Delivery format

Conferences can be delivered in live event format or via webinars. Since this article is mainly intended to live event conferences, we will only mention that the requirements for webinars are as follows:

  • Voice-over or, best, speaker layover the presentation slides so the speaker interacts with the audience.
  • Quality graphics.
  • Not abusing the amount of information to introduce per slide.

On the other hand, live event conferences will differ depending on the category under which they fall. Academic conferences have a structure in which there’s a previous poster session; then speakers start delivering their talks, then after 4-5 speakers, we have a coffee break. Those pauses help the AV crew to check the equipment, and they also become an opportunity for researchers to expand their network contacts. 

Business conferences are usually more dynamic. Some presenters opt not to use slide decks, giving a powerful speech instead, as they feel much more comfortable that way. Other speakers at business conferences adopt videos to summarize their ideas and then proceed to speak.

Another huge mistake when delivering a conference presentation is to speak with a monotonous tone. The message you transmit to your attendees is that you simply do not care about your work. Reading a paragraph or two is okay, but not the entire presentation.

Tip #13 – Be ready for the Q&A session

Despite it being a requirement in most conference events, not all presenters get ready for the Q&A session. It is a part of the conference presentation itself, so you should pace your speech to give enough time for the audience to ask 1-3 questions and get a proper answer.

If you’re going to make it in the professional world, most likely you’ll have to give a presentation in English at some point. No reason to get nervous!

Most of the work involved lies in the introduction. You may or may not need an English presentation PPT file, your topic, audience, or time limit may vary, but a strong opening is a must no matter what! Everything that follows can build from the opening outline you present to your audience.

Let’s look at some guidelines for starting a presentation in English. If you can master this part, you’ll never have to worry about the rest!

Opening in a Presentation in English

While it’s important to have your entire presentation organized and outlined, planning and organization are especially important in the introduction. This is what will guide you through a clear and concise beginning. Let’s look at how to start a presentation with well-organized thoughts .

Introduction Outline

  • Introduce yourself and welcome everyone.
  • State the purpose of your presentation
  • Give a short overview of the presentation

As we say, it’s as easy as 1-2-3. (No need for a more detailed English presentation script!) Let’s examine the first step.

1. Introduce Yourself & Welcome Everyone

The self-introduction is your opportunity to make a good first impression. Be sure to open with a warm welcome and use language that is familiar and natural. Based on your audience, there are a few different expressions you can use to start your presentation.

If you’re presenting to coworkers who may already know you:

  • Hello, [name] here. I would like to thank you all for your time. As you may know, I [describe what you do/your job title] I look forward to discussing [topic] today.
  • Good morning/afternoon/evening everyone. Thank you for being here. For those who don’t know me, my name is [name], and for those who know me, hello again.

If you’re presenting to people you’ve never met:

  • Hello everyone, it’s nice to meet you all. My name is [name] and I am the [job/title].
  • Hello. Welcome to [event]. My name is [name] and I am the [job/title]. I’m glad you’re all here.

There are certainly more ways to make an introduction. However, it’s generally best to follow this format:

  • Start with a polite welcome and state your name.
  • Follow with your job title and/or the reason you’re qualified to speak on the topic being discussed.

2. State the Purpose of Your Presentation

Now that your audience knows who you are and your qualifications, you can state the purpose of your presentation. This is where you clarify to your audience what you’ll be talking about.

So, ask yourself, “ What do I want my audience to get from this presentation? ”

  • Do you want your audience to be informed?
  • Do you need something from your audience?
  • Do you want them to purchase a product?
  • Do you want them to do something for the community or your company?

With your goal in mind, you can create the next couple of lines of your presentation. Below are some examples of how to start.

  • Let me share with you…
  • I’d like to introduce you to [product or service]
  • Today I want to discuss…
  • I want to breakdown for you [topic]
  • Let’s discuss…
  • Today I will present the results of my research on [topic]
  • By the end of this presentation, you’ll understand [topic]
  • My goal is to explain…
  • As you know, we’ll be talking about…

When talking about the purpose of your presentation, stick to your goals. You purpose statement should be only one to three sentences. That way, you can give your audience a clear sense of purpose that sets them up for the rest of the presentation.

3. A Short Overview of the Presentation

The final step in starting your presentation is to give a short outline of what you’ll be presenting. People like a map of what to expect from a presentation.

It helps them organize their thoughts and gives a sense of order. Also, it lets the audience know why they’re listening to you. This is what you’ll use to grab their attention, and help them stay focused throughout the presentation.

Here are some examples of how you can outline your presentation:

  • Today, I’m going to cover… Then we’ll talk about… Lastly, I’ll close on…
  • We’re going to be covering some key information you need to know, including…
  • My aim with this presentation is to get you to… To do that we’ll be talking about…
  • I’ve divided my presentation into [number] sections… [List the sections]
  • Over the next [length of your presentation] I’m going to discuss…

That’s it! It’s as simple as 1-2-3. If you have a fear of public speaking or are not confident about presenting to a group of people, follow these three steps. It’s a simple structure that can get you off to a good start. With that in mind, there are other ways to bring your introduction to the next level too! Read on for bonus tips on how to really engage your audience, beyond the basics.

