A great speech includes several key qualities, but three fundamental elements make a speech truly effective:

While other important factors make a speech a home run, these three elements are essential for writing an effective speech.

The main elements of a speech typically include:

  • Introduction: The introduction sets the stage for your speech and grabs the audience's attention. It should include a hook or attention-grabbing opening, introduce the topic, and provide an overview of what will be covered.
  • Opening/captivating statement: This is a strong statement that immediately engages the audience and creates curiosity about the speech topics.
  • Thesis statement/central idea: The thesis statement or central idea is a concise statement that summarizes the main point or argument of your speech. It serves as a roadmap for the audience to understand what your speech is about.
  • Body: The body of the speech is where you elaborate on your main points or arguments. Each point is typically supported by evidence, examples, statistics, or anecdotes. The body should be organized logically and coherently, with smooth transitions between the main points.
  • Supporting evidence: This includes facts, data, research findings, expert opinions, or personal stories that support and strengthen your main points. Well-chosen and credible evidence enhances the persuasive power of your speech.
  • Transitions: Transitions are phrases or statements that connect different parts of your speech, guiding the audience from one idea to the next. Effective transitions signal the shifts in topics or ideas and help maintain a smooth flow throughout the speech.
  • Counterarguments and rebuttals (if applicable): If your speech involves addressing opposing viewpoints or counterarguments, you should acknowledge and address them. Presenting counterarguments makes your speech more persuasive and demonstrates critical thinking.
  • Conclusion: The conclusion is the final part of your speech and should bring your message to a satisfying close. Summarize your main points, restate your thesis statement, and leave the audience with a memorable closing thought or call to action.

How to structure a good speech

You know what message you want to transmit, who you’re delivering it to, and even how you want to say it. But you need to know how to start, develop, and close a speech before writing it. 

Think of a speech like an essay. It should have an introduction, conclusion, and body sections in between. This places ideas in a logical order that the audience can better understand and follow them. Learning how to make a speech with an outline gives your storytelling the scaffolding it needs to get its point across.

Here’s a general speech structure to guide your writing process:

  • Explanation 1

How to write a compelling speech opener

Some research shows that engaged audiences pay attention for only 15 to 20 minutes at a time. Other estimates are even lower, citing that people stop listening intently in fewer than 10 minutes . If you make a good first impression at the beginning of your speech, you have a better chance of interesting your audience through the middle when attention spans fade. 

Implementing the INTRO model can help grab and keep your audience’s attention as soon as you start speaking. This acronym stands for interest, need, timing, roadmap, and objectives, and it represents the key points you should hit in an opening. 

Here’s what to include for each of these points: 

  • Interest : Introduce yourself or your topic concisely and speak with confidence . Write a compelling opening statement using relevant data or an anecdote that the audience can relate to.
  • Needs : The audience is listening to you because they have something to learn. If you’re pitching a new app idea to a panel of investors, those potential partners want to discover more about your product and what they can earn from it. Read the room and gently remind them of the purpose of your speech. 
  • Timing : When appropriate, let your audience know how long you’ll speak. This lets listeners set expectations and keep tabs on their own attention span. If a weary audience member knows you’ll talk for 40 minutes, they can better manage their energy as that time goes on. 
  • Routemap : Give a brief overview of the three main points you’ll cover in your speech. If an audience member’s attention starts to drop off and they miss a few sentences, they can more easily get their bearings if they know the general outline of the presentation.
  • Objectives : Tell the audience what you hope to achieve, encouraging them to listen to the end for the payout. 

Writing the middle of a speech

The body of your speech is the most information-dense section. Facts, visual aids, PowerPoints — all this information meets an audience with a waning attention span. Sticking to the speech structure gives your message focus and keeps you from going off track, making everything you say as useful as possible.

Limit the middle of your speech to three points, and support them with no more than three explanations. Following this model organizes your thoughts and prevents you from offering more information than the audience can retain. 

Using this section of the speech to make your presentation interactive can add interest and engage your audience. Try including a video or demonstration to break the monotony. A quick poll or survey also keeps the audience on their toes. 

Wrapping the speech up

To you, restating your points at the end can feel repetitive and dull. You’ve practiced countless times and heard it all before. But repetition aids memory and learning , helping your audience retain what you’ve told them. Use your speech’s conclusion to summarize the main points with a few short sentences.

Try to end on a memorable note, like posing a motivational quote or a thoughtful question the audience can contemplate once they leave. In proposal or pitch-style speeches, consider landing on a call to action (CTA) that invites your audience to take the next step.

How to write a good speech

If public speaking gives you the jitters, you’re not alone. Roughly 80% of the population feels nervous before giving a speech, and another 10% percent experiences intense anxiety and sometimes even panic. 

The fear of failure can cause procrastination and can cause you to put off your speechwriting process until the last minute. Finding the right words takes time and preparation, and if you’re already feeling nervous, starting from a blank page might seem even harder.

But putting in the effort despite your stress is worth it.   • What purpose do I want my speech to achieve? 
  • What would it mean to me if I achieved the speech’s purpose?
  • What audience am I writing for? 
  • What do I know about my audience? 
  • What values do I want to transmit? 
  • If the audience remembers one take-home message, what should it be? 
  • What do I want my audience to feel, think, or do after I finish speaking? 
  • What parts of my message could be confusing and require further explanation?

2. Know your audience

Understanding your audience is crucial for tailoring your speech effectively. Consider the demographics of your audience, their interests, and their expectations. For instance, if you're addressing a group of healthcare professionals, you'll want to use medical terminology and data that resonate with them. Conversely, if your audience is a group of young students, you'd adjust your content to be more relatable to their experiences and interests. 

3. Choose a clear message

Your message should be the central idea that you want your audience to take away from your speech. Let's say you're giving a speech on climate change. Your clear message might be something like, "Individual actions can make a significant impact on mitigating climate change." Throughout your speech, all your points and examples should support this central message, reinforcing it for your audience.

4. Structure your speech

Organizing your speech properly keeps your audience engaged and helps them follow your ideas. The introduction should grab your audience's attention and introduce the topic. For example, if you're discussing space exploration, you could start with a fascinating fact about a recent space mission. In the body, you'd present your main points logically, such as the history of space exploration, its scientific significance, and future prospects. Finally, in the conclusion, you'd summarize your key points and reiterate the importance of space exploration in advancing human knowledge.

5. Use engaging content for clarity

Engaging content includes stories, anecdotes, statistics, and examples that illustrate your main points. For instance, if you're giving a speech about the importance of reading, you might share a personal story about how a particular book changed your perspective. You could also include statistics on the benefits of reading, such as improved cognitive abilities and empathy.

6. Maintain clarity and simplicity

It's essential to communicate your ideas clearly. Avoid using overly technical jargon or complex language that might confuse your audience. For example, if you're discussing a medical breakthrough with a non-medical audience, explain complex terms in simple, understandable language.

Consider using a mirror or recording yourself to observe your body language and gestures. How to Prepare For a Speech: 7 Practical Tips

As much as 75% of the population feels some level of anxiety when faced with public speaking. Even those of us who have been speaking for decades still get nervous before getting onstage. But we also have learned the importance of preparing for a speech and how that preparation can turn anxiety into confidence.

In this article, we’ll guide you through the essential steps to prepare for a speech, ensuring you feel confident and ready to captivate your audience. From exercise and breathing techniques to diet, rest, and outfit choices to affirmations and mental preparation, there are many steps that go into preparing yourself to give a great talk. Let’s get into them!

Step 1: Exercise and Physical Preparation

Exercise and physical activity is a great way to reduce stress and improve performance, not only in speaking but in general. Keeping in good shape will help keep down anxiety in general, so try to get into a routine if you’re not already. Exercise releases endorphins and endorphins can help calm nerves. Let’s look at some examples of exercises you can do to help prepare yourself to deliver a speech.

Other than having a general exercise routine, there are a few exercises you can do just before a speech to reduce your feeling of nervousness. You could do some light cardio – maybe you’re speaking at a conference and the hotel you’re staying at has a gym with a treadmill. Take a walk, go for a run, swim laps, whatever feels right to you. Don’t overdo it though – you don’t want to be limping up the steps onto the stage!

If you don’t have the time, space, or desire to do cardio, then maybe some stretching or light yoga could do the trick. Both of these activities help to center the body physically and regulate your breathing. Breathing is a key point to focus on when preparing to go on stage. There are loads of great apps that have quick five- or ten-minute-long yoga routines and stretching circuits that you can try.

Step 2: Breathing Techniques

Just like physical exercise, getting your breath right is a great way to get ready to deliver a talk. Using different breathing techniques can help give you a sense of calm and help you arrive and stay in the present moment. Deep breathing increases oxygen flow and can help steady your voice. It’s pretty hard to nail a speech when your voice is shaky and you’re out of breath.

There are several different helpful breathing exercises that you can utilize to prepare to deliver a speech. Diaphragmatic breathing is one example.

Diaphragmatic Breathing

The diaphragm is your most efficient muscle when it comes to breathing. When first learning diaphragmatic breathing, start by lying on your back with your knees bent and head supported, placing one hand on your chest and the other below your rib cage to feel your diaphragm move. Breathe in through your nose, letting your stomach rise while keeping your chest still, then tighten your stomach muscles to exhale through pursed lips. Once you have this down, you can try this exercise while sitting in a chair. Just make sure that your knees are bent and your upper body is relaxed, with the same hand placements and breathing pattern.

Box Breathing

Another exercise you can try is “box breathing.” Box breathing is a simple technique that anyone can learn to help re-center themselves and improve concentration in stressful situations, such as giving a speech. Follow these four steps: breathe in for four seconds, hold your breath for four seconds, slowly exhale for four seconds, and repeat until you feel re-centered. Just thirty seconds of deep breathing can make you feel more relaxed and in control before sharing a message.

4-7-8 Technique

Finally, a third breathing exercise that might be worth trying out is the 4-7-8 technique. To use the 4-7-8 technique, follow this breathing pattern: empty your lungs, breathe in quietly through your nose for 4 seconds, hold your breath for 7 seconds, and exhale through your mouth for 8 seconds. You can repeat the cycle up to 4 times. Now, there isn’t a ton of strong data to support the benefits of this technique but a 2020 review found some evidence suggesting that it may improve heart and lung function and reduce blood pressure.

Step 3: Diet and Hydration

You may not think your diet would have a significant impact on your speaking performance, but diet and hydration can actually strongly influence your energy levels and voice. Many speakers fail to pay attention to what they are putting into their bodies before a speech and it can show. To properly prepare you need to know how what you eat and drink impacts your energy and voice.

In his book, The Successful Speaker , Grant Baldwin stresses that you should avoid eating a heavy meal before talking. Eating a heavy meal, such as meat and pasta, can make you sluggish and devoid of energy. Try to eat light, balanced meals that will give you energy without weighing you down too much. Salmon, eggs, or different fruits and vegetables could do this for you. Some speakers even avoid eating at all on the day of a speech! Figure out what works for you.

It’s not only what you eat, but also what you drink. Stay hydrated! You don’t want to show up to a talk with a dry throat and lips. However, if you’re literally about to step on stage, don’t drink too much. Take a couple of sips of water to tide you over for your talk but don’t overdo it – you don’t want to have a serious urge to use the toilet once you’re up there. Often, you can carry a bottle or cup of water on stage with you if you feel it’s necessary.

Step 4: Rest and Relaxation

It goes without saying that you don’t want to step on stage coming off of a night with no sleep. Adequate sleep and relaxation techniques help improve focus and reduce anxiety. In his book, Grant Baldwin says, “Don’t stay up late the night before. This seems obvious, but it’s very important to get a good night’s sleep before you speak. Sleep works wonders and can be the difference between you being kind of slow and groggy during your talk and being ‘on.'”

But sometimes you can’t really help it if you’re feeling anxious about a big speech. It may be those very nerves that keep you from sleeping. So how do you address that?

Strategies for Better Rest

There are a few strategies you can implement to help ensure being well-rested before gigs. It is worth pointing out that pretty much all of these methods won’t work as one-off practices – they need to become habits. Establishing a regular bedtime routine is key. Don’t stay up light, as Grant says, and try to go to bed at a similar time every night. This helps your body get accustomed to a consistent sleep schedule and develop strong circadian rhythms.

A comfortable sleeping environment is also important. A darker room and cooler temperatures has been shown to support better sleep, as well as minimizing sound disturbances. It’s pretty well-known that using screens right before going to bed affects your sleep. Try setting limits on your phone usage or Netflix time. Give yourself at least an hour before bed without screens.

How to fill that terrible, screen-less void? Read a book. Journal. Read through your speech once. Listen to some calming music. Do a crossword. Stare at a wall. Do whatever. Just try not to scroll if you can avoid it.

Another good way to fill your final hour before sleep is through meditation. There are several different forms of sleep meditation that you can try: breathing exercises, visualizations, mindful body scanning, even counting sheep (or just counting in general). Try a few methods and see what works for you.

Step 5: Choosing the Right Outfit

Dress for success. How you dress can really affect your confidence and comfort. Try picking out your outfit the night before your speech (or when you’re packing if your gig requires travel). You don’t want to be putting on your outfit the morning of your talk and find that a button is missing from your shirt or that you packed two right shoes. Plan ahead.

Wearing something comfortable and appropriate for your speech can really boost your confidence and increase your relatability or credibility with your audience. Don’t wear something too flashy or distracting. You want your audience’s attention to be on your words, not your Hawaiian shirt.

Step 6: Mental Preparation and Visualization

So far we’ve touched on a lot of ways to physically prepare for a speech ahead of time – exercise, meditate, sleep well, dress well, eat the right stuff, etc. But another equally important, if not more important, facet to your preparation is being mentally prepared. When it comes to overcoming fear, reducing anxiety, and boosting your own confidence, mental preparation and visualizing your own success can be a remarkable method.

