Snail mail addresses are considered less important now than they used to be, but you should usually include one unless there’s a good reason not to.

Below the header, your letter will contain nothing but body text, but the header gives you a way to make your letter more visually attractive.

Your resume and cover letter should be a “matching set,” so give them a matching style. That means use the same fonts, font sizes and formatting styles for both. 

Applying the same look and feel to these two documents gives you a “visual brand,” and it shows you pay attention to detail. It should be obvious at a glance that both of these documents came from the same person. One risk of using different styles for your resume and cover letter is that it may appear you’re using an old, generic resume done in a style that you haven’t bothered to update lately. Cover letter greeting

“Dear Mr. (Last Name Here):” is the time-honored style of writing a salutation in a business letter, and you can’t go wrong with this simple, traditional approach in your finance cover letter. (Of course, you would substitute “Ms.” if the recipient is a woman, or “Dr.” if appropriate.) 

In traditional business letters, the greeting ends with a colon, though the age of email has made commas acceptable too. Some even consider “Dear” a bit archaic, preferring a more informal “Greetings” or “Hello.” But beware of being too informal in a letter written to someone who has the power to offer you a job. And avoid addressing this person on a first-name basis unless you already know each other.

It’s almost always best to address your letter to a specific person. It shows your attention to detail and your seriousness about this job if you’ve gone to the trouble of finding out who’s doing the hiring. (But spell the name wrong, and you’re toast!)

People like to read their own names. And they are more inclined to answer a letter that’s addressed to them rather than to an entire company or department. Job listings often don’t name the person to whom you should submit your application. If that’s the case, consider calling the company to inquire. However, if you get the sense that the hiring manager doesn’t really want to be identified by name, then find a way to write a more generic greeting, like “Dear (Company) Hiring Team.”

Cover letter introduction

Many writers will tell you that the first paragraph in any story is the most important. That’s because the first paragraph is where the reader decides whether to keep reading. It’s also true for an effective finance cover letter. You need to get off to a great start.

In writing your cover letter introduction, remember that you are literally introducing yourself to someone you don’t know. You don’t need to say, “Hello, my name is …” but you do need to strike a friendly tone and provide some information about who you are and why you’re writing. The introduction should both mention your job objective and offer a brief preview of your qualifications. It should use lively, energetic, cliché-free language that makes you sound like a positive, confident, qualified professional.

Above all, your introduction should make the reader want to read on.

This is where you must deliver the goods. In the central two or three paragraphs of your cover letter, you need to demonstrate that you are eminently qualified for the job. You need to mention not just your previous jobs, but what specifically you accomplished at those jobs. 

Think of the symbols #, $, and %, and use facts and figures wherever possible: numbers, dollar figures, percentages. People love a good story, so tell one. Relate an anecdote about a daunting challenge you once faced on the job and what action you took to resolve it to everyone’s satisfaction. 

If your experience in the field is limited, perhaps because you’re just graduating from college, emphasize your academic achievements, your professional potential and your ambitions for the future. But whatever your situation, you need to identify the top qualifications that make you right for the job, and you need to describe these in the body of your letter.

Aim of the cover letter body: Highlight your most relevant accomplishments in a relatable way, so the employer can envision your potential contributions if hired.

Cover letter conclusion and signature

Your last paragraph should be both a wrap-up and a call to action. The last thing you want is for your correspondent to set your letter aside and never do anything about it.

You might ask whether you could call next week to see about scheduling an interview. You might mention that you are always reachable at the phone number and email address you’ve provided. At the very least, you should make it clear that you are eager to hear back. Plant the idea in your reader’s head that you are not just writing to shoot the breeze — you would actually like a response!

Your letter should end with a “Sincerely” or a similar close, followed by a space and your typed name. Unless you’re sending a hard copy, an actual signature is not required, though it does no harm to insert a digital version of your actual signature.

The aim of the conclusion: Finish on a confident note with a call to action that ideally results in an interview.

