10 megabytes, consider turning the  Image Quality  to a lower setting, like  Good.

As you can see, it's easy to convert Keynote to PDF. The key here is that it helps you expand the audience of who can view your presentation.

What to Do Before Exporting

Before you start the converting process, make sure to follow these steps.

Include Images Separately

Keynote lets you export presentations to various types of file formats, including PowerPoint. However, there’s no guarantee for your export to go 100% perfectly. Sometimes your images, graphics, and shapes can get distorted in the exported file.

If you’re exporting the file to share it with someone else, it’s best to include your high-resolution images separately with your PowerPoint presentation. This will help avoid blurry and pixelated images when presenting your slideshow in larger screens.

Attach the Custom Fonts

Using custom fonts in Keynote presentations is fairly common. Keep in mind that other people may not have the same custom fonts you use on your computer.

If you’re using any custom fonts in your Keynote presentation, make sure to attach the font files separately with your exported PowerPoint file when sharing it with your team or employees.

Add Animations Later

Apple Keynote and PowerPoint have fairly similar animations. However, most of the animations you add in Keynote won’t convert well to PowerPoint when you export the slideshow.

It’s best to remove all animations before you export the Keynote file to PowerPoint and then add all the animations later using the PowerPoint app.

How to Convert Key to PPTX

Converting a Keynote presentation to PowerPoint is so easy that it only takes a couple of clicks. Here’s how it’s done.

First, open your presentation in Keynote. Now go to the File menu and select Export To and then PowerPoint .

This will open the Keynote Export window . From here you’ll be able to convert a Keynote file to many different formats, including PDF, HTML, and even to video format.

In the export to PowerPoint tab, you can password protect your presentation by checking “Require password to open” checkbox. Leave it blank if you don’t want to add a password.

Then tick the checkbox for Advanced Options . This allows you to select the file format you want to save. If you’re using an older version of PowerPoint, like PowerPoint 2007, select PPT as the file format. If you’re using a newer version, choose PPTX file format.

Keep in mind that some parts of your presentation might not function properly when converting to the older PPT format.

Once you’re ready to export, click Next . Give your PowerPoint file a name and click on the Export button. That’s it! Now you should be able to open your presentation in PowerPoint.

Alternative Method

In case you don’t have access to the Keynote app and still have to open and customize the presentation in PowerPoint, you can convert the file using a third-party tool.

While we don’t recommend using these tools, you can use them as a last resort to converting a Key file to PPTX without using an Apple device. The best tools we came across are CloudConvert and AConvert .

Again we can’t guarantee how well these tools work and please use them at your own risk.

Make Sure the Export Is Successful

In rare occasions, exporting Keynote to PowerPoint may not go as smoothly as intended, especially when exporting animated Keynote presentations and slideshows with lots of graphical elements.

To make sure the file is exported properly, open the new presentation in PowerPoint and run the slideshow to see if it works without any flaws.

Also, check to see if the fonts and the colors are shown correctly in PowerPoint as well.

If someone sends you a Microsoft PowerPoint presentation, but you’d rather use Apple’s presentation software, Keynote, you're in luck! Apple's done all the hard work for you. Here's how to convert a PowerPoint presentation to Keynote.

Apple created Keynote knowing that nearly everyone using it would be coming from PowerPoint. This is no surprise, as PowerPoint has 16 years on Keynote and basically owned the presentation software market before Keynote came along.

Knowing this, Apple made it incredibly simple to move from PowerPoint to Keynote by allowing you to open PPTX files directly in Keynote.

To do so, just open Keynote on your Mac, and then click "File" in the taskbar.

In the drop-down menu, click "Open."

In Finder, navigate to the PowerPoint presentation you want to open, select it, and then click "Open."

The PowerPoint file will open in Keynote, with some caveats. Unless you’re unusually lucky, you’ll likely see a warning appear. In our example, the source files for some fonts Keynote doesn’t support are missing. We click "Show" to get more information.

A dialog box appears that will allow you to resolve any issue(s).

In our example, the fonts that have a Warning icon next to them need to be replaced. We click the arrows to the right of each font to select a replacement.

When you’re satisfied with your selections, click "Replace Fonts."

Note that this could change some formatting within the presentation, so it’s best to give it a quick once-over after you replace any fonts.