For a Strong Presentation in English, Engage your Audience

Presentations aren’t everyone’s strongest ability, and that’s OK. If you’re newer to presenting in English, the steps above are the basics to getting started. Once you’re more comfortable with presenting, though, you can go a step further with some extra tricks that can really wow your audience.

Mastering the skill of engaging an audience will take experience. Fortunately, there are many famous speakers out there you can model for capturing attention. Also, there are some common techniques that English-speakers use to gain an audience’s attention.

*How and when you use these techniques in your introduction is at your discretion, as long as you cover the 3 steps of the introduction outline that we discussed earlier.*

Do or say something shocking.

The purpose of shocking your audience is to immediately engage them. You can make a loud noise and somehow relate the noise to your presentation. Or, you can say, “ Did you know that… ” and follow with a shocking story or statistic. Either way, the objective is to create surprise to draw their attention.

Tell a story

Telling a story related to your presentation is a great way to get the audience listening to you.

You can start by saying, “ On my way to [location] the other day… ” or “ On my way here, I was reminded of… ” and then follow with a story. A good story can make your presentation memorable.

Ask your audience to take part

Sometimes a good introduction that captures attention will involve asking for help from the audience. You can ask the audience to play a quick game or solve a puzzle that’s related to your presentation. Also, you could engage the audience with a group exercise. This is a great way to get people involved in your presentation.

There are many more ways to engage the audience, so get creative and see what you can think up! Here are some resources that will help you get started.

The organization is dedicated to helping you be a better speaker, and there are many local groups in America. They offer free lessons and events to help you master your English speaking, and also offer additional help to paying members.

3 Tips for Presenting in English When You’re Not a Native Speaker

Spend most of your time practicing, not perfecting your slides.

Many leaders quickly lose their confidence and competence when making business presentations. For a subset of them — those who need to present in English when it isn’t their native language — the stakes and the stress can feel even higher. Meanwhile, the need for leaders to be able to present in English is required for global collaboration. There are several strategies nonnative English speakers can employ to help them feel more confident before, during, and after a presentation. Rehearsal and repetition are crucial steps. The goal here is “overlearning” your presentation. This will help your presentation to become embedded in your long-term memory and therefore less susceptible to the effects of stress. It will also help you speak spontaneously, if you can trust that your core content is safely stored (and able to be retrieved) from your long-term memory. Don’t agonize about your accent, but do slow your speaking speed. And pause early and often, which serves two benefits – first, to help your audience comprehend your message, and second, to give you a break.

As a coach and international business school instructor, I have worked with hundreds of current and future leaders who are accomplished, bright, and capable — and who quickly lose their confidence and competence when making business presentations. For a subset of these leaders — those who need to present in English when it isn’t their native language — the stakes and the stress can feel even higher. Meanwhile, the need for leaders to be able to present in English is growing at a rapid pace. According to Harvard Business School Associate Professor Tsedal Neely , author of The Language of Global Success , “English is required for global collaboration and global work.”

How to Ace Your Business Presentation in English

So, you need to make a business presentation in English.

First of all, congratulations! To be in your position, you must have invested a huge amount of time and effort in your English language skills. You should be proud.

That said, we totally understand that giving a presentation in a second language can be a challenge. You may be worried that your audience won’t understand your accent. Perhaps you are wondering whether you need to use specific vocabulary. Maybe you’re not sure how best to handle questions from your audience.

If this sounds like you, don’t worry. In this post, we’re going to run through our top tips for acing your business presentation in English. Even if you’ve already made a few presentations in the language, we’re sure you’ll find these suggestions helpful.

So, read on to learn more. And before we start, let us wish you the very best of luck in delivering your next presentation.

Understand your audience

As with all forms of communication, it’s vital that you understand who your audience is. Even in the business world, you can find yourself speaking to very different groups of people.

For example, if you are giving a presentation to members of another company, you would certainly be more formal than when you give a presentation to members of your own team. In each case, you need to think about what your audience will expect from your presentation.

So, before you write a word, ask yourself these questions about your audience. Who are they? What interests them? What do they need to know? What do you want them to do as a result of your presentation?

One useful tip for writing your presentation is to imagine your audience is a single person. It’s easier to write convincingly if you have a single person in mind. Try it!

Mind your language

Most audiences will expect you to give your presentation using formal Business English . Don’t make the mistake of confusing Business English with business jargon .

Successful Business English uses language that is simple, direct, professional and easy to understand. Business jargon on the other hand, relies on obscure phrases, clichés, and acronyms. In many cases, business jargon is complex, not very precise and a barrier to good communication .

We have some useful resources on Business English on this page . However, if in doubt, keep the language of your presentation as simple and clear as possible. It’s also a good idea to use sentences with the active, rather than the passive voice. This allows you to use fewer words, which makes your sentences shorter and more engaging.

To give an example, this is a sentence in the passive voice:

The interview was failed by over one third of applicants.

Now compare this sentence, which is in the active voice.

Over one-third of applicants failed the interview.