Mentally walk yourself through your speech. Maybe stand in front of a mirror and observe yourself giving your main points. Analyze your body language so you can see just what your audience will observe. Even without a mirror, just picture yourself giving a great speech with confidence and poise. Imagine your audience responding positively and recognizing your public speaking skills.

If you can tell yourself that you will have a lasting impression on your audience, your message will come across with more confidence.

Positive Affirmations

Positive affirmations are another way to prepare your mind for a talk. Write some affirmations that remind yourself of your specific purpose and points and tell yourself that you’re going to do a great job. Remind yourself of your value – you were hired to give that presentation because you’ve got a big idea and your overall message is important.

Say something like this: “I am a magnet for positive energy when I speak. I am always focused and in control of my narrative. I am a voice of reason and wisdom. I am always prepared, rehearsed, and ready to deliver.” The first step is confidence and everything else will follow.

Step 7: Final Day Preparations

All the tips above can be done in the days and weeks leading up to a gig. They are all habits that you can establish and have as a part of your routine and structure all the time. But how do you handle the final hours before delivering your presentation and sharing your main ideas and message?

Create a day-of-speech checklist. Here’s what we recommend, but feel free to adjust it to your needs and practice:

  • Eat a healthy, light meal. We talked about this earlier. Eat something light that will give you the energy you need. Avoid pastas and heavy carbohydrates that will make you sluggish.
  • Review your talk one more time. Practice your speech at about 50 percent energy one last time to boost your confidence and increase your comfort level. Why only 50 percent? You want to save your full energy for the stage and avoid exhausting yourself right before the performance. Now that you’ve seen the room, visualize the stage and setup. Think through your pauses, movements, and gestures to build muscle memory, so your delivery feels natural. If you’re driving, practice by speaking out loud to yourself on the way.
  • Run a tech rehearsal (if time and venue allows). Some larger venues might schedule a sound check or tech run-through, but regardless, you should always check your sound before all of your speeches. Don’t take their word for it – check it yourself to be sure. It doesn’t matter how great your message is if your audience can’t hear your words and ideas.
  • See how the stage is lit. During a mic check, the house lights will likely be up. However, if special stage lighting will be used, ask the tech crew to show you what it will be like. Getting a feel for the actual lighting is helpful to avoid being unexpectedly blinded, which can seem unprofessional to an audience. You want to know if you’ll be able to keep eye contact or not.
  • Review slides if you’re using them. Slides can be a great way to organize and outline your speech and provide images and visual aids that give greater detail than just your words. But if you’re using slides and therefore a ‘clicker,’ you’d better check on that before speaking. Make sure your transitions and slides are well-timed.
  • Walk the stage. Get a good feel for the size of the stage you’ll be sharing your ideas from. Maybe there will be cameras – know where they are and where you should stand and walk.
  • Arrive early! No need to add unnecessary stress to your day by showing up last-minute, or worse, late. That won’t make for a good story to tell future event planners.
  • Drink some water – but just a little bit of water. Will an audience remember if you have to take a bathroom break mid-speech. Uh, yeah, you bet they will. That would make for a good story, though.
  • Check your teeth – and your fly. Does this really need an explanation? Just don’t embarrass yourself like that. A toothpick and a quick fly-check should solve this potential disaster.

Step 8: Backstage Preparations

You’re about to step on stage. The audience is waiting for you to deliver your speech and it’s main ideas. You have a key message and strong opening to deliver. What can you do in these last few moments to prepare for public speaking?

Basically, all of these habits that we’ve discussed and that you have hopefully taken up in your daily routine are also great immediate pre-speech techniques. Breathing exercises to center yourself; power poses and affirmations to boost confidence and remind yourself of your capabilities and past successes; a quick mental rehearsal and visualization; and some light stretches or some quick pacing to release tension.

All of these practices will help you engage your audience, tell your stories, and deliver your big ideas effectively. Now it’s your time to actually get on stage and make your points to your audience.

Preparing for a speech goes beyond mastering your content – it combines physical and mental preparation to ensure you’re at your best when you take the stage.

By incorporating strategies such as diaphragmatic breathing, box breathing, and the 4-7-8 technique, you can manage anxiety and stay calm. Paying attention to your diet, getting adequate rest, and choosing a confident outfit can further enhance your readiness. Taking time to practice your speech with a focus on energy conservation and familiarizing yourself with the stage setup and lighting will boost your confidence and make your delivery smooth.

What works for some people may not work for you. Use the methods we’ve gone over and create some of your own. Remember, thorough preparation is key to delivering a compelling and memorable speech.

7 steps to prepare a speech in a surprisingly short time

Most of my clients are entrepreneurs, CEOs or working in other leadership positions. I also meet many small business entrepreneurs. One common thread is that they’re very busy. Successful leaders are mindful about how they spend every single minute.

It’s no surprise then, that when these leaders are asked to speak in public, the one thing they are thinking is:

How do I prepare a speech in as little time as possible?

They realise very well that speaking well is important , and that preparation is necessary to deal with speaking anxiety . They just want to do it efficiently.

Today I’d like to share with you an excerpt of my CEO playbook for delivering speeches. The section on preparation contains tips that are useful to anyone looking to prepare a speech in half the time while doubling their impact .

I’ve compiled them into a handy list of 7 steps:

The 7 steps to efficiently prepare a speech

The steps are:

  • Identify your purpose . Why are you speaking?
  • Know your audience. What are their aspirations, pains, …?
  • Add significance. Why should the audience care?
  • Define your clear message. What should your audience remember?
  • Establish your structure . Develop a middle part with one or two points supported by an anecdote, story, and preferably backed up by facts and data.
  • Prepare a strong opening and a strong ending .

1. Define your purpose

For a speech to be effective, it must have a clear goal. A goal also helps you focus while creating the speech.

Ask yourself: do you mainly want to…

Note: these goals may overlap, and one does not exclude another. But one must be your main goal.

2. Know your audience

In order to connect with your audience during speeches, it is important to be able to place yourself in their shoes. Only from this perspective can you truly communicate understanding and establish rapport.

To know your audience is to engage your audience.

The Empathy Map is a handy technique from the world of user experience and marketing, where it is used to better understand potential or existing customers. It works remarkably well when you prepare a speech, too.

The big idea is to go over the different areas in the map and come up with the elements that create your listeners’ mental world in relation to the topic.

Suppose you are to deliver a speech on the use of sugar in processed foods. Some questions the empathy map would trigger are:

  • What do they think about the use of sugar and how does it make them feel ?
  • What do they hear about sugar from their environment or in the news?
  • What do they see when it comes to sugar, e.g. in terms of advertising or packaging?
  • What do they say about sugar to their peers? What do they do – what actions do they take (or not take)?
  • What  pain, or significant disadvantages, do they associate with sugar?
  • What  gain, or significant advantages, do they associate with sugar?

Note that the answers to some of these questions will overlap. Don’t worry about that — this is just a brainstorming tool to trigger relevant information stored in your memory. The point is not to organise information in any neat way.

Try it, even if it’s for 5 minutes! You’ll be surprised how helpful the answers are for:

  • finding an angle
  • finding the right words
  • creating goodwill
  • overcoming resistance
  • and much more.

3. Add significance

Why significance is key when you prepare a speech.

Crafting any good story starts with the why . What’s the point exactly?

There’s a saying in public speaking: you win the heart before you win the mind. Knowing the  why of your speech is essential in accomplishing that.

Speakers engage an audience by being significant; by creating meaning. Audiences feel engaged when they have the feeling the talk is also about them. A great example is Martin Luther King’s famous ‘I have a dream’ speech. The audience did not come to see Martin Luther King, they came because they identified with his ideas. They felt his speech was about them, their lives, and their dreams.

That explains the importance of step 2: Know your audience. You can only add significance if you have a clear image of the receiving end of your speech.

How to find your speech’s significance

To find the significance of your speech, ask yourself the following questions when you prepare a speech:

  • Why am I giving this speech?
  • What do I believe, that I want to share? What do I stand for?
  • So what?! Why should my audience care?

4. Define your clear message

Today, people are flooded with information. There is an image circulating on the web which goes so far to say that a person today receives more information in a day than a person in the middle ages in his entire life!

True or not, we can all agree that in a device-rich world, the information intake has never been more intense.

How does that translate to speeching? Well: to make your speech memorable, I suggest you focus on extracting one key message .

Your key message should be as simple as possible, regardless of the complexity of the issues and topics at hand. It will consist of one or two phrases that express your main point.

If that sounds daunting, let’s look at a model that can help.

The Message House model is a time-tested PR tool to condense complex stories into a thematic ‘house’. This house is made of a set of three messages that together form the overarching key message (called the Umbrella Statement in the model).

The Core Messages on the second level represent your Umbrella Statement, but in greater detail. They can be supporting arguments, sequential steps to take, conditional statements, descriptive (think: who, what, where, when, why and how), or of another kind.

Finally, the lower part of the house provides evidence, proof points and support. This is the foundation of your story.

How to use the Message House

In some cases, your Umbrella Statement (that’s your key message) will be very clear to you. If that’s so, it’s useful to come up with the 3 Core Messages that make up the Umbrella Statement.

At other times, you’ll have 2 or 3 messages in mind as you prepare a speech. In that case, consider those your Core messages and start to look for the single Umbrella Statement.

Examples of Umbrella Statements and their Core Messages

  • Employees lose time and energy in traffic.
  • Some employees report they feel less productive in larger office spaces.
  • Candidates for jobs that are hard to fill, are not attracted to our current policy.
  • First, I will introduce the idea at the annual shop owner’ meeting.
  • Then, I will have the team communicate the exact steps to each shop owner.
  • Finally, our sales representatives will check each shop they visit.
  • The Polish and Swedish teams did exceptionally well.
  • May and June were top periods for sales.
  • Orange bicycles are super popular and account for a large part of the profits.

5. Establish your structure

The way you organise information is essential if you want your audience to follow and understand your speech. Ideas must be put together in an orderly manner.

I therefore recommend every speaker to use an  outline as the backbone for their speech.

An outline is simply 10,000 feet view of your speech. It’s as if you would zoom out completely and see the major turns your speech takes.

Why use an outline?

That’s easy: our brains are simply not capable of creating quality content from beginning to end.

Compare it to cooking a meal. Imagine yourself standing in front of different foods. Without thinking ahead, you grab a couple of ingredients and start cutting, cleaning and preparing them.

Unless you’re an experienced chef, that won’t result in a remarkable meal, will it? Without a gameplan to prepare a speech, the end result of your creation will be underwhelming.

Here are a few general directions your outlines can take. These are based on effective storytelling principles:

  • Problem – pathway – solution
  • Problem – solution – reasoning
  • Situation – complication – solution
  • Past – present – future

After you’ve decided on the general direction, flesh out your outline. See if you can describe your speech in ten to fifteen bullets. Refer to your Message House (see previous point) to make sure your outline includes your Core messages.

What structure works best for your purpose? Do you have a preference? Try a few structures for your speeches and choose the one that is most persuading.

Next, integrate even more storytelling. Your bigger picture might be represented by a story, but can you integrate ‘mini-stories’ to illustrate specific points?

6. Prepare a strong opening and strong ending

Scientific research shows it again and again. If you ask people to rate a certain experience they had recently, they will base a lot of their opinion on how it began and how it ends. Looking back at an experience, whatever happens in the middle seems to carry less weight for us.

A classic example is a visit to a restaurant. Smart restaurant owners focus extra on doing two things impeccably: the welcoming and the dessert. Although they pay great attention to the overall experience, of course, they know that a sloppy greeting of their guests, or a below-standard dessert, can easily spoil their guests’ memory of the whole evening.

For you, it means it’s smart to think twice about how you open and how you close.

Ideas for a strong opening

Here are a few angles to inspire you in crafting your opening:

  • ‘Start with a bang’: use a quote, bold claim or striking fact, or ask a question.
  • ‘So what?’: Go straight to the point and open with why your audience should care.
  • ‘Introduce yourself’: But do it in a compelling way. Tell a juicy story. What would the tabloids write about you?
  • Make the purpose clear – What impact do you want to achieve?

Ideas for a memorable ending

  • Repeat your Key Message. Think ‘key takeaway’. This is a natural-feeling and effective way to make a firm point.
  • Refer to the beginning. Most good stories develop in a circular way. A problem introduced in the beginning gets solved in the end. Balance gets restored; etcetera.
  • Present a call-to-action . If you want your audience to take a certain action, always end with that.

7. Rehearse

1. write out, practice and tweak (optional).

At this point, you could write out your speech in full text – if you have the time.

Read your text out loud for a few times until you’re comfortable with the content. You will probably still tweak a few parts.

If you don’t have the time, or you feel comfortable working with just bullet points, feel free to skip to step 2!

I do highly recommend you write out your opening and ending.

2. Bring back to bullet points and practice again

Once on stage, you don’t want to hold the full text of your speech in your hand. You will be tempted to look at it often, which will break your connection with the audience.

So now, reduce your text to a list of main points, keywords, facts and anecdotes. And practice your speech again. Refer back your outline from step 5 for the general structure.

This will also help you memorise the speech completely by heart faster.

Do I have to know my whole speech by heart, you ask?

My answer is: not necessarily. But as just mentioned, do know your opening and ending from the inside out.

3. Take your practice to the next level

Here are my rehearsing tips for the best results:

  • Record yourself . Most beginning speakers find this tough, but it’s an essential way of spotting weaknesses in your speaking and improving them.
  • Practice for real people. The gap between practising in front of a mirror and practising in front of a crowd is just too large. Practice for a small group of colleagues or family members to get used to the stress that comes with having an audience.
  • Ask for specific feedback. If you practice in front of people, help them evaluate you by asking them specific questions. It could be the content, your body language, or your opening. Anything you feel you need feedback on.
  • Rehearse often. Once you’re happy with your speech’s content and your performance, practice your speech ten times – if you have that luxury of time. If you need more practice, go for it. There’s no better confidence booster as knowing you’ve rehearsed your speech until it hurt 🙂

That’s it!