To convert a PPTX file to a KEY file, save it, click "File" in the taskbar, and then click "Save."

Give your presentation a name, choose where you want to save it, and then click "Save."

Your PPTX file is now a KEY file.

Many Mac users are loyal advocates of Keynote . It looks good, it’s professional and it has a neat interface, offering a refreshing alternative to PowerPoint , the software that’s dominated the presentation market since forever . But in spite of Keynote’s surge in popularity, it still hasn’t reached the heights PowerPoint has. Given the number of MacBooks and iPhones you see when you’re out and about, it may seem like Apple rules the roost, but in actuality, we’re living in a world where Windows reigns supreme. Most people use PowerPoint as their first-choice presentation software. If you’ve ever spoken at an event, you’ve probably been told that the tech infrastructure is built for PowerPoint. If you’ve ever been to a meeting with a Keynote presentation, odds are the other company won’t have Keynote installed. So, what’s a Keynote user to do? You’re gonna have to learn how to convert your Keynote to PowerPoint. This quick tutorial will tell you exactly what to do.

Use the latest version

You’ll need to have a Mac with iOS for this to work, but if you’re reading this you almost certainly do. Check that you’re on the latest version of iOS, by going to the Apple icon on the top left of your screen. Click About this Mac > Software update > Install any updates that appear. Before you start exporting your file to PowerPoint, it’s important to remember that PowerPoint will automatically replace any fonts it doesn’t recognise. So if you’re using any Apple-produced fonts that work exclusively on Keynote, Microsoft will switch them with their own.

This also applies to animations and transitions . Some of the replacement animations may not play back as smoothly as they did in Keynote, so it’s worth checking through them once you’ve completed the conversion. If you’re worried about the replication of fonts and transitions, you could save the file as a QuickTime movie, which would keep all the original effects and fonts. Opting for this means you won’t be able to make edits to your file or have the same level of control as when you’re using a presentation, but it’s an easy way to keep your Keynote exactly as it is if you’re happy with it.

Likewise, if you’re using a template that’s been made in Keynote, some of the formatting and set up of the placeholders and slides will differ once converted to PowerPoint. We’d recommend using a Keynote template to create a Keynote presentation, and a PowerPoint template to create a PowerPoint presentation. To avoid any template issues, finish building your presentation using the same software you used to create the template, before exporting out into a different format.

Export to PowerPoint or another file format in Keynote on Mac

To save a copy of a Keynote presentation in another format, you export it in the new format. This is useful when you need to send the presentation to people who are using different software. Any changes made to the exported presentation don’t affect the original. Keynote also remembers the last export settings you used.

Note: If the original file has a password, it applies to copies exported in PDF, PowerPoint, and Keynote ’09 formats, but you can change or remove it.

Save a copy of a Keynote presentation in another format

Open the presentation, then choose File > Export To > [ file format ] (from the File menu at the top of your screen).

Specify export settings:

PDF: You can open and sometimes edit these files with applications like Preview and Adobe Acrobat. Each slide appears on its own page of the PDF. Select the checkbox next to presenter notes and skipped slides if you want to print them. If you select “Print each stage of builds,” each build is printed on its own page, in the same order as they appear in the presentation. To include comments in the PDF, select the “Include comments” checkbox.

Click the Image Quality pop-up menu, then choose an option (the higher the image quality, the larger the file size). If you added image, drawing, audio, or video descriptions for assistive technology (for example, VoiceOver), they’re automatically exported. To include accessibility tags for large tables, click Advanced Options, then choose On.

Note: For more PDF options, click Cancel, choose File > Print, then click Show Details at the bottom of the print options.

PowerPoint: If the file needs to be compatible with an older version of Microsoft PowerPoint (1997-2003), click Advanced Options, then choose .ppt from the pop-up menu.

Movie: If you recorded a narration that you want to include with your slideshow, click the Playback pop-up menu, then choose Slideshow Recording.

To export a slideshow that advances automatically, click the Playback pop-up, then select Self-Playing. If you want to export only part of the presentation, select From and enter the beginning and ending slide numbers. The movie advances to the next slide or build according to the time intervals you enter in the timing controls. If you have an animation that’s set to advance following a previous build or transition, it’s not affected by the time interval you enter.