Practise, practise, practise

If English isn’t your first language, it’s more important than ever to practise your presentation before delivering it. By practising, you’ll feel more comfortable using English in a business setting. You’ll be able to work on any words or phrases you find difficult to pronounce, or you can change them to words or phrases you are more comfortable with.

Ideally, you should practise giving your presentation in front of someone else. That way you can get useful feedback on what works well, and what doesn’t. If that’s not possible, make a video of yourself giving your presentation. When you see yourself on screen, it will give you helpful insights into ways you can improve your delivery.

Don’t forget to introduce yourself

It may sound obvious, but don’t forget to introduce yourself at the very beginning of your presentation. It not only breaks the ice , but it’s an opportunity to get the audience on your side. If you are presenting to native English speakers, you may wish to tell them that English is not your first language – but don’t apologise for it! If anything, your audience will be impressed that you can give a presentation in a second language.

Have a clear structure

When people learn to teach in the UK, they are often told to structure their lessons in this simple way:

  • Say what you’re going to say
  • Say what you’ve said

In other words, introduce the session by explaining what you intend to talk about. This sets the audience’s expectations – they know what’s going to happen.

You then use main part of the session to make your presentation. There are many effective ways of doing this, and we’ll cover some of these soon.

Finally, finish by summarising the most important points of your presentation. This helps your audience to remember them clearly.

One other tip, if you plan to let the audience ask questions, it’s a good idea to tell them you’d prefer to answer them at the end of the presentation. This will discourage them from interrupting your presentation at the wrong moment.

Use storytelling

People love stories. If you can capture your audience’s imagination with a story, you can make a very powerful impression.

For example, imagine you are giving a presentation about how to commission new advertisements for your company. You want to make the point that good copywriting as just as important as good visual design.

You can either make your point directly, like this:

“Successful adverts rely on good writing as well as good design. If you change the wording of an advert, it can often result in extra sales – or fewer. Therefore, the words we choose are as important as the images we use.”.

Or you could begin with a story, like this:

“I want you to imagine it’s the year 1907. A man called Louis Victor Eytinge is in prison, convicted of murder. He’s a drug addict, suffering from tuberculosis. He’s unlikely to live, never mind get out of jail. Yet, by 1923 he walked free into a well-paid advertising job and a career as a Hollywood screenwriter. How? He had written his way to freedom. I want to use his story to show you why, if we want successful adverts, we need to commission powerful writing as well as good design.”

Which version of the presentation would you rather listen to?!

Remember pace and pitch

One useful tip for acing your business presentations in English is to vary the pace and pitch of your delivery.

While you don’t want to speak too fast, it’s a good idea to use a different pace for different parts of your presentation. For example, when you want to communicate a key point, speaking more slowly will help people understand that you think it is important.

Equally, it’s a good idea to vary the pitch of your voice. Try and keep this as natural as possible, but experiment with using a higher pitch when asking questions and a lower pitch when beginning your sentences. One good way to learn how to vary your pitch is to listen to UK news broadcasts – news presenters are expert at varying the tone of their voice to keep listeners interested.

Add a call to action

Most business presentations are given for a specific purpose. You may want to convince another company to work with you. Or you may want to convince your own firm to invest in a new kind of product. You may simply be explaining to colleagues how a new training scheme will work.

Whatever the purpose of your presentation, always remember to tell your audience what you want them to do. This is a ‘call to action’. Do you want your audience to email you their ideas? Or send you a funding proposal? Or arrange a meeting?

No matter what you need your audience to do, don’t forget to tell them. And at the very end, be sure to thank them for their time!

There are many other tips we could share with you on how to ace a business presentation in English. For example, it’s never a good idea to read your presentation from a piece of paper – it’s not engaging and it means you can’t easily make eye contact. It’s also tempting to rely too heavily on visual aids like PowerPoint, but if you get it wrong your audience will read your slides instead of listening to you. This handout outlines strategies for writing and presenting papers for academic conferences.

What’s special about conference papers?

Conference papers can be an effective way to try out new ideas, introduce your work to colleagues, and hone your research questions. Presenting at a conference is a great opportunity for gaining valuable feedback from a community of scholars and for increasing your professional stature in your field.

A conference paper is often both a written document and an oral presentation. You may be asked to submit a copy of your paper to a commentator before you present at the conference. Thus, your paper should follow the conventions for academic papers and oral presentations.

Preparing to write your conference paper

There are several factors to consider as you get started on your conference paper.

Determine the structure and style

How will you structure your presentation? This is an important question, because your presentation format will shape your written document. Some possibilities for your session include:

  • A visual presentation, including software such as PowerPoint or Prezi
  • A paper that you read aloud
  • A roundtable discussion

Presentations can be a combination of these styles. For example, you might read a paper aloud while displaying images. Following your paper, you might participate in an informal conversation with your fellow presenters.

You will also need to know how long your paper should be. Presentations are usually 15-20 minutes. A general rule of thumb is that one double-spaced page takes 2-2.5 minutes to read out loud. Thus an 8-10 page, double-spaced paper is often a good fit for a 15-20 minute presentation. Adhere to the time limit.  Make sure that your written paper conforms to the presentation constraints.