Although I could elaborate on each on the above points, this provides you with a larger plan to optimally prepare a speech.

Being asked to prepare and give a speech can seem really intimidating when you've never done it before. Don't worry! You'll be a public speaking pro in no time if you follow these simple tips.

Planning Your Speech

Step 1 Identify the topic of your speech.

  • You may even be able to redirect or add points to your speech with a smaller audience if you notice a number of them are interested in a particular subject or niche.

Writing the Speech

Step 1 Write a succinct, single-sentence statement about your subject.

  • Try starting the speech writing process by free-writing. Write as much as you can about your subject as fast as you can. Don't worry about judgment or crafting perfect sentences. Once you have your points on paper, you can start refining them and putting them in order.
  • Use an anecdote or a quote. Sometimes, someone else has already said it better than you ever will. A quote, provided it hasn't been overused, can help you get things started. Just be sure to look for a quote that is surprising or unique, and always credit your source. [5] X Research source
  • Be cautious about opening with a joke unless you know your audience well. You may think that a joke is funny, but your audience may find it humorless or even offensive.

Step 2 Choose 3 to 5 supporting points for your topic.

  • You can start by looking at generic sources like an encyclopedia or Wikipedia, but you need to fact check your ideas with more authoritative sources after you generally understand your subject.
  • Draw on your own experience. If you have a long history with your topic, your experiences and personal stories can be great resources. Just keep these stories succinct so that you don't ramble and lose the audience's attention.

Step 3 Choose how to keep your speech on point.

  • Use 1 card for the introduction. This card should include your opening statement.
  • Use 1 or 2 cards for each supporting point. Then, create 1 card for the conclusion which ties back to the main idea of your speech.
  • Write brief sentence fragments or even single words on your cards. These words or fragments should contain key phrases that remind you of what you want to say.
  • If you feel insecure or don't know the subject well, write out the words of your speech exactly as you want to say them.

Step 4 Decide whether you want to use visual aids.

  • Keep the visuals to a minimum. You want them to aid your speech, not to overshadow it. Always make sure your speech can stand on its own should technical problems occur.
  • Make sure that the audience can read the content of your visuals. Too big is better than not big enough.
  • Check the facilities of the room in which you will be speaking. If you need Internet or you need a projection screen, be sure that the facility has the equipment. Arrive to the room early to make sure everything is functional for your speech.

Step 5 Prepare handouts, if your subject is detailed and technical.

Practicing Your Speech

Step 1 Set a timer.

  • If you drive a regular commute, you can also practice a memorized speech while driving. Don't look off of notecards while on the road, though.

Step 3 Speak slowly and enunciate clearly.

  • Make sure that your gestures are natural and not too frenetic. Alternatively, don't fix your arms at your sides or keep your hands latched to the podium.
  • If you make the speech to a friend or colleague and they offer constructive criticism, try to be open to what they have to say. Make sure they are familiar with your topic or industry, though, or their criticism may do more harm than good.

Step 6 Practice a few times.

  • Try to arrive at your presentation well before your audience. Take the time to make sure the sound is good and run through your visual aids. If you're at a conference, you may have 15-20 minutes to prep. If you're the sole speaker, you could get there an hour in advance.

Step 4 Set up your equipment and supplementary materials.

During Your Speech

Step 1 Look around the audience.

  • Make eye contact with members of your audience. If eye contact is too intense for you, look just above their heads at a point such as a clock or a painting. Remember to look to both sides of the room. Don't favor just the right or left.
  • Move your eyes around your audience so that everyone feels included in the presentation.

Step 2 Speak slowly and try to breathe normally.

  • Never leave the stage if something goes wrong, even if you feel embarrassed. Make a joke if you can, shake it off, and move forward.

Step 4 Give your audience a chance to interact with you.

  • Be sure to build time for any Q and A into your allotted presentation time. That way, you can control the flow of the Q and A. Then, after the last question, let your audience know, "I'd like to share one final thought with you," and deliver a powerful closer.

  • Organize your speech in a logical sequence: opening, main points, summary.
  • Practice and rehearse a speech frequently prior to delivering it. Ask friends to be your audience, or practice in front of a mirror. Be sure to use a timer to help you pace your speech.

- a complete, unabridged guide with multiple examples to help plan a successful speech ☺.

Planning your speech is where your success begins. I do not jest! 

In your imagination you may hear yourself being stunning, the audience clapping wildly  as they rise to their feet to give you a standing ovation.

You may see yourself being deluged in red roses and offered several speaking contracts. Obviously, they are all lucrative but you choose the one with optional extras: an extended holiday in the South of France …

But first you have to begin at the beginning: planning your speech. Without a plan you are whistling in the wind, dreaming.

Planning your speech from the start

A note about these notes.

These notes are general guidelines for ALL types of speeches. I know they are long.

(Actually that's an understatement! They are very long.)

I also know if you take the time to go through them they'll give you a solid introduction to thorough speech preparation.

They cover the basics of good presentation planning, research, writing and rehearsal: aspects you’ll want to consider regardless of the type of speech you’re giving.

Gathering your information

Once you have information about:

  • WHY you are going to speak (the purpose of your speech),
  • WHO you are going to speak to (your audience),
  • WHAT your general or specific subject matter is,
  • HOW long the speech is to be,
  • and WHERE it is...,

you are ready to make a rough or draft outline.

This will be your guide for writing.

You may alter the outline as you go along, as better or different ideas occur to you and that’s OK. It shows you’re flexible and thinking but before we can change anything we have to have something to start with.

To get to the outline stage in the speech planning process we first need to collect up all the "why", "who", "what", "when", "how", and "where" information needed. And that begins with a brainstorm * .

* What is a brainstorm?

A brainstorm is the name given to a commonly used, and effective, technique for generating lots of ideas on a topic, or theme, fast.

Using a heading as a prompt to get you thinking, you quickly note everything you can think of relating to it. You do not edit yourself.  You simply let the ideas flow until you can think of no more, making no judgements about whether it's a good idea, a silly idea, or a right or wrong one.

Ultimately, some will be more useful than others. You will sort through and order them later. However, the first step in the brainstorming process, is to accept everything you think of without hesitation. Stopping to decide what's OK and what's not breaks the flow.

Brainstorm to begin planning your speech

The brainstorm you are going to do is about making sure you thoroughly understand everything you possibly can about the speech you intend to give.

On a large piece of paper or in a word document write these headings with enough space between them for notes.   

WHY are you giving this speech?

What is the purpose of the speech? Do you intend to inspire? To motivate? To entertain? To inform? Or perhaps you want to combine several, like to inform, motivate and inspire?

Knowing what you want your audience to think, feel and do as a result of listening to your speech is the WHY underpinning your presentation. It will help guide what content you use and how you structure it.

WHO is your audience?

Write down as much as you know about the audience.

This will give you ideas about what they will want to hear and be interested in. It will also be your guide when it comes to shaping your material. (More about this later!)

For now, make notes covering:

  • the number of people expected to be in your audience,
  • their age group,
  • ethnicity, if appropriate,
  • and the common, or uniting factors they share,
  • and specific interests they may have.

Examples of WHY, WHO, WHAT...brainstorm notes

Meet Martha Brown. She's fictional. I've made her, and the presentation she's preparing for up, to show you how the brainstorming part of the planning process works.

Martha's been asked to give a motivational speech to a group of women whose background is similar to her own. She, too, came from a family who struggled financially.

Today she is one of the few amongst her relatives who has maintained a marriage, raised children and has a successful business. Her small catering firm specializes in delivering beautifully presented gourmet meals and finger food on demand.

The organizer of the event wants her to share her life story as a guide or inspiration.

Martha is conscious of her good fortune but also knows the starting point, or the seed, lay within her. She desired the change of circumstances so much she enabled them to happen.

WHY is Martha giving this presentation?

What's the principal purpose behind Martha's speech? What does she want her audience to think, feel or do as a result of listening to her? 

Let's put ourselves in her shoes.

She wants to:

  • motivate and inspire her audience
  • give them hope 
  • show them there is a way out of the circumstances they find themselves in

WHO is Martha's audience?

These are Martha's notes covering the key points about her audience.

  • Approximately 25 people ( number )
  • Mostly mid to late 30s (age)
  • All women (gender)
  • Mixed ethnic background but all speak English (ethnicity)
  • City dwellers (uniting factor)
  • Mostly work inside the home (uniting factor)
  • Many have children (uniting factor)
  • Interested in achieving work/life balance for themselves and their families and in particular a better financial situation (interest/uniting factor)
  • All belong to the same church group (uniting factor)

WHAT are you going to talk about?

Write down the title and/or type of speech you have been asked to prepare. Now using your notes from the WHO section of your brainstorm, begin another set.

This time you are looking to see how WHAT you're going to talk about can be specifically shaped to meet and serve the interests of your audience.

Let's look at an example of WHAT

How does martha shape her life story to fit her audience.

She doesn't want to overwhelm them with information so they can’t think straight or digest it. That will turn them off.

They will think it’s too difficult and beyond them. They may listen, be interested, but they won’t  identify  with it.

She wants them to feel they can take from her experience and use it to enrich their own lives.

Her notes for WHAT may look like this:

  • S peech Title How to win a future for your family when the kids need feeding and the bills want paying.
  • Content - main points
  • I am like you – I get too busy to plan ahead, I have a tendency to deal with what or whoever squeals loudest, I get tired …
  • Before and after – life before I made the decision to start my own business – life after I made the decision. Comparisons – several examples.
  • The hardest part of making the decision and acting on it was … Examples.
  • The best part of making the decision … Examples. People who inspired me to act.
  • What I’ve learned in the process about my family, others and myself … Examples.
  • How I keep myself inspired … goal setting, listening and learning from others
  • The future – a possible way forward for you, the women in the audience listening.

It’s not a speech yet but you can see the beginnings of its shape and how she’s used her knowledge of the audience to ensure giving them something they’ll enjoy listening to and identify with.

How? (How long will I speak for? How will I deliver my speech?)

There are two important 'hows' to consider.

1. How long have I got to speak?

The first is HOW long have I got to speak.

The time allocation you have been given will determine what you put into your speech and what you will leave out.

If you have a relatively short time, 3-5 minutes, you will need to either focus on one major topic with examples to illustrate or settle for covering a maximum of three lightly.

The purpose of your speech and your audience will help you make the most relevant choice. A longer time gives you more freedom to develop several ideas/themes fully.

2. How will I deliver my presentation?

The second 'how' relates to the method of presentation. HOW will you deliver this speech?

For example:

  • Will this be a speech told with humor?
  • Will you have a 'show and tell'? (This is when you take objects relevant to your speech to illustrate your points. It could be photographs or other items if they are suitable to transport.)
  • Could you give a demonstration?

Shaping delivery to meet different learning styles

When you consider this 'how' bear in mind the different needs of your audience. Most people have a preferred mode for receiving information. That is their learning style.

Some people understand well through listening. They are called 'auditory'.

Some people get most of their understanding through looking. They are called 'visual'.

Others receive and understand information best when they can touch, feel or do what is being explained to them. These are the 'kinesthetics'.

Most of us have a preference for one or two modes. For instance, I am 'auditory' and 'visual'. I want to hear and see.  

A considerate speaker tries to include all three modes (learning styles) in their speech.

Delivery and time are yoked together

How you to choose to deliver your presentation is governed by the time you have available. If it is short, you may have to leave out a 'show and tell' or a demonstration but you will always be able to include something to meet all three modes satisfactorily.

'HOW' example from Martha's brainstorm notes 

Let’s return to Martha’s Notes to see what she does with the 'how' segment of her brainstorm.

How long? Time available = 10 minutes. (Maybe a little more but that depends on the rest of the agenda of the meeting and how well it flows. Could be some space for questions from the audience and answer.)

How to present? Definitely with humor! Also take some fliers, business cards and samples of finger food along. These can be available for people to pick up at the end of the presentation.

WHEN will this speech be given?

WHEN has two aspects you'll want to take into consideration.

The first is the actual date you have to have it ready for delivery. That lets you know how much time you have for preparation. Is it three weeks, six weeks, or two days?

You'll use that information to plan your workflow. For example, allocating yourself one week to get your preliminary outline and any research required, completed.   

The second aspect is the actual time of day and season you deliver a speech. This can have an impact on what you do and say.

For example: You can use an early bird start in the middle of winter on a wet Monday morning effectively by acknowledging the efforts people have made to be there, and by making sure the heaters are on and there's hot coffee available.

Finding ways of tying in what is happening in the 'here and now' is a good way to connect with your audience.

A word of warning : Be conscious about presenting difficult or challenging material when people are either both tired and hungry (just before lunch or dinner) or when they’ve just eaten! Concentration spans are not at their best in either situation. If possible save this type of content for a mid-morning or afternoon slot.

Martha’s Notes, WHEN:  2.45pm, Wednesday, 2nd August – Summer heat

WHERE will this presentation take place?

The environment/room/space you are to speak can play a big role in shaping the final presentation of your speech.

Points to consider are:

  • Where will I be in relation to the audience?
  • Will they see me easily?
  • Will they hear me easily?
  • Do I need a microphone?
  • Is there a place to put notes if I’m using them?
  • Where can I set up my samples for people to take them easily?
  • Are there power points if I want to use any electronic devices?
  • Do I have to provide everything I want to use (e.g.: computer, screen, leads…)?

Many fully prepared, beautifully rehearsed speeches fail because insufficient thought has gone into where they are to take place.

It’s no fun when people can neither see nor hear you or the carefully thought through demonstration is stymied through lack of an electric socket in the right place!