Click the Resolution pop-up menu, then choose a resolution. To set a custom resolution, click Custom at the bottom of the menu, then enter your values in the fields. After you click Custom, you can also select a new frame rate and movie format in the pop-up menus at the bottom of the controls.

Animated GIF: You can export selected slides as an animated GIF that you can send or post. See Create an animated GIF in Keynote on Mac .

Images: Choose the slides you want to export as images, and select an image format for your slides. The higher quality the image, the larger the file size.

HTML: Open the index.html file to open your presentation in a web browser. Animations and builds are also exported with your presentation.

Keynote ’09: You can open this format with Keynote 5.0 through 5.3.

If there’s a password checkbox, do one of the following:

Set a password: Select the “Require password to open” checkbox, then enter a password. It applies only to the exported copy.

Keep the original presentation password: Make sure the “Require password to open” checkbox is selected.

Use a different password for the exported copy: Select the “Require password to open” checkbox, click Change Password, then set a new password.

Export the copy without a password: Deselect the “Require password to open” checkbox.

Click Save, then type a name for the presentation (without the filename extension, such as .pdf or .ppt, which is appended to the name automatically).

Enter one or more tags (optional).

To choose where to save the presentation, click the Where pop-up menu, choose a location, then click Export.

How to Convert a PowerPoint presentation to Keynote

Steps to transform a PowerPoint to Keynote

If you want to use and edit a PowerPoint template in Keynote, the procedure is very simple. You will only need to do a few preliminary steps that will take you just a few minutes. Here's how to convert a PowerPoint template to Keynote successfully.

1. Open Keynote on your Mac computer. Select a new empty template to open the options menu.

2. When you have the new template open, in the top menu, select File > Open and choose the PowerPoint template you want to convert.

3. Now the conversion will begin. It is important to note that, with the exception of a few elements that we will see below, everything converts and adapts to Keynote very well.

4. One of the elements to readjust when we have converted to Keynote is the fonts. In fact, the warning that appears at the end of the conversion will tell you that there may be some fonts in the file that are displayed differently. Select Replace fonts and Keynote will show you those that have not been converted.

5. Fonts that have changed in the conversion will have a warning icon on the left. Correct them easily by clicking on the arrows, which will bring up the list of fonts you can select. Replace them with a font that is a replica of the original in PowerPoint, or with the font of your choice. When you are done, click on Replace Fonts.

6. Another item that may not have been converted correctly is charts and graphs. Being all from the Microsoft Office suite, PowerPoint creates the charts from Excel, making them more complex in formatting and more difficult to convert to Keynote automatically. Go to the slides containing charts and adapt them in Keynote as they were in the original template.

7. The last step would be a general review to check that everything has been converted correctly. Review all the slides and check that, after making the previous changes, everything is as in the original PowerPoint template.

8. Once you have made all the changes and the final review, save your template with the new Keynote format, by clicking on the top menu on Save and all set. Once this is done, you will have your template in Keynote format ready to present.

How do I programmatically convert a Keynote file to a PowerPoint?

Anyone know any good tools to convert a keynote file to a PowerPoint one? We have an online tool that currently accepts PPT/PPTX files and we then use Aspose tools to do more with it. But we're needing to accept keynote files too and the easiest way in theory is to convert it to a PPT file and then process in the same way from there.

However we're really struggling to find a way to convert them programmatically!

Old question but by the views counter seems relevant for many.. a conversion service such as CloudConvert can do the job ( https://cloudconvert.com/api/conversions ). At least for converting .key to .pptx (not sure about the other way round).

Having the right KPIs to measure the success of your keynote presentations provides valuable feedback on the effectiveness of your message and delivery. Success in any presentation is the ability to deliver on your intention. The most effective way to measure that is to ask your audience. But instead of asking the audience "How did I do?" take time to ask "How did this help?" Asking the former will result in a reflection on your performance. As a result of the previous point, custom slides give us the adaptability to accommodate a slide deck for multiple purposes depending on the topic and the audience, all this while ensuring that it aligns with your company’s core values.

A common mistake large organizations make is lacking common ground for visual communication standards. In-team meetings are done with any kind of template, so if we intend to repurpose the content for an external meeting, the slides must be created practically from scratch, as the content from one team doesn’t match others.