Consider the conventions of the conference and the structure of your session

It is important to meet the expectations of your conference audience. Have you been to an academic conference previously?  How were presentations structured? What kinds of presentations did you find most effective? What do you know about the particular conference you are planning to attend? Some professional organizations have their own rules and suggestions for writing and presenting for their conferences. Make sure to find out what they are and stick to them.

If you proposed a panel with other scholars, then you should already have a good idea of your panel’s expectations. However, if you submitted your paper individually and the conference organizers placed it on a panel with other papers, you will need additional information.

Will there be a commentator? Commentators, also called respondents or discussants, can be great additions to panels, since their job is to pull the papers together and pose questions. If there will be a commentator, be sure to know when they would like to have a copy of your paper. Observe this deadline.

You may also want to find out what your fellow presenters will be talking about. Will you circulate your papers among the other panelists prior to the conference? Will your papers address common themes? Will you discuss intersections with each other’s work after your individual presentations? How collaborative do you want your panel to be?

Analyze your audience

Knowing your audience is critical for any writing assignment, but conference papers are special because you will be physically interacting with them. Take a look at our handout on audience . Anticipating the needs of your listeners will help you write a conference paper that connects your specific research to their broader concerns in a compelling way.

What are the concerns of the conference?

You can identify these by revisiting the call for proposals and reviewing the mission statement or theme of the conference. What key words or concepts are repeated? How does your work relate to these larger research questions? If you choose to orient your paper toward one of these themes, make sure there is a genuine relationship. Superficial use of key terms can weaken your paper.

What are the primary concerns of the field?

How do you bridge the gap between your research and your field’s broader concerns? Finding these linkages is part of the brainstorming process. See our handout on brainstorming . If you are presenting at a conference that is within your primary field, you should be familiar with leading concerns and questions. If you will be attending an interdisciplinary conference or a conference outside of your field, or if you simply need to refresh your knowledge of what’s current in your discipline, you can:

  • Read recently published journals and books, including recent publications by the conference’s featured speakers
  • Talk to people who have been to the conference
  • Pay attention to questions about theory and method. What questions come up in the literature? What foundational texts should you be familiar with?
  • Review the initial research questions that inspired your project. Think about the big questions in the secondary literature of your field.
  • Try a free-writing exercise. Imagine that you are explaining your project to someone who is in your department, but is unfamiliar with your specific topic. What can you assume they already know? Where will you need to start in your explanation? How will you establish common ground?

Contextualizing your narrow research question within larger trends in the field will help you connect with your audience.  You might be really excited about a previously unknown nineteenth-century poet. But will your topic engage others?  You don’t want people to leave your presentation, thinking, “What was the point of that?” By carefully analyzing your audience and considering the concerns of the conference and the field, you can present a paper that will have your listeners thinking, “Wow! Why haven’t I heard about that obscure poet before? She is really important for understanding developments in Romantic poetry in the 1800s!”

Writing your conference paper

I have a really great research paper/manuscript/dissertation chapter on this same topic. Should I cut and paste?

Be careful here. Time constraints and the needs of your audience may require a tightly focused and limited message. To create a paper tailored to the conference, you might want to set everything aside and create a brand new document.  Don’t worry—you will still have that paper, manuscript, or chapter if you need it. But you will also benefit from taking a fresh look at your research.

Citing sources

Since your conference paper will be part of an oral presentation, there are special considerations for citations. You should observe the conventions of your discipline with regard to including citations in your written paper. However, you will also need to incorporate verbal cues to set your evidence and quotations off from your text when presenting. For example, you can say: “As Nietzsche said, quote, ‘And if you gaze for long into an abyss, the abyss also gazes into you,’ end quote.” If you use multiple quotations in your paper, think about omitting the terms “quote” and “end quote,” as these can become repetitive. Instead, signal quotations through the inflection of your voice or with strategic pauses.

Organizing the paper

There are numerous ways to effectively organize your conference paper, but remember to have a focused message that fits the time constraints and meets the needs of your audience. You can begin by connecting your research to the audience’s concerns, then share a few examples/case studies from your research, and then, in conclusion, broaden the discussion back out to general issues in the field.

Don’t overwhelm or confuse your audience

You should limit the information that you present. Don’t attempt to summarize your entire dissertation in 10 pages. Instead, try selecting main points and provide examples to support those points. Alternatively, you might focus on one main idea or case study and use 2-4 examples to explain it.

Check for clarity in the text

One way to anticipate how your ideas will sound is to read your paper out loud. Reading out loud is an excellent proofreading technique and is a great way to check the clarity of your ideas; you are likely to hear problems that you didn’t notice in just scanning your draft.  Help listeners understand your ideas by making sure that subjects and verbs are clear and by avoiding unnecessarily complex sentences.

Include verbal cues in the text

Make liberal use of transitional phrases like however, therefore, and thus, as well as signpost words like first, next, etc.

If you have 5 main points, say so at the beginning and list those 5 ideas. Refer back to this structure frequently as you transition between sections (“Now, I will discuss my fourth point, the importance of plasma”).