Martha’s Notes, WHERE: Church meeting room. It can seat everybody comfortably and there’s room for a table to put out a display of fliers and trays of food, paper napkins etc. Arrange the chairs in a horseshoe or semi-circle so everybody can see clearly.

Pulling the brainstorm notes together in an outline

Once you've worked your way through making notes under your WHY, WHO, WHAT, HOW, WHEN, and WHERE headings, you're ready for the next step.

That's picking and choosing, then re-ordering and re-writing the material you've taken from the WHAT and HOW segments of your brainstorm until you're satisfied it flows well and meets your speech purpose.

After you’ve completed outlining your speech, you’ll be ready to do any extra research required, and then you’re on to the task of writing your speech.

Martha's completed outline

Here's Martha’s Finished Outline as an example. 

Speech length : 15 minutes with extra time for a 'Question and Answer' session at the end of the presentation.

Speech title : How to win a future for your family when the kids need feeding, and the bills want paying

Introduction (2.5 minutes): Thanks for coming today … Summer heat, we’d all rather be at beach reading a book under a sun umbrella….etc. But I hope I’ve got something for you that’ll more than make up for it. I look around the hall and I see a lot of women just like me: women, who work hard, love their families, etc., … want the best for them.

(Insert anecdotal humor, perhaps a small personal story about credit cards. For instance, the only way I could manage them was to banish them the bottom drawer of the filing cabinet. Or use them to test how sharp my scissors were.)

Main Idea 1 (3 minutes): Introduce business and what it is.

Explain how it functions on a daily basis. Briefly outline long-term goals.

(Quick show-and-tell with flyers and food. Invite people to sample at end and ask questions.)

Main idea 2 (3.5 minutes): My life before the business (tie to women in audience). My life after business started. What I have achieved. The hardest part about starting, staying in business. The best part about starting, staying in business. People who have inspired me.

Main idea 3 (3.5 minutes): What I’ve learned in the process about my family, others and myself … Examples. How I keep myself inspired … goal setting, listening and learning from others

Summary : (2.5 minutes): Very quick round up of principal points. The future – the way forward for you, the women in the audience listening. Invite questions if time. Remind them about the fliers and the food! Thank organizers.

Summary - Core speech planning questions

That’s it! Very short, sweet and simple.

There’s nothing magical about planning your speech. It's just methodical: one-step-after-another. If you find yourself flustered go back to the core brainstorm headings and ask yourself the key questions once more.

  • WHY am I giving this presentation? What is my purpose?What do I want my audience to do, think, or feel as a result of having heard me speak?
  • WHO is this speech for?
  • WHAT am I going to tell them that’s relevant and interesting?
  • HOW long is the speech expected to be?
  • HOW am I going to present it?
  • WHEN is the speech for? (Date, day, time, season)
  • WHERE is the speech going to happen? (Hall, outdoors, stadium…)

Write your answers down and let them be your guide.

Remember this is not your finished speech.

It’s your outline * : a map of what you’re going to cover.

Don’t spend too much time trying to get it perfect. You’ll want that energy for researching, writing and rehearsing!

  • how to prepare and use cue cards. The benefits of using cue cards over reading from a word-for-word script are enormous. Because you are freed from having to focus on your notes you can interact with your audience directly. Your speech becomes more spontaneous and "in-the-moment".
  • how to use story telling to enrich your speech . Do consider weaving your personal stories into your speech. They add tremendous audience appeal. 
  • how to use props. If you're planning a "show and tell" type speech, this page is essential reading.
  • how to rehearse. Rehearsal will lift your speech from ordinary to extraordinary. You'll find out privately where the glitches are, rather than publicly. It gives you an opportunity to refine your delivery.  I think it's absolutely essential!  

When and what to research

If you already know your subject thoroughly, inside out, back to front and sideways, there will be no need to research and you can skip this part of planning your speech.

BUT if you don’t, the outline should point up the gaps needing to be filled with specific information.

In our example it there seems little need for Martha to do any further research, as this speech is her personal story.

However, there are a number of ways she could strengthen her speech and add real benefits for her audience.

For example: she could bring along fliers from local training institutions providing courses especially geared for women setting up business on their own or she could provide a list of business women in the community willing to mentor and advise women in start-ups. A reading list would be helpful, as would a resource list.

All of these ideas need researching before presenting.

Careful research adds authority to your work. It shows care, thought and dedication to getting it right. Your audience will appreciate and respect you for it.

NB. If you are presenting material as fact rather than as opinion, check it! Make sure you know rather than think you know. If you can’t find out, then say so.

PS. Remember those modes or preferred learning styles?

Did you pick how Martha planned to meet each of them in her outline?

For the 'auditory' learners she would tell her story using her voice in a lively, interesting-to-listen-to way! Nothing turns an auditory focused person's ears off faster than a monotone drawl.

For the 'visual' people, she would provide fliers and food to see. Plus her appearance and body language would 'say' to them, this is a vibrant, purpose-filled person who loves what she does.

And lastly, she would use 'word pictures' to illustrate the points she made in her speech. The 'visual' would literally 'see' where she was coming from by using their imagination to recreate her images in their own minds!

For the 'kinesthetics', Martha planned to actively tell her story. She would use vivid 'action' words describing how she did things.

Example: ' I started a business.'  is bland. It doesn't communicate any of the effort or feelings involved.

By contrast: ' I started my own business. What a journey! I know you've watched your children learning to walk. Well, that was me! I fell. I skinned my knees and bruised myself. I got up, took two steps and crashed again...'

You get the idea. This is action, living and real.

The 'kinesthetic' folk will appreciate and know what she is talking about.

Additionally, Martha's fliers and food will appeal too. They can hold them, actively read the fliers and taste the food.

Lastly, they will be aware of what Martha does while she's talking to them. Is she conveying energy, excitement and action in her body language? If so, she'll have them with her!

Once you’ve finished putting in place the foundational building blocks of the effective public speaking pyramid, it’s time to start building the second tier. The second tier of the pyramid is focused on the part of the preparation of your speech. At this point, speakers really get to delve into the creation of the speech itself. This level of the pyramid contains three major building blocks: research, organization, and support.

If you want to give a successful and effective speech, you’re going to need to research your topic. Even if you are considered an expert on the topic, you’re going to need do some research to organize your thoughts for the speech. Research is the process of investigating a range of sources to determine relevant facts, theories, examples, quotations, and arguments. The goal of research is to help you, as the speaker, to become very familiar with a specific topic area.

We recommend that you start your research by conducting a general review of your topic. You may find an article in a popular-press magazine like Vogue , Sports Illustrated , Ebony , or The Advocate . You could also consult newspapers or news websites for information. The goal at this step is to find general information that can help point you in the right direction. When we read a range of general sources, we’ll start to see names of commonly cited people across articles. Often, the people who are cited across a range of articles are the “thought leaders” on a specific topic, or the people who are advocating and advancing how people think about a topic.

Once you’ve identified who these thought leaders are, we can start searching for what they’ve written and said directly. At this level, we’re going from looking at sources that provide a general overview to sources that are more specific and specialized. You’ll often find that these sources are academic journals and books.

One of the biggest mistakes novice public speakers can make, though, is to spend so much time reading and finding sources that they don’t spend enough time on the next stage of speech preparation. We recommend that you set a time limit for how long you will spend researching so that you can be sure to leave enough time to finish preparing your speech. You can have the greatest research on earth, but if you don’t organize it well, that research won’t result in a successful speech.

Organization

The next step in speech preparation is determining the basic structure of your speech. Effective speeches all contain a basic structure: introduction, body, and conclusion.

Introduction

The introduction is where you set up the main idea of your speech and get your audience members interested. An effective introduction section of a speech should first capture your audience’s attention. The attention getter might be an interesting quotation from one of your sources or a story that leads into the topic of your speech. The goal is to pique your audience’s interest and make them anticipate hearing what else you have to say.

In addition to capturing your audience’s attention, the introduction should also contain the basic idea or thesis of your speech. If this component is missing, your audience is likely to become confused, and chances are that some of them will “tune out” and stop paying attention. The clearer and more direct you can be with the statement of your thesis, the easier it will be for your audience members to understand your speech.

The bulk of your speech occurs in what we call “the body” of the speech. The body of the speech is generally segmented into a series of main points that a speaker wants to make. For a speech that is less than ten minutes long, we generally recommend no more than two or three main points. We recommend this because when a speaker only has two or three main points, the likelihood that an audience member will recall those points at the conclusion of the speech increases. If you are like most people, you have sat through speeches in which the speaker rambled on without having any clear organization. When speakers lack clear organization with two or three main points, the audience gets lost just trying to figure out what the speaker is talking about in the first place.

To help you think about your body section of your speech, ask yourself this question, “If I could only say three sentences, what would those sentences be?” When you are able to clearly determine what the three most important sentences are, you’ve figured out what the three main points of your speech should also be. Once you have your two or three main topic areas, you then need to spend time developing those areas into segments that work individually but are even more meaningful when combined together. The result will form the body of your speech.

After you’ve finished talking about the two or three main points in your speech, it’s time to conclude the speech. At the beginning of the speech’s conclusion, you should start by clearly restating the basic idea of your speech (thesis). We restate the thesis at this point to put everything back into perspective and show how the three main points were used to help us understand the original thesis.

For persuasive speeches, we also use the conclusion of the speech to make a direct call for people change their thought processes or behaviors (call to action). We save this until the very end to make sure the audience knows exactly what we, the speaker, want them to do now that we’re concluding the speech.

For informative speeches, you may want to refer back to the device you used to gain your audience’s attention at the beginning of the speech. When we conclude back where we started, we show the audience how everything is connected within our speech.

Now that we’ve walked through the basic organization of a speech, here’s a simple way to outline the speech:

  • Attention getter

You may think that once you’ve developed your basic outline of the speech, the hard part is over, but you’re not done yet. An outline of your speech is like the steel frame of a building under construction. If the frame isn’t structurally sound, the building will collapse, but no one really wants to live in an open steel structure. For this reason, once you’ve finished creating the basic structure of your speech, it’s time to start putting the rest of the speech together, or build walls, floors, and ceilings to create a completed building.

For each of the two or three main points you’ve picked in your speech, you need to now determine how you are going to elaborate on those areas and make them fully understandable. To help us make completed main points, we rely on a range of supporting materials that we discovered during the research phase. Supporting materials help us define, describe, explain, and illustrate the main points we selected when deciding on the speech’s organization. For example, often there are new terms that need to be defined in order for the audience to understand the bulk of our speech. You could use one of the sources you found during the research stage to define the term in question. Maybe another source will then help to illustrate that concept. In essence, at this level we’re using the research to support the different sections of our speech and make them more understandable for our audiences.

Every main point that you have in your speech should have support. For informative speeches, you need to provide expert testimony for why something is true or false. For example, if you’re giving a speech on harmfulness of volcanic gas, you need to have evidence from noted researchers explaining how volcanic gas is harmful. For persuasive speeches, the quality of our support becomes even more important as we try to create arguments for why audience members should change their thought processes or behaviors. At this level, we use our supporting materials as evidence in favor of the arguments we are making. If you’re giving a speech on why people should chew gum after meals, you need to have expert testimony (from dentists or the American Dental Association) explaining the benefits of chewing gum. In persuasive speeches, the quality of your sources becomes very important. Clearly the American Dental Association is more respected than Joe Bob who lives down the street from me. When people listen to evidence presented during a speech, Joe Bob won’t be very persuasive, but the American Dental Association will lend more credibility to your argument.

Research thoroughly. Make sure you understand the subject matter well, so that your delivery sounds confident and inspiring. Using facts and data will strengthen your arguments and make your talk more convincing. 3. Outline your speech. Make a rough outline of how you want it to go – from beginning to end – well in advance of the actual presentation. This will give you a strong foundation upon which you can craft an engaging talk with an effective narrative arc that keeps audiences interested and engaged. 4. Practice regularly. Rehearsing your speech out loud several times is key to ensuring that you know it well enough to feel comfortable when delivering it live in front of an audience.

5. Time yourself. Record how long it takes for you to go through your entire speech, so that you can adjust the length as needed before delivering it live – remember that most speeches should last no more than 10-15 minutes. 6. Identify potential questions from the audience and prepare answers before hand. Visualize yourself succeeding in delivering a great presentation; practice relaxation techniques such as deep breathing or positive self-talk; or use props during practice sessions such as water bottles or stress balls if needed to remain calm during the real thing!

3. Get Organized: Make sure you have all the materials necessary for your presentation, including notes, slides, etc., to reduce any additional stress that may come from not having what you need when you speak.

4. Take Deep Breaths: Before and during the speech, take a few deep breaths as this will help calm nerves and make sure your breathing is regulated throughout the duration of your presentation.

5. Speak Slowly: It is common to feel anxious while giving a speech and try to rush through it too quickly. Speaking slowly helps maintain composure while delivering your message effectively and clearly.

6. Pay Attention to Your Body: Your posture, stance, movements , facial expressions can all influence how confident you appear to your audience and how nervous you may be feeling inside. Check in with yourself frequently throughout the presentation and correct any tense body language or physical actions if needed.

7. Focus on the Audience: If you notice that your anxiety levels are growing as you present, shift your focus onto the audience instead of yourself as this will help refocus your attention away from negative thoughts that may arise from fear or insecurity.

8. Make Eye Contact: Establishing eye contact with your audience is a key confidence-builder for public speakers—it shows that you’re strong, engaged with them, and receptive to feedback or questions they might have regarding your speech topic .

9. Sample Public Speaking Scenario

Here's a possible public speaking scenario:

You've just opened a small web design business in your town, and you join the town Chamber of Commerce. As a result, you're invited to give a short, five-minute presentation at the next Chamber of Commerce meeting.