Follow these rules to create an elegant, eye-pleasing cover letter:

  • Fonts: Use an attractive, easy-to-read, professional-looking font. Avoid fonts that are unusual or flashy.
  • Font size: Your body text should be 10 to 12 points. Too small and it’s hard to read; too big and it looks childish. If your letter doesn’t fit on one page, trim the fat before you try reducing the font size.
  • Align text left: Body text that’s aligned left, or “ragged right,” leaves a space at the end of each line where the last word ends (like the text you’re reading now). This white space gives the eye a break and creates a more pleasing look for the entire page. Text that is justified from margin to margin works fine in books, but in a one-page letter it creates a blocky look, and sometimes it awkwardly stretches words out horizontally.
  • Margins: Left, right, bottom and top margins should all be one inch.

In the current job market, you’re competing against a lot of people but most of these people are ‘mass-applying’. They’re taking a spray and pray approach where they think if they apply to a certain number of jobs (cast a wide net) they’re bound to land something. 

Most of these folks aren’t putting in any effort for a particular job application. They’re not adding cover letters because in most cases they’re optional. 

So when you do take the time to write a cover letter, carefully tailored to the role you’re applying for, you’re already putting yourself above a horde of applicants.

Now I’ll show you a good structure you can follow for your cover letter by breaking it into different sections and exploring what each section should include.

Before everything else, begin by adding your contact information so that you make it easy for the hiring team to get in touch with you. You can add whichever details you feel comfortable sharing but as a general rule of thumb, your phone number, email address, and social media handles like LinkedIn or X should be adequate. 

Introduction

A well-written introduction can be the make or break between a cover letter that gets you a call vs a cover letter that gets archived for later (code for “we’re going to forget all about you”). In the introduction, you need to communicate your interest in the role and the organization. Talk about why you’re interested in this position specifically. Maybe you’ve followed the company for a while and are a fan of their culture or maybe the job description caught your eye.

It’s a great way to show how well you’re suited to the position. 

For instance, let’s say the job description states that they’re looking for someone who has strong communication skills, proficiency in handling customer inquiries, and the ability to resolve issues efficiently. 

Then you can approach this by talking about how in your previous company you were responsible for managing customer queries across various platforms, including phone, email, and live chat. 

Get into the specifics – “My ability to communicate clearly and empathetically resulted in a 15% increase in customer satisfaction score over six months.”

This way you’re positioning yourself as the perfect candidate for the role because you’re checking every box.

Mail merging in Microsoft Word is well known for letting you create and send personalized versions of the same email to lots of people in one go. However, the tool also has some practical everyday uses that could make your home and work life a lot easier.

In short, mail merge lets you create a document in Microsoft Word that you can personalize with individualized details , such as people's names. There are two ways to do this—you can create the list of personalized variables within Microsoft Word's mail merge feature itself, or you can create the list in another program, such as Excel, and then import the details from that list into Word.

In this article, we will show you how to use mail merge in Microsoft Word alongside Microsoft Excel, since creating comprehensive lists and databases in Excel is easier to do and manage.

Mail merge is currently not available in Word for the web—you will need to subscribe to Microsoft 365 and use the Microsoft Word desktop app to use this tool.

While enjoyable, sending wedding invitations or Christmas cards can take time, and it's easy to make mistakes, especially if you're writing the addresses on the envelopes by hand. This is why you should use Microsoft Word instead. When you're done, you can either print the names and addresses onto label paper, or use normal paper and glue, before cutting out the individual labels to stick to your envelopes.

Start in Excel by creating your list of names and addresses. Make sure you put each line of each person's name and address into separate columns, and use headings across row 1. Also, ensure that you populate all cells, as leaving blanks will cause issues with your mail merge down the line.

Then, press F12 to name and save your document in a memorable place on your computer.

Now, open a blank Word document, and click Mailings > Start Mail Merge > Labels.