By implementing a custom theme, you standardize the presentation process across your organization. This ensures that every presentation, whether created by financials, HR, marketing, or operations, adheres to the same visual guidelines.

The choice of fonts, colors, and layout schemes in presentation themes is not accidental. Each element plays a vital role in shaping the presentation’s identity.

Fonts contribute to readability and mood. When we think about a business or formal presentation, a combination of serif and sans-serif typefaces immediately comes to mind. Sans serif fonts give a clean and modern aesthetic, while serif fonts speak of traditionalism.

Colors evoke emotions. An incorrect color palette can distract your audience from the content you intend to share, whereas a well-chosen color palette helps to convey the message more effectively.

Think of layouts as the skeleton of your slides. They ensure the content is structured, making it easier for the audience to process the information. 

Multiple design rules guide presentation layouts, such as the rule of thirds, the golden ratio, the grid system, working with negative space, and the Z-pattern and F-pattern layouts.

Although both presentation design tools are excellent for creating custom themes, there are some differences in the management and creation of themes for each platform:

• Flexibility : PowerPoint offers extensive customization options compared to Google Slides, especially in shapes, transitions, animation effects, and shadows. Custom gradients, advanced typography settings, and other interesting tools are unavailable to Google Slides users.
• User Interface : Although Google Slides lacks the full range of tools of PowerPoint’s Slide Master function, it is more user-friendly for customizing slides. PowerPoint’s Slide Master allows advanced users granular control over every aspect of the theme, but it can be challenging for newcomers.
• Cross-Platform Compatibility : Compatibility issues are well-known when migrating presentation slides from PowerPoint to Google Slides or Keynote. This is present when the slides contain complex shadow effects, animation effects that are only PowerPoint available, or if the illustrations contain curved texts. Although they can be “fixed,” the results are nowhere near as neat as PowerPoint can offer.

Therefore, presenters must consider these aspects when picking their preferred design tool and invest time and effort into creating custom presentation themes.

Creating Custom Themes in PowerPoint

Locating Slide Master is the first element you must learn to create a custom theme in PowerPoint. This tool controls the slide layout elements for different kinds of pre-established slides, which means you can add footers, branding elements, page numbers, graphic effects, etc.

Now that we know where some of the elements of a PPT template are located, it’s time to discuss customizing the colors for our slides. This can be done in two ways: customizing color element by element or changing the color theme.

Select any element you want to recolorize and go to the Shape Format tab. You can use Shape Styles , or work your way with Shape Fill and Shape Outline .

As with the colors, you have two methods for editing the fonts in your PowerPoint theme. The first method is done inside Slide Master; you need to access Fonts and click on Customize Fonts .

This will open up a font customization dialog to select the preferred fonts for headings and body text.

The second way is to manually edit the fonts by selecting each text element and changing the font. It’s more time-consuming, but it may be the method that works best when we only need to alter certain text elements in the slide deck.

Keep in mind the compatibility issues if you work with non-common fonts. Since fonts are only displayed if installed on the streamer PC, keep a copy of your font families used or stick to pre-installed fonts.

Presenters can alter the existing layouts by entering Slide Master and repositioning placeholders, changing their sizes, or adding new placeholder elements (text, image, chart, etc.). The changes will be reflected on all slides that use this same layout.

Alternatively, we can create new layouts by selecting Insert Layout in Slide Master. This newly generated layout works as a blank canvas to which you can add whichever elements you prefer.

Say you created a PowerPoint custom template with all the elements that adapt to your presentation style and requirements. Now, it’s time to save it for backup purposes or to share it with your organization. First of all, inside Slide Master, select Close Master View to exit the Slide Master mode.

Next, switch to the Design tab and click on More in the Themes group. Select the option Save Current Theme . Give your created theme a name and save it to the default location (important!) to make it easy to access it for future presentations. 

A quick tip to export a copy of your created theme is to repeat the steps to save the theme after Save Current Theme but instead of overwriting the file, right-click on it and select Copy .

Now go to your desired backup folder location, right-click inside it, and select Paste . A copy of the original PowerPoint theme will be stored.