Use a phrase like “I argue” to announce your thesis statement. Be sure that there is only one of these phrases—otherwise your audience will be confused about your central message.

Refer back to the structure, and signal moments where you are transitioning to a new topic: “I just talked about x, now I’m going to talk about y.”

I’ve written my conference paper, now what?

Now that you’ve drafted your conference paper, it’s time for the most important part—delivering it before an audience of scholars in your field!  Remember that writing the paper is only one half of what a conference paper entails. It is both a written text and a presentation.

With preparation, your presentation will be a success. Here are a few tips for an effective presentation. You can also see our handout on speeches .

Cues to yourself

Include helpful hints in your personal copy of the paper. You can remind yourself to pause, look up and make eye contact with your audience, or employ body language to enhance your message. If you are using a slideshow, you can indicate when to change slides. Increasing the font size to 14-16 pt. can make your paper easier to read.

Practice, practice, practice

When you practice, time yourself. Are you reading too fast? Are you enunciating clearly? Do you know how to pronounce all of the words in your paper? Record your talk and critically listen to yourself. Practice in front of friends and colleagues.

If you are using technology, familiarize yourself with it. Check and double-check your images. Remember, they are part of your presentation and should be proofread just like your paper.  Print a backup copy of your images and paper, and bring copies of your materials in multiple formats, just in case.  Be sure to check with the conference organizers about available technology.

Professionalism

The written text is only one aspect of the overall conference paper. The other is your presentation. This means that your audience will evaluate both your work and you! So remember to convey the appropriate level of professionalism.

According to Forbes , giving a presentation makes 80% of us feel nervous !

The good news is that feeling nervous might be a good thing. This feeling pushes us to prepare ourselves better, and as long as you’re well prepared, you’ll do just fine.

So then, let’s take a look at how we can prepare ourselves to give amazing presentations in English. Today, we’re going to focus on the business English phrases you can count on (depend on) to make your presentation go more smoothly from start to finish.

But first, here are some tips to use when preparing for your presentation.

Greeting Your Audience

You’re now standing in front of your audience. Before you begin your presentation, start by greeting your audience, welcoming them to the event and introducing yourself.

1. Good morning/afternoon/evening, everyone.

2. welcome to [name of event]..

Sample sentence: Welcome to our 3rd Annual Sales Leadership Conference.

3. First, let me introduce myself. I am [name] from [company].

Beginning your presentation.

After you have given an introduction, you are ready to begin speaking about your topic. Use these phrases to get started.

4. Let me start by giving you some background information.

Use this phrase to give your audience a brief overview of the topic you’ll be discussing. This is a good way to give them an idea of what’s going on and to bring them up to date.

5. As you’re aware, …

If you’re bringing up a topic that your audience already knows about or is aware of, then you can use this phrase to introduce this known topic.

Sample sentence: As you’re aware , the CEO of DHL Express has often said that globalization is here to stay.

Transitioning to the Next Topic

Before you move on to your next point, be sure to make it clear to your audience that you’re now starting a new topic. Let them know exactly what that new topic will be. The two phrases below are very similar in meaning, and they can both be used for transitions.

6. Let’s move on to…

Sample sentence: Let’s move on to our second sales strategy.

7. Turning our attention now to…

Sample sentence: Turning our attention now to the results of our 2016 customer survey.

Providing More Details

Use these phrases to tell your audience that you’ll be giving them a more detailed explanation of the topic. Both the words ‘expand’ and ‘elaborate’ mean to explain more fully.

8. I’d like to expand on…

Sample sentence: Now I’d like to expand on my point about increasing our market share.

9. Let me elaborate further.

Linking to another topic.

When making reference to a point you made earlier, or to remind your audience about something you said before, use these phrases to that link.

10. As I said at the beginning, …

This phrase lets you remind your audience about a point you made earlier. It can also be used to emphasize a point or theme.

Sample sentence: As I said in the beginning , we’ll see an increase in profit if we follow these five steps.

11. This relates to what I was saying earlier…

This phrase will help you make connections between ideas in your presentation. It shows that two different ideas are connected.

Sample sentence: This relates to what I was saying earlier about increasing production to meet the year-end demand.

12. This ties in with…

Sample sentence: This ties in with the way we’ve been doing business for the past 20 years.

Emphasizing a Point

Use these phrases to draw attention to an important point that you want your audience to note.

13. The significance of this is…

The word “significance'” is similar in meaning to “importance.”

Sample sentence: The significance of this is , if we complete this project on schedule, we’ll have more people available to work on the next project.

14. This is important because…

Sample sentence: This is important because any marketing effort we put in now will help to boost demand for our products in the long run.

15. We have to remember that …

Sample sentence: We have to remember that people are our most important resource.

Making Reference to Information

Very often, you may need to support your discussion points by drawing attention and making reference to information and data from studies, reports and other sources.

16. Based on our findings, …

Sample sentence: Based on our findings, 74% of our market is made up of teenagers who find our clothing line stylish and upbeat.

17. According to our study, …

Sample sentence: According to our study, 63% of working people in this city go directly to the gym after work.