To save paper, scroll down to and select "30 Per Page," and click "OK."

Turning on the Show/Hide (¶) option in the Home tab will help you see the layout and positioning of the labels you have just created.

The next step is to import the address list that you created in Excel. To do this, with the Mailings tab still open, click Select Recipients > Use An Existing List.

Use the Select Data Source window that opens to locate the Excel file containing the names and addresses, and click "Open." In the Select Table dialog box, check the checkbox that tells Word that you've used headings in your Excel table, and then click "OK".

Word is now ready to pull the data across from Excel.

Click "Insert Merge Field," and see that the headings you created in Excel are listed in the drop-down. Start by clicking the item you want to appear on the first line of the address label ("Name"), and then press Enter. Repeat the process for each line of the address label, making sure you press Enter between each one.

If the text runs over the space provided for the labels, increase the label sizes by clicking and dragging the bottom of the label row downwards, then remove any labels that move to the next page .

When you have inserted all merge fields, click "Update Labels." This will apply the merge fields you just added to each of the labels in your document.

Now, click "Preview Results" to check you're happy with how your labels look.

To complete the process, click Finish And Merge > Print Documents.

If you want to make changes to individual addresses, click Finish And Merge > Edit Individual Documents. This will open the labels in a new document, where you can make changes without affecting the other entries.

Then, ensure "All" is selected, and click "OK" to print.

Finally, cut up your labels and stick them onto your envelopes!

While the example we're going to use will be for teachers writing school reports, the same process can be used in many different roles and professions, such as surveying, assessing, managing, and reviewing.

In a Word document, type the foundation of the report, using "[NAME]" where a person's name will go, and "__" wherever an individualized part needs to be added.

Then, copy each sentence into a cell across row 1 of an Excel sheet, making sure you add a "Name" column at the start.

Then, fill in the gaps under each column for each report you want to generate, before pressing F12 to name and save the spreadsheet in a memorable location.

Now, return to your Word document. In the Mailings tab, click Select Recipients > Use An Existing List.

In the Select Data Source window that opens, locate the Excel sheet containing the report details, and click "Open." Then, in the Select Table dialog box, check the checkbox that tells Word that you've used headings in your Excel table, and click "OK".

Now, select the areas where you used [NAME] or inserted blanks in your Word document, click "Insert Merge Field," and choose the appropriate field via the "Insert Merge Field" drop-down to add it to the sentence.

After you have assigned all the fields from Excel, click "Preview Results" to see the first report. You can also use the arrows to flick through all the reports if you wish.

Finally, click "Finish and Merge," which gives you the option to review and amend the documents individually, or print the reports you generated.

It can be frustrating to regurgitate the same information in various cover letters for the many jobs you might apply for. After all, the skills you have can be applied to many different roles. This is where mail merge comes into play.

Once you have finished detailing your skills, press F12 to name and save the workbook. You can go back in and add to or amend the details in this sheet at any time.

Next, when you've found a job you want to apply for , open a new Microsoft Word document, and type the opening and ending of your cover letter. Then, in the Mailings tab, click Select Recipients > Use An Existing List.

Inevitably, you will want to amend the wording here and there to ensure that the letter is coherent. Whether you run a local football team or a kids' activity center, you might want to create certificates for your participants.

First, create your list in Excel, including things like the recipients' names, scores, standards, and whatever other individualized details you want to include. Then, press F12 to name and save these details.

Next, design your certificate in Microsoft Word. If you prefer, you can use a template by clicking File > Home > More Templates.

Now, in the Mailings tab, click Select Recipients > Use An Existing List.

Locate the recipients' details that you created in Excel, click "Open", check "First Row Of Data Contains Column Headers," and click "OK."

Then, click "Insert Merge Field" to add the fields from your Excel sheet to your Word document where appropriate.

Before you finalize your certificates, click "Preview Results" to check that everything looks as it should, and then click Finish And Merge > Print Documents.