Coming up with a public speaking speech for the scenario described above could be a challenge if you've never written or given a public speech before. Fortunately, there are some speech-writing steps that you can use that'll make speech writing easier.

Let's use this example and walk through the steps for writing a speech.

7 Steps for Writing a Speech

The steps for writing a speech for public speaking are like the steps for writing a presentation in general. But at each stage of the writing process, you need to keep your audience in mind:

1. Research Your Audience

Whenever you do any type of writing you need to consider who you're trying to reach with your writing. Speech writing is no different. The more you know about your target audience, the more effective your writing will be.

In the example above, you know that your audience is going to be the other members of the Chamber of Commerce. They're likely to be small business owners just like you are.

Knowing your audience is important in great speech writing.

What to Do After You Research Your Audience:

Once you've defined your audience, you can gear your speech towards them. To do this, ask yourself questions like:

  • What does this audience need?
  • What problem can I solve for them?
  • Is there anything else I need to consider about my listeners?

In the example we're using for this tutorial, most small businesses in your town fit one of the following three situations:

  • They've got a website that works well.
  • They've got a website, but the design is outdated or doesn't work well.
  • They don't have a website.

2. Select a Topic

In this example your topic is already given. You've been invited to introduce your business. But you also know that the speech is going to be fairly short--only five minutes long.

While it's always a good idea to keep a speech focused, this is especially important for a short speech.

If I were writing the public speaking speech for the scenario we're working with, I'd narrow the topic down like this:

  • Create a list of the strengths of my business.
  • Compare the list of business strengths to the problems I observed with the other members' websites in the previous step.
  • Focus my presentation on the areas where my business strengths meet weaknesses (needs) of other Chamber of Commerce members.

Let's say that I noticed that quite a few members of the chamber have websites that use outdated fonts, and the sites aren't mobile-friendly. Instead of listing everything my web design business could possibly do, I'd focus my short speech on those areas where I observed a need.

You can use a similar process to narrow the topic down any time you need to write a speech.

Avoid the temptation of trying to cover too much information. Most people are so overwhelmed by the sheer amount of new data they receive each day that they can't keep up with it all. Your listeners are more likely to remember your public speaking speech if it's tightly focused on one or two points.

3. Research Your Topic

In the example we've been going over, you probably don't need to do a lot of research. And you've already narrowed your topic down.

4. Write Your Speech

Once you've completed the steps above, you're ready to write your speech. Here are some basic speech writing tips:

  • Begin with an outline . To create a speech your audience will remember, you've got to be organized. An outline is one of the best ways to organize your thoughts.
  • Use a conversational tone . Write your speech the way you would normally talk. Work in some small talk or humor, if appropriate.
  • Use the speaker notes . Typically, speaker notes aren't seen by the audience. So, this is a good place to put reminders to yourself.
  • Be specific . It's better to give examples or statistics to support a point than it is to make a vague statement.
  • Use short sentences . It's likely you're not going to give your speech word for word anyway. Shorter sentences are easier to remember.

In this example scenario for the short speech we're preparing for the Chamber of Commerce, your outline could look something like this:

  • Introduction . Give your name and the name of your business. (Show title slide of website home page with URL)
  • Type of Business . Describe what you do in a sentence or two. (Show slide with bulleted list)
  • Give example of a recent web design project . Emphasize areas that you know the other businesses need. (Show slides with examples)
  • Conclusion.  Let the audience know that you'd be happy to help with their web design needs. Offer to talk to anyone who's interested after the meeting. (Show closing slide that includes contact information)
  • Give out handouts . Many presentation software packages allow you to print out your speech as a handout. For a networking-type presentation like the one in our example, this can be a good idea since it gives your listeners something to take with them that's got your contact information on it.

That simple speech format should be enough for the short speech in our example. If you find it's too short when you practice, you can always add more slides with examples.

If you've been asked to give a short speech, you can change the speech format above to fit your needs. If you're giving a longer speech, be sure to plan for audience breaks and question and answer sessions as you write.

5. Select a Presentation Tool

For most presentations, you'll want to use a professional presentation tool such as PowerPoint, Google Slides, or a similar package. A presentation tool allows you to add visual interest to your public speaking speech. Many of them allow you to add video or audio to further engage your audience.

6. Select a Template and Finish

7. How to Make a Public Speech

How to Make a Speech

Now that you've completed all the steps above, you're ready to give your speech. Before you give your speech publicly, though, there are a few things you should remember:

  • Don't read your speech . If you can, memorize your speech. If you can't, it's okay to use note cards or even your outline--but don't read those either. Just refer to them if you get stuck.
  • Practice . Practice helps you get more comfortable with your speech. It'll also help you determine how your speech fits into the time slot you've been allotted.
  • Do use visual aids . Of course, your presentation template adds a visual element to your public speech. But if other visual aids work with your presentation, they can be helpful as well.
  • Dress comfortably, but professionally . The key is to fit in. If you're not sure how others at your meeting will be dressed, contact the organizer and ask.
  • Speak and stand naturally . It's normal to be a little nervous but try to act as naturally as you can. Even if you make a mistake, keep going. Your audience probably won't even notice.
  • Be enthusiastic . Excitement is contagious. If you're excited about your topic, your audience will likely be excited too.

In the example we're using in this tutorial (and with many public speaking opportunities), it's important not to disappear at the end of the meeting. Stick around and be prepared to interact individually with members of the audience. Have answers to questions anyone might have about your speech. And be sure to bring a stack of business cards to pass out.

After reading about the basics, here are some more tips on how to write a great speech really stand out:

1. Have a Strong Opening

A strong presentation opening will make your presentation more memorable.

Start your speech with a strong opening by presenting surprising facts or statistics. You could even start with a funny story or grand idea.

Another way to start your speech is to open with a question to spark your audience’s curiosity. If you engage your audience early in your speech, they're more likely to pay attention throughout your speech.

2. Connect With Your Audience

You want a speech that'll be memorable. One way to make your speech memorable is to connect with your audience. Using metaphors and analogies help your audience to connect and remember. For example, people use one writing tool to put the speech's theme in a 15-20 word short poem or memorable paragraph, then build your speech around it.

3. Have a Clear Structure

When your speech has a clear structure to it your speech becomes more memorable.

Being confident in your speech making and your public speaking means that you should fully prepare for your speech! Here are some tips to write a great speech!

1. Determine the purpose of your speech.  Whether it is a persuasive essay, argumentative essay, or just an informative one you need to know why you are giving the speech. Generally you may be told what kind of speech to write for your assignment, but if you have a choice on what type of speech you need to give it's important to know what you want to tell your audience. 

2. Identify your audience.  This may depend on your assignment but you need to know your audience to know what type of the information you are giving to them. Are you giving a speech to people who don't have any knowledge on the subject? Experts in the field? Or are you just speaking in front of your professor and fellow classmates? Understanding your audience helps you determine the scope of the detail in your speech and how you can keep the audience captivated. 

3. Create your claim (or thesis).  Just like writing a paper, your speech needs a thesis. Your claim is the main idea for your speech, and you will spend your speech providing evidence that supports your claim. 

4. Collect your evidence.  You need to support your claim with evidence. Evidence may include: surveys, statistics, anecdotal evidence, or even your own experience. 

5. Start determining how you will organize your speech.  Just like an essay, a speech has a similar structure. Your introduction, body, supporting evidence, and conclusion. It's helpful to write down your speech in a similar way you would write an essay. 

Giving Your Speech

Glossophobia, or the fear of public speaking, is very common. Below are some speech-giving tips that can help reduce your anxiety!

1. Talk to someone if you are feeling stressed.  Talk to a counselor, your professor, or just a friend. It's always helpful to talk about your worries and get support from people around. 

2. Know what you're talking about.  You will be more comfortable reciting your speech when you have some knowledge on the subject. While you are researching and preparing your speech, get some preliminary background information so you feel more confident with the subject. This also helps if you get any surprise questions from your audience!

3. Practice.  Practice, practice, practice. In the mirror, in front of some friends, in front of your classmates. Be comfortable with the words, the structure of your speech, and knowing the order in which you will present your main ideas. 

4. Organize your materials.  Disorganization the day of your speech can worsen your anxiety! Prepare the night before by setting out all of your demonstrative items (poster, powerpoint, pictures), make sure any notecards are in order, and set aside your clothes if you are dressing up for your speech. It's also important to make sure the technology in the room you are presenting in has everything you need (check with your professor)!

5. Study other speeches.  You don't need to study the great orators of the world to learn how to improve your speeches. TED Talks, interviews from people you look up to, and even watching YouTube videos can help improve your public speaking skills. 

6. Don't rely on Powerpoints/posters.  Items like Powerpoints and posters that you use for your speech are meant to support you and not be something that you read off of the entire time. If you can do without visual aids or if they are not required for your speech, you may decide not to use any at all. Try to have as little text as possible on them--you won't be able to read off of them and your audience will not be distracted reading the slides. 

7. Focus on your message.  Don't get caught up in little details, your stories, or any jokes you may have in your speech. Focus on your claim so your message is understood by your audience. 

8. Don't apologize.  Everyone makes a mistake. Technical difficulties can happen to every one. Don't let minor issues such as forgetting a part of your speech or getting a little mixed up derail your presentation. Your audience may not even notice the small mistake. If you feel like you need to make an apology, make a small one and continue on. You've got this!

9. Look around the room.  You should always give your audience your full attention. It might be a small classroom of a few students or a massive auditorium but your audience is very important. Focus on different parts of the room that you can spend a few seconds on during the speech. If you can't decide where to look, focus on a specific person. 

10. Be yourself.  You can reduce your anxiety by just being yourself. Involved your personality in how you present information; use your pitch and create a style that's meaningful and allows the audience to relate to you. And don't forget to smile!

Preparing great speeches: a 10-step approach.

Communication skills are a standard re- quirement in library job announcements; speaking skills, however, can be more difficult to acquire and discern. Librarians are faced with a variety of speaking situations daily; we assist users at service desks, discuss problems with colleagues at meetings, present facts to library boards, and express opinions on committees, to name a few. Effective speaking skills are essential in these instances, but when faced with the formal speech or paper presentation many librarians, lacking public speaking expe- rience, are justifiably apprehensive at the prospect.

In working on my own public communication skills, I have relied on my past education, teaching experience, advice from various colleagues, and trial and error. For those testing the water for the first time, the following ten steps are suggested as an easy and organized way to prepare a speech or paper.

1. Know your audience

3. Select a topic

4. Select a purpose

5. Gather potential content

6. Gather more content than actually used

7. Organize content

8. Phrase the speech

9. Prepare visual aids

10. Practice, practice, practice 1

The ten steps are from Steven Brooks, a former Communications Department faculty member at Northern Kentucky University. I have further developed these steps and hope the information you find here will be helpful to you as you prepare a speech or paper.

1. Know your audience. Whether you are presenting a paper or giving a speech, you need to analyze your audience first and foremost. It is easy to alienate an audience by not examining the characteristics of the group, what they know and what they want to know. Be aware of the audience’s attitudes and beliefs in general, toward you and the topic. Consider age, socioeconomic status, and educational level. For example, if you are addressing a veteran group of administrators on a management topic, covering the basics of management would undoubtedly be boring and possibly insulting. There are numerous other factors crucial to analyzing an audience, but the time spent on this background check is necessary for the success of your presentation.

2. Know the occasion. As you scrutinize the audience, think carefully about the occasion. Are you a keynote speaker? Presenting a paper? Introducing a speaker or chairing a panel? Each situation is different and requires preparation tailored to the occasion. Occasion analysis includes looking at room size (i.e., whether there are enough chairs for everyone affects the comfort level of the group which in turn affects its response to your message), the arrangement of space (can everyone see you?), and the acoustics (there’s nothing more exasperating than having to strain to hear a speaker). Be conscientious about time limits too—if you are allotted 15 minutes, then prepare your speech or presentation accordingly. Also, make sure your message matches the occasion. It would be inappropriate, for example, to speak about a serious topic at a happy event.

3. Select a topic. Selecting a topic can some- times occur first, stemming from the audience and occasion, as in the case of a paper being accepted for a conference. If you need to pick a topic, however, be sure it is one that is inter- esting to you. It is also a good idea to be a little more knowledgeable about the subject than your audience, but interest is crucial. If you do not have enthusiasm for the subject matter, neither will your audience.

4. Select a purpose. For this step, deter- mine the general purpose of your speech or presentation. Are you informing, presenting, or entertaining? Beyond the general purpose, decide on a specific purpose, what you want your audience to spe- cifically think or do (e.g., I want my audience to under- stand the three benefits of holding a faculty workshop on preparing library assign- ments). It is helpful at this stage to write down the central idea or thesis statement of your talk as well (e.g., library censorship is increasing).

5. Gather potential content. If you are presenting a paper, you have already done this step. If not, this is the research phase where you gather information through printed sources, interviews, discussion with others, and your own expertise.

6. Gather more content than actually used. Sort through your material choosing only the strongest and best material for your talk. This step allows you the luxury of editing and, if need be, recognizing any information gaps that need to be filled.

7. Organize content. The importance of this step cannot be stressed enough, for both speeches and paper presentations. Many presenters do not realize that presenting a paper does not mean the paper is read, word for word, at breakneck speed. Rather, the “information has to be recast for the new medium. Don’t be bound by the flow of your paper.” 2 This means organize your ideas based on the audience, occasion, and purpose of your presentation.

Follow the standard organizational format of introduction, body, and conclusion, which translates into the standard public speaking formula:

• Tell them what you’re going to tell them;

• Tell them;

• Tell them what you’ve told them. 3

Outline the body of your talk first, limiting it to three or four main points with sufficient supporting material to back up those points. Too much information can lose an audience; well-organized key points help an audience re- member them and allow for easy note-taking. Also, if presenting a paper, your goal is to whet the appetite of the audience with key ideas so they will want to get a copy of the full paper to read at a later time. 4

After you have outlined the body of your speech or paper, prepare the introduction and conclusion. Your introduction should start out with an attention- getter which can be an anec- dote, a quotation, a question, a joke, or whatever is appro- priate for the topic and audi- ence.