18. Our data shows …

Sample sentence: Our data shows that more than 23% of men in this town who used to drive to work now prefer to save money and the environment by cycling instead.

Explaining Visuals

To present a clearer picture of your point, you may show your data, information or examples in the form of visuals such as charts, tables and graphs.

19. I’d like to illustrate this point by showing you…

The word “illustrate” means “show,” usually with examples, data or visuals.

Sample sentence: I’d like to illustrate this point by showing you a chart of the number of people in each age group who prefer to shop online.

20. This chart shows a breakdown of …

A “breakdown” refers to the detailed parts or figures that make up the total picture. A breakdown is often used in a presentation to show all the smaller parts behind something bigger.

Sample sentence: This chart shows a breakdown of the ingredients we use in our gluten-free products.

Restating Your Point

Sometimes in order to emphasize your point, you have to state it in a way that’s easier for your audience to understand and remember. This often involves rephrasing, simplifying or clarifying your point.

21. In other words, …

Use this phrase to rephrase or reword your point in another way.

Sample sentence: In other words , we need to change our current design to make it more attractive to older children.

22. To put it simply, …

Use this phrase to simplify points that are complex or difficult to understand.

Sample sentence: To put it simply , we’ll need you to work harder at making this launch a success.

23. What I mean to say is …

Use this phrase to explain your point in a way that’s easier for your audience to understand.

Sample sentence: What I mean to say is that we need to change the way we market our products.

Concluding Your Presentation

This is the very end of the presentation. You have said everything you need to say, and now you need to finish it nicely. You may also have some time for questions. If there is time for questions, invite your audience to ask any questions they have.

24. In conclusion, let me sum up my main points.

As part of your closing statement, “sum up” (summarize, state briefly) your speech by mentioning the main points of your speech.

25. Thank you for your attention. Now I am happy to answer any questions you might have.

End your presentation by thanking your audience and offering to answer their questions.

The Top 3 Tips for Preparing Your Business Presentation in English

1. have a plan.

Always have a plan. Spend some time thinking about not only what you’re going to say but how you’re going to say it.

If English isn’t your native language, it’s very important that you think about what language you’re going to be using. Think about all the vocabulary, phrases and grammar that will make your message clear and easy to understand.

What are the big ideas you want to explain for your presentation? Which words will express these ideas best? I recommend:

  • Have a clear goal in mind to help you stay on track and be logical. Whenever you feel lost during the presentation, just remember this clear, main goal. An example of a goal could be to convince potential clients to work with you. Whenever you don’t know what to say next, remember to focus on the advantages you want to present and on examples of what you did in the past to deserve their trust. Encourage them to ask you questions related to this goal.
  • Research content. If you know your facts, you already have the core of your presentation prepared. Write these facts down on topic cards, give out handouts (papers) with important information or include them on your PowerPoint slides.
  • Prepare the delivery. Rehearse giving the presentation several times. Some people like recording themselves, others prefer practicing in front of a mirror or having friends listen to them while presenting. Choose the method that works best for you.
  • Decide whether you are going to read or speak freely. Reading can sound unnatural, but you can use certain tricks to avoid this. You can underline important sentences which you can memorize, so that from time to time you can stop reading, say your memorized lines and look at the audience. In this way, reading can be made more natural. Make sure you slow down so that the audience can follow you.

Speaking freely is much better if you can remember everything you want to say, because you will seem more knowledgeable, prepared and confident. However, this can be more stressful.

2. Use Visuals

Using some visuals can make your presentation more entertaining, easier to understand and can get your points across more convincingly. My advice:

  • Decide whether you need a PowerPoint presentation or not. Do you have graphs, results or other things like this to show? Then yes, you need one. Are you just telling a story? Then you probably do not.
  • Do not fill your slides with too much information. Use a maximum of seven short lines of text—even seven can be too many. Highlight key words so the audience can see the main ideas right away. Use bullet points rather than full sentences.
  • If you are presenting graphs or charts , give the audience time to read them.  Do not show a huge table of data if they audience will not have time to read and understand it. Make sure you try reading each slide while timing yourself to see how long it takes, so you do not jump to the next slide too early during your presentation.

3. Structure Your Presentation Well

It is a common mistake to give an unclear and unorganized presentation. This happens when the presenter just starts speaking without a clear goal in mind. They might suddenly realize their allotted speaking time has ended, or that the audience is bored because they are not following what is being said. Here’s what you should do instead:

  • Decide on three main points (or less) that you want to make. Audiences can’t usually focus on more than three points.
  • Tell them from the beginning what points you will be making. Audiences like to know what to expect. Tell them the main goals of your presentation directly in the introduction.
  • Presenting main points: firstly, secondly, last but not least
  • Making additions: moreover, furthermore, in addition, besides, what’s more
  • Making purposes clear: in order to, so as to
  • Presenting reasons and causes: on account of, due to, since, seeing that
  • Presenting consequences: consequently, as a result, therefore
  • Expressing contrast: in spite of, despite, although, even though, however, nevertheless, in contrast, on the contrary

So with this, you’ve mastered the 25 most commonly used phrases used in presentations and my three favorite tips.

Once you learn them, I think you’ll find them very useful to you in any presentation.