Creating Custom Themes in Google Slides

Google Slides’ version of PowerPoint Slide Master is quite simplified in terms of tools and user interface; it is known as Master Slide, and it can be easily accessed from Slide > Edit Theme .

Theme colors in Google Slides are managed at the theme level and can be edited from the Master view. Click on Color in the toolbar available in the Master view, and this will open the Theme Colors panel, where we can customize the colors used for text, background, accents, and links.

Google Slides allows us to modify the colors by clicking on the color box next to each element. This can be done by using color picking, selecting a color from the provided color palette, or adding a HEX code. Since the Master slide contains all the information for the slide deck, changes will be made globally once saved. If you need to edit an individual element, you can select it from the slide containing it and change the colors.

Font customization in Google Slides is pretty much similar to PowerPoint as it’s managed from the Master view. The main advantage here is Google Slides’ integration with Google Fonts. This means that you don’t have to worry about compatibility issues in your presentation. 

The font compatibility issues do not apply if you work with third-party extensions. In that case, you have to double-check if the recipient’s computer has that extension linked to the account to be used; otherwise, they won’t display.

You can create or modify existing layouts in the same fashion as you did with PowerPoint. Access the Master view, select any layout slide, and edit its content. 

If you need to create a brand new layout, click on the layout above the one you need to create and use the CTRL+M shortcut.

Since Google Slides doesn’t include a “Save Theme” option, the customized theme becomes part of a specific presentation. This means you have to make a copy of the presentation to reuse it or go to the Import Theme option to select a theme from a previous presentation or a slide deck you uploaded.

Advanced Customization Techniques

We have already explored the basics of creating a custom theme in PowerPoint and Google Slides. However, some advanced techniques can give you an extra edge, making your slides look more professional and boosting your brand identity.

A must-have for any professional presentation is to count on branding elements, such as logo and branding colors. Follow the steps mentioned above to apply your brand’s color palette to your custom presentation theme – and, as a tip, it’s best to stick with HEX values for assigning colors so you won’t have mismatches.

You can add custom backgrounds, like patterns created in Adobe Illustrator, by right-clicking on the slide in Slide Master and select Format Background . PowerPoint allows you to use solid colors, gradients, textures, and images as backgrounds. 

In case you work with Google Slides, the procedure is almost the same: selecting the Background option in the toolbar shown in Master view, or access it for a single slide as shown below. The possibilities are limited compared to PowerPoint, especially regarding complex gradients and shadow effects, so keep it simple.

Remember to work with images or textures that won’t pixelate on your slide. As a reference, always opt for 1920×1080 px when in doubt, but use optimized files to avoid making heavy-sized presentation files.

The two presentation software options we managed in this article offer significantly different animation and transition options. The first is PowerPoint, which has a more extensive offering and complex effects. Access the Transitions tab to add transitions to your slides or the Animations tab to add animated effects to make an entrance, add emphasis, or an exit animation for your slides.

Google Slides offers a limited selection of effects available via Insert>Animation or Slide>Transition .

Accessibility in presentations is a key element we must consider when designing custom themes. We can identify three main points that presenters ought to check:

• Color Contrast : There must be sufficient contrast between the text and background color, as otherwise, it compromises readability (especially for individuals with visual impairments). 
• Font Size : Choose a font large enough to be read easily from a distance. Typically, we use a minimum of 16 pt for body text. As we mentioned above, avoid using script or overly-decorated fonts. 
• Alt Text for Images : Alt text is not limited to SEO purposes. In presentations, using alt text can help people with visual impairments understand your slides as screen readers go through alt text.

Let’s take, for example, a well-known case in mass media content: Netflix. If we think about Netflix, we immediately associate its branding identity with the sans-serif caps logo and a red-and-black contrasting color scheme. The rest of its user interface works with the same sans-serif font in two weight options (bold and regular), using different sizes to distinguish between headings and body copy.

From an accessibility point of view, the Netflix website’s contrast ratio is 4.8:1, and according to WebAIM , text and text images ought to have at least a 4.5:1 contrast ratio. Regarding text, they use a 48px sans serif bold font for the headings and a 24px sans serif regular font for the body text: a 2:1 ratio.

Applying these rules to a presentation slide, here’s a fine example of what an accessible slide looks like.