The introduction is also your opportunity to build rapport between you and the audience; tell them why your speech or paper is relevant to them and that you are glad to be speaking to them. A colleague related to me an opening remark by a speaker which did not serve to build rapport between her and the audience, even though she probably intended it to. The speaker said, in essence, “I’ve been to a hun- dred of these and, to tell you the truth, I really don’t want to be here; my feet hurt; and I don’t know what I’m going to say, but we’ll get through this together.” Please, treat your audi- ence as if they are guests in your home.

Once you’ve told your audience why they should want to listen to you, lead into your talk by briefly previewing the major points to be covered in your speech (tell them what you’re going to tell them).

The conclusion should include the summary of the main points (tell them what you’ve told them) and a final statement that leaves the audience with something to think about or remember (this will depend on the purpose of your speech).

For your talk, I suggest you write the main ideas of your introduction, body, and conclusion on 3 x 5 note cards that are numbered (in case you drop them). Many speakers write delivery cues on the cards, i.e., “slow down,” “emphasize this word,” “look at audience.” You can also indicate transitions on the cards so you will move smoothly from idea to idea. Overall, be sure your note cards are just that—easy- to-read notes on easy-to-handle cards—and not the speech written in full.

8. Phrase the speech. The previous steps involved preparing the message; now you are ready to work on delivering the message. Usually, a type of delivery most appropriate is the extemporaneous delivery. With extemporaneous speaking, you are thoroughly prepared and practiced, but the exact wording of the speech is determined at the time you actually speak the words. You want to avoid memorizing your talk; instead, know your key ideas and translate them into words as you speak. This means you have to think about what you are saying as you are speaking. Each time you practice, you may say your speech a little bit differently, but this allows flexibility and the chance to adapt to your audience if needed. Speaking extemporaneously can be difficult to achieve at first, but this style of delivery creates spontaneity, which can affect the receptivity of your audience to you and your ideas.

9. Prepare visual aids. Visual aids, if appropriate for your speech or presentation, can help your audience remember your points and clarify information. Speech textbooks usually emphasize the following when covering visual aids: make sure the audience can see the visual aid; show the visual aid only when you are referring to it; and talk to the audience, not to the visual aid. Also, practice with the visual aid; using visual aids can add to the length of a talk and can cause you to become flustered if you run into difficulties. Additionally, if you have audience handouts, distribute them at the end of your talk if possible. An audience’s attention can shift easily to a handout instead of staying focused on you.

10. Practice, practice, practice. Practicing your presentation or speech contributes directly to your success as a speaker. As you practice, consider both your verbal and nonverbal delivery. Vocal delivery includes volume, rate, pitch. Strive for vocal variety which is the variation of these elements—loudness/softness (volume), fastness/slowness (rate), highness/lowness (pitch). An expressive voice will engage an audience; a monotonous, flat voice will lose one. Also, remember that nonverbal delivery carries as much weight as verbal. Eye contact with your audience is crucial, and this means actually looking at audience members. Hamilton Gregory says to look at the audience 95 percent of the time in a friendly, sincere way, using the other five percent of the time to look at your notes. 5 As for posture, don’t slouch, and avoid shifting your weight from foot to foot.

Also, movement is fine, but only if it is controlled—your audience does not want to feel it is at a tennis match. Gesturing can be an effective element to your talk, but only if it’s controlled as well. Many speakers indicate on note cards when to gesture or move in order to reinforce a point.

There are certainly other elements of verbal and nonverbal delivery to investigate when practicing your speech or paper. Your goal is to sound spontaneous and feel comfortable, so time spent practicing is necessary. It is a good idea to practice in a situation as close to the real one as possible, and in front of friends or with a tape recorder.

Even if you follow these ten steps, you probably will experience some nervousness before or during your talk. This “energy” is an asset and evidence that you care about the quality of your presentation. However, if you have prepared well and practiced enough, you will lessen your apprehension considerably. Also, think positively as you prepare, rehearse, and actually deliver your message. Positive thoughts can make a difference in the quality of your speech or presentation.

If you keep these ideas in mind and follow the ten steps, you can have a successful (and relatively painless!) speaking experience.

First, you need to understand that the ONE thing most successful speeches have in common is this:

The best speeches seem effortless. That is, most impactful speeches are often those that seem like they weren’t prepared for, as if they are impromptu, passionate talks that capture the attention of listeners. 

These speeches come across as eloquent, but not stiff. Conversational, but passionate. Clear, but with depth. 

Preparing for a speech means putting in hours of prep work to ensure your speech doesn’t feel stiffed and rehearsed for the audience, or for you. 

But the the reality is that successful speeches DO require consistent, careful preparation. From crafting a compelling message to perfecting your delivery, here’s a step-by-step process you can follow for preparing an impactful speech:

#1 –  define your purpose and audience.

When preparing for a speech, clearly defining your purpose and understanding your target audience are essential steps. You first have to determine why you are writing the speech, and who the speech is for. This will help you build a solid foundation as you begin to write and prepare for your speech. 

First, define your purpose. Ask yourself the following questions: 

  • Why are you writing this speech?
  • What do you want to achieve with your speech?
  • Do you aim to inform, persuade, entertain, or inspire your audience?

Depending on your answers to the above questions, you’ll want to ensure that you’re considering the purpose of the speech before you even begin writing. 

For example, maybe you’re writing a speech for your best friend’s wedding. In this case, you’d likely want to create a memorable, touching speech that highlights your friend’s best qualities and elicits excitement for their marriage journey. You’d want to leave a lasting impression that makes everyone laugh , entertains, or inspires the wedding guests for years to come. Knowing the purpose before you start writing, will help you craft a speech that considers your end-goal.

Determining your speech’s purpose will help you guide your message towards a specific direction and ensure that your content remains focused and impactful. Clarity in your message is key to effectively conveying your ideas. By emphasizing one key message and structuring your speech around it, you can help your audience grasp the main point you’re trying to convey. 

Second, define your target audience. Ask yourself these questions:

  • Who are you speaking to?
  • What do they care about? 
  • How do they fit into your speech’s purpose? 

Understanding the answers to these questions will help you prepare a speech that resonates with your target audience – the very people who will hear your message. Additional details such as their age, background, interests, and level of knowledge about your topic will help you tailor your speech accordingly.

Consider the previous example of writing a speech for your friend’s wedding. Your target audience in this case might consist of people from all ages and backgrounds who share a commonality: they love and care for the newly wed couple. They are there to witness a celebration of love, and want to be part of the couple’s special day. Therefore, as you prepare for your speech, you need to consider the audience and what you can say that will resonate with them.

Audience analysis plays a vital role in tailoring your speech to help reach your listeners. You can use strategies such as empathy mapping techniques , you can get more insight into your audience’s perspectives, thoughts, feelings, actions, pains, and gains. This understanding allows you to craft a speech that speaks directly to their interests and concerns which helps increase audience engagement.

Once you’ve determined your speech purpose and target audience, you can move on to the next step of the speech preparation process. 

#2 – Narrow Down Your Message

Sometimes, it can get overwhelming when you start to think of what to write. Maybe you don’t know exactly what you want to say, or how to say it. Or maybe you have an idea of your speech’s overall message, but you don’t know how to communicate it. 

Regardless of your situation, it’s important to get any and all ideas out first through a process of brainstorming. Then, once you’ve added all of your ideas to paper, you can prioritize the most important ones. 

Just like an effective conversation or presentation, a speech must have a central theme, or core message.

What is the keway you want your audience to remember after your speech?

The goal is to decide on one central core message, so you can build up your speech around it. 

Then, you can begin to craft a compelling message with clear significance. This will help you to captivate your audience and convey your ideas effectively.

Once you have your central message defined, you can start brainstorming which elements to include that help build that message. Here are some examples:

  • Engaging anecdotes: Share personal stories or relatable experiences to connect with your audience on a deeper level and make your message memorable.
  • Impactful quotations: Integrate quotes from reputable sources or well-known figures that support your key points and add credibility to your message.
  • Emotional appeal: Appeal to the emotions of your audience by evoking feelings of empathy, joy, or even urgency to make your message resonate and leave a lasting impression.
  • Credible research: Gather evidence like facts, statistics, quotes, or anecdotes to substantiate your points.

Once you’ve done that, it’s time to move on to the next step. 

#3 – Polish the Structure and Organization

Now that you have most of your main ideas formulated, you have to consider the right placement of your content so that everything flows coherently.

The key is to help your audience follow along, so they can understand what you’re trying to say in your speech. The last thing you want is a speech that doesn’t have clear flow, or feels jumbled. This is the easiest way to lose your audience’s attention!

Writing a well-structured speech is crucial for effectively conveying your message and engaging your audience from the start.

Begin by outlining your speech, including your clear topic, purpose, and main points to guide your content arrangement. Ensure that your speech flows smoothly by incorporating clear transitions between ideas and emphasizing your main points.

Organize your content in a logical sequence to help your audience follow along easily. Structuring your speech in a coherent manner won’t only keep you on track but also aid in delivering your key messages effectively. By creating a solid framework for your speech, aligning it with its purpose, and maintaining a logical flow of information, you can effectively convey your message and engage your audience’s attention.

Here are some common speech structure formats: 

  • Chronological: Organize your speech in a sequential order, following a timeline or series of events.
  • Problem-Solution: Present a problem or challenge, then propose solutions or ways to address it.
  • Cause and Effect: Discuss the causes leading to certain effects or outcomes, or vice versa.
  • Topical: Group information by topics or themes, presenting each one separately.

Your opening and ending should be written AFTER you’ve structured and organized your content – so don’t skip this process!

When preparing your speech’s opening and ending, keep in mind the following key points:

  • Use an attention grabber: Begin with a compelling anecdote, a thought-provoking question, or a surprising fact to immediately capture the audience’s interest and curiosity.
  • Leave a lasting impression: Your ending should summarize key points concisely, reiterate the main message, and leave the audience with a strong call-to-action or a memorable quote that resonates with them.
  • Create connection: By using storytelling, personal experiences, or emotional appeals in both the opening and ending, you can establish a deeper connection with your audience, making your speech more relatable and impactful.

You might have ideas for more than one opening and closing statement – that’s okay! If that happens, try to narrow your selection down to two ideas. You can let your draft “simmer” and get insight and opinions from close family and friends that you practice your speech on. 

#5 – Master Rehearsal and Delivery

Once your speech is 90% written, it’s time to start practicing your rehearsal and delivery with your internal network of family and friends. Ideally, your practice audience should consist of your target audience, so that you can get the most effective and relevant feedback.

When preparing for a speech, prioritize thorough rehearsal and confident delivery to engage your audience effectively. Start by incorporating vocal exercises to warm up your voice and improve clarity. Pay attention to your body language, ensuring it’s open, confident, and matches your message.

Building confidence through positive affirmations and visualizing a successful delivery can help calm nerves. Utilize rehearsal techniques like practicing in front of a mirror, recording yourself, or seeking feedback from a friend. Remember to focus on key points rather than memorizing the entire speech to maintain authenticity.

When it comes to delivery, maintain good eye contact, vary your pace for emphasis, and use gestures to emphasize key points. Remember to breathe and pause when needed to allow the audience to digest information. By following these tips, you can deliver a compelling speech that resonates with your audience.

To summarize, here are some tips to master your speech rehearsal: 

  • Practice in front of others: Get feedback and overcome any anxieties.
  • Practice Regularly: Dedicate consistent time to rehearse your speech, ideally multiple times leading up to the event.

Tip #1 –  Manage your nerves

Sweaty forehead, shaky voice, stuttering, and word stumbling… we all know the feeling of being nervous during a presentation. And unfortunately, it’s not easy to hide nerves once the physiological response sets in, meaning your audience can pick up on your anxiety. It’s okay to be nervous, but you want to prevent yourself from being too nervous that your audience can pick up on your nervousness and anxiety. 

The good news? You can learn how to calm down before a presentation and avoid stage fright.

Here are some tips to combat nerves when preparing for a speech:

  • Take deep breaths: Slowing down your breathing can help calm your nerves.
  • Visualize success: Imagine yourself delivering a confident and impactful speech .

Tip #2 –  Prepare delivery aids (optional)

A delivery aid, often referred to as a visual aid or presentation aid, is any supplementary material used by a speaker during a speech or presentation to enhance the audience’s understanding and engagement. These aids can take various forms, including slides, charts, graphs, props, videos, or handouts. The primary purpose of delivery aids is to complement the verbal delivery of the speaker and reinforce key points or concepts being discussed. If you’re incorporating technical concepts into your speech, or trying to explain scientific or abstract points, delivery aids can be helpful. 

Common types of delivery aids for a speech:

  • Slides: Presentation software like PowerPoint or Keynote allows speakers to create slides with text, images, and multimedia to support their speech.
  • Visuals: Charts, graphs, diagrams, and infographics can visually represent data or concepts for easier understanding.
  • Props: Physical objects or models can be used as props to illustrate points or add a tactile element to the presentation.
  • Videos: Short video clips or animations can be integrated into the speech to demonstrate processes, showcase examples, or tell a story.
  • Handouts: Printed materials such as handouts, worksheets, or summaries can provide additional information or resources for the audience to reference during or after the speech.

Tip #3 – Choose your speech outfit (and rehearse in it!)

Your outfit should convey confidence, professionalism, and respect for the audience. It should also align with the tone and formality of the event. Choose attire that makes you feel comfortable and confident, allowing you to focus on delivering your speech effectively.