What to Include in the Conclusion of Your Presentation in English

You’re giving your presentation in English. You have just two minutes left. And it’s time for the conclusion …

Did you know most people only remember the first and last things you tell them? It’s true.

If you are giving a presentation in English, then you definitely want people to remember what you say at the end. And this means your closing must be powerful!

You’ve worked hard on your presentation. You searched for information online. You couldn’t sleep at night. You felt nervous about making mistakes. You spent hours preparing. You reviewed the grammar and vocabulary. You worried about someone asking a question. You practiced and practiced and practiced.

And now it’s the last two minutes. This is the last opportunity for your audience to hear your key points. It is the last chance you have to help your audience remember your comments.

A closing in a presentation should be short and clear. It should summarize your key points. And, most importantly, it should be powerful.

In today’s lesson, you’re going to learn about 3 ways to make your closing more powerful. Plus you’ll learn useful key expressions you can use in your presentation.

3 steps to a powerful closing in your presentation.

3 Strategies to Close Your Presentation Powerfully

Use these 3 strategies in your conclusion to:

  • recapture your audience’s attention
  • get your audience to focus and remember your key points
  • help your audience connect with you and your topic
  • end your presentation powerfully

One: Include a Call to Action (CTA)

Is there something you want your audience to do or think after your presentation. Do you want them to take action? Tell your audience exactly what you want them to do with a Call to Action.

Here’s my example:

“ After you finish today’s lesson, please take 2 minutes to  leave a comment about your experience with presentations. You can share your thoughts or ask questions in the comments section at the bottom of this lesson – it’s the perfect place to join a discussion on this topic.”

A couple useful expressions to help you introduce your CTA is:

  • To close, I’d like to ask you to do this one thing…
  • And finally, before you leave the conference today, please take two minutes to…

Two: End with a Powerful/Inspirational Quote

Is there one thing you really want your audience to remember? Or is there a specific feeling you want your audience to have after your presentation?

Using a powerful quote can help you do that. You could introduce a great quote or interesting statistic with:

  • I’d like to finish with this powerful/interesting/wonderful/inspiring/ quote from …
  • And finally, let’s finish up today’s discussion with this surprising/useful/shocking/hopeful statistic …

Here are some example quotes that might help people be prepared to take action or to think differently. But remember! Always match the quote or statistic to your topic:

“In the end, we will remember not the words of our enemies, but the silence of our friends.”  – Martin Luther King, Jr. “Sometimes we stare so long at a door that is closing that we see too late the one that is open.”  – Alexander Graham Bell

Three: Add a Surprising Fact or Statistic

Is there something you’d love for your audience to think about after your presentation? Is there a statistic or fact that will help someone remember your key points?

A surprising fact can also help re-engage your audience, it will snap their attention back to you.

For example:

Did you know that the human brain’s capacity is limitless – that’s great new right? BUT … did you also know that a person is likely to remember only 25% of a presentation after 24 hours?

Uh oh. That is why it’s SO important to have a powerful ending! Remember: the key is to find a statistic or fact that connects directly to your topic.

Useful Language to Close Your Presentation

Summarize Your Key Points & Close Your Presentation

  • That brings us to the end of the presentation. I’d like to summarize by saying …
  • That concludes my presentation. However, I’d like to quickly summarize the main points or takeaways.
  • And on that final note, that concludes my presentation.
  • To quickly recap, I’d like you to remember these key points …
  • To summarize …
  • In conclusion …
  • I’d like to bring this presentation to a close with …
  • I’d like to close this talk with …
  • So, this concludes the focus of discussion today. To end, I’d like to highlight …
  • This concludes [name/title of the section] so let’s move on to the final comments.

Thank Your Audience

  • I sincerely appreciate your attention today/this evening/this morning.
  • And that brings us to the end. I’d like to thank you for your time and attention today.
  • Thank you so much for your interest and attention.
  • At this time, I’d like to have my colleague speak so I’ll finish up by saying thank you for your attention.
  • I can see that our time is just about up so to finish I’d like to say thank you.
  • I sincerely appreciate that I’ve had this opportunity to present to you.
  • If there is one thing I would like you to remember from today’s presentation it’s …

While composing graduate papers for a seminar, it is a good idea to write on subjects that spark your curiosity, are relevant to your ongoing research interests, and that are suitable for conference presentation as a shorter version (usually 6-8 pages) of your seminar paper (usually 12-25 pages). Don't waste the valuable time you spent researching and writing that paper; use the finished product for more than just receiving a grade! Throughout this process, consult the Writing Center's conference guide for Graduate-Level Professional Writing.

Present the Paper at a Local, National, or International Conference

After submitting your final paper for a seminar class and receiving feedback from your professor, modify your paper and then search for a suitable conference to present at in order to receive additional feedback from experts in the field before revising the longer version again for publication. 

I. Find a CFP .

The first challenge at this stage is to find an upcoming conference whose theme or general scope would agree well with your paper (i.e. a paper on literature about the medieval mystic and revolutionary John Ball would be suitable at Kalamazoo (medieval), MLA (general literary), as well as a historical, theological, or political conference). It's often a good idea to ask your professor for conference advice, as he or she has presumably presented their own research and formed a network of colleagues in the field. Also research conferences on your own through these avenues; the UPenn listserv constantly posts CFPs from the arts and humanities in all fields; the VICTORIA listserv regularly posts CFPs (calls for papers) in the field of Victorian study, and Twitter is rapidly becoming one of the best avenues for hearing about upcoming conference opportunities, followed by Facebook. Besides following major conferences to receive updates and getting added to listservs, do some research on the Internet to find the conference that is right for you. 

II. Write and submit an abstract .

Usually a CFP will contain the following useful information: theme, word limit (usually 250-350 words), deadline, and the email and contact person for receipt of the abstracts. The abstract basically performs the function of a topic paragraph, summing up in brief the question, methodology, proof, thesis, and conclusion of your paper (the order of these parts may vary). Each sentence and every word counts in this abstract, so don't use quotes unless absolutely necessary. Get to the point and be extremely clear about the use of your research. How does your research refute, add to, or advance previous research or ways of thinking? Make sure to stay at or under the word count and email the finished product to the designated recipient by the deadline. Sometimes there is a request for a one-page CV, so make sure you've read the CFP thoroughly. When emailing your abstract (sometimes with a CV), briefly greet the recipient, tell them the title of your paper and what you are applying for, and provide an email signature with your contact details, i.e. "Dear Ms. Smith, Attached please find my abstract entitled "TITLE," for the "CONFERENCE NAME." Thanks for your consideration. Yours, Dimas Hospod." This helps the recipient locate your submission among hundreds of other emails and submissions and encourages them to respond and confirm receipt of your email.

III. Apply for funding.

A CFP also contains information about a conference's name and location; while some conferences stay in one location permanently or for several years, many rotate within a region or the entirety of the US. Meant either for graduate students alone, or for all scholars, many local conferences take place in the Chicago area, both at LUC and at surrounding universities and institutions. Attending one of these as a speaker can be a great way to get that CV line and save money at the same time. If you want to attend a conference farther away, it is a good idea to apply to the Graduate School for money. Each year, LUC graduate students are eligible for the sum of $400.00 from the Graduate School on a first-come-first-serve basis. Once you have received an acceptance email, download it as a pdf, and apply through GSPS for an internal funding award when applications open up (keep an eye out for Michelle Cerullo's emails). Save all of your receipts from the conference (transportation receipts such as airplane receipts, boarding passes, baggage claim tickets, hotel reservation or Airbnb receipts, food receipts, conference registration costs, etc.). You will need to bring these along with this completed electronic reimbursement form in an envelope to the 4th floor of Grenada Center on the LSC to submit to Ms. Cerullo for reimbursement ($400.00) following your conference. If your costs exceed 400.00, save other receipts for submission to EGSA in the spring semester (look for the email); you may possibly recover more of your costs. Sometimes safely and respectfully sharing transportation or accommodations with other graduate students attending the conference can be a useful way to reduce the expense of attending a national or international conference. Also, explore other opportunities for funding such as conference bursary awards, conference travel awards, and graduate essay competitions often advertised by conferences on their website.

IV. Present your paper.  

Your acceptance email will generally provide the following details: how long you have to present (usually 15-20 mins on a panel of 3-4 speakers) and give information involving when the finished conference schedule of presentations will appear on the conference website or be emailed to you. Often, a few weeks out from the conference, your designated panel moderator will contact you and request a brief 2-4 sentence bio with which to introduce you at the event; sometimes you are also requested to email your PowerPoint presentation if you have one. Besides ensuring that your paper is only 6-10 pages, depending on the time limit and rehearsing and timing your presentation, its also advisable to bring a USB drive containing your paper and your PowerPoint; technology is notoriously unreliable, especially at humanities conferences! Bringing a clicker and a Macbook adapter cord if relevant can facilitate proceedings. Make sure you are speaking into the microphone loud enough to be heard by your audience (usually numbering anywhere from 4-100 people depending on the conference). Be respectful to your panelists and panel moderator during the entire session by staying within the 15-20 minute presentation limit and trying not to monopolize the Q&A session, as this indicates you are a thoughtful colleague that others will want to network with instead of compete against in the field. After successfully giving your paper, log into GSPS and make note of the fact under "Presentations." 

Present the Paper at an LUC Event for Practice

Once you've either revised your seminar paper in light of your professor's comments, OR finished presenting the shorter version at a conference, consider presenting a 6-8 page paper at the EGSA Symposium or the GSAC Symposium during the spring semester. Especially if you are nervous about public speaking, getting your feet wet with a short presentation about a paper you thoroughly researched and revised that is delivered to a sympathetic audience of people you know is a great way to start off your career as a speaker. 

Apply for the Clayes Award

Every year you will receive an email from the Department of English secretary about the deadline for applying for the Stanley A. Clayes Award. Established in memory of a beloved professor in the department, this award and a cash prize is given for the best graduate paper written for an LUC course in the previous school year. If you receive first or second place you will present an 8-10 page version of your paper at the Clayes Award reception, at which you will receive a check.