Here are some tips for choosing what to wear for your speech presentation: 

  • Dress Professionally: Choose attire that reflects the formality of the event and conveys professionalism. Opt for well-fitted clothing in classic styles and neutral colors so you can look polished and put-together.
  • Prioritize Comfort: While it’s essential to dress professionally, make sure your outfit is comfortable to wear for an extended period. Avoid clothing that is too tight, restrictive, or uncomfortable.
  • Consider the Audience and Venue: Take into account the audience demographics and the setting of the event when selecting your outfit. Aim to dress in a way that’s respectful and appropriate for the audience while also considering factors such as the venue’s dress code and climate.
  • Minimize Distractions: Avoid clothing with loud patterns, flashy accessories, or overly revealing styles that could distract the audience from your message. Opt for simple, understated attire that allows the focus to remain on your speech and delivery.
  • Pay Attention to Grooming: Don’t forget to pay attention to grooming details such as hair, nails, and hygiene. Ensure your appearance is neat and tidy, and consider factors such as makeup and accessories to enhance your overall look without being distracting.
  • Test Your Outfit: Before the event, try on your outfit and practice moving and speaking in it to ensure it’s comfortable and doesn’t restrict your movements. Make any necessary adjustments or alterations ahead of time to avoid last-minute wardrobe issues.
  • Bring a Backup: As a precaution, consider bringing a backup outfit or accessories in case of any wardrobe malfunctions or unexpected changes in plans. This’ll give you peace of mind and ensure you’re prepared for any unforeseen circumstances on the day of the event.

A speech generally needs to be written further in advance than a research paper so that adequate practice and revision can occur. Preparing for your speech will help with the very common fear of public speaking.  Here are some steps and links to guide you through the process.

Step 1: Understand Your Assignment

  • Read your assignment and ask  your instructor you have questions on what is required.
  • Who is your audience?  What is your purpose?  This this guide your topic, tone, and style.
  • How long is the speech?  Are you using presentation software such as PowerPoint or do you need visuals or props?  How many sources are required?

Step 2: Select and focus your topic. Begin preliminary research

  • Locate background information
  • Locate information in books and e-books
  • Consult some databases
  • Locate journal articles
  • Locate visuals (graphics and films)

Step 3: Get Organized

Begin to organize or outline your speech.Group your remarks and evidence to create an informal outline. It may be useful to include: 

  • An introduction (including purpose and overview)
  • Content or body
  • Begin crafting a strong title, opening and key sentences.
  • Speeches from University of North Carolina Writing Center
  • Writing an Effective Title  from U of M's Center for Writing.

Step 4: Step 4: Draft any visuals. Gather additional research.

  • Select evidence to support your ideas such as quotations, statistics , facts, anecdotes, etc.
  • Gather your evidence from credible sources.  Include the source in  your speech.  This will make your speech more authoritative.
  • Do you need help in locating materials?  Ask the librarians for help via chat, e-mail, or phone,

Step 5: Compose Your Talking Points

  • Start with your most important points.
  • What is the "take home message" you want your audience to understand, believe, accept or do after they hear your speech? Write this out in one or two sentences.What evidence supports your "take home message?"
  • Novelty: an unusual fact or surprising image
  • Conflict: an opposing viewpoints on the issue
  • Humor: an amusing play on words or exaggerated remark
  • Suspense: such as asking a provocative question
  • Consult your outline
  • Create index cards (be sure to number cards)
  • Organize your visuals
  • On the Lisle campus, get help at the Student Success Center to go over your speech or outline for structure, clarity, tone, etc.

Step 6: Plan the Timing of Your Speech.

  • Add timing to your talking points
  • Revise your talking points, PowerPoint slides and transitions.
  • Delete talking points and/or PowerPoint slides that are not crucial. Paring down or eliminating content will enhance clarity and improve the speech overall.  

Step 7: Rehearse Your Speech for Content and Timing.

  • Be aware of your body position, foot placement, breath and eye movement.
  • Videotape or record a rehearsal to identify problems, distracting habits, etc. 
  • Avoid reading every word--you should be presenting not reading.
  • Avoid common verbal habits such as "um", "like", "you know", "kinda", etc.
  • Practice your speech many times until you feel comfortable with the content and timing.
  • Review your assignment to be sure you are meeting all the requirements.

Step 8: Rehearse Your Speech in Front of an Audience.

  • Gather a few friends or classmates and deliver your speech.
  • Try to avoid the following common behaviors: fidgeting, looking at the computer or screen not at audience, rustling your papers, chewing gum, gesturing too much, or pacing.
  • Ask for feedback on your delivery (such as eye contact, hand gestures, speech habits, etc.) and content
  • Ask what they identified as the most important points. Do these match yours?
  • Edit or revise speech based on the feedback.

Step 9: Continue Revising and Prepare for Anticipated Questions

  • If your speech includes a question and answer session with your audience, spend some time to anticipate questions and briefly plan answers.
  • Ask for clarification if you don't understand a question when you are presenting

Step 10: Final Preparations

Continue to rehearse. Prepare to deliver you speech.

  • Make sure you have all your materials together including note cards, outlines, visuals, handouts, bibliography, PowerPoint on Flash drive, etc.
  • Arrive early
  • Practice on the day of your speech so you are comfortable with the content.

The 4 most important steps when preparing your speech.

Preparation is the key to a good speech or presentation

The best speeches and presentations – the ones that are delivered effortlessly; the ones that we remember; the ones that make an impact  – are usually the result of thorough and careful preparation.

An iceberg is an excellent metaphor for a good speech or presentation. Most of an iceberg lies under water. Thus, we have the expression, “the tip of the iceberg”. The speech or presentation is like the tip of an iceberg because that is what the audience sees. What the audience doesn’t see – the preparation – is like part of the iceberg beneath the water.

In an ideal world, we would have days or even weeks to focus on an important speech or presentation. But we live in the real world. Time is often short and we have many obligations. Nevertheless, you owe it to your audience to give a speech or presentation that is worthy of their time.

With that in mind, I would like to share with you a simple, but powerful, four-step exercise that I do every time I have a speech or presentation. The exercise usually takes between 25 and 45 minutes. It is time well spent because, at the end of it, you should be much clearer about the things that you will cover in your talk.

Before you begin

Before you begin the exercise, you have to do something that might seem counterintuitive: turn off the computer. Yes, you read that correctly.

Now, don’t get me wrong. I am not a Luddite. I love technology. I have a Smartphone, tablet and laptop. I have helped develop an app and use a Fitbit. I am active on social media and fairly up to date with the latest trends in the tech world. But the computer is a tool, and like any tool, it has to be used for the right job at the right time in the right way.

Too many people make the mistake of firing up PowerPoint or Keynote or Prezi and adding slide after slide full of details. You have to resist that temptation and take a step backwards to get some perspective on your speech or presentation.

Alan Kay, the renowned American computer scientist said it well:

If you have the ideas, you can do a lot without machinery. Once you have those ideas, the machinery starts working for you. … Most ideas you can do pretty darn well with a stick in the sand.

This exercise is all about getting the ideas right . So put away the computer and get some good old-fashioned paper and a pencil or pen.

Step 1 – Have “eagle vision”

An eagle’s eye is a marvel of nature, up to eight times more powerful than a human eye. As it flies, an eagle can survey a large amount of territory. It can spot a rabbit or fish at a distance of up to three kilometres and when it does, it can keep that prey in perfect focus as it swoops in to catch it.

As a speaker, you can do the same thing – metaphorically – as you prepare for your talk.

There are three cornerstones to any speech or presentation: the speaker; the subject; and the audience. On a sheet of paper, make a large triangle (Δ). At the top, write your name; at the bottom left, the name of the audience; and at the bottom right, the subject of your speech or presentation.

Now, think about the relationships between the three cornerstones and write a few notes along the sides of the triangle about each. For example:

Speaker – Subject : What do you know about the subject? Why are you speaking about it? What expertise do you have? What insights can you share with the audience? Etc.

Audience – Subject : What does the audience know about the subject? Do they like the subject? Are they afraid of it? Are they bored by it? How is the subject relevant for the audience? Etc.

Speaker – Audience : What do you know about the audience? What do they know about you? Do you have authority over them? Do they have authority over you? Etc.

Once you have made your notes, you need to need to think about the speaking situation and how it might affect your analysis above. Just as the weather can change from day to day, so too the speaking situation can change for a speaker or an audience.

For example, imagine a CEO who has to give a speech at the company’s annual shareholders meeting. In Year 1, the company has had a great year. Profits are up, the company is gaining market share and the stock price has doubled. In Year 2, the company has had a terrible year. The new product was a disaster, the company has lost market share and the stock prices has tumbled. Same speaker, same audience, same subject. Very different situations.

Here are some questions to ask when thinking about the speaking situation:

Are these good times? Tough times? How does the situation affect the subject of the presentation, if at all? Will the situation affect your delivery? What will happen – for you and the audience – if the presentation goes well? What will happen if it goes poorly? Etc.

As you think about these questions, review the notes that you made and add or amend them as necessary.

The purpose of this first step is to get as clear a picture as possible of the key components of your talk. Like an eagle, you want a broad vision of the landscape before narrowing your focus on your target.

Step 2 – Define your objective

At the end of your speech or presentation, the audience should be changed in some way. What is your objective for the talk? What do you want the audience to do when your talk is over?

Some possible objectives for a business presentation: (a) you want people to invest in a project; (b) you want people to take some action; (c) you want people to be aware of certain information; (d) you want to bring about a change in the company.

Sometimes speakers just want the audience to know something and that is fine. But the most powerful speeches and presentations are the ones that move people to action. If you can get your audience to take some concrete action, you will have made an impact.

When thinking about what you want the audience to do, be specific. Write out the objective as follows: “At the end of the presentation, I want the audience to                                    .”

There are countless objectives that a speech or presentation might have. Give it some thought. Just remember that the objective should be clear and realistic. Audiences need to know what, precisely, they have to do, and they have to be able to do it.

Step 3­ – What is your key message?

A speech or presentation should be built around a key message. It is fine to have more than one key message, but I would only have two or three at most. The more messages you have, the more complicated your talk will be; the more complicated the talk, the less likely it is that people will remember it .

Too often, a presentation rambles along, leaving the audience confused as to what the point was. Very often, this is because the speaker has not thought clearly about the message and so did not construct a coherent talk.

Think about what you want the audience to remember even if they forget everything else that you have said. Then, write your entire presentation in one or two complete sentences. Not bullet points! The purpose of this step is to help you get to the heart of what you want to say.

When you can condense your speech or presentation into a single sentence or two, the message is clear in your mind. Then, when it comes to building your talk, as you think about adding a slide, a statistic, a story, a chart, a graph, etc., ask yourself whether it supports the key message. If it does, it can stay. If it doesn’t, you might want to save it for another talk.

Step 4­ – Why should the audience care?

A speech or presentation is never about the speaker or her product or service or company. It is always about the audience . When speakers put the audience first, that’s when great things can happen with a speech or presentation.

The final step of the exercise is to be clear about why your audience should care about your key message? Why is it important for them? List the reasons. If you can’t think of any, you have a problem. Either you are giving the wrong talk to this audience or you are speaking to the wrong audience. But if you know the reasons why the audience should care, you have the basis for a meaningful speech or presentation.

In this regard, it’s worth remembering the humorous, but insightful, comment of the late Ken Haemer, former Manager of Presentation Research at AT&T:

Designing a presentation without an audience in mind is like writing a love letter and addressing it: “To Whom It May Concern.”

Even if you do not have a lot of time to prepare a speech or presentation, the foregoing exercise will help you clarify your ideas about your talk. Ultimately, this will save you time as you design it and will help you deliver a message that is clear, memorable and relevant for your audience.

Supporters of Joe Biden at his rally in North Carolina have told our US partner network NBC News they were disappointed with his performance in yesterday's debate but are still standing behind him.

"I thought there was a debate between a good man and a bad man. So you know, the good man may have had an off night, but he’s still a better man, and I'm going to vote for him. Not a problem," said one attendee, John Burns.

Another, David Tillem, said Mr Biden's performance in the debate was "a disappointment," but he thinks he's still fit for the job.

Asked if he was the best person to lead the Democratic Party right now, Mr Tillem said, "Who else is there? That's the question. He's the one who's been out front. Can he do it? Yeah."

Former US president Bill Clinton has joined his wife Hillary in showing support for Joe Biden after he stumbled in last night's head-to-head with Donald Trump.

Mr Clinton said he would "leave the debate rating to the pundits", but said "facts and history matter" when it comes to who to vote for.

He praised Mr Biden for "three years of solid leadership" and for pulling the US "out of the quagmire that Donald Trump left us in".

"That's what’s really at stake in November," he wrote.

Jill Biden wanted to send an unsubtle message at the North Carolina rally to those worried about her husband's debate performance, a source close to her has said.

The First Lady wore a black dress adorned with the word "VOTE" all over as she supported her husband at his first public post-debate appearance.

"Her own words and her own attire as she walked out today should answer any questions about where she stands," the source said.

"She's his wife of 47 years; she is his biggest supporter, biggest champion, and biggest believer. He knows he didn't have the best first debate – which frankly is quite common among incumbent presidents who have to deal with both governing and campaigning," they added.

Donald Trump says he wants to be the president for "Americans of every background, every walk of life, every race, religion and colour".

He also says he will "make the American dream affordable again".

Trump then repeats his claim that the US had the "best economy in the history of the world" while he was in the White House.

Economists have previously said this broad claim is incorrect.

Trump's speech to the crowds in Virginia lasts well over an hour.

Donald Trump repeats his claim that the 2020 election was "rigged", without providing evidence.

He says he wouldn't have run against Joe Biden if he was a "great president".

"If he's doing a great job that's so important I wouldn't have run, I wouldn't be going through all this stuff..."

Trump then says being on the election campaign is "better than sitting at home watching television" or "being on some magnificent island" that he owns.

He later asks the crowd to entering a cheering match for his choice of nicknames for the current president: "Crooked Joe Biden, or Sleepy Joe Biden."

Donald Trump says Joe Biden's policies are causing "America's decline at a level we've never seen before".

Making a reference to his time hosting the US version of The Apprentice, Trump says voters are going to tell Mr Biden in November: "You're fired, get out of here."

This one gets a big cheer from the crowd.

He tells his supporters he doesn't believe the US president will drop out, before criticising other Democrats rumoured as possible candidates.

Trump then takes aim at Mr Biden's policies on immigration, abortion rights and climate change.

The election is a choice between "strength and weakness, competence and incompetence... war or no war," Donald Trump tells his supporters in Virginia.

He claims to be the "only president in many decades" that did not start a war - and adds that he "beat ISIS".

Trump also says that the world has never been "so close to World War Three before". 

"This will be a war like no other," he says.

Trump says voters will need to decide between "a president who puts America first" or a "trainwreck who puts America last".

The former president reiterates his campaign slogan that a vote for him would "make America great again".

He says it's not about "whether Joe Biden can survive a 90-minute debate performance, but whether American can survive four more years of crooked Biden in the White House".

Donald Trump attracts roaring applause as he starts his speech by saying: "Did anybody last night watch a thing called a debate?"

Trump then goes on the immediate attack against Joe Biden, saying he secured a "big victory" against a man who "is looking to destroy our country".

"He's the worst, he's the most corrupt, the most incompetent president in the history of our country," he says.

Trump refers to the Democratic Party as "evil".

He pokes fun at Mr Biden, saying he "studied so hard" before the debate that he "didn't know what he was doing".

The former president then says Mr Biden is "grossly incompetent", saying he is "not respected" around the world and is causing the US to be "laughed at".

Donald Trump has arrived at his campaign rally in Chesapeake, Virginia, where he will make a speech to his supporters.

It comes after Joe Biden's stumbling performance in last night's debate left a large majority of American viewers believing that he came out on top.

Fireworks Can Cause Permanent Hearing Loss, But Simple Steps Can Prevent Harm This July 4th

It’s easy and inexpensive to protect your hearing, says asha, five safety tips for children and adults.

(Rockville, MD) As people across the country prepare for their July 4th celebrations, the American Speech-Language-Hearing Association (ASHA) is raising awareness about a commonly overlooked Independence Day health hazard: hearing loss.

Fireworks and firecrackers can register 150 decibels at 3 feet away—well beyond the safe listening volume of 75–80 decibels. Noise at this level can cause permanent damage in less than 1 second, something for families to understand as they make their holiday plans.

“Noise-induced hearing loss is irreversible, but fortunately, it’s also preventable,” said Tena McNamara, AuD, CCC-A/SLP, 2024 ASHA President. “Awareness of the risks that fireworks and other loud noises pose to our hearing, and taking a few very easy steps, are key to protecting ourselves and our loved ones.”

ASHA shares these tips to prevent permanent hearing damage:

  • Wear hearing protection. Foam ear plugs available online or in a drugstore are highly effective at dampening noise to a safe level for most adults and teens. Younger kids should wear well-fitting, child-sized ear muffs. “Basic earplugs can cost pennies per pair, but the reward they provide in the form of protecting our hearing is priceless,” McNamara says.
  • Maintain a safe distance. Stand at least 500 feet away from noise sources such as a fireworks launch site or a speaker. “The farther away you are, the safer your ears will be,” according to McNamara.
  • Heed noise warnings. Many smartphones and smartwatches will automatically alert you when you are in a location loud enough to cause hearing damage. If not, you can download a free sound-level meter app to your phone.
  • Take listening breaks. If you are in a noisy place for a long period of time, step out regularly (at least once per hour) to give your ears a rest. “Even a few minutes can give your ears an opportunity to recover,” says McNamara.
  • Listen to your body. If you are experiencing any pain, ringing in your ears, or changes in your hearing, leave the area immediately. If symptoms persist into the next day, visit an audiologist for a hearing evaluation.

“We want people to have fun this July 4th, but to do so with their hearing in mind,” said McNamara. “If you want to continue to experience the many life pleasures that your hearing affords you—from the music you enjoy to the voices of those you love—make the effort to protect it.”

Three Ways for Campuses to Prepare for the 2024 Election

My daughter arrived home for the summer just a few days before protests erupted on her college campus. She wanted to get involved in the activism and, concerned for her safety and well-being, I sat down with her for a discussion.

As we talked, it became clear that she was not well-informed about campus policy. She couldn’t answer my questions about potential consequences and guidelines. I advised her to educate herself on the complex range of issues, understand her rights, seek out her institution’s policies—perhaps in her student handbook, if she knew where it was, or in conversation with her advisor—and call me if she needed bail money or legal representation!

When I talk to my daughter about these topics, I wear my parent hat, but as a qualitative researcher at the Constructive Dialogue Institute (CDI), I often find myself asking similar questions of higher education leaders. What is your familiarity with your institutional policies? Where are your policies kept? Who reads them?

For several months this year, I conducted interviews with 21 college presidents, administrators, faculty, and staff (from civic engagement centers to offices of diversity, equity and inclusion [DEI]) about their goals for their campus communities around the 2024 election, another major source of conflict on campuses today. These interviews were in addition to conducting other interviews and reading as much information as possible from education leaders about lessons learned from past elections.

My team and I collated these learnings into an election guidebook to share knowledge about what works to contain campus conflict and transform discourse. The insights are intended to assist college educators and campus leaders in encouraging students to become thoughtful, engaged citizens. The interconnected social and intellectual skills that students acquire to thrive in postsecondary civic spaces are invaluable across all facets of their lives. 

Why policy review is needed

According to the cultural design group, The Gaping Void, “Culture is something you can design, and you design it with your decisions.” One of the places where culture is operationalized is in policies. Policies are tangible signals of institutional culture.

The research that led to the creation of the election guidebook stemmed from an awareness that higher education is in a painful cycle of high conflict, putting strain on the culture of many campus communities. As we head into a potential repeat of the 2020 election, the climates on U.S. campuses could get worse before they get better.

When we asked about previous election experiences, we heard that many institutions felt under-prepared for the 2024 election. University leaders told us they were hoping for a climate of respect and civility, but they were anticipating some anxiety, polarization, and hostility.

Campus tension resulting from the Israel–Hamas conflict exposed gaps and inconsistencies in existing campus policies related to speech and demonstrations. In a study of 331 provosts from a mix of public and private universities, Inside Higher Ed and Hanover Research found that almost 40% of provosts think their speech policies need revisiting. In addition, only around a third of their institutions had policies for dealing with “student complaints about professors’ extramural speech” and “online trolling or other outside attacks on professors.”

A critical question I commonly ask of higher education leaders is “When was the last time you conducted a policy audit?” At CDI, our research suggests that institutions should regularly review and revise these policies to ensure they are fair and transparent and that they uphold the community’s values. Colleges and universities should:

  • Start with their physical environment. Examine speaker- and event-oriented policies. Revisit policies around posting fliers and other materials.
  • Consider who has awareness of these policies, where they are housed, and how and when they were last disseminated.
  • Develop content-neutral restrictions on where, when, and how speech can be made (referred to as time, place, and manner restrictions) or risk violating the First Amendment.
  • Evaluate policies using scenarios that their campus community would recognize that can provide clarity and help make policies feel relevant to their unique context.
  • Enforce these policies consistently to scaffold institutional trust and help them avoid inadvertently creating their own crisis.

Policy review may not be popular, and a participatory review process will take time. In a recent New York Times article , PEN America’s CEO, Suzanne Nossel, stated, “There is this tension between wanting to enforce the rules and also acknowledging that college is a learning environment. You want people to be able to make mistakes without facing lifelong consequences because if you’re too heavy-handed, it can reinforce this sense of grievance.” The same article mentioned that the University of Michigan had drafted a disruptive activity policy aimed at providing improved clarity and clearer definitions of terms. However, the draft faced criticism for being “too vague and broad” regarding activities such as impeding the flow of foot traffic on campus and interrupting lectures or performances. In response to these concerns, Michigan’s president indicated that they plan to take their time and collect community feedback on the draft.

Policy enforcement during an active crisis can be perceived as an abrupt escalation. This perception may arise from a history of inconsistent adherence to or enforcement of policies at the institution. A study conducted by CDI and More In Common found that students’ views on speech are closely tied to their beliefs about systemic fairness and collective responsibility. Michigan appears to be addressing accountability through a key issues tracker and a campus climate update , both available on their website.

Three lenses through which to view campus policy

Based on our interviews, three principles emerged that could help campuses prepare for the 2024 election and create cultures that foster open dialogue and mutual respect.

1. Rather than treating the 2024 election as an isolated event, leverage your existing campus investments in cultural transformation and trust building. In the fall of 2023, staff from the University of San Diego’s (USD) student affairs and public safety departments collaborated to facilitate community discussions about DEI. USD benefits from an existing emergency management infrastructure, including an assembly policy and a critical incident response framework, both updated within the last two years. However, inspired by our election guidebook, USD’s emergency preparedness manager began to consider two implications for his campus.

First, there were some vulnerabilities in their assembly policy that warranted review. During their policy audit, they realized that the vulnerabilities in the assembly policy could largely be addressed through time, place, and manner restrictions. This language typically includes guidelines about event hours and duration, designated areas and restricted zones, allowable use of amplification, and information about permits. By specifying these details, many college campus assembly policies aim to balance the right to free expression, and inclusivity and belonging values, with the need to maintain safety and fulfill the primary mission of the institution.

USD’s existing policy designated only one person for assembly approval, which was neither fair nor practical. Consequently, they drafted a new approval process and recognized the need for an appeals process for denied assembly requests. The revised policy is now underway and may take up to 12 months to complete the stakeholder review.

Second, USD realized that maybe they could use their existing crisis response framework for civil unrest or DEI flashpoints, informed by what they had been hearing in their community forums. Last summer, Student Affairs and the Department of Public Safety began to think about what the election cycle might look like and their state of readiness to address potential unrest. The result was a three-part discussion forum at the intersection of DEI and preparedness. As a community, they sought to explore how to handle extremely uncomfortable discussions while also supporting young people in engaging in these conversations in a safe and enriching way.

Dialogue and policy

The Constructive Dialogue Institute published the election guidebook, which raises the question: Why does an organization focused on dialogue care about policy? If culture is designed and experienced through decisions, policies embody those decisions. Policy is shaped, revised, and disseminated via dialogue. Norms, which exist in the liminal space before and around policy, are established through dialogue. As Seth Godin posits, culture changes horizontally—person to person—through relationships built on a foundation of dialogue. When conflict inevitably arises, dialogue becomes an essential resource for helping communities respond and rebuild .

2. Investing heavily in proactive strategies before November 2024, rather than relying solely on reactive measures, will pay dividends in preventing conflict. Muhlenberg College is an example of a school that is routinely updating policies and sharing them widely across campus.

Raising awareness of changes to campus policy is no small feat. At the outset of each semester, Muhlenberg College disseminates comprehensive policy updates via email. Subsequently, the institution uses both email and social media platforms to apprise student government, clubs, and organizations of the latest policy developments. To bolster the understanding and implementation of recent updates, six training sessions are scheduled throughout the semester. Mandatory for all student clubs, these sessions incorporate case studies and a dedicated question-and-answer segment.

Looking ahead, Muhlenberg College has plans for a similar series in the upcoming fall term, commencing with the dissemination of their partisan political policy. The institution intends to highlight this policy prominently at events such as the club fair and other student-sponsored activities. To ensure broad policy distribution, including to resident advisors, the nonpartisan, student-led political engagement organization, Berg Votes, will play a pivotal role.

Student clubs and organizations are a very effective way to spread new policies, with many student touchpoints and word-of-mouth opportunities.

3. Campuses require proactive leadership and a clear vision from the top to inspire coordinated efforts across every layer of an institution’s system. In November 2023, the University of Northern Colorado (UNC) formed a Bears Vote Coalition co-chaired by the dean of student development and the assistant vice president of administration. Since the coalition’s founding, it has selected cochairs and has rounded out a cross-functional team to meet its goals, one of which is to “increase civic education, voter education, and political discourse programming and initiatives.”

The initiative charge document explicitly connected their efforts with institutional learning objectives, student affairs learning aims, and the organization’s vision. The coalition launched a web presence in March 2024 that prioritizes resources and policy information related to freedom of expression. On it, UNC clarifies the kind of culture they seek to provide, stating, “Distinctive service to society can only be offered in a student-centered atmosphere of integrity that is grounded in honesty, trust, fairness, respect, and responsibility.”

Based on lessons learned from past elections, where campus efforts were more siloed and policies were sometimes inconsistently followed, engagement and logistics are more coordinated for the 2024 election. Representatives from across the campus, including campus police, student affairs staff, library services, administration, the general counsel, and the director of the student union, among others, are coordinating their efforts. For example, one of the co-chairs meets monthly with the associate deans of all the academic colleges to generate awareness of coalition efforts. As soon as their speech resources went live online, they began promoting those resources in weekly campus emails.

As fall 2024 nears, the coalition plans to embed engagement information into the school’s learning management system, making information extremely prominent and accessible for faculty and students.

I have sifted through a mountain of advice on choosing colleges, and I find myself returning to two suggestions. The first, from former university president Elaine Maimon , recommends “look[ing] closely at signs of respect at the colleges.” In this regard, I look closely at institutional policy and the example set by the university’s leaders, who I hope will act with my children’s future in mind. The second suggestion is a reminder that the choice should be rooted not in what the student is today, but who they hope to become. And I hope my children will become adults who pay attention and raise their voices, but who also prize community and cherish the feeling of connecting with other people, even if they don’t agree, for a fulfilling and surprising life of impact and contribution.
